Chapter 1- GETTING STARTEDDigital SCR 2014 is an electronic aide
for all coaches and screening committees in the different sports events from Intramurals to Palarong Pambansa. It helps them in the fast and easy encoding of Athlete’s Data and produce hard and soft copies of the different requirements of their athletes to be screened by the assign screening committee in their respective divisions.
This E-forms has undergone many versions before it was realized and used by coaches in the Division of Pagadian City. Digital SCR 2014 v.2.1.1 is the updated version which is available at www.slnhspagadian.weebly.com in the downloads page.

Operating System – Windows 8 32-bit and 64-bit Windows 7 32-bit and 64-bit; Windows XP and Windows Vista
CPU Processor: Intel Pentium 4 up to the latest; -1.87Ghz

Menu, select Control Panel, then Printers and Faxes.
oRight-click the printer you wish to set as your default printer, and chooseSet as Default Printer.

B. Downloading the Program Open your Web Browser (ex. Google Chrome,
Mozilla Firefox, Internet Explorer, etc.) Type www.slnhspagadian.weebly.com in the URL
box. Press enter…same as opening your facebook
account. Once the page has done loading, go to downloads
from the Linkages in the homepage or you can go to Downloads from the Menus of the site.
Look for Digital SCR 2014 v.2.1 and click “Download File” .
Wait for the downloading process to finish, before you can open and extract the zip file. Dig

Setting up the System:
C. Extracting the Program Once the download process is
finished, open the folder where it is located. And extract the zip file using WinRAR application or any application available in your computer that can open this program.
Read carefully the instructions at the right side of the WinRAR window screen.
Click “Extract To” from the standard toolbars, and choose the location you want to place the extracted files.
Type the password “digitalscr2014” in lowercase. Click show password to show the characters you’re typing.

D. Renaming the Extracted File
After extracting, you will see the folder “Digital SCR 2014 v.2.1” in the selected location during the extraction.
Click the folder and press F12 in your keyboard to rename it.
Follow the format “School-Event-Gender Category” .
Refer to the picture at the right to see a sample output after renaming the folder. Dig

E. Saving Athlete’s Pictures Open/Double click the
renamed folder and you will find Digital SCR 2014 v.2.1.xlsm and Pictures folder.
Here in the Pictures folder you will saved the Athlete’s 450px by 450px pictures with 150 dpi resolution.
For Public School Athletes Filename: LRN Format: “.jpg”
For Private School Athletes Filename: First Name, MI, Last Name Format: “.jpg”

This Excel VBA Program is designed for all the coaches and screening committee to have reliable and consistent outputs from the data provided based on the documents submitted in every athlete.
Thus, following the correct procedures and formats on encoding their data in the different forms is a necessity in this Digital SCR 2014.
Below are the prescribed formats of the different types of data to be entered in the different forms.

Fill-in the necessary fields from Venue to the Cut-Off Date, incase of the Division Screening Committee to Physician Division Fields you can leave them blank whenever these persons are not available.
Region, Division, School Year and Athletic Meet are in combo box form which means there are already data available in the list once you click the “down arrow”.

Click on the Head Coach Tab to activate Head Coach Page and same with other Pages if you have assistant coaches and chaperons.
Fill-in the necessary fields from Last Name to Principal. All these data are necessary since it will be used in the different requirements for coaches and chaperons.
Once you’re done filling-out this forms, click on Record Data button.

Clicking this button will open the “Summary of Reports” which is to be submitted to the Division/Regional Screening Committee. Gallery of Pictures Clicking this button will open the “Picture Gallery ” of Athletes, where you can load their pictures and print them. Save Button Click this oftentimes to save your current changes.
Close Button Closes the Menu Form.

a) Recording Data Open the General Info. form from the Menu Icon. And start filling-in the required data. Start from the General Information to Chaperons if
there are any. For coaches who do not have assistant coaches and
chaperons, just fill-in until the head coach page. Finally, you need to click “Record Data” button to
record it in the database. A pop-up message will appear on the screen
confirming the status of the recorded data.

b) Viewing and Editing existing data From the General Informations Form, you can view
the existing data by clicking the “View Data” button. And if you wish to edit some erroneous entries, you
can do it here. After correcting the erroneous entries, click “Edit
Data” to record and save the changes. And press “OK” button.

c) Delete or Reset the existing data From the General Informations Form, click “Reset All”
to delete the existing records. A confirmation message will appear to give you
chance either to continue or cancel. Once confirm, a message of successful deletion will
appear.

