Reporting

• Review contact information and certification status

• Review their MTs (candidates, candidates for cross-training, certified who have not trained).

• Review Participant Level (PL) and Master Level (ML) classes

• Review their LEAs’ information

• Review number of teachers trained 2009+ (contact Customer Support for numbers pre-2009)

Reporting - Output to Excel

When dealing with 5 lines or more of data, it is generally better to export to Excel for:

- Better sorting and viewing (add ‘autofilter’ to the column headers)

- Delete irrelevant data- Copy/paste data (ex. emails for communications)- Save locally for future reference

Senior Instructor User Report Viewable by ITAs

Purposes:

• Generate a list of all Senior Instructors in your ITA

Tip: to prevent duplicates, select only one course offering (you will get all users, even those not certified in the course you choose)

• Find out which Senior Instructors are certified in a course

Be sure to select “all” course offerings or only specific courses you’re interested in.

Master Instructor User Report Viewable by ITAs + LEAsPurposes:

•Generate a list of all MIs in your ITA (for communications, to identify candidates for a course, to track number of instructors)

Tip: to prevent duplicates, select only one course offering (you will get all users, even those not certified in the course you choose)

• Determine certification dates for MIs (to encourage MIs to upgrade to a more recent version of the curriculum)

Tip: select only the course offering you’re interested in

•Find out how many MIs are in an LEA (gauge activity around the state, find out which LEAs have cross-trained their MIs in multiple courses and which have only offered one course)

•Find your MIs who need encouragement to meet their commitment to train Participants (Customer Support will also identify them as part of their attrition reduction process)

Master Instructor User Report Viewable by ITAs + LEAs…Continued

Columns of note:

• “PC” First name, last name, and email refers to the “Primary Contact”

• Certified “Any” indicates whether they have been certified in any offering – a “no” indicates they’re a candidate for all course offerings

Certified and authorized refer to only the course offering listed in that row

Trained date refers to the date they were certified to deliver the course offering in that row

# approved, #Cancelled, # Completed refers to the number of Participant Level courses they’ve offered for the course title in that row

Participant Level Class Report Viewable by ITAs + LEAs

Purposes:

•Locate open courses past their end date (low hanging fruit: remind MIs to close, capture your numbers)

• Determine number of PTs trained, progress to goals

Tip: use the reporting date field (rather than the end date) to determine the dates for your quarterly reports: only reported numbers are counted.

• Generate list of all upcoming Participant Level classes (forecast your quarterly PTs trained, support MIs)

•Find your “Superstars” and reward them for exceeding their commitment – MIs and/or LEAs

Master Level Class Roster Report Viewable by ITAs + LEAs

Purposes:

• Determine which MIs were certified by a certain Senior Instructor

• Monitor registration for upcoming classes

• Generate complete list of all upcoming Master-level courses, their location, and Instructor

Column of note:

Courses with 0 attendees on the roster output a row with no MIs listed.

Local Education Agency Report Viewable by ITAs

Purposes:

• Generate a list of all approved LEAs in your ITA

• Identify Primary Contact for each LEA

Tip: ITAs need to follow up with any LEAs that do not have a Primary Contact (contact any other LEA contact or MIs)

• Identify Secondary Contacts for each LEA

Column of Note:

• LEA Type refers to In-Service or Pre-Service

• “Is PC” means “Is Primary Contact”

ML Training Report Viewable by ITAs

Purposes:

This is the quickest and easiest report to generate your teachers trained numbers for Quarterly Reporting

Tips: Refer to Quarterly Reporting Process in Community or contact [email protected] for their steps to run the report and create a pivot table.
