Overview - GP Supervisor Professional Development at EV There are many similarities between a good GP and a good GP Supervisor but it is not necessarily the case that if you are a good GP then you will automatically be a good teacher. Continuing professional development (PD) for GP Supervisors is essential for them to properly fulfil their role and obligations as a Supervisor and a key requirement of the RACGP and ACRRM. Eastern Victoria GP training (EV) recognises this and provides PD for all supervisors. The requirements for EV supervisor PD differ depending on their classification as new Supervisor, Clinical Supervisor or Educational Supervisor. In this guide, you will find key information on:

New Supervisors are equipped with the foundation skills to supervise registrars;

Supervisors are provided with opportunities to develop and extend their skills and knowledge;

Supervisors are provided with the means to interact with peers within the GP Supervisor and

broader medical educator community ;

EV provides the opportunities necessary for Supervisors to meet their requirements for Supervisor

educational professional development;

Supervisors and practices are supported to deliver a high quality educational experience to

registrars placed in their work-place. This support includes guidance, mentorship, material support

and recompense for costs incurred;

Supervisor and practice educational needs and performance are monitored and formative feedback

provided;

EV acknowledges and supports the central position of work-based training in the education of

registrars;

The particular context of each work-place is recognised and this is considered in the placement and

support of registrars; and

Supervisors and placements are consulted in program development that is relevant to their activity.

Impacts of COVID-19

We are working in extraordinary times. COVID-19 has impacted the 2020 EV Supervisor PD program and

those impacts will be felt during 2021. Delivery of the larger Supervisor PD events will be via Zoom for the

first half of 2021, with the anticipation of a return to the 2021 Supervisor Residentials being face-to-face.

There may be opportunity for a return to smaller face-to-face gatherings in the first half of 2021. Online

and flexible PD alternatives will also be offered throughout 2021.

Categorisation of Supervisors There are a number of ways to categorise Supervisors. EV Supervisors are categorised according to their supervisory responsibilities and according to their level of experience. Categorisation according to supervisory responsibilities:

1. Educational supervisors Educational supervisors* provide consulting supervision and are also responsible for a broad range of educational responsibilities for registrars in their practice, these include:

ensuring that the registrar is practicing safely;

providing feedback;

mentorship;

educational support;

formal teaching;

assessing registrar performance; and

the completion of the requisite EV paperwork.

*The Principal Educational supervisor in each practice is the principal point of contact for receiving, and responding to, correspondence from EV. The Principal Educational supervisor is also responsible for the signing off of contracts with EV. In practices that have more than one Educational supervisor, one of the Educational supervisors is nominated as the principal educational supervisor. Practices can contact EV by emailing either Belinda Giles (Rural) or Pauline Gunn (Metro) in order to change the Principal Educational supervisor to an alternative accredited Educational supervisor. A Clinical supervisor is not able to undertake the role of the Principal Educational supervisor. 2. Clinical supervisors Clinical supervisors provide occasional clinical supervision for registrars as they consult. Their responsibility is to be available for registrars should they require immediate assistance or advice in caring for their patients. They are well placed to provide timely feedback, assist with teaching and to support the Educational supervisor. These supervisors do not have responsibility for overall educational oversight of registrars, therefore Clinical supervisors do not in themselves enable a practice to host a registrar.

Categorisation according to level of experience:

1. Pre-accreditation Supervisors are those applying to become accredited (clinical or educational); 2. New Supervisors are those in their first three years of accreditation (clinical or educational); and 3. Experienced Supervisors are those who have been accredited and who have been working as a Supervisor for at least three years, who have completed all the Core modules, and who identify themselves as experienced.

