Ideas didn’t come to our ancestors as they were chasing their prey across the tundra: only later, as they gathered round the campfire, clustered around the light, did they begin to tell stories, sing songs, make music – and come up with ideas that would change the world.

Destination NSW, the State Government’s tourism and major events agency, is the owner, manager and promoter of Vivid Sydney.

Vivid Sydney is a unique annual event of light, music and ideas, featuring an outdoor ‘gallery’ of extraordinary lighting sculptures, a cutting-edge contemporary music program, some of the world’s most important creative industry forums and, of course, the spectacular illumination of the Sydney Opera House sails and other city icons.

It positions Sydney as the creative hub of Australia and the Asia-Pacific region, and delivers both innovative live entertainment and creative inspiration on a grand scale. Global brands are now partnering with the event to leverage its success.

An event which delights and entertains a diverse, mass consumer audience, Vivid Sydney is where art, technology and commerce intersect. It is a summit, forum and playground for the Creative Industries — a time to celebrate, collaborate, experiment, conduct business and exchange ideas.

For 18 days, audiences come to enjoy Sydney’s mild winter weather and engage with a truly spectacular event. In 2015 the event expanded further into the city and into the suburbs, including Chatswood, Central Park, Pyrmont and the University of Sydney.

More than 1.7 million people attended Vivid Sydney 2015, making it Australia’s largest festival event, and the largest event of its kind in the world.

Vivid Sydney was named Australian Event of the Year in 2013, Australia’s Best Tourism Event in 2014 and won a Helpmann Award for Best Special Event in 2014.

Vivid Sydney comprises three programs:

Vivid Light transforms large parts of Sydney’s urban environment with light sculptures and grand-scale projections on iconic buildings and structures.

Vivid Music offers an extensive program of performance, cross-genre musical collaborations and the best in contemporary and experimental music at venues throughout the city.

Vivid Ideas aims to generate a rich and diverse flow of ideas and creative discussion to support the development of Sydney’s creative sector.

This Expression of Interest outlines opportunities for artists, designers, creative industry practitioners, equipment suppliers, business and educational institutions to participate in Vivid Light 2016.

Lighting artists, designers and manufacturers from around Australia and the world illuminate, interpret and transform Sydney’s urban spaces for 18 nights through their creative vision.

Industry leaders, creative companies, artists and students collaborate to provide ground-breaking, sustainable light creations around the Sydney Opera House, The Rocks, Circular Quay, Walsh Bay, Darling Harbour, Sydney Harbour, the Central Business District and other creative precincts.

The Vivid Light Program in 2015 included:

• Spectacular 3D-mapped projections on the Sydney Opera House

• Massive 3D projections on many of Sydney’s iconic buildings

• An outdoor ‘art gallery’ of cutting-edge light installations stretching from Bennelong Point, through the historic Rocks district to Walsh Bay

• Giant l ights and lasers on a number of Sydney’s skyscrapers

• Spectacular dancing fountains, water-screens and lasers in Darling Harbour

• Harbour Lights: a fleet of ferries and other commercial vessels in sat-nav-controlled garlands of glittering l ights

• Spontaneous i l lumination of city buildings by owners and tenants.

Vivid Light enables Sydney to become a showcase for the latest lighting technology and immersive experiences, with an outdoor gallery of light-design excellence. It is one of the world’s most unique consumer and business events, and offers creators, light artists and manufacturers a unique opportunity to highlight new products and leverage Sydney’s global brand.

Light artists, lighting and projection designers, lighting companies and manufacturers, architects, students, creative content companies and creative practitioners from around the world are invited to submit innovative lighting and projection designs and installations for inclusion in Vivid Light 2016.

Vivid Sydney’s ‘Projection Icon’ installations are justly renowned and take place on a variety of building façades, ranging from the austere sandstone of the Museum of Contemporary Art to the colonial charm of historic Cadman’s Cottage.

There are four icon sites available:

Cutting-edge, animated projection design set to music soundtrack, and based on the work of – and developed in collaboration with – an artist in the MCA Collection.

The giant video-mapped projections on the Original Façade are an integral part of Vivid Sydney, and are unique in that they are a close collaboration between an artist in the MCA Collection and an experienced projection artist/s or a creative content group. For 2016, the MCA Collection Artist is yet to be confirmed, but examples of MCA Collection Artists’ work can be found at mca.com.au/collection/all

It will aid the success of your submission if you show examples of how you might work with an MCA Collection Artist.

The artist will be confirmed shortly and an EDM will be sent to all who have registered their interest in the Expression of Interest process informing them of the selected artist.

For Vivid Light 2016, more than forty sculptures and installations will be selected to create the Vivid Sydney Light Walk, stretching from the Sydney Opera House through Circular Quay, The Rocks, Campbell’s Cove and through to Walsh Bay.

