I. Introduction to the System

The Livelink Web Content Management System (WCM System) will be the content management tool for the publishing and maintenance of information on the Human Health Website.

This tool is based on client-server technology and the two parts are joined by a network to form one system. Management of the website data and users takes place on the Livelink WCM server. The editing of data by editors is done via the Content client which is used online, as a web application.

The web site objects that can be managed with the WCM System (HTML pages, images, JSP scripts etc.), are referred to in this System as WCM objects and are stored in a database. These objects go through clearly defined stages of editing and quality assurance before they are published to the live web site.

The right to add and edit objects on the web site is reserved to certain groups, roles, or individual users (known by the general term of Content Providers). Assigning access rights means that clear responsibilities are defined.

Getting Started

1. Access to the Web Content Management System and Points of Contact

New Content Providers who wish to publish information on Human Health Website must first send an email request to the Systems Administrator to request him to perform the following tasks on the server: add a new User Group to the HHW Content Provider Group; assign user access rights to that new group; and specify the Role Type of the new Content Providers. The Systems Administrator will inform the requestor when these tasks have been completed.

2. Technical Requirements - check the JAVA version on your PC

Before beginning to work with the Web Content Management you should check that you have the correct Java version installed on your computer.

To do this, click on the START button of your computer to open the Start menu:

Click on Control Panel to open the Control Panel file directory:

Click on About… in the About section:

The Java Version screen opens:

Verify that you have Java 2 Platform Standard Edition, and at least Version 1.5.0, as in the image above.

If your Java Version is lower than 1.5.0, contact the IT Service Desk and request an upgrade.

At the same time, request that the IT Service Desk colleague removes all older existing versions of Java from your computer (through Control Panel, Add/Remove Programs), once your new Java

Version has been installed.

NOTE: There should be only ONE Java Version available on your computer.

3. Selection of the Integrated HTML Editor

The default Integrated HTML Editor of the WCM must be your default editing tool. It must be configured in the following manner:

Open the WCM System and click on Tools > Configuration:

The Configuration dialogue box opens. Ensure that Use integrated HTML editor is checked, as in the screen shot below:

Click OK to save the settings.

This ensures that the WCM integrated HTML editor is your default editing tool.

III. Major Components of the WCM System, their relationships and functions

Overview

The WCM System uses the following new terminology which needs to be understood before using the Content Client for the first time: objects and topics.

The global term ‘object’ is used to describe HTML pages, PDF documents, PPT documents, Excel spreadsheets and JPG and GIF images etc. which are added to the System. A WCM object comprises three different components representing the different ‘parts’ of that object: the content (subject matter), the template (the layout of the content defining its position on the web site) and the metadata (additional information intrinsic to the object which enables the search engine to retrieve the object).

The global term ‘topic’ is used to describe folders and sub-folders (directories and sub-directories) on the System.

Both terms are described in detail in the chapters below.

1. Objects - what is an Object?

1. Each element which is part of the root HHW structure is considered to be an ‘object’, according to WCM system terminology. An object may be a topic, an HTML page, a PDF document, an MS WORD document, an EXCEL spreadsheet, an image file (JPG, GIF,), an HTML template or even a folder.

2. Each object is identified within the system by its own unique ID number which never changes, no matter if the location of the object changes.

3. Content Providers should only edit the Objects in their section Content Area.

4. Access Rights to an Object means the right to edit an Object.

2. Topics - what is a Topic ?

1. A Topic is an Object type.

2. It is a ‘place holder’ for other sub-folders and sub-pages in the hierarchy of files. It is the parent of its ‘child’ pages.

3. It always needs to have the GROUP template, rather than the SINGLE template, because it is a ‘place holder’ for other pages – it doesn’t stand alone.

4. The WCMS system automatically assigns each topic or object its own ID (identification number). See the example below, where the topic About has the Object ID number 1037 (OID 1037):

Object IDs enable the WCM System to identify that particular object. Object IDs remain with the Object, no matter what modifications are made to it and no matter if its location on the website changes.

3. Types of documents which can be uploaded to the WCM System

a. An HTML pageWhat is an HTML page?

HTML stands for Hyper Text Markup Language. It is a low-level programming language which uses codes and syntax to enable text to be displayed on the web. The Integrated Editor of the WCM System is a user-friendly HTML editor with a user interface similar to MS WORD. The HTML codes are generated automatically behind the text you generate, and are visible by clicking on the Code tab, which is beside the Design tab, the default setting:

b. A PDFWhat is a PDF?

