Getting started Default user settings You can set your own user preferences that will be stored when you sign out. The following default settings are active when you log in for the first time. NavigationOn the left side of the application you can find a menu bar containing links to all available parts.

The menu bar is accessible from all parts of the application via the menu button.

To navigate simply click on one of the buttons, this will take you to that part of the application. Themenu contains navigation buttons to the following parts of the application:

Search - access to the search page where you determine your search query, check yourresults and view the documents.Folders - subsets of the data collection created by the user and stored for future refer-ence.

Search history - access to previously executed queries.

Downloads - the download center, where documents marked for export are stored.

Alerts - alerts are set to warn you when a change in the database occurs that affects aparticular query or folder, for instance when new documents are added.Preferences - your personal user preferences can be changed here. This is also whereyou can enter or change the Client ID when you want your search to be logged for billingpurposes (See Client ID).

Sign Out - sign out from the application.

The same set of buttons is available in the header of each page in the top right of your screen. Thered marker indicates the page you are currently looking at. The sign out button is only accessiblethrough the menu.

Where to find in the manualThe user manual not only explains the features of TotalPatent One™ step by step, it also includes ref-erences to all available objects and fields in the data model, available authorities and languages.These references are important as they can be used in your search queries, due to the shear volumeof combinations of languages and objects it is not feasible to describe each of them individually. Toget an overview of the total number of available search possibilities these are added as appendicesto the manual:

Appendix I: Current list of authorities and languages - As most authorities publish documents inmultiple languages the data also contains documents in multiple languages. Currently the docu-ment view in the application is in English only. This list provides an overview of all authorities andthe languages used for publishing. This can be used in your search, for instance PC:JP AND TIEN:Amplifier will find all documents for the Japanese authority ( PC:JP )where the English title( TIEN: ) contains the word "Amplifier"

Appendix II: Current list of languages and authorities - The other way around is equally impor-tant, when searching for a object in a particular language it can find results coming from multipleauthorities.

Appendix III: List of search aliases and field types - Probably the most important appendix as itcontains all the objects that can be used for specific searches. The most commonly used are alsoavailable via the guided object search option. For the moment there are approximately 88 objectsdefined for searching, much more than there are available in the document view of the application.This appendix gives an overview of all available search objects and an explanation.

Appendix IV: List of search aliases and field types - Search aliases are short codes for fields in thedatabase that can be searched, they can be used as field names in the query syntax. For example:IN:("Smith") searches for all documents with inventor ( IN ) "Smith". Field types are literally thetype of data in that particular field (text, date, number, Boolean).

Appendix V: Overview of all available fields in a document export - The export to Excel or CSVoption can be configured to contain a subset of the available fields of each document. This appendixgives an overview of all available fields and an explanation.

Change the sign-in profileThe TotalPatent One™ Sign In page contains its own help files to aid users that require assistance atthis stage.

This is also the place where a user can change their sign-in profile.To change the sign-in profile select Update my sign-in profile from the help menu, you are re-quested to sign in first to get access to the file. Enter your user name and password and select SignIn

Change your User IDTo change the user ID that was assigned to you when you were registered as a TPO user select theoption: Change ID. You have to enter the new ID twice. Please take note of the rules below:• The new ID must contain 8 to 50 characters.• The new ID may not contain spaces.• The new ID can contain the following special characters: ! $ & ' - ? ^ _ ` { } ~ . @Select Save to finalize the change and reload the product.

Change your passwordTo change the password that was assigned to you when you were registered as a TPO user selectthe option: Change password. You have to enter the new password twice. Please take note of therules below:• The new password must contain 8 to 50 characters.• The new password may not include your ID• The new password may not be equal to any of your 5 previous passwords• The new password must include at least one character from 3 of the following categories:

• Uppercase letters (A-Z)• Lowercase letters (a-z)• Numbers (0-9)• Special characters like ! # $ % & ' * + - / = ? ^ _ ` { | } ~ . @

Select Save to finalize the change and reload the product.