Vivid Sydney Light Walk sculpture and installation designs should engage the public, creative practitioners and the Creative Industries. They should showcase artistry, technology, sustainability, accessibility and innovative thinking .

Vivid Sydney light sculptures and installations can be highly interactive, simply beautiful – or both. They can be free-standing, aerial, fixed or mobile, but please remember they will be viewed by more than a million people, often thousands at a time. Please consider questions of scale and the possibility of placing your installation on a plinth so that people can see it.

Also bear in mind that installations will be out in potentially harsh weather for at least 18 nights, so ensure that your design is sufficiently waterproof, can withstand high winds and will not be damaged by continuous exposure to direct sunlight.

Whether you are a corporation or an individual, this is your opportunity to showcase your skills, your company, your staff and your imagination.

Location Selection

You may propose locations as part of your submission if you wish. However, installations proposed may be relocated to different areas of the Light Walk or to other precincts outside of the Light Walk area during the development of the event for creative, safety, risk and crowd management reasons. Additionally, the Vivid Sydney team reserves the right to adjust or relocate an installation’s positioning during the event for operational reasons. Destination NSW will provide financial assistance to meet any reasonable costs incurred in such circumstances.

The usage of all locations is subject to approval by Vivid Sydney, landowners, regulatory bodies and other stakeholders.

Please do not approach building or land owners directly.

NOTES

Accessibility

Destination NSW is committed to keeping Vivid Sydney as accessible as possible to everyone. Depending on the kind of installation you are proposing you might want to build accessible features into your design. You may wish to consider designing features to provide sensory, tactile, auditory or visual interactivity options to event-goers.

Sustainability

Showcasing sustainable innovation and building sustainability into each stage of your installation’s design, construction, transportation, operation and decommissioning, is aligned with Vivid Sydney’s brand and values.

Durability

Installations designed for Vivid Sydney must be weather-proof, and able to last for the full duration of the event with minimal upkeep. If your installation is interactive, ensure the interactive elements are sufficiently robust.

NOISE

Please be aware that sound restrictions are in place which may affect your design (i.e. decibel limits) at different times during the event.

NO LIVE PERFORMANCE

Live performance or performers must not form part of Vivid Sydney Light Walk sculp-tures or installations. Live performance in this context will contravene the operational health and safety requirements of the Vivid Light Walk and will not be considered.

SELECTION REVIEWApplications will be assessed and shortlisted for inclusion in Vivid Light by an expert panel. The panel for 2016 includes:

• CEO, Destination NSW

• Director, Event Development, Destination NSW

• Creative Director, Vivid Sydney

• Curator, Vivid Light

• Project Director, Vivid Sydney

• Other relevant persons.

The decisions of the panel are final and no discussion will be entered into. No feedback will be given to unsuccessful applicants.

Applications will be assessed from 24 September to 15 October 2015.

Shortlisted applicants will be notified by 15 October. A representative of the selection panel will meet with all shortlisted applicants from 19 October to 27 October. For applicants unable to attend in Sydney, telephone or Skype meetings will occur.

ARTIST AGREEMENTSuccessful applicants are required to enter into an Artist Agreement with Destination NSW or its nominated third party contractor. The Artist agreement will include, but is not limited to:

INTELLECTUAL PROPERTYThe artist will own all intellectual property, which will be subject to the following conditions:

• The design/work will be first exhibited at Vivid Sydney, and will have been designed and created exclusively for the event. Exceptions will be made for works of particular excellence

• If the design/work is to be exhibited at another event or festival, the artist wil l ensure the event/festival acknowledges the design/work was originally commissioned for Vivid Sydney by Destination NSW.

PUBLIC COMMUNICATIONSAn applicant must not engage in any public communications or publicity related to Vivid Sydney or their installation, regardless of their application outcome, without the prior written consent of Vivid Sydney and Destination NSW.

OPERATIONSAll applicants are responsible for the following:

1. Safety of installation

2. Obligation to ‘make good’ any installation faults

3. Abiding by any directions given by Destination NSW or its nominated third party with regard to safety.

You also give via this agreement the right for Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors and Destination NSW tourism third parties to edit the biographies, descriptions, renders and photos without further approval for marketing and promotional use on the following basis — royalty-free, for use worldwide, free of charge, in any media and in perpetuity. Such uses may include books and films in which revenue may be derived by Destination NSW.

The Artist acknowledges and agrees to allow Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors, media, commercial photography and film companies, and Destination NSW tourism third parties to film and photograph the Program Participant’s use of the Licensed Area including the Project Proposal and installation as well the Artist (use of likeness and image). This is on a free of charge, royalty free, in any media and in perpetuity basis without the need for credit and future approval. Such uses may include books and films in which revenue may be derived.