PDF stands for Portable Document Format. This file format enables a user to capture (i.e. save) and view information from any application, on any computer system—and share it with others in a read-only, fixed layout format. The programming language inside a PDF generates the layout, the graphics and embeds the original fonts, so that all of the document’s features are bundled together into a single file (known as a PDF file) and travel with it, wherever it goes.

This file format is the safest format to use for documents in situations where the information displayed requires no more editing changes to be made.

It is also the file format which is the closest to the printed version of a document.

Read the chapter ‘How to upload and/or delete a document’ for instructions how to add this file types to your Content Area.

c. Image FilesImage files should be added to the Documents folder inside your particular Content Area. Possible image formats which can be added are: JPEGs, GIFs and even PNG images. Read the chapter ‘How to upload and/or delete an image’ for instructions how to add these file types to your Content Area.

4. Templates

a. Available templates and their useThere are only several standard recommended templates to be used by Content Providers. These templates can be selected in the WCM system on the ‘General’ tab of the metadata of a file. (To access the metadata of a file, highlight the filename, and click on View>Metadata):

The templates are:

Home Page Template Section Page Template (for each Section pages, like Medical Physics, Nuclear

Medicine, etc.) Subsection Template (used for the level before the last one, that will contain

links to the articles, stories, etc.) Content Template is the template for the final articles and stories News/Events Holder Template – template for the pages that will contain the list

of News and Events News/Events Template – template for the pages that will contain News and

Events

The templates can be viewed by the Content Providers, but SHOULD NOT be modified without BSS help or knowledge.Only HTML files (objects) in a particular topic area must have one of the above templates applied to them.

Other objects such as PDF files, WORD documents, EXCEL files, PPT files do not require a template. Nor do such objects as JPEG and GIF image files.

b. Difference in Application between Templates

The Home Page Template (/resources/templates/base (JSP template, OID = 4656)) should be used for the home page.

The Section Template (/resources/templates/2c_section (JSP template, OID = 7632)) should be used for Sections pages (i.e. Medical Physics, Diagnostic Imaging, etc.) or for some intermediary topics that are not the entry pages for the final articles. Examples: Nuclear Medicine/Radionuclide Therapy

The Section Iconified Template (/resources/templates/2c_section_iconified (JSP template, OID = 7634)) should be used for Sections pages under sections like Medical Physics namely Radiotherapy, Diagonostic Radiology, etc only if large icons are used.

The Subsection Template (/resources/templates/2c_sub_section (JSP template, OID = 7635)) should be used for pages that are the level before the last one, entry pages for the final articles and stories. Examples: Nuclear Medicine/Endocrinology, Nuclear Medicine/Neurology, etc.

The Content Template (/resources/templates/2c_sub_section_content (JSP template, OID = 7646)) should be used for pages that contain final articles, cases, stories, etc. (last level of pages)

The News/Events Holder Template (/resources/templates/2c_news_events_holder (JSP template, OID = 7638)) is the template that should be used for the pages containing entries for News for a section. They will display the list of news and Events for that Section.

The News/Events Template (/resources/templates/2c_news_event (JSP template, OID = 7656)) is the template that should be used for the final News/Events pages.

c. How to apply a templateApply a template to an object AFTER it has been created inside the WCM system, or imported into the WCM system. The template is considered as part of the metadata of the particular object.

In order to access the list of templates, the ‘metadata’ view must be selected.

Click on View>Metadata

Highlight the object or file in the topic folder. The metadata of the highlighted file will appear on the right-hand pane. Select the General tab. Template is the 4th entry in the list.

Click on the dotted line at Template:

This opens the available list of templates. Choose the appropriate template, according to which type of file you have selected (see the above description of templates), highlight your choice and click on OK to apply the template to your file.

Click on Save at the bottom of the metadata tab.

The template you have chosen is now applied to your file. Switch (ALT+Tab) to the Edit website to view the file with the applied template.

If you are satisfied with the results, return to the WCM system (using ALT+Tab), right-mouse click on the filename and choose Submit from the sub-menu to submit the file to the Quality Assurance (QA) website.

The icon changes to green/red to indicate that the file is now on the QA website:

To publish the file to the live website, right-mouse click on the filename and click on Release:

The icon changes to green and the file is now published on the live website.

