Send Calendar by Email

If you have ever been frustrated trying to find

a date to meet with someone outside your

availability, MS Outlook 2007 and 2010 have

a new feature that makes this a breeze.

Within an email, either a new one or one you

are replying to, move your cursor to the body

of the email.

Click on the Insert tab.

Select Calendar from the Include grouping.

The Send a Calendar via E-mail dialogue box

will appear.

In the Calendar field pick the calendar you

want to send.

In the Date Range field specify the date

morrow, next 7 days, next 30 days, whole

calendar and specify dates that let you

choose the start and end dates that you

are sending.

In the Details field select what you want to

send.

Availability only sends your calendar with

Limited sends the availability and the subjects only.

Full details would send all the details you have in you calendar.

The person receiving the calendar will see a table in the calendar with the selected date

sent them beside their calendar in Outlook. This makes it really easy to find dates that you

both have free. Note: You are not sharing your calendar with them so any changes you make

days they should delete the calendar snapshot that you sent them from their list of Others Calendars as it will no longer be up to date.

Outlook Calendar

When you want to check your calendar availability for

date you would like to check. Hold down the Ctrl key and

selected date will show up side by side in your calendar day

view. The selected days will show up on your date navigator

shaded grey. To change back to a single date, click on that

date.

The TTC travels throughout the province providing training. We can also offer courses over

any other web delivery

CTRL-SHIFT-A Create a new appointment (when not in a Calendar view)

CTRL-G Go to a specific date (when in Calendar)

Many people receive emails that they forward on in MS Outlook using the forward command. A problem with this is that if the person replies to that forwarded email it does not go to the original sender but back to the person who forwarded it. To forward one or several

mails so that replies will go to the original sender:

Open a new email message

Fill in the To and Subject

Select Outlook Item

You can then select emails from any folders you have in your Outlook and send them

Use the Ctrl key and click to

Emails, contacts, tasks and appointments can all be forwarded using this method.

Send the E-mail with the

receiving them can open them as individual Outlook items. Now the reply would go to the original sender.

Appointments, tasks and contacts can be opened and saved to their Outlook without having to recreate the items.
