BREAKOUTS

Are Your Employees Lost on the Trail? Monica Wofford, CSP, FounderContagious Companies, Inc.Orlando, FLThey started out all gung-ho and then momentum faded. Employees who once liked their coworkers and their role in the office are now whiny and negative. Even the top performers are showing signs of frustration. If they were runners, you’d think they were out of steam and lost on their own trail! Instead, they are the team running your office and not only are they struggling to perform well, but their initiative has waned, and they are clearly no longer engaged. Ahhh . . . . employee engagement, the holy grail of most employee discussions, but a concept few leaders know how to do, or have interest in doing. How do you get employees to care as much as, or at least close to as much as, you do? How do you get them to treat this not like a job, but a joy? How do you get them to leave their stress in their car in the parking lot? Monica Wofford will answer each of these questions

in her keynote. Frequent VMGMA speaker, her personal story of this very hotel in Williamsburg will entertain and enlighten you in ways both memorable and effective. Want to engage those you have the privilege of leading? Attend this session and leave some sort of breadcrumbs so you can find your room afterward.

Are You a “B” Word? Monica Wofford, CSP, FounderContagious Companies, Inc.Orlando, FLYou’re thinking it. Am I? Have I ever been? Is that how they see me? And yet, what if the word isn’t at all the one that readily comes to mind? Enter the risk leaders run in communication while being the boss in the office. In a small or large practice, or a busy or slow season, administrators and managers still face the stress of perceptions, reputation management and leadership of both staff and doctors. The tasks are abundant, and on most days the stress is more than some might imagine, but no one remembers that when those stressed out behaviors make an appearance. All they think of are “B” words. This session will fix that and provide 5 steps for both stress and reputation management and repair just in case your brilliant efforts to be the best boss ever have been bungled by a few bad days of trying to manage and build the business. Still sure you know which “B” word is the issue?

Key Financial Performance Indicators and What They Say About Your PracticeMarilyn Kitchens, CPATax SupervisorPBMares, LLCFredericksburg, VA

You don’t have to be an accountant to calculate key measures for your practice. But interpreting what the numbers tell you can make the difference between a financially savvy practice professional and a number cruncher. When evaluated and applied correctly, KPIs can identify areas for operations improvement and measure the success of your management efforts. Learning Objectives:

1. Discuss 10 KPIs used to evaluate practice performance.2. Analyze case studies using KPIs.3. Understand how different end users interpret your

KPIs.

Medical Scribes: Encoding Health Records Adele Allison, Dir. Provider Innovation StrategiesSS&C HealthBirmingham, ALA study published in the Annals of Family Medicine in Sept. 2017 found that

on average, physicians spent 5.9 hours of an 11.4 hour workday (> 50%) in an EHR; and, around 1.4 hours after clinic. Of that time, 44% was spent on clerical and administrative tasks including documentation, order entry, billing and coding. Data entry is now an essential task to maintaining a sustainable medical practice. However, recent EHR workflow studies show that over 50% of physician time is spent toiling with electronic health record (EHR) tasks during clinic; and, nearly 90 minutes after hours. With data driving financial earnings more than ever in a value-based world, many are looking to medical scribes as a growing solution to the developing problem of clinical documentation integrity. This session will investigate the opportunities, pitfalls and best practices associated with integrating medical scribes into your practice workflows.Learning Objectives:

1. Explain the role of the medical scribe in data capture to support documentation, billing and data augmenta-tion.

2. Identify the business considerations to integrating medical scribes into the clinical workflow.

3. Apply the best practices associated with the use of medical scribes.

Understanding MACRA MIPS – Quality Maximus ValoremAdele AllisonAnalytic-based payment is here. In 2019, your data results began to determine reimbursement under MACRA as well as other value-based payer arrangements. So, how do you maximize performance measurement within a group practice? As a solo practitioner? When bringing new providers into the fold? What are the nuances

needing your attention under new economic models? Join us for this session as we focus on maximizing quality and value measurement under a plethora of new and emerging payment models including a focused dive into the merit-based incentive payment system (MIPS). Learn how to achieve quality maximus valorem to optimize reimbursement.Learning Objectives:

1. Identify value-based reimbursement archetypes using the 4 categories of payment framework.

2. Integrate effective data capture strategies into processes and workflows for optimized healthcare reimburse-ment under MIPS.

3. Differentiate quality reporting methods by practice and contracting types including individual, group and APM reporting.

Communication: Navigating Difficult Conversations with Patients and Staff Jill Schiefelbein, PresidentThe Dynamic CommunicatorNew York, NYNo matter what your role

is— employee manager or patient— facing difficult conversations are often part of the job. Navigating conversations where one person wants another to change behavior can be quite tricky. How do you do this in the most effective way without making it personal, and in a way that simultaneously gets buy-in and results in direct action? In this session, we'll uncover a handful of strategies to drive results with your communication. Learning Objectives:

• How to keep feedback discussions from getting heated or personal.