5. Metadata

How to edit the Metadata of a fileMetadata is the information which describes the properties of an Object. We need to insert correct metadata, so that the search engine is able to perform exact searches on the website.

a. Standard MetadataThe standard metadata comprises:

- the OID, the Object Identification. The WCM system automatically generates an Object ID for every new object. This ID stays with the Object during its lifetime, no matter if the Object is moved from one location to another. The Object ID cannot be modified.- the Heading. (see paragraph on WCM tag tab below) The text you provide here automatically generates the first (i.e. main) heading on your web page, equivalent to <H1></H1> in HTML language- the Template. (see paragraph on WCM tag tab below). Content Providers can choose from existing types only – the ones described in the previous section- the Type, e.g. HTML page, PDF document, GIF image. Generated automatically by the WCM System- the Expiration date. Generated automatically by the WCM System- The Suggested file name. Generated automatically by the WCM System.

In the case of Topics, this will automatically be the Topic name. In the case of files, it will be the name of the file which the Content Provider has added to the WCM System)

- the Modification date. Generated automatically by the WCM system- Keywords. The keywords describing the content of the object. This information can be used as a search criterion in the object filter. - Description. The description of the object content. This information can be used as a search criterion in the object filter.

Any other metadata apart from the above properties is known by the WCM System as ‘attributes’ and is entered by Content Providers, either on the ‘Attributes’ tab or the ‘WCM Tags’ tab in the metadata view of the WCM system.

b. Custom Attributes Metadata & Properties

Custom Attributes- Show on Home page under “Whats new?” – This checkbox should be checked if the Content Provider wants that a link to this page (topic, article, etc.) should appear in the What’s New Section on the home page- Show on main tab-navigation? - This should be checked if the page is a page corresponding to a tab on the home page. Examples, the Sections pages, Medical Physics, Nuclear medicine, Diagnostic Imaging, etc., that appear on the main page- Is this the start node for sub-navigation? - This should be checked if the page is a page that can be accessed from the navigation menu or toolbar menu on the home page. Examples, the Sections pages, Medical Physics, Nuclear medicine, Diagnostic Imaging, etc., that appear on the main page- Apply auto ordering based on Heading? – If this value is set, the “alpha-numeric ordering” is ignored and the sub elements are ordered based on the Heading attribute in the ascending order.- Hide from all navigations and retrievals? – This should be checked if the page should be hidden (not displayed to the users).- Alpha-number order among its siblings – This indicates the order of this page in the navigation elements or list (for instance first element in the list, second, third, etc.). This should be a positive integer.- Associated image – It will represent an image that will appear automatically on the page.- Associated thumbnail – This allows the Content Editor to select a thumbnail image that will appear in the parent page and that will represent a way of navigating to the actual page.

c. Metadata on the ‘WCM tags’ tabWhat metadata information should the Content Provider provide on the WCM tags tab?

The following metadata on the WCM tags tab must be filled in by the Content Providers:

- Heading. This meta tag displays the first heading inside your document. Whatever you type in here will display as the main heading in your document (see chapter entitled ‘Heading Formats’).

This means that when you open your document with the WCM System Integrated Editor, you do not need to type in the main heading again.

It also means by default that when you check out your file, the first heading you insert will in fact be your ‘second’ heading, using the <H2><H/2> tag, as in the screen shot below:

- Keywords. This meta tag assists the Search engine on the website. Therefore, you should enter here any content-specific words related to the subject of the web page. Separate each entry with a comma, e.g.: imaging, radiotherapy, oncology.

- Description. You can enter a sentence or two describing the content of your web page.

After entering any metadata, remember to scroll down to the bottom of the respective tab and click on Save to save the changes you have made!!

Metadata is the information which describes the properties of an Object. We need to insert correct metadata, so that the search engine is able to perform exact searches on the website.

To view the metadata of a file, you need to click on View>Metadata to access the Metadata view:

This will display the six Metadata tabs on the right-hand pane:

For the HHW web site, only the General, Attributes and WCM tags tabs are edited.

Some Metadata is automatically populated by the WCM System, e.g. the Object ID number, the URL of the file and the Modification Date (which displays on the bottom of a web page as the ‘Last Modified’ date.)

For instructions how to edit the Metadata tabs, please read the chapter entitled “How to edit the Metadata of a file”

7. The Three Web Views

Edit view – QA (quality assurance) view – Production viewThe three possible Web ‘views’ – Edit, QA and Production – are a direct result of the following three steps in the file editing process:

- Check Out (take the file from the WCM System) – file is displayed in Edit view – Check In (return the edited file to the WCM System)- Submit (submit the file to the Quality Assurance (QA) website for checking)- Release (publish the file to the Production website, which is the live OASIS website)

Edit View: when a Content Provider checks out a file, the corresponding web page appears in Edit view and this is indicated by [PREVIEW] at the top right-hand corner of the web page. This view is used to check, step by step, the validity of any editing done on the page (action: check out to edit/SAVE changes/check in to return the edited file to the WCM System).

