Policies & Procedures

Cell phones and electronic devices of any kind are not allowed at the Club. If brought to the Club, these items will be confiscated and held at the front desk for a parent to pick-up.

Members may not bring personal items into the Club: no toys, backpacks, or personal items! The Club is not responsible for lost, stolen or damaged personal items.

Members must remain within our boundaries, as directed by their parents and staff. The Boys & Girls Club is not responsible for those children who intentionally leave the grounds.

While on the internet, members must follow staff directions, only access appropriate sites, and immediately notify a staff member if they see any inappropriate content. Failure to follow these rules will result in a loss of technology privileges and may be cause for suspension or removal from the program.

Boys & Girls Club hours are 7:00 am—6:30 pm. Parents are responsible for dropping off and picking up on time. Members may not be dropped off prior to 7:00 am. Continuous late pick ups may result in removal from the program.

Parents must come into the Club to pick up their children. Members may not wait in the parking lot. When picking up members, parents must check in at the front desk so a staff member can page your child. All members must sign in and out when entering and exiting the Club.

The Boys & Girls Club of Cypress is not, nor does it claim to be, a licensed daycare. The Club is an OPEN DOOR facility. It is the parent or guardian’s responsibility to instruct their child

whether or not the child can leave the Club and when and with whom they may leave.

Payments An Early Bird Fee of $100 is paid in advance by Wednesday of

the prior week. After Wednesday, the weekly fee is $110.

All weekly payments must be paid no later than the Friday before the week you are signing your child up for.

All lunch program orders and payments must be received by the front desk by the Friday before the week you are signing your child up for. Members cannot be added to the lunch program on Monday mornings.

All field trip spots will be filled on a first come, first served basis. In order to secure a field trip spot, you must pay for both the field trip as well as the summer program fee for that week.

Failure to pay fees as stated in the Program Fee Agreement will result in termination of membership. There are no refunds on field trips or program fees.

Club Behavior Policy All members, volunteers, and staff are required to follow

Club rules as outlined in the Conditions of Membership at all times.

Club discipline is determined fairly and consistently. Staff will report and discuss with you any disciplinary concerns and will attempt to resolve any concerns cooperatively.

Serious or repeated behavioral concerns may result in a member’s removal from our summer program.

Corrective/disciplinary action will be taken as follows depending on the severity of the behavior:

1. Documentation and Verbal Warning

2. Level 1 Write-Up: Documentation and Verbal Warning, guardian signature required

3. Level 2 Write-Up: Site Director will call home to notify guardian of write-up. Discussion and signature required

4. Level 3 Write-up: Phone call home, guardian meeting with Site Director, possible suspension and/or removal from the program

Lunch & Snacks

Members receive a light snack every morning and a healthy snack in the afternoon. Both are free of charge.

The Club provides a Club Lunch Program through a partnership with Cypress School District for an additional $20 per week. You must sign up for lunch prior to the start of the week.

Members not on the Club Lunch Program must bring their lunch every day in a disposable grocery bag or brown bag labeled clearly with their name and grade. If your child loses or forgets a lunch we will provide lunch and your account will be charged a $5.00 fee. The Club is not responsible for lost or stolen lunch items.

Refrigeration or a microwave oven are not available for member lunches.

Club Snack Bar will be open three times a day, at morning snack time, lunch and late afternoon. Tickets may be purchased for 25 cents each at the front desk. Items require 2—6 tickets. Club Snack Bar items include fruit drinks, bottled water, chips, crackers, cookies and more.

Water will be available to all members throughout the day. Members should bring a refillable water bottle labeled with their name and grade. The Club also has a drinking fountain for member use.

Members must wear closed toe shoes and appropriate clothing. NO FLIP FLOPS, SHOES WITH WHEELS, OR SANDALS.

Members must obey the rules of the Club and staff members. The Club does not allow fighting, teasing, stealing, name-calling, horseplay, stealing, destruction of Club property, or sexual harassment. Members are expected to treat all staff, Club volunteers, and Club visitors with respect and follow all directions. Membership may be suspended or revoked at any time for misbehavior. No refunds will be given.

The Boys & Girls Club has a ZERO TOLERANCE policy concerning any form of fighting or any verbal, physical, or cyber “bullying” or harassment. These actions will result in immediate suspension and/or removal from the program.

All adults must enter through the FRONT DOOR only. Only authorized adults are allowed in the building. All adults in the building must abide by the policies and procedures of the Boys & Girls Club of Cypress.

Sunscreen Reminders!

Please remember to apply sunscreen to your children before

dropping them off at the Club.

Members may bring sunscreen with them to the Club to apply to

themselves during the day. Please label your sunscreen with your

child’s name and grade.

At no time will staff be able to apply sunscreen to your child. Staff

can give members reminders and supervise the application to

make sure the sunscreen is covering the necessary areas.

These sunscreen policies apply at the Club and on

all Club field trips.

Field Trips All field trip and weekly fees must be paid in full in

advance on the Friday of the week prior to the field trip in order for your child to attend. You must also pay the weekly fee in order to reserve your spot for the field trip.

Members must be present for the 9:00 A.M. roll call in order to attend the field trip.

Members must wear their 2017 Boys & Girls Club t-shirt to the field trip. Members who are not wearing a Club t-shirt will be given one, and his/her account will be charged $10 per shirt. (Additional t-shirts can be purchased at the front desk.)

Should your child miss the field trip, there will be no refunds, exchanges, or credits. NO EXCEPTIONS.

Parents must fill out and sign the Summer 2017 Field Trip Permission slip.

The Club may excuse your child from a field trip for inappropriate behavior, inappropriate attire, and/or tardiness. No refunds will be given.

Money sent with your child should be in a Ziploc baggie labeled with your child’s name. The Club is not responsible for lost or stolen money.
