    Course description During this course, the Kodak Kodak InSite Creative Workflow software (3.0) with Kodak InSite Asset Library (3.0) standalone, Kodak InSite Prepress Portal software, (5.0) and an integrated Creative Workflow/Asset Library/Prepress Portal workflows are examined. The responsibilities and hand-off between staff is highlighted with steps to complete each task also covered.

    Describing the Portal Products FamilyPortal Products are comprised of the following applications:

    Kodak InSite Creative Workflow (Projects) used in the creative environment for collaboration.

    Asset Library (Library) used in the creative environment to store digital assets such as master images.

    Kodak InSite Prepress Portal (Jobs) used in the production environment to submit a job and approve pages for print.

    Matchprint Virtual (licensed option) used in the creative and production environments for color contract proofing.

    Kodak PressProof (licensed option) used in the pressroom for color proofing.

    The Portal Products provide a virtual connection between the printer, creative agency, and the print buyer through the use of the Internet. This collaborative online environment supports project management, content creation, job submission, proofing, digital asset management, and tracking as outlined:

    The Photographer can upload their digital images via Creative Workflow for collaboration between themselves and the agency instead of sending contract sheets.

    Physically reviewing each proof and making notations before passing the proofs to the next person for review is now unnecessary. Smart Review is used to electronically approve or reject the digital proofs at a time convenient to the reviewers. If more than one person needs to review the proof, a group review can happen.

    A full resolution picture no longer needs to be scanned. A digital picture can be moved from the InSite asset library library for use.

    Once the pages are created, instead of proofing hard copies, print ready pages can be uploaded to Prepress Portal for review prior to printing.

    The printer no longer needs to send the proof back to the Print Buyer or Creative Agency for final approval. The electronic proof is now approved using Smart Review.

    Once the print buyer makes final approval, the pages are ready for Print.

    Roles definedThe roles outlined in the Creative and Prepress workflow diagram are defined as follows:

    Agency

    The agency translates the clients idea into a creative print project. Within the context of this course, the client is the print buyer who pays the agency, while the agency acts as the intermediary between the customer and the printer. The agency uses Creative Workflow to enable online project management for its creative projects. It also uses Eye Media to manage its digital assets such as images, graphics, and texts for its projects.

    Typical roles in a creative agency that contribute to the planning, collaboration, design, and approval phases of a creative project in our workflow process involve the:

    Graphic Designer - in charge of the creative design for project elements

    Photographer - may be hired to take pictures on behalf of the customer (print buyer).

    Content Manager/Reader - in charge of approving the content for the creative project

    Site Manager - assigns work related to the project.

    Printer

    Within the context of this course, the printer refers to the traditional offset printer. The printer uses Prepress Portal as a web portal to its workflow system and enables online uploading of customer job files.

    Typical roles in at the printer in our workflow process include the:

    Administrator (IT related): in charge of setting up and configuring Prepress Portal

    Pre-Press Manager: in charge of printer operations

    Customer Service Representative: in charge of administering customer information and coordinating all related aspects for printing a customer job file

    Prepress Operator: in charge of using the workflow system and making plates for printing

    Note: In this context, the Project Manager, also acts as the agency intermediary with the printer on behalf of the customer.

    Note: For our purposes, the Administrator and Pre-Press Manager roles are assumed by the same person.

    The Creative Workflow server is setup remotely by the Kodak Response Center. Once this setup is complete, go to the Creative Workflow Server and access the Administrator web page to complete and verify system configuration settings.

    Setup Printer InformationPart of configuring your system is to set the administration e-mail in order for e-mail to work for all users of the system. The company name that your users see, the Web site URL that your users log on to, and the e-mail address that your users should contact if they need assistance is all configured during theCreative Workflow and Asset Library installation.

    1. Click Configuration Settings > Printer Information.

    2. Modify the Printer Name, TwEm Administrator E-mail, and TwEm Home Page boxes as desired.

    Setup SecurityThese settings define the level of security applied to the Creative Workflow system.

    Creative Workflow Security settings

    Strong passwords are recommended to prevent unauthorized users from gaining access to the system. They should be eight or more characters long and should contain a combination of different types of characters from at least three of upper and lower case letters, numerals, and alpha-numeric numbers.

    Customer user session and staff user session time-outs: The number of minutes a customer user's or staff session in a Web browser can be idle before it is disconnected. The default setting is 20 minutes.

