Policies Overview
•All corporate travel must be booked through the Concur online service from TSI
•If you have a travel arranger, you MUST assign him/her to your profile in order for them to access your profile and book on your behalf
Booking
•All corporate travel must be paid with the corporate Commerce Visa Card (preferred method) • If you do not have a Commerce Visa card or access to one, you can pay using a personal
credit card
•Traveler or administrative assistant* will add the applicable corporate Commerce Visa Card to the profile as the default payment for airline tickets
•All Enterprise car rentals will be direct billed however corporate Commerce Visa Card can be presented at the rental car counter
•Hotels are only guaranteed to the corporate Commerce Visa Card in the profile. If you do not carry this card, the card holder must complete a prepayment authorization form or the traveler will need to pay on a personal card

•Required to obtain approval from manager prior to booking any travel
•Air Fare that is greater than the least cost logical airfare plus $200.00 will be forwarded to appropriate person responsible for approving your travel and will not be ticketed until approved; otherwise if there are no policy violations, your travel will automatically be approved

•Book preferred vendors Avis Budget or Enterprise National when available
•Insurance is covered by Beacon therefore you should decline purchasing at the counter
•Booking larger than a full size car is not permitted*
•Consider booking SuperShuttle when available if it makes good business sense

•Review amenities and factor into purchasing decision
•Compare conference/convention rates with what is available in Concur and book the lowest
•Read and understand all booking and cancellation policies
