VOL XII NO 06 june 2012 This month I would like to highlight the Daily Short Routes Service being run by company trucks. These are routes where daily one round trip should be completed. Company trucks have been provided to stations on routes after consulting with I/C stations. It is their responsibility to provide timely back load so that company trucks may complete fixed trips. It has been observed that company trucks are not completing their trips because loads are not being provided to them in time. Stations should give priority to these company trucks for load. Station head of both ends and NFU based I/C must have close co- ordination so as to ensure prompt unloading & reloading of short route company trucks. Beside this, every concerned person must know if any short route truck is going under repair and immediately alternate arrangement should be made so that service may not hampered. Secondly, PODs of full trucks loads despatched under NRL or NBCC GRs are often not being followed up for collection nor bills are being submitted in time. This is causing loss to the company because our lacs of rupees remain blocked because of our own inefficiency. On the other hand we have to pay heavy interest on bank borrowings. So please ensure immediate collection of PODs from drivers and timely submission of bills to the parties. Further, it is seen that stations are giving high freight advance to hired trucks. In some cases up to 90% of freight are paid in advance. This effects liquidity and results in loss because some times for meagre amount of balance freight, drivers do not bother to come back to submit PODs. Secondly, loss also can not be recovered out of meagre balance freight if there is any shortage of nag. So in the company interest never pay more than 60% advance freight. Since last many months HO is fulfilling funds requirement of stations. Still complaints are being received that immediate balance freight are not paid to drivers. That is why our company does not easily get trucks from the market and goods remain detained at the stations. So please ensure immediate payment of balance freight where there is no shortage or damage. Some stations retain excess cash in hands or in banks and do not promptly transfer money to HO / HQ and create liquidity problem for the company. The money which was supposed to be in the bank accounts of HO / HQ is lying scattered and we have to pay high interest to bank on our borrowing. Stations have to keep minimum funds and send maximum to HO / HQ so as to reduce borrowing of bank and save interest. Lastly, I would like to convey the urgent need for business growth. 1. The company is having many vehicles given to officials for travelling on duty at various destinations. It is a huge expense. A master list of approved vehicles is being prepared by HO. All stations are advised to send their approved vehicle list. Please note that the list must reach HO before 25th May'12.Ref: 13/NCO/113 dt: 07/05/12Sub: Economy & recording of Co.'s cars / Two Wheelers expenses.

2. Stations are advised to charge VSC @ 0.5% means Rs. 5/-per thousand in the GRs where parties do not insure high value goods. It has been observed that in most of the cases either stations have not charged VSC or charged very meagre amount. Parties have lodged heavy claims against their stolen goods in high jacked trucks but neither goods were insured nor has VSC been charged in the GRs. This is not in the company's interest. Charging of maximum VSC in maximum GRs will increase profitability of your station.Ref: 15/CLM/115 Dt: 09/05/12Sub: Value surcharge on High Value Goods.

3. Due to constant loss, the management has decided to close KOTA & GOA branch offices w.e.f. 1/6/2012. You are advised not to book any consignment for subject branches till further orders from H.O. Ref: 17/NCO/117 Dt: 12/05/12Sub: Closure of BO Kota & BO Goa.

4. It has been observed that some stations are not making efforts to develop delivery business. Neither they are sending R/Ls to stations nor asking them to send R/Ls for their station to secure delivery business. All I/C Stations / MBOs / D2D offices are advised to put their marketing staff for delivery development to recapture the lost delivery parties & capture new delivery parties. We are closely monitoring the progress for increase in number of GPs & delivery amount.Ref: 18/NCO/118 Dt: 14/05/12Sub: Delivery Development.

NED UPDATE

All station heads are advised to keep neat & clean office, godowns, and other premises in their respective areas. Also takeup with your SFOs to maintain properties through whitewash, shutter repair, electricity repair. Also take precautions from fire.

9. Be Extra Patient:

Even though some shoppers might not show you any patience, you need to give them plenty. Do whatever you have to do to be extra patient with everyone. Pretend you're talking with your 83 year old grandmother. How would you treat her? Keep in mind the pressure and stress your customers are under. They might snap at you in frustration but you need to let it roll off like water off a duck's back. Be nice to everyone every time - no exceptions and no excuses!

FIRE PRECAUTIONSMaximum parts of the country is under intensive heat and because of this, fire accident have been increased. Recently one company truck has burnt out near JAI because of inflammable chemical loaded in it. We all are required to remain more careful and take maximum care so as to avoid mishappening of fire. Claim Section (HOJ) appeal every staff members of the stations to take following precautionary measures :1.Avoid bookings of hazardous and inflammable chemical goods.2. Avoid storage near switch boards and touching electric wires.3. Do not store chemical goods inside the godown.4. Do not keep switch boards open and electric wires loose.5. Do not allow any body to smoke in the godowns. Declare No Smoking zone6. Always keep Fire Extinguisher handy and in working order.We hope all staff members will co-operate us in this mission to avoid fire and claims.

All the stations have already been instructed not to deliver goods on credit basis. All the delivery amounts should immediately be recovered at the time of delivery. Credit facility can be allowed for some special parties having fair amount of business with us.For such parties, approval from H.O. should be obtained by sending all the details like Quantum of business per month, market reputation of the party, credit days required and mode of bill submission. In short we have to make the delivery business credit free.