• Strategies for communicating your position without coming across as confrontational.

• Common reasons communication fails, and how to avoid them.

• How to create and organize messages for maximum persuasive impact.

Meeting Productivity: Strategies to Make Your Meetings More Effective and Efficient Jill SchiefelbeinMany meetings fail at generating desired outcomes because of lack of structure. If a clear agenda isn’t presented, and followed, expectations are not clear and it becomes easy to divert from the original goal. But having a solid agenda is not enough. No matter how well you’ve planned a meeting, there are other things that can derail it. We need to be skilled at managing meetings to increase both effectiveness and efficiency. This session is all about equipping you with skills and strategies to make every meeting matter more.

Learning Objectives:• A three-step process for managing concerns and

conflict in meetings.• Strategies for making sure meetings don’t get derailed

while still making attendees feel heard and valued.• Communication tips to get everyone oriented before

the meeting even happens.• A framework to help managers better plan each

meeting.

Employee Development: Using On-Demand Philosophies to Meet Employee Training NeedsJill SchiefelbeinWe live in a world where on-demand is the norm. From Netflix and Hulu, to services like Uber and Lyft, to luxuries like Handy and Glamsquad, we are used to getting things when we want and the way we want them. This mentality doesn’t disappear in the workplace. Yet so many offices and practices rely on old training models to provide employee development. Not anymore. In this session we’re going to talk about how to use on-demand philosophies to reinvent, restructure and/or reinvigorate your employee training. Learning Objectives:

• The philosophies of an on-demand mentality and how they are important in the workplace.

• Strategies for restructuring and/or creating training that fits this mentality.

• How to feed training to employees in an easy-to-con-sume way.

• Combining passive and active training modalities to increase participant learning and follow-through.

Michael Gardner, PrincipalLabor and Employment, Appellate and Litigation GroupsWoods RogersRoanoke, VAHow do you prevent harassment claims from occurring? How

can you ensure an employee will be able to meet the job’s requirements? The first step is simple: hire and keep good people. However, there are interview questions an employer may not ask, even to help determine an applicant’s future success. Further, you must follow proper procedures when evaluating current employees, including creating effective documentation. In this session we will equip you to interview, hire and evaluate your employees—and stay out of court in the process.

Navigating Medical Board Complaints: Strategies to Minimize Regulatory Risk Shelley Rizzo, RN, MSN, CLNC, CPHRM, CPPSSr. Patient Safety Risk ManagerDepartment of Patient Safety & Risk Management, NE Division

The Doctors Company | Columbus, OHBoard of Medicine complaints are very serious and if not managed appropriately can result in significant sanctions. This presentation will highlight the risks associated with regulatory complaints and provide strategies to minimize the risk and navigate this uncertain regulatory area. Virginia Department of Health Professions information will be reviewed, and examples will be used to reinforce learning.

The Telehealth Revolution in Healthcare: New Trends and Emerging Risks Shelley RizzoThe telehealth industry is booming. Office practices and physicians who have used telehealth report value in that it improves patient access to care, enhances the doctor-patient relationship and reduces healthcare costs. Though barriers, such as uncertainty around reimbursement and questions about clinical appropriateness remain, they are starting to be addressed. This presentation will highlight the benefits and risks associated with telehealth, as well as review the evolutionary forces that have led to the rapid growth and diversity of telehealth services in healthcare. We will also review the risks associated in practicing telemedicine in Virginia and discuss strategies to reduce risk.

POST CONfERENCE wORKShOP

There are days when they get it and days when you truly shake your head and wonder what the heck happened. Whether in a simple employee misunderstanding or one that results in legal action, helping others to understand each other is a daily effort for leaders. Most do the best they can to get others to get it, or at least some version of it, when it comes to big messages, but what about all the other day to day little, petty, performance slowing, misread messages and words, and statements and actions? Communication can get tricky and this workshop will make it much easier. Help Me Understand™ takes the truly complex nature of personalities, human behavior, emotional intelligence, and day to day stress levels, and simplifies all that is involved in your message. This workshop shows you how to speak their language, how to read what they’re really saying and how to minimize your frustration with others who consistently fail to get your meaning. Take heart and immerse yourself in this session. No employees will be hurt in the making of your skill improvement and if that has ever been tempting, this session is a must have for you and your leadership co-workers. No more waiting and hoping that one day that employee, boss, doctor or co-worker will one day wake up and “get it”!

Learning Objectives: • How to determine what people really want and need. • Methods to make meaningful connections with everyone you lead. • 5 ways to help others understand your communication. • 3 ways to improve, increase and use emotional intelligence in your

employee engagement efforts.