MARKETING & PUBLIC RELATIONSThe Artist is required to provide the following content:

a. ARTIST/S INSTALLATION BIOGRAPHY: 300 words or less full bio on each artist including recent works, awards and where they are from

b. ARTWORK INSTALLATION DESCRIPTION: 300 words

c. High-res render of the installation (please note, once we have the location finalised we will also require a render of the installation in location)

d. High-res photo of all artists involved in the installation.

Such above information will be used by Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors and Destination NSW tourism third parties for marketing and promotional use. Use is given on the following basis — royalty-free, for use worldwide, free of charge, in any media and in perpetuity. Such uses may include books and films in which revenue may be derived.

Vivid Light participants are welcome to make suggestions about potential media opportunities but under no circumstance is the Artist to initiate and pursue this directly. No publicity/promotion can be organised by the Vivid Light participant. All publicity, promotion, media must be driven through Destination NSW or its PR/Media Agencies.

The Artist must comply with Destination NSW’s or their nominated third party’s reasonable directions with respect to placement of any signs in the Light Walk Area bearing Destination NSW, Vivid Sydney, Vivid Sydney sponsors or Vivid Sydney contractors and information about Vivid Sydney.

Such video and images will be used by Destination NSW, Vivid Sydney sponsors, Vivid Sydney contractors and Destination NSW tourism third parties for marketing and promotional use on the following basis — royalty-free, for use worldwide, free of charge, in any media and in perpetuity. Such uses may include books and films in which revenue will be derived solely by Destination NSW.

You also give via this agreement the right for Destination NSW and Vivid Sydney contractors to edit the information and photos without further approval for marketing and promotional use on the following basis — royalty-free, for use worldwide, free of charge, in any media and in perpetuity. Such uses may include books and films in which revenue may be derived by Destination NSW.

PROMOTION & PUBLICITYThe Artist must act in good faith and upon reasonable notice with respect to any promotion and publicity that Destination NSW or its PR/Media Agencies undertakes in connection with the Project Proposal as part of Vivid Sydney 2016 free of charge.

The Artist must not release or promote their involvement in Vivid Light Walk program until the Official Media Launch managed by Destination NSW is complete (approximately March/April 2016).

INVESTMENT/SPONSORSHIP• For Projection Icons, Heritage

Façades and Building Il luminati

In order to assist in meeting the costs of achieving the activation proposed in an Expression of Interest for Projection Icons, Heritage Façades and Building Illuminati (design costs and/or projection costs) Destination NSW will consider one of the following options:

1. Lodge an Expression of Interest with Destination NSW which has been fully sponsored by yourself or a third party. If awarded, Destination NSW will provide a marketing benefits package to you and your third party partner

2. Lodge an Expression of Interest with Destination NSW which has been part-sponsored by yourself or a third party. If awarded, Destination NSW will provide a marketing benefits package to you and your third party partner

3. Lodge an Expression of Interest with Destination NSW which has been part-sponsored by yourself or a third party and in addition requests investment from Destination NSW to make up any shortfall . If awarded, Destination NSW will provide a marketing benefits package to you and your third party partner

4. Lodge an Expression of Interest with Destination NSW which requests full investment from Destination NSW. If awarded, Destination NSW will reserve the right to seek third party sponsorship and assign rights and benefits to the sponsor in regards to your installation/activation in consultation with you.

2. Lodge an Expression of Interest with Destination NSW which has been part-sponsored by yourself or a third party. If awarded, Destination NSW will provide a marketing benefits package to you and your third party partner

3. Lodge an Expression of Interest with Destination NSW which has been part-sponsored by yourself or a third party and in addition requests investment from Destination NSW to make up any shortfall up to AUD$10,000. If awarded, Destination NSW will provide a marketing benefits package to you and your third party partner

4. Lodge an Expression of Interest with Destination NSW which requests full investment from Destination NSW. If awarded, Destination NSW will reserve the right to seek third party sponsorship and assign rights and benefits to the sponsor in regards to your installation/activation in consultation with you.

THIRD PARTY SPONSORSHIPA Vivid Light Walk Contributor is an organisation or entity that provides assistance (cash and/or value-in-kind) to artists in support of their expression of interest and realisation of their artwork (if successful). Artists are responsible for engaging and managing Contributors directly to support an installation as required. However, artists must first provide details of potential Contributors as part of this Expression of Interest for review and approval by Destination NSW. Destination NSW notes the Contributor restrictions outlined on the next page which must be taken into account before submitting your application.