Quality Assurance (QA) View: once the Content Provider has checked in the file, he/she right-mouse clicks on the filename and selects submit from the sub-menu, in order to send the web page to the Quality Assurance (QA) website. The QA view provides an intermediate area between editing and publishing known as a ‘staging area’ where the Content Provider should perform a final quality check of the web page, before final publication to the live website.

Production View: once the Content Provider has clicked on release, the file is released to the Production website, which is the live Human Health Website.

Click the “Properties” tab.

For the text box with the label “Video file URL” paste the recently copied URL.

You can specify the width and height to use for the video in the text boxes “Video width” and “Video height” respectively. If no width and height are provided, the default value 600 x 400 is used.

Note: The Video Width and Height values may be rejected by the underlying player. They work with only a few format like flv, wmv, etc.

Optionally if you have uploaded a cover image, paste the URL of the cover image file in the text box “Video cover image URL”

Also you can add additional description to the video file in the text box “Video description”

To enhance the text in your file, highlight the text you wish to enhance, click on Format to open the Format menu from the menu bar, (just like the Formatting tools in MS WORD), and choose your enhancement, ie bold for bolded text.

When you have finished editing your file, click on File >Save to save your changes. Then click on File >Check In to check your file back into the topic structure:

3. How to move an HTML page which is linked to another HTML page or pages

a. First step: what to do before deleting or moving an HTML page:

Before deleting or moving an HTML page, you need to check whether it has references (links) to another page, or several other pages. You need to remove these references or links first. Otherwise, you will cause broken links on your subsite.

Let’s say you want to delete an HTML page and let’s take as an example an HTML page from the MTIT subsite. For this example we’ll use the file ‘Notebooks’, under the topic References >‘Hardware_Standards’.First, high-light the filename in the sub-directory, and click on View> References:

Note that the Referencing objects tab is active. This is the default setting (see image above).

This displays the object (or objects) which are referenced by (ie connected to) the file you have selected to delete, ie the file Equipment and the file Policies_Directives.

This means there is a link in the two objects listed under Referencing objects to the file you are going to delete ( Notebooks ). You must therefore remove those links to your file, BEFORE you delete your file. Otherwise, these objects will display a broken link because they will be linking to a file which no longer exists on the website.

The location of the two objects (web pages) is listed on the Referencing objects tab:

The file ‘Equipment’ is located in the topic MTIT under References>IT_Services_FAQs. Navigate to this location in the WCM system and highlight this filename.

Scroll down to the Related Links on the bottom right-hand corner. The two links here are to the Referenced objects:

To remove these related links in the ‘Notebooks’ file, return to the WCM content client and click on View> Metadata to access the Metadata of the file. Then click on the Attributes tab and scroll down to Related links. Click on the dotted line …. to open the Integrated Editor and delete the two links.

Now there will be no more related links in this file. Therefore, you must also uncheck the ‘Show Related Links’ box under Related links on the Attributes tab.:

Then scroll down to the bottom of the Attributes tab and click on Save to save the metadata.

Highlight the filename and view it in the Quality Assurance website to check that the Related links have disappeared (meaning that the links to the two PDFs are now gone).

Return to highlight the file ‘Notebooks’ and click on View> References. Check once again that there are no references (=links) listed under the Referencing objects tab, nor under the Referenced objects tab. If they are both clear, you may now delete the file ‘Notebooks’, and be reassured that you have not caused any broken links on the website!!

b. Second step: Copy and Paste (= MOVE)

Now that the references have been deleted, it is safe to copy the HTML file and paste it elsewhere in your subsite.

Right-mouse click on the filename to open the sub-menu and select Copy.

Select the “destination” location in your subsite (i.e. Let us say that you want to move a file from your References directory to your Services directory). Highlight the destination location, right-mouse click to open the sub-menu and select Paste.

You now need to submit the file to the Quality Assurance site, check it there, and then release it to the Production (live) website.

Now, return to your References directory and look for the other version of this file.

Now there should be only one version of the file on your website.

