Your guide to uploading your Passport and/or Visa As an International Student registering with Brunel, we need a copy of your passport and visa uploaded onto our system before you can register. If you sent Brunel a copy of your passport during your application process and you have not changed your passport since you sent it to us, it is likely that your passport is already on our system. This guide will take you through how to upload a copy Visa (and passport if necessary) using your eVision/My Applications account.

Your guide to uploading your Passport and/or Visa

As an International Student registering with Brunel, we need a copy of your passport and visa uploaded onto our system before you can register.

If you sent Brunel a copy of your passport during your application process and you have not changed your passport since you sent it to us, it is likely that your passport is already on our system.

This guide will take you through how to upload a copy Visa (and passport if necessary) using your eVision/My Applications account.

How to get an electronic copy of your passport and/or visa

Use your digital camera

You can take a photograph of your passport and visa using your digital camera and download this to your laptop or computer. Please ensure that you are able to read all of the details on the visa/passport, that the entire visa/passport is in the picture and that the size of the file is no bigger than 4MB.

Use your camera phone

If you have a mobile phone you will probably be able to take a picture of your passport/visa on your phone that will be of a high enough quality to be uploaded to your eVision account. Please ensure that you are able to read all of the details on the visa/passport, that the entire visa/passport is in the picture and that the size of the file is no bigger than 4MB. You can transfer the image from your phone to a computer by either connecting your phone to your computer using the cable provided or, if your phone is internet enabled, using the internet to email it to yourself.

Use a scanner

If you have a scanner you can scan your visa and/or passport and upload the resulting images. Please ensure that you are able to read all of the details on the visa/passport, that the entire visa/passport is in the picture and that the size of the file is no bigger than 4MB.

When saving your image on your laptop/computer

We would recommend that you save your image as a jpeg (.jpg) and that you name the file <Your name> Passport or <Your name> Visa so that you can easily identify each file when you come to upload it later and make sure you save it somewhere you can remember!

How to upload your copies of your passport and/or visa

Log into your eVision account at https://evision.brunel.ac.uk. Your username and password have previously been emailed to you; remember to use your new password if you have already logged in and changed it. Navigate to ‘My Checklist’ using the navigation bar on the left handside.

If your passport has already been uploaded you will see the message:

If you cannot see the green tick against ‘My Passport’ you will need to upload both your passport and visa.

To upload either your visa or passport:

Click on the button next to ‘My Passsport’ if you need to upload your passport and/or ‘My Visa’ if you need to upload your visa and use the button to locate the file on your computer. You will now need to navigate to the folder you saved your files in and find the relevant file (if you selected to upload your passport you should only upload your passport now. Please do not try and upload both document in one file or one location). Once you have located your file press the button to upload the document.

You will then see a screen which confirms that you have successfully uploaded your passport or visa and should click ‘next’ to return to your ‘check list’. If you have uploaded your passport and now need to upload your visa, you should repeat the above steps but this time select ‘My Visa’ and upload your visa when prompted to.

Once both your passport and visa have been uploaded you should see green ticks next to both parts. This means you have completed your section and you now need to present your passport and visa at registration in the Sports Hall during your first week on campus.

My Passport

The copy of your passport has been uploaded successfully. You must bring your passport to registration so that it can be verified.

Visa has more than one page but I can only upload one document

You will need to merge each page of your visa into one document to upload this. If you are unable to do this then you will be able to do this using facilities when you come to register however it is likely that you will have to queue to use these facilities.

My file is too big

The maximum file size that can be uploaded is 4MB. If your file is bigger than this the system will not allow you to upload it. You should reduce the file size by either compressing the image further (please ensure that the details on your passport/visa are still clear and easy to read) or by reducing the size of your image (please ensure that your passport/visa is large enough to be clear and easy to read – we would recommend that the file is no smaller than 600 pixels wide and 400 pixels high)

My file is in the wrong format

We can only accept files that are in the format .jpg, .gif, .doc, .docx or .pdf. If your file is in another format you should resave it in one of these formats and then upload it.

I cannot log into eVision

You should try to use the ‘forgotten password’ prompts that can be found on the log in screen. If you still cannot log in, please contact the Student Centre ([email protected] /+44 (0) 1895 268268) for further assistance.

I’ve uploaded the wrong document/My Passport or Visa has changed and I need to upload a new one

Unfortunately you are only allowed to upload a document once during this task. If, for any reason, you need to change the document uploaded you will need to do this when you come to register at the University. Please make this known to a member of staff on arrival so that we can ensure your registration is dealt with effectively.

I am a British or EU national and I do not have a Visa to upload

If you are a British or EU national please ensure that your passport is uploaded but do not upload anything in the Visa screen, an override will be applied to this when you come to register in person. Please ensure that you make your circumstances known to a member of staff on arrival so that we can ensure your registration is dealt with effectively.

I do not have the ‘My Passport’ or ‘My Visa’ options on the ‘My Checklist’ screen

If you are an Overseas fee paying student and cannot see these options please contact the Student Centre for further guidance. If you are a UK or EU fee paying student we do not need a copy of your passport – you should complete all other areas of ‘My Checklist’ prior to arrival at the University.

Both ‘My Passport’ and ‘My Visa’ are already ticked when I log in

This means we have already been able to upload copies of your Visa and Passport and therefore you do not need to do this. You should ensure you complete all other areas of ‘My Checklist’ prior to arrival at the University.

Common Problems with uploading
