Administrative Services Update:

Attached is the quarterly financial update for the first quarter of fiscal year 2019.

The department continues to find ways to streamline processes in order to improve efficiencies within

the department and within the Town. Kelly is currently reviewing all open projects within the Tyler

financial accounting system; the department is updating and strengthening internal controls related

to deposits, accounts receivable, accounts payable, and payroll.

The subcommittee for the Employee Value Proposition recommended additional research for Monte

Sereno and Portola Valley municipalities to be included as comparisons to the Town for the Total

Comprehensive Compensation Study. These results were delivered this week. The City Manager

and Administrative Services Director have been reviewing these results. The department is also

pursuing other research recommended by the subcommittee. This subcommittee will meet again in

January 2019.

Maze & Associates is currently working on the draft of the comprehensive annual financial

report. We anticipate this report to be issued prior to the end of December 2018.

Kelly and Carl have been researching additional information in relation to the garbage contract

renewal with GreenWaste. This subcommittee will meet again in January 2019 to discuss the best

options for moving forward.

Kelly and Tran will meet with Matrix Consulting on December 7 to review the first draft of the

Comprehensive Cost Allocation Plan and User Fee Study. Future meetings will be determined

at that time.

Finance is currently working with the Town’s consultant regarding integration with TrakIt and the

Tyler financial accounting software. We anticipate this to be completed by the end of January 2019.

Parks & Recreation Update:

On Monday, December 17th, Recreation Specialist Chris Knopf successfully passed his exam for Certified Parks and Recreation Professional (CPRP) – Congratulations Chris! Parks and Recreation staff began a 2-week “Sandbox” free demo of Recreation Management Software from CivicRec. A department favorite after researching and obtaining quotes nine other systems. An additional security camera was installed on the Parks and Recreation Building to give coverage of the turnaround, directional signage, and art sculpture, Kid at Play. Two replacement cameras were also installed at Westwind Community Barn. This week concluded, Coding for Kids final class of the Winter Session. On Thursday, December 20th, Caroling in the Hills there was standing room only in the Parks and Recreation Building! Check out the successful event put on by resident volunteer, Scott Vanderlip at the hyperlink. In the past couple weeks, the free notary service has been utilized by multiple residents by booking an appointment through srobustelli@losaltoshills.ca.gov. On Friday, the Annual Los Altos Hills Food Drive concluded. In total, 2 ½ Bins filled with food donations from our collection sites at; Town Hall – Lobby, Parks and Recreation Building, and Westwind Community Barn. Victoria Dye Equestrian will hold a Holiday Riding Camp from Wednesday – Friday of next week! Registration still available. New Year’s Day Hike will be held by the Pathways Committee at 1:00 pm starting from Westwind Community Barn. This year there will three scenic routes and pathways maps will be sold.
