• FingerTec offers 4 types of communication methods. Choose the preferred methods between FingerTec terminals and TCMS v2

• To configure your FingerTec terminals: – TCP/IP (LAN) > Set Device ID > Set IP address > Determine Subnet mask and Gateway in terminal

> Enable Ethernet.– RS232 or RS485 > Set Device ID > Set Baudrate in terminal > Enable either RS232 or RS485– Wireless LAN (WiFi) > Set the WiFi configurations > Enable WiFi – USB Flash Disk > Set Device ID in terminal, absence of the ID, TCMS would not recognize data you

transfer from the USB.

• After configuring the preferred method in the terminal, restart terminal to allow settings to take effect

• Where to find the software installer?– Available in the software CD packaged with the terminal– Download from tips.fingertec.com or user.fingertec.com

• Important: TCMS can only be installed in Microsoft Windows platform. For Windows Vista and Windows 7, use “Run Administrator” to start the installation process.

• Before proceed to installation, make sure that you have all the Product Keys, Activation Codes and

Serial Numbers of the product ready.

• To go to FingerTec Terminal Setup where the setup of FingerTec terminals is accomplished, you need to open the TCMS V2, press device > FingerTec Terminal Setup

• Set the following in the page:ID - This is the identification number of the terminal, very important for the software to recognize

the origin of the transferred dataModel - Choose the terminal models from the drop down menu. Connections - TCP/IP for TCP/IP or WiFi connection - COM 1~6 for Serial Communications - USB for transfer of data using USB Flash Disk - USB Client, exclusively for TA300 - FRIS, only applicable to FRIS 2 database server - WEB, only applicable when using WebsterBaudrate - Only applicable to serial communications, choose the corresponding baudrateIP Address - Choose the IP address for TCP/IP connectionPort - Insert 4370 to signal PC firewall to establish a connection to the terminal

• This information is crucial to fill in as this information will be displayed at the bottom of every report produced by the TCMS V2.

• Improper configuration would result in the report having no company name or wrongly identified.

• Password is important to limit the software access• Two types of password:

– LOGIN: This password allows access to viewing of Attendance Sheet and User Records as well as monitoring of terminal activities and printing of all reports.

– ADMINISTRATOR: This password is the highest authority and a person having this password could carry out all operations and have full access to the software. Only administrator is allowed to change the password to software access.

• These settings are shown in all data and reports. Therefore, choose the formats accordingly– Date format: Choose your company’s preference– Time Format: Choose between12hour (AM/PM) or 24hour military time (eg. 11pm is 23:00)– Time Format: Choose between hh:hh (eg.12:30pm is 12:50) and hh:mm (12:30pm is 12:30)

• It is crucial that the time between the terminal and TCMS is synchronized• By default, the time follows your PC time, therefore make sure the PC time is accurate

• TCMS allows data to be automatically downloaded from the terminals.

• 2 ways to do it:– Seconds/Minutes: TCMS only downloads data according

to the times specified in the fields for example at 10:00am and 6:00pm as shown in the screenshot.

– Timers: TCMS only downloads data at a specific time for example every 300 seconds or every 10 minutes after clocking time.

• Department and Section are two important categorizations in a company.• Department is a larger unit and section is a smaller unit in a department. For example Sales Department

has a South East Asia Section, Europe Section, North America Section while a Technical Department has Repair Section, Email Support Section, etc.

• Define the departments and sections accordingly. Password is optional, for department managers to view the data and print specific reports. Ignore the User ID field.

• By defining departments and sections, you can filter information efficiently.

• What is Remark? Explanation of Attendance• Workcode: A specific number to explain attendance for example 10 for traffic jam, 12 for attending training,

14 is for meeting supplier, etc• TCMS V2 offers a maximum of 99 workcodes. • Terminal audit list will display the workcode for example User 0003432, 1:42pm, Code 12: Attending

training. This means that the user is late because he attended a training. • There are 4 default codes in TCMS V2: 00 for Check In, 01 for Check Out, 04 for Overtime, 05 for Done.

These 4 default codes are not important to TCMS but they are crucial when you are using a third party software.

• This page is dedicated to managing user information including:– Full name of a user as stated in an official ID.– Username to be displayed in the terminal during verification– Department that he/she belongs to– User Privilege for example Supervisor, Administrator, Enroller or User– Password– Card ID

• There are 4 features made available (Explanation in the next 4 slides)• Download User – Download and store user information into TCMS V2• Update User – Update user information to terminal(s)• Delete User (Terminal) – Delete users in the specific terminal• Delete User (Software) – Delete users in the software

By having these information complete, data sorting, checking and analysis is made easier in the future.

• After you have setup software and enrolled users into the terminal(s), download all users from the terminal(s) into the software. This step is important as backup to the data that has been inserted into the terminal(s).

• Click Download User > Select Terminal ID to download > Select Users to Download > Check all data fields > Apply

• The number shown in the Fingerprint and Face column indicates the number of fingerprint or face enrolled by the particular user(s).

• After all information has been inserted into the main page, now you are ready to update to all terminal(s).

• Click Update User > Select Terminal ID to update > Select User IDs to Update > Check all data fields > Apply

• You can update more than one terminal at a time by selecting the terminal ID button.

• To limit access to certain users, block that users from accessing a certain terminal by not including his/her name during the update process.

• Ignore a certain field that is not related to the terminal you want to update for example Face for R2.