If your Contributor sponsorship is approved, Vivid Sydney will acknowledge the involvement of Vivid Light Walk Contributors with the following rights and benefits:

Light Boxes

• Each Light installation is accompanied by a l ightbox that also acts as a Wayfinder. Destination NSW provides these Wayfinders and covers installation, operation and removal. The Wayfinders provide information about the specific installation, the route of the Light Walk, and general information on Vivid Sydney

• The Vivid Light Walk Contributors logos are included on the Wayfinder relevant to the installation they are supporting, to recognise their contribution. In 2015, up to 1.7 million people attended Vivid Sydney and were exposed to the Wayfinders.

Vivid Sydney Website

In 2015, the Vivid Sydney website was accessed by over 2 million visitors and the Vivid Sydney app was downloaded by over 77,000 people.

The Vivid Light Walk Contributor logo will feature on a relevant and dedicated Installation page on vividsydney.com pertaining to the artworks specifically sponsored by the Vivid Light Walk Contributor.

Contributors Function at the Vivid Ideas Exchange

The Vivid Ideas Exchange at the Museum of Contemporary Art Australia, is held for the duration of Vivid Sydney 2016.

Invitations will be provided for an exclusive industry-specific evening featuring keynote speeches, forums and a networking function with leading lighting industry artists and experts.

All Vivid Sydney Light Walk Contributors will be invited to this event for networking and industry engagement.

Contributor Restrictions

The Vivid Light Walk Contributor category does not permit the Vivid Light Walk Contributor to:

a. Undertake general marketing and promotion of their involvement as part of the whole Vivid Sydney 2016, except directly in relation to the approved installations that are being made

b. Undertake any unapproved messaging, including social media and PR activities, or issue any media releases relating to Vivid Sydney 2016, except in direct reference to the approved installation, subject to prior review and approval by the Destination NSW Communications Team

c. Hold rights and benefits as described in this document if the proposed Contributor is associated directly with the following quarantined categories:

• Telecommunications

• Banking

• Electricity retailers and suppliers

• Coal seam gas suppliers

• Social media organisations

• Publishers and media organisations

• Automotive

• Online travel booking services, airl ine or accommodation

• Computer chip processors (either for laptops or tablets)

• Photography and Photography equipment, both professional and amateur

• Human resources

• Destination Marketing Organisations including Regional Tourism Organisations and third party tourism websites

• State Tourism Organisations

• Cause-related marketing organisations.

d. Hold rights and benefits as described in this document if the Contributor is associated (either directly or closely l inked) with the following categories which are not considered G-rated and/or family-friendly:

• Adult/sexual products and services

• Gaming and gambling activities

• Tobacco

• Cleaning, hygiene and personal care products

• Alcohol products

• Weapons.

The submission should not be political, culturally insensitive or considered by Destination NSW as having the potential to be offensive.

Vivid Sydney reserves the right to review all proposed Vivid Light Contributors and approve them at its discretion.

Generally, a Light Walk Contributor will not be approved if associated (either directly or closely linked) with any organisational alignment which has the potential to bring the NSW Government, Destination NSW and/or Vivid Sydney into disrepute, or is not officially regulated or licenced.

JOINT COMMITMENTTo ensure a world-class event for Vivid Sydney we ask you to consider, agree and deliver on the following requirements.

For the supply of design elements only, you will:

• Work collaboratively with Vivid Sydney Curators, Producers and Technicians and nominated third parties. For the projection design on the original façade of the Museum of Contemporary Art Australia you will work collaboratively with a nominated artist from the MCA Collection for the purpose of delivering a joint design.

For the supply of lighting and/or projection equipment only, you will:

• Obtain an Engineering Certificate for your equipment or sundry infrastructure at your cost (this must include certificates of compliance for the design and installation of the equipment post-install)

• Ensure all elements of the installation are WHS compliant to Australian and New South Wales standards

• Provide infrastructure

• Provide professional quality CAD Plans (in .dwg and .pdf formats)

• Supply operational staff to maintain the equipment for the duration of the event (as required)

• Supply power specifications, requirements and cabling

• Report real power data (watts)

• Provide immediate maintenance to equipment in the event of failure

• Provide AUD$20 mill ion Public Liabil ity insurance and Workers Compensation Insurance

• Provide Risk Management and Safety Plans

• Provide all necessary permits, building owner and land owner approvals and their associated fees

• Provide insurance for your entry whilst located on the footprint* (available to entries in the Light Sculpture and Installation category only)

• Provide you and/or your company Public Liabil ity insurance coverage while operating within the event footprint at your entry only** (available to entries in the Light Sculpture and Installation category only).

* Please note: We are unable to consider any insurance claims due to a fault with the selected entry.** Any third party individual or company assisting you will require Public Liability Insurance to work on site.