Supervisor PD Curriculum Review In 2019, a review of EV Supervisor PD Curriculum commenced and will continue into 2021. Interim plans are that the EV Supervisor curriculum will be vertically and horizontally integrated, with opportunities for learning dependent on levels of experience, with potential new terminology relating to this (pre-accredited

supervisors, new supervisors, and experienced supervisors). A range of PD types and delivery options are also being explored including workshops (face-to-face), modules (online), sub-regional networking groups, and peer-to-peer mentoring. The EV Curriculum Review will sit alongside work underway in 2021 towards the development of a new national Supervisor PD Framework and Curriculum (the Supervisor Curriculum and Framework projects) that is suitable for GP supervisors with both Colleges and in different contexts. These research projects are supported by the Royal Australian College of General Practitioners with funding from the Australian General Practice Training Program: An Australian Government initiative. 2021 PD overview The following is the 2021 list of PD requirements for new supervisors:

1. Foundation modules

the program is equivalent to a one-day event spread across four modules: Modules 1 and 4 are to be completed asynchronously online; Modules 2 and 3 will be delivered at a live half-day event (face-to-face or via Zoom); plus the completion of related the accreditation compliance document and requisite EV

2. Cultural Safety Core module (available from mid 2021)

Minimum PD requirements for Supervisors Requirements for minimum PD participation depends on supervisor classification:

New Supervisors: o All new Supervisors must complete the Foundation modules requirements plus the Cultural

Safety module (7.5 hours) in their first year. o Thereafter, there are six remaining Core modules to complete over three years. These are

mandated for educational supervisors and recommended for clinical supervisors.

Accredited Clinical Supervisors:

o Attendance at EV provided workshops is recommended.

o Clinical supervisors are funded for up to three hours attendance per year.

o Are encouraged to complete the Core modules.

Accredited Educational Supervisors:

o A minimum of six hours of PD for all accredited educational supervisors is required per

year.

o While six hours is required, three of these hours need to be at EV organized activities. o Attendance at EV provided workshops is important for educational supervisors to keep up

to date with program business as well as helping program development and for the

essential networking with their peers and newer colleagues.

o EV will pay for attendance at EV organized activities up to the annual cap of six hours. o Agendas for these workshops will have content for experienced Supervisors as well as

content aimed at newer supervisors.

Supervisor PD opportunities in 2021 Detailed below are the varied types of Supervisor PD activities provided by EV over the year. Revised or alternate activities will also be added from time to time in response to Supervisor need. Check emails and online for latest updates. A. Residential Workshops Two, two-day Residential Workshops are provided each year. These run all day Friday and on Saturday morning. Dinner and accommodation Friday night is included for those who attend the full Residential. The content for each of these is mirrored. The dates for the 2021 Residential Workshops are:

Friday 15 and Saturday 16 October (the Yarra Valley Residential); and

Friday 12 and Saturday 14 November (the San Remo Residential).

B. One day workshops One-day Supervisor workshops are usually held in both Churchill and Hawthorn over the course of the year. The dates for the one day workshops in 2021 are as follows. Due to COVID-19, they will be delivered via Zoom:

D. Foundation modules encompassing pre-accreditation EV runs specific professional development modules for GPs who wish to become accredited Supervisors. These are called the Foundation modules. These workshops equate to a full day of professional development. Modules 1 and 4 are delivered online, and Modules 2 and 3 are delivered as live modules, running for 90+ minutes. For the first half of 2021, these will be delivered via Zoom. The dates are as follows:

For more information on the Foundations modules, please contact Dr Julie Willems. For more information on becoming an accredited GP Supervisor, please contact Dr Heather Grusauskas. E. Core modules EV runs specific professional development modules for new Supervisors, and also for experienced Supervisors wishing to refresh their knowledge and skills. These are known as the Core modules. New Supervisors are those in their first three years of accreditation. The Core modules are run at various times during the year and are each 1.5 hours in length. As a response to COVID-19, the delivery of the Core modules will be offered as 90 minute live events via Zoom in the first half of 2021. All new supervisors (educational and clinical) are to complete the new Cultural Safety module (available mid 2021) in their first 12 months from accreditation. In 2021, New Supervisors may wish to undertake the 6 hour RACGP module on ‘Cultural Awareness’ instead. Payment may be available for this option. Please contact Dr Michael Baker for more information. Thereafter, all new Educational supervisors must complete the remaining Core modules over three years. These Core modules are also recommended for Clinical educators:

* Please note that the asterisked Core modules will also be available fully online in 2021. F. Extraordinary events EV schedules extraordinary Supervisor PD events from time to time to meet Supervisor need. It is anticipated that a joint Registrar/Supervisor event will take place in the second half of 2021. Further details to follow.