• There are two ways to delete users: 1. Delete from terminal(s) – User information in the terminal(s) will be deleted but the information is still available

in the software. Click Delete User (Terminal) > Select Terminal ID > Select User ID to Delete > Select Data Field to Delete > Apply

2. Delete from software – To delete user information completely from the software and this can only be done after you have removed the user(s) from any terminals. Click Delete User (PC) > Select Terminal ID > Select User ID to Delete > Select Data Field to Delete > Apply

• THESE SETTINGS ARE IMPORTANT FOR TIME ATTENDANCE CALCULATION. 1.CLOCKING SCHEDULES – They are predefines working time attendance calculation logic applicable

for weekly, daily or flexi-work schedules. TCMS V2 offers 1000 clocking schedules.2.GROUP DUTY ROSTERS – This is a monthly calendar that displays annual working schedules. Each

group is entitled to a multiple clocking schedules of up to 3 schedules. Users with similar working times and scenarios are placed under the same group. TCMS V2 allows a maximum of 1000 groups.

• CLOCKING1.There are 3 types of clocking schedules: Weekly, Daily and Flexi. 2.Weekly schedules are the most commonly used, as they are suitable for normal offices and

factories.3.There are 6 clocking slots available for configuration (IN, Break, Resume, Out, OT, Done)4.There are 7 days in a week to be configured as workday, restday or offday. 5. Insert the predefined time table into the schedule(s)6.OT-Done slots can be considered as normal working hour, instead of OT.

• GROUP DUTY ROSTER is a monthly working calendar to display working schedules for 1 year. This feature supports:– Basic weekly schedules – 7 days periodic cycle, most commonly used by offices.– Multiple Shifts Per Day – Allowing workers to work more than 1 shift a day, common for factories– Rotational Shifts – Changing of shifts in rotation, applicable to factories and hypermarkets– Open Schedules - Allowing changing of shifts, applicable to factories and hypermarkets– Flexi Schedules

• GROUP DUTY ROSTER is a weekly working calendar to display working schedules for 1 year. - Basic settings is 7-day as a periodic cycle, repeating each week.- This setting is applicable to MOST OFFICES- To set or edit clocking schedule to be applicable for the group duty roster, click AUTO SCHEDULE

button.- Define the schedule code into the column. Day Type is defined in clocking schedule page. Please

don’t change the settings.

Reading the Attendance Sheet

• Data is displayed differently in the attendance sheet. If you see:– Data in Black font = normal clocking activity (without fault)– Data in Red font = Clocking activity with fault (e.g. late to work, early out)– Data in bold font = Indicates data that has been edited by an administrator (To see original data, check

the “Drag & Drop” column)– Data labelled Work, Overtime and Short = these are processed results calculated from clocking schedules,

rules and group duty rosters.

• This step is important to make sure the changes you’ve made in clocking schedules, clocking rules, and group duty rosters take effect.

• To generate data– Select Dept / User ID > Date range > Check

“Convert from data audit list” > Check “Keep user changed data” > Generate.

• “Convert from data audit list” is to tell the software to recalculate the data from the database

• “Keep user changed data”. This option enables you to keep manually inputted data when generating the attendance report. Without checking this box, all manually inputted data will be erased when generating the report.

When an employee is absent to work or has taken leave, you can record it into the system by doing the following

Click on:Attendance > Edit > Leave Taken > Define User ID > Select Date > Define Leave taken

Attendance > Edit > Select User ID > Select Date > Click the Leave Column of the relevant user > Select Leave taken.

If your company has a third party payroll, HR, or other systems, you can export FingerTec’s data in a format that is suitable for input into your third party system (XLS, TXT, or ODBC manager format)

To export: Click Export > Select Dept/ User ID > Define Date Range > Select Export Details (list everyday attendance of user) or Export Summary (list total attendance of user within the date range)

Note: • “Position” refers to the

arrangement of data fields in the export file.

• “Size” refers to the length of the data field columns.

When you export an attendance summary, the attendance of a single user will be summarized into one row of information.

• The attendance sheet lists down the attendance records from the very beginning, and may cause the Attendance Sheet to lag and have a slow response.

• It is recommended that you perform housekeeping to send old records to History• To send data to history: Click Attendance > Click To History > Define Date Range > To History• You’ll find that the attendance sheet responds quicker now. The History Attendance Sheet works the

same way as an Attendance Sheet.

Before you can view data in the attendance sheet (Chapter 5) you must first download the attendance records from FingerTec terminals.

• To download: Click Device > Download data from terminals• You may also opt to use USB Flashdisk (see next slide) or and automatic download interval.

• To download attendance records into the attendance sheet using a USB flashdisk just plug the flashdisk into a PC, run the TCMS V2. You can then:

The TCMS V2 provides an online monitoring page, in this case the Terminal Data Audit List, to monitor the door access activity online.

• From this page you are able to see who is reporting their attendance, which door is open, closed, or forced open, and sometimes these events are color coded:

- Red Colour = Force Open- Green Colour = Door Open

The Terminal Data Audit List also works as a database to store transaction logs of users, and can be exported as a TXT file to be used in a third party system or software.

• You can backup the database into a ZIP file or restore it from a ZIP file into the software to be checked by clicking Configuration > Backup/Restore Database

• When restoring, you will be able to choose what kind of data you wish to restore.

• This feature is only available in the i-Kiosk 100 Plus and Face ID 2 models. The camera in these models can capture the photo of the user each time the user verifies at the terminal.

• This photo will be attached with the user’s information and recorded in the transaction log if the verification is successful. If unsuccessful, the photo will be attached with the time of the unsuccessful verification.

• This feature can help you look back and see if any tail-gating incident or buddy-punching incident had happened. To view the captured pictures: Click Device > Terminal Management > Captured Photo tab

• The TCMS V2 has updates released on a regular basis. These updates are free for life. • To get the latest updates: Connect PC to Internet > Run TCMS V2 > Click New Release > Click Connect
