Assigned Circle Hostess Duties

The UMW Circle that is assigned in the yearbook to be hostesses for a particular UMW Connection

meeting is responsible to see that the following is taken care of prior to people arriving for the

Connection meeting and after the meeting is finished.

Arrive 30 - 45 minutes prior to the Connection meeting.

Put placemats on the tables.

Make two 12-cup pots of decaf coffee, put out creamer, sugar, stir sticks, coffee cups so people

who want coffee can get their own coffee. Watch to see if more coffee needs to be made during

the Connection meeting.

Provide a bowl of ice and two pitchers of water and cups for those people who prefer to drink

water.

When the Connection meeting is over, clean up the coffee pots and put all drink supplies and

cups away that were used during the meeting.

Clear tables and wipe off if need be so the room is ready for the next group that will be using

the room.

Turn off lights.

United Methodist Women Unit Policies

Lawrence First United Methodist Church

Board, Committees, Meetings, Records

a. UMW Board: The board will meet on a regular basis as scheduled by the board. Board members will

normally serve a four-year term. Board members are elected for a one year term annually but may serve up to

four years in any one position. When a member of the current board is hospitalized, the UMW Board will

remember her with either a floral arrangement or gift card to a restaurant/grocery store, the amount not

to exceed $25. UMW current board to be defined as those names listed on the UMW Leaders page of the

yearbook and the current circle chairs. The money will come from the Miscellaneous Line in the budget.

b. UMW Board Notices and Minutes: Notice or board meetings and the minutes will be prepared for each

meeting and provided to all officers, mission coordinators, committee chairs, secretary of program resources,

reading program coordinators, newsletter editor, circle chairs, and district and conference ex-officio officers

who are members of the board. Minutes will be e-mailed unless otherwise requested. The minutes also will be

maintained in the FUMC book of minutes maintained by the church office.

c. Fund Raising Activities: As funding activities or projects are identified, a committee will be established to

evaluate and outline how the activity/project will be accomplished and the expected outcome. This information

will be reported to the board for approval. An established project committee will meet and report to the board

on an ongoing basis until the project is completed. Recurring projects, such as the annual rummage sale, may

have an ongoing established committee.

d. Historian: The UMW Historian will maintain ongoing historical records. The historian will contact the board

member responsible for the required documents. At a minimum, the following information will be archived:

Minutes of board meetings

Yearbook

Programs for Connection Events and any special events

Newsletter articles

Interesting or significant correspondence or photographs

SMR recipients

Circles

a. Election of Circle Officers: 1. Consideration for nominations to circle positions will be considered prior to the circle’s summer break.

2. Elections will be held at the September meeting so information can be sent to the UMW District

Secretary by October 1.

b. Gift to Mission or Gift in Memory Cards: Circles are encouraged to send a minimum $5 Gift to Mission or

Gift in Memory Cards through the UMW Treasurer when the following events occur to a circle member:

In honor of a new child (natural, adopted, or by marriage)

In memory of a deceased circle member

Other available cards for recognition such as “Thank you”, “Congratulations”, “Thinking of

You”, “A Special Day”, “In Service of Christ” (See Finance Section)

c. Offerings to be Given at Circle Meetings:

Tea/coffee money - To be used for special occasion circle needs

Fellowship of Least Coin Offering: Contribute “least coin” with prayer for a missionary. This money is

sent to Church Women United

c. Forget-Me-Not-Members: Forget-Me-Nots are women who have been circle members, but are no longer able

to participate due to health or other reason. They should be listed as Forget-Me-Nots with membership in their

circle. It is the responsibility of the circle to remember these members with cards and visits, especially at

holidays, birthdays and other special occasions.

Membership, Nurture and Outreach

a. New Groups: The Membership, Nurture and Outreach Coordinator will be available to assist and encourage

any group of women establishing a new group.

b. Memorial Recognition: Women of the church who have died since the last “Remembering Our Sister’s”

Connection event will be recognized in a special remembrance program.

c. Membership-at-Large Guidelines: A woman may be a member-at-large by supporting the work of UMW.