    You might want to decrease the time that a Web browser session can be idle in order to tighten the security of your system. Any change to this setting requires a restart of Creative Workflow to take effect.

    Desktop Application Session Time out: This refers to the user session in the Desktop Software. The default setting is 20 minutes. You might want to decrease the time that a Creative Desktop session can be idle in order to tighten the security of your system. Any change to this setting requires a restart of Creative Workflow to take effect.

    The default TCP/IP port for Smart Review is 443 and cannot be changed.

    The Browser security level is configured during the Creative Workflow installation and it is unlikely that you will need to change it later.

    Setup System and NetworkingThese settings define where projects and libraries are stored, and the frequency at which deleted elements and projects are purged from disk.

    Creative Workflow System and Networking settings

    Delayed Delete Start Times: The time of day (in the 24-hour clock) at which you want purging of deleted files to begin.

    You can specify multiple times, separated by semi-colons, if desired. For example, type 04:00;22:00 to purge files at 4:00 a.m. and then again at 10:00 p.m.

    Delayed Delete Duration in Minutes: The amount of time that you want the system to spend purging files.

    Delayed Delete Delay in Days: The number of days after which deleted files will be purged from disk. You might want to reduce the frequency if you are concerned about the purge process impacting system performance. You might want to increase the frequency if you often have many deleted files to purge.

    View Co-operating SystemsThese settings are configured during the Creative Workflow and Asset Library installation and cannot be modified through Creative Workflow Administration. The settings specified define the names of the Prepress Portal and Prinergy servers that the Creative Workflow server connects to.

    Setup WorkflowThese settings define your users ability to download JPEG versions of elements from projects.

    Configure Rendering OptionsConfiguring the proper rendering can enhance a customers experience when collaborating in projects using Creative Workflow.

    Three different files can be generated when the elements are rendered for viewing

    Thumbnails for display after file upload.

    PNG file is the initial file that is generated when a file is initially viewed in Smart Review.

    IPA file (Raster cache file) that enables better rendering performance when zooming in and out of an element in Smart Review. Can be set to generate upon upload or first viewing of element in Smart Review.

    Creative Workflow Rendering settings

    In this scenario, Agency staff are working on high resolution 30" monitors. To provide a better customer experience for upload, review, and approval:

    Change Raster Cache Image size to 3200 for larger monitors.

    Set pre-render processing level to 2 to enable the generation of the IPA file. This results in caching of images.

    Select Preserve Intermediate Render Cache. If not selected, the IPA file will only generate when an element is launched in a Smart Review session, thus affecting rendering performance of the element.

    Set to generate large thumbnails on the Kodak InSite Desktop Software.

    Set to generate small thumbnails on the web GUI.

    To configure rendering options

    1. On the Creative Workflow Administration page, click Configuration Settings.

    2. Scroll down to the Rendering section.

    3. Click Rendering.

    Multiple rendering settings display.

    4. Ensure the Pre-Rendering Processing Level options is set a value of 2.

    5. Ensure the following options are selected:

    Preserve Intermediate Render Cache

    Note: Each additional option selected takes time and server space; however, user experience is improved.

    6. Click Update.

    The Configuration Settings main page displays.

    Setup Event Notification and ReportingUser actions (also known as events) are tracked in a history database and users can now be notified of specific events. Examples of tracked events include projects being created, elements being uploaded, tasks being created, and status being set on tasks.

    Users can receive event notifications in individual e-mail messages as the events occur or in summary digest form once a day. The timing of these notifications are preset.

    The events that a user receives notification about are determined by the notification settings associated with the role the user is assigned. More information about creating roles is available in Lesson 3 - Create Full-Access Users with Role-Based Rights.

    View InSite Asset Library OptionsAsset Library is a server-based solution for the management of digital assets, designed to support registering, locating, and re-purposing images, content and artwork. The digital asset management capabilities of Asset Library include searching asset libraries, and support for OPI and proxy workflows.

    If a customer has purchased the library option (Asset Library), the location on the server where the libraries are stored is found on the Administrator page in Configuration Settings > Systems and Networking.

    Library license information is located the Administrator page in Configuration Settings > Workflow through the Allow Download of LowRes JPEG images from libraries option.

    2. Check the location where the libraries are stored.