Change user profileYou can change the following profile items:• First name• Last name• Security question, when you need your password resend you will be asked this question.• Answer to the security question.• EmailThe language preference settings and time zone can be omitted, they are not implemented forTotalPatent One™, use the in-product user settings instead. Select Save to finalize the change andreload the product.

Languages

Switching languagesCurrently the application is available in English, Japanese, Korean and Chinese (simplified), switchingbetween languages is done via the User Preferences

Language Settings

User interface display language - Select the userinterface language. For the moment only English,Japanese, Korean and Chinese (simplified) are sup-ported. The default is English. The change is instan-taneous, no reload is required.Document display language - Select your languageof choice to display search results and documents.This will affect only documents that are present inthis language. Not all documents are fully availablein each language. See the next paragraph for moreinformation.Search language(s) The default search language isEnglish you can select additional search languagesby checking the box, or remove a language by de-se-lecting it. When you have multiple languages select-ed the application will automatically use these.Click SAVE AND CLOSE to finalize your selection.

Publication Display Languagehe publication language of a patent document can varies according to the rules set by each patentauthority. Some authorities use multiple languages, some authorities only require parts of thedocument to be available in different languages, for instance only the title and abstract. By defaultTotalPatent One™ will display all information where available in English.

English publication display & Machine translation.Most authorities provide their documents in both their own language and in English translation.However, these often only contain a partial translation, for instance only the title and abstract. Forsome languages we use machine translation to create a fully translated document in the documentview. The (partially) machine translated texts will be marked in the document view.

English publication display & Equivalent availableDocument equivalents contain the same information based on their priority numbers. When a docu-ment is not published in English we choose to display the equivalent text. An equivalent is definedas a document that has exactly the same priorities as another document. The Equivalent is clearlymarked.

English publication display & English not availableTotalPatent One™ uses English as the default language, as well as the language that is used for ma-chine translation. Also most authorities nowadays provide English translations of the documents.That is why in most cases the application will be able to provide the English text. In this example weshow a Greek document from 1993. In these older documents it can occur that there is no Englishversion available for all text elements.

In this example the title is available in English and is displayed accordingly, however the Englishclaims are not available and are shown in the original Greek. We try to avoid this by machine trans-lation for the languages most used or via equivalent replacement as much as possible. However wecannot guarantee 100% coverage in English as we are relying on the data input, in this case theGreek Authority.

Chinese, Japanese or Korean display language.Via the user preferences you can select Chinese, Japanese or Korean as your preferred language. Inthat case the application will always show texts in these languages where available. The setting isindependent of the user interface language.

When you execute a search you can clearly see that the Result list shows all titles in Japanese. Thesetitles are mainly the result of machiene translation to Japanese, except for the documents comingdirectly from the JPO.

Japanese publication display & Machine Translation or EquivalentFor the moment we provide equivalent or machine translated full text for English only. For Chineseand Japanese we provide translations for the title, abstract and first claim. English is also the defaultlanguage to display to when your language of choice is not available. This means that you can find

English machine translated text or English equivalent text in your results, even when you select Jap-anese as your preferred language.

Original language of publication displayVia the user preferences you can select Language of publication as your preferred language ofchoice. In that case the application will always show the original document language. This can bevery useful when you master more than one language and do not want to take the risk losing some-thing in translation.

When you execute a search you can clearly see that the results show all document titles in their orig-inal language, in this case: Japanese, Chinese, English, German and Korean.

Search options

Object SearchThe data-model of TotalPatent One™ contains a huge amount of different data objects and fields. Wehave identified the objects typically used for searching by patent researchers. Each of these objectshas been assigned a search alias, a shortened code to be used as syntax in search queries. For in-stance the search PA:(John) will give you all documents with an original assignee called "John". Thesearch alias in this case is "PA". To help you with your search you can use the Guided Object Searchvia the available object library.