She does not need to be a member of a circle. Members-at-large in the local unit of UMW will be given

opportunities to:

Pledge to mission at the beginning of each year

Attend the Connection Events

Serve on fund raising projects such as the rummage sale

Be informed of UMW activities and concerns through the UMW Newsletter and e-mail minutes

Nurture all members through prayer for each other

Publicity

UMW Communications: Events of upcoming UMW activities will be listed in the UMW section of the

church’s website, in the Sunday bulletin, and in the PowerPoint slide presentations as needed.

UMW Brochure: The Communications Coordinator is responsible for publishing a current UMW brochure

each year. The brochure will include the UMW Purpose, an invitation to membership, a list of circles and a

calendar of significant events and be available for UMW Sunday.

Awarding Special Mission Recognition (SMR) Pins from the Unit:

a. Eligibility for an SMR Pin: Up to four SMR pins will be awarded each year. The following criteria will be

used in awarding SMR pins.

After four years of service in one of the following offices: President, Vice-President, Secretary, and

Treasurer.

If less than four officers receive a pin, then the remaining pins become available to award to another

person nominated by the unit for the honor.

b. SMR Pin Review Committee: This committee reviews the nominations and makes the selections. The

committee is made up of the following:

Spiritual Growth Coordinator as the chair

UMW Treasurer as the board representative

Committee of Honor (members who received a pin within the past two years)

Note: Committee of Honor members are not eligible to receive a pin during the two years they serve on the

committee. The Spiritual Growth Coordinator and UMW Treasurer are eligible to receive pins. If no nominations

are received, no pins will be awarded.

c. Nominations for SMR Pins: The committee will construct and distribute nomination sheets so all UMW

members are afforded the opportunity to nominate a person for the SMR pin. Persons to be nominated

can be UMW members or other individuals at First United Methodist Church of Lawrence, Kansas. The

following actions will be taken:

The Spiritual Growth Coordinator will update nomination sheets with a list of all recipients during the

past 10 years.

Nominations sheets will be distributed to circles in September.

Nominations will be due to the Chair by October 15th.

Committee will meet to tally nominations, consider factors and determine the year’s recipients.

The Connection Event in the Spring is the preferred recognition event when possible.

d. Individual SMR Pin Awards: Individual UMW members and UMW groups (up to 8 people) may present a

SMR pin to a person by purchasing the pin.

Finances:

Guest Speakers: A donation to a designated mission at the request of the speaker or honorarium shall be given to

the main guest speaker(s) at UMW events. An out-of-town speaker will also be given mileage per the rate set by

the conference.

Disbursement of UMW Raised Funds: The following process will be used.

a. The Finance Committee shall select a minimum of five and a maximum of seven local agencies and

minimum of five and a maximum of seven non-local agencies for members to vote on at the October circle

meetings.

b. Agencies selected shall meet the following criteria:

The agency must support the development of women, children and youth.

Non-local agencies must be operated by, supported by, or have a formal relationship with UMW

mission efforts or the United Methodist Church.

Nominations for new agencies must be submitted to the UMW Finance Committee prior to

September 1.

c. At the October circle meetings, members will receive a grid showing the organizations eligible to receive

proceeds from fund raising activities with a description of the organization. The description should include

the services provided, population served, funding sources, and relationships to UMW.

Each member will vote for three local agencies and three non-local agencies using the ballot provided. The

ballots will be turned into the UMW Treasurer for tallying no later than October 31.

d. In November, the UMW Treasurer will publish a master grid with the tally of the votes for each agency.

The master grid will reflect the percent of the vote and the amount the organization will receive. The

Finance Committee will make a recommendation to the UMW Board for approval and the board will vote

on the recommendation.

Special Requests for Funding: Since setting a budget and anticipating every need is not possible, special requests

for funding or donations will be considered by the UMW Board. The request should meet the following criteria:

Activity or need is mission-oriented

Promotes the welfare of women and/or children

A written request explaining the reasons should be submitted to the UMW President. If the request meets general

criteria, the request for consideration will be placed on the UMW Board meeting agenda and the requester or

representative will be invited to the board meeting in case additional information is needed to support the request.

The board will vote on the request and the president will advise the requester of the outcome after the meeting.

Requests for Scholarship Funds: Scholarship funds are available for women to request for activities and

educational events that support mission and/or the welfare of women and/or children. Scholarship requests should

be e-mailed to the UMW President. The request will be submitted directly to the UMW President. The president

will present request to the board for a vote. The president will advise the applicant for the board vote.
