Overview

When moving from the Validation to Ready To Publish workflow phase, Documentum checks the assets in the Working Content folder and compares them to the detailed content plan. If there are assets in the Working Content folder that don’t match the detailed content plan, you will not be able to move the workflow to the Published state. You can run an Unplanned Object Report to identify asset discrepencies and adjust the Working Content folder content to align with the content plan in three ways:

•Delete the assets.

•Demote your program to the Planned state and update the content plan in CPT.

•Move the unplanned assets or objects to the Miscellaneous folder.

1 Generate an Unplanned Object Report

1 In Documentum, click the CONFIGURATION menu, and then select Unplanned Object Report.

2 The Unplanned Object Report screen appears. At the Program drop-down menu, select the program.

3 At the Program Component drop-down menu, select the component and then click the button.

4 The found unplanned objects display. The name of the unplanned objects display in the Object Name column. To locate the unplanned objects within Documentum, follow the path in the Folder Path column.

5 When you have located the unplanned objects in your component, you can:

a Delete the files if they are not needed.

b Move the files to your component’s Miscellaneous folder if they are no longer needed in the component, but you want to retain them in the workflow for later reference.

c Add the unplanned objects to your program by making them into planned objects.

Plan an Unplanned Object

1 To add a/multiple found unplanned object(s) to your component, click to select the object(s) in the Content pane.

Quick TipTo delete a file, select it, and then click FILE > Delete, or right-click and select Delete.

2 Click the Workflow Applications menu, and then select PCS.

3 The PCS My Programs screen appears. Search for your program, or click the thumbnail icon for your program.

4 The Editorial > Title Info sub-tab appears by default. Click the sub-tab.

Quick Tip To access a program, click My Programs or run a search.

5 The State screen appears. You must demote the program from the Committed to the Planned state.

a Click the drop-down menu in the Action column for the program and select Demote All.

6 You must now unlock the content plan so that you can add the new asset. Click the tab and then select the sub-tab.

8 You must now add the asset(s) to the component in CPT. Click the Workflow Applications menu and then select CPT.

9 The CPT My Programs screen appears. Click the Go to CPT Application link for your program.

10 In the CPT application, click the Content menu, and then select TOC Manager.

11 The TOC Manager appears. Click the arrow icon to expand the child nodes/components.

12 Double-click a program component to open it.

13 A new panel opens for the program. Select the node that should contain the asset(s), and then click the button.

16 Provide information about the content asset. Most fields are required.

a Type a title in the Title text box.

b From the Content Class drop-down menu, select Composite Asset OR Content Asset.

c From the CC (Tier 1) drop-down menu, select the type of content you are specifying: Assessment, Image, Information Form, Rich Media, or Text.

d From the CC (Tier 2) drop-down menu, select the subtype based on your selection in CC (Tier 1).

e Type a description in the Description text box.

f Type keywords in the Keywords text box.

g Type instructions in the Instructions text box (not required).

h From the Reuse Type drop-down menu, select New.

i Click the button. The new specifications will be saved on the

tab of the TOC Manager.

17 When you have finished defining content assets for the TOC, click the button to close the Asset Specifications screen.

18 To publish the component’s detailed content plan back to PCS, click on the expanded TOC Manager screen, click the tab, and then click the button.

19 The You are about to publish a program component. Please verify you wish to continue warning message appears. Click the button to publish the program component.

20 The The content plan is sent to PCS. Please wait for notification email for success/failure response confirmation message appears. Click the

button.

21 A confirmation email arrives in your email Inbox. Your asset has been added to the component.

22 Return to PCS to add rights information to the new asset. Click the

tab.

24 The Program: Content Plan screen appears. Click the icon next to the new asset.

25 The Program Content Plan: Edit Content Plan screen appears. Add the rights information for the asset. The required fields are:

a Source Type

27 You must now promote the program back to the Committed state.