Alternatively you can type the object alias in the search box, for instance: TI: . Once recog-nized, the object will be entered automatically.You can remove a object-box from your search. When you move your mouse-pointer over theobject-box an 'X' appears, click on this button to remove the object-box.

5 . When you want to add multiple search objects repeat step 3 and 4, you can add as many ob-

jects as you like. When you do not specify all objects will be added with an AND operator,meaning the query has to meet all criteria. You can select multiple operators via the operatorbuttons in the object library. Operators to choose from are: AND, OR, NOT.

6 . Click Show results to start the search.

Search syntaxBasic text searches may not be sufficient for you to find the information you need. It is possible todetermine and execute more advanced queries using the following query syntax:

~ Fuzzy matching wild card TI:(accommodate~) will find alldocuments with search term varia-tions in the title on the often miss-spelled word "accommodate" (such asaccommodate).

+ Used for CPC and IPC expansion. TheIPC an CPC classification systems arenot completely hierarchical; at sub-group level it uses indentation to de-termine if a subgroup is a direct childof the mainline subclass or of anothersubclass. The plus sign is used to ex-pand the search for all underlying no-des. See: 'Classification Search' in theUser Manual for more information.

CPC:B21C1/00 will give you only thedocuments that have exactly this sub-group classification 'Manufacture ofmetal sheets, metal wire, metal rods,metal tubes by drawing'.CPC:B21C1/00 + will give you the fulldocument expansion of the B21C1/00subgroup including all child nodes( CPC:B21C1/00,CPC:B21C1/003, ... ,CPC:B21C1/34 ).

Limitations

ConstraintsSimultaneous searching in a collection of over 100 million documents by multiple users inevitablyrequires certain limitations to avoid response delays.1 . Document search - No limit

All queries search the complete collection of documents, due to our advanced search technolo-gy no limit is required.

2 . Query box - 65.000 characters without spacesAny input field in a web application is limited by the browser to 65.000 max, this also applies tothe query box.

3 . Result display - 10.000 recordsOnly the first 10.000 records are displayed, this does not mean a query disregards the rest ofthe results. At the top of your results list you see the total number of documents found. As aresult of this behavior, changing the sorting order of a result list containing more than 10.000records can show a different set of documents. The first 10.000 records that match are likely tobe different in this new sorting order. To avoid this reduce the total number of results to amore manageable amount by adding additional criteria to your search.

4 . Claims display - Batches of 15.000 characters.As claims can be very extensive, the display limits the total amount of characters, over 15.000the statement is truncated. When you browse through the claims you can experience a slightdelay before the rest of the text is displayed.

5 . Description display - Batches of 15.000 charactersSame as claims, descriptions can be very extensive.

6 . Family display - 1000 records. Families can be very extensive, especially the extended family.The display in the document view is limited to 1000 records. This is sufficient for 99.9998% ofthe families in our database, however when the counter displayed in the top of the table is1000 please be aware it might be more. You can download the complete set via the exportfunction.

7 . Save to folder - 10.000 documents at onceFolders are intended for users to temporarily save a set of documents for future reference, notto create a new personal data collection. It is advised to add documents to folders after an ex-tensive search.

8 . Folder size - 50.000 documents per subfolderFolders are intended for users to temporarily save a set of documents for future reference, notto create a new personal data collection. It is not advised to use the folders as such, as new

data is added to the total collection on a daily basis. As the speed of a query in the completecollection is very fast we recommend to re-run your query from the history instead, this will au-tomatically include new additions. Like in the result display only the first 10.000 records are dis-played.

9 . Document export - see table belowThe document export is limited. Large exports can take a long time to complete depending onamong other things the speed of your connection, freezing resources etc. To avoid this we limitthe amount of documents in a single export to a manageable size.

Note: The export packages are kept on the server and automatically deleted after 1month.