Alternative Activities for Supervisor PD A range of options other than Supervisor workshop attendance are available for Supervisors to meet their PD requirement. Alternative activities must have a clear registrar education focus. Some of alternatives are detailed below. These are divided into those requiring a short reflection piece to be completed (Group 1 Activities), and those which do not (Group 2 activities). Group 1 – Activities requiring the completion of a short reflection piece The first group of alternate activities require the completion of a short reflection piece to be shared with colleagues on the benefit you have gained from undertaking this activity. These activities include:

Online workshops such as GPSA webinars.

In 2021, GPSA webinars will be paid at the Supervisor PD rate for 1 hour per webinar to a

maximum of three hours. Payment will be made on approval of the submitted Reflection

piece.

Small group meetings or Journal Club with an education focus.

Attendance at a conference related to teaching and supervision. Examples include GPTEC, RMA,

GP, and ANZAHPE.

Participating in research projects related to GP education and training.

External courses in specifically related to medical education.

Other activities upon application.

These activities require the completion of a short reflection piece of half to one page on the relevance of the activity for you, did it meet your expectations, and the changes that you intend to incorporate into your practice as a result of completing the Group 1 activity. Group 2 – Activities which do not require the completion of a short reflection piece The second group of alternative PD activities do not require the completion of a short reflection piece:

RACGP examiner (acceptable for three hours PD annually).

Undertaking interviewer training and/or interviewing applicants for selection for EVGPT

(acceptable for a combined total of three hours PD annually).

External Clinical Teaching Visits (ECTVs): ECTVs are currently undertaken by rural Supervisors only.

Please note that this option is not automatically available for metro Supervisors.

Logging alternate PD activities If you plan to undertake alternate activities, you should notify either Belinda Giles (Rural) or Renee Flack (Metro) who will log the activities for you. Please note that these alternative activities can satisfy 50% of your six hour PD requirement. Payment for attending Supervisor PD Supervisors are funded to attend EV professional development workshops only, and up to a maximum of three hours of attendance for Clinical Supervisors, and six hours of attendance for Educational Supervisors. Please refer to the payment schedule which is sent to all practices at the commencement of each year (or earlier).

ACRRM & RACGP – College hours & points EV endeavours to secure College points for major PD events from both GP Colleges: RACGP and ACRRM. There have been some changes in the new triennium (2020-2022) that you need to be aware of. The RACGP: CPD requirements for GPs in the new triennium remain unchanged. 130 CPD points per triennium is required to ensure college requirements are met. However, changes to the language surrounding activities have been made. Activities previously known as ‘Category 1 activities’ will now be known as CPD Accredited activities. Activities previously known as ‘Category 2 activities’ will now been known as CPD activities. ACRRM: PDP requirements for GPs in the new triennium have changed significantly. GPs are now required to complete 50 hours of professional development activities each year (150 hours per triennium). This needs to be made up of the following:

25% from educational activities 25% from performance review 25% from outcome measurement Remaining 25% can be any of the above

Details of how to self-accredit will be available on EVe after March 2021. If you have any further questions or concerns, please contact Emily Jepson, or, you may contact your College directly. GP Supervisors can also self-record professional development activities direct through their college. Both ACRRM and the RACGP allow Supervisors to login to their website, and from their respective portals, lodge PD activities. Evidence is required to support the PD being lodged, and the process slightly differs between the colleges. For further information, Supervisors can contact their College directly.

New Practice Orientation

It is recommended that all new practices must undertake orientation to the program. This is provided as a face-to-face workshop annually. Both Supervisors and Practice Managers are invited to attend. New Practice Managers in existing accredited practices are also welcome to attend these sessions. At orientation, information related to the program and the use of Pivotal is provided. Practice managers will receive further support on the administrative components including Recipient Created Tax Invoices (RCTIs). Supervisors will complete a session about in-practice assessment, including formative and summative assessments and feedback.