A pop-up message blocker will appear and inform you about this error. If you encounter this error, go back toGeneral Informations form and fill-in the cut-off date.
Otherwise, you may proceed to the next step.

For Public athletes, you need to type his/her LRN in the LRN box properly. LRN refers to the 12-digit reference number of the Athlete.
Any errors on this data like if you type less than 12-digit or more than 12-digit number , a pop-up message blocker will appear on the screen and prohibits you in adding the athlete.

For Private athletes, since they don’t have LRNs they can proceed immediately to the other required data.
But before adding new record, the program will ask for your School ID otherwise this athlete again will not be recorded.

• Click the arrow down to display the names of those Athletes who are already in the record.
• Click the name you want to edit.
• To view his/her records, click “Search Athlete”.
• Once done editing, click “Edit Record” button.

• Open the Menu Form• Click the button of the form you want to open from the Athlete’s Form.• All forms that will be opened are protected worksheets. • Clicking the yellow cell will show a dropdown list where you can see the names of the Athletes who were already added in the record. • Click the name you want to view.• And by index – match function of excel.• The records of the selected athlete will be shown.

Printing any forms
A. Athlete’s Forms All forms are hidden worksheets which can only be open in the Menu Form.
• With selected form opened, click the Printer’s Icon.• A pop-up message will appear asking for the number of copies you want to have during the printing process. • Note: Only positive numbers greater than 0 but less than 32767 are allowed to be entered here.• Once any of the restricted characters is mistakenly entered an error message will appear. • Just click “End” button and retry.• Otherwise, just follow the friendly instructions.• And you will get the hardcopy from your printer.• Click “Back to Main” icon to go back to the Main Page.

• Open the Menu Form from the Main Page using the Menu Icon.• Click the Summary of Reports button.• This will load/open the Form.• In the form you will notice the Note: Type here the Inclusive dates of the Athletic Meet…”• Click the cell where this comment is linked and type there the required data.• You will see here also the other button which says “Click to insert Coaches Information.• Do not click this until the records are final. • Once click, you will be asked to provide the Event you are coaching just simply follow the friendly instructions.

D. Gallery of Pictures All forms are hidden worksheets which can only be open in the Menu Form.
• Open the Menu Form from the Main Page using the Menu Icon.• Click the Gallery of Pictures button.• This will load/open the Form.• In the form, you can edit the Event Title by clicking “Click to Edit Event” arrow.• A pop-up message with instructions on how to fill-up the Event Title will be visible. • You need to follow the format of the Event Title as indicated in the sample.• Pressing “Cancel” button or closing the message without filling in the input box will show an error message blocker and will hide the coaches information.• Otherwise, it will unhide the coaches information.

Gallery of Pictures• Open the Gallery of Pictures from the Menu Form.• At left portion of the Picture Gallery, you will see two boxes below “Select range of Players”.• This boxes once click will show the number of Athletes registered into the database. • Select the appropriate starting number of Athlete until the last number of Athlete you want to load records into this form. • Load Athletes’ Pictures are buttons which display athletes pictures automatically into the boxes intended for the chosen athlete button. Note: If you cannot see the names of Athletes in the buttons click Photo Gallery button and open this form again by pressing the “Back to Gallery of Pictures” button.• Below this form, you will find the buttons for Head Coach to Chaperon if you want also to load their pictures here in this form.• Photo Gallery button below will open the form which you can view the Athletes’ Pictures only and print them using Photo Paper size A4.

Using Photo Gallery
E. Photo Gallery • Open the Gallery of Pictures from the Menu Form.• Below this form, you will see the button for opening Photo Gallery click this to open it.• Make sure you have selected a range to players from the two boxes found on top of the Picture Gallery Form to display the number of boxes required for each athlete.• Just read the Instructions provided below the commands.• If you want to reset the boxes into blank form, just click “Clears All” button. • Note: Do not attempt to delete any of the boxes, textboxes, edit the format, restructure the form to refrain errors on this form. This is the only worksheet that is not protected by a password. • So, this means that it is very prone to errors. • Every time you click the Athlete Picture Box, you will be asked for the Grade and Section of the Athlete you selected.