4. How to delete an HTML page

Before deleting an HTML page, please read through the chapter entitled 3a. First step: what to do before deleting or moving an HTML page above. If the HTML page contains Referencing objects or Referenced objects, follow the steps outlined in 3a. First step: what to do before deleting or moving an HTML page.

If the file contains no Referencing objects or Referenced objects, follow these instructions:

5. How to update an existing HTML page

Highlight the existing HTML page you wish to edit. The sub-menu opens:

Click on Check out. The Checked Out icon appears beside the HTML page name in the topic list.

The HTML page is now checked out of the WCM System and opens automatically in the integrated WCM System Integrated Editor.

Make your editing changes. Click on File >Save to save the HTML page.

Click on File >Check In to check the HTML page back into the WCM System and close the WCM System Integrated Editor.

The icon beside the HTML page in the topic structure is now blue , indicating that editing changes have been made.

Right-mouse click on the HTML page name in the list to open the sub-menu and click on Submit to submit the page to the Quality Assurance website, in order to check the changes you have made. Click OK at the ‘Send e-mail’ dialogue box:

If it is correct, return with ALT+Tab to the WCM System screen, highlight the HTML page name in the topic list to open the sub-menu again, and click on Release. The icon beside the HTML page in the topic directory changes to and the HTML page is now published on the live website.

6. How to create/remove a related link on an HTML page

A related link is added to an HTML page through the metadata of this particular page. See the chapter on Related Links and Contact Box

Scroll down and click on Save to save these changes to the metadata of the file.

7. How to upload/delete a document (e.g. PDF, EXCEL file, PPT file or WORD document)

a. Heading of the document file

Before you upload any document type, you need to give it a ‘display name’ which will display on the web, in case you want to link to this document from another file later on and have its name displayed on the web. This ‘display name’ is known to the WCM system as a Heading. It may or may not be the same as the filename. If the filename consists of several words, they must be linked by an underscore, e.g. ‘Product_Issues.htm’, whereas the Heading displays in normal sentence format. The ‘Heading’ is part of the standard Metadata of the document as it provides additional information to the actual filename. The Heading is entered on the General tab of the Metadata tags, as in the example below, (see Chapter 5. Metadata ).

As we see in our example below, the Heading has the same wording as the Title, but without underscores. It is the Heading which will display on the webpage, not the Title, nor the Filename:

b. How to upload a PDF document

The example below explains how to upload/add a PDF file, which is the most frequent document type you are likely to add to your site (see the chapter ‘What are PDFs’ ).

Follow the same steps when adding different types of documents to the Documents folder on your subsite is the same e.g., a PPT file, an EXCEL file or a WORD document.

To add an existing PDF file to a topic area in the WCM System, click on Object, New, and select ‘from object type’, as in the screen shot below.

NOTE: All documents are known as ‘objects’ to the WCM System.

Click on Object>New>From Object Type

The Object Attributes dialogue box opens:

Click on Browse…. to locate your PDF file on your hard disk or desktop and select the file name and select Open. The WCM System searches through the list of file types, narrows down the list, and automatically selects the file and highlights the correct corresponding file type

The PDF document or object is imported into your topic structure, and is automatically attributed an object ID number (OID), which remains with the object/document, irrespective of file type or location on the website, even if it is moved from one location to another.

To publish this PDF file, highlight the filename to open the sub-menu and click on Submit. The blue icon changes to red/green . The PDF file has now been submitted to the Quality Assurance (QA) website where you can check its correctness. Switch (ALT+Tab) to the QA website which automatically appears behind the WCM System screen. If the PDF file displays correctly, switch back (ALT+Tab) to the WCM System screen, highlight the filename again to re-open the sub-menu, and click on Release. The red/green icon changes to green . This indicates that the PDF file has been published to the live website.

c. How to delete a document (e.g. a PDF document)

You will notice that the left panel in the WCM client interface will change to a form where you can filter the resources that are children of the previous selected node (Sub Section 2 in our case) and have a certain status.

In the case of a different type of operation (like Release, Reject, Destroy), we just need to select the corresponding status needed by that type of operation, like submitted, deleted.

The list of objects with the corresponding status, children of the selected parent node, will be displayed. In our case the two changed story pages are displayed.

From the displayed list, select the modified objects that have to be submitted. If all the elements in the list have to be submitted, you can check the Apply action to all objects checkbox.

After you selected the elements in the list, click on the Submit icon in the toolbar in order to submit the objects.

Click on the OK button in the dialog window that is open.

The changed elements disappeared from the left panel list, as they were submitted and changed their status.
