Product Guide 2018Terms and Conditions

Credit approval is required before any shipments are made. A credit application can be obtained from TopTec’s office and must be signed before it can

be processed. If you must have material before this period, it can be shipped Cash-In-Advance (CIA), Certified Check, Money Order, or Credit Card (Visa,

American Express or MasterCard). Credit card payments are only accepted at the time the order is placed/shipped.

Prices are subject to change and become effective on a specific date. Orders entered on or after the price change will be billed at the revised prices. We are

not responsible for calculation errors or errors in printing in this guide.

Terms are as stated on invoice. All invoices are due and payable Net 30 Days, unless otherwise noted. If payment is not made, a service charge in the

amount of 1.5% per month will be levied against all unpaid balances exceeding thirty (30) days. An account becomes past due on the 31st day and is con-

sidered delinquent. If no arrangements for payment have been made with accounting, the account may be placed on “Credit Hold” until all past due invoices

have been paid. No cash discounts will be allowed unless all accounts are current.

Cash Terms: Cash discounts are allowable if a check is received in our office by the discount date as stated on the invoice. No cash discount will be al-

lowed if payment is received after the due date.

Release of shipments are subject to the accounting department’s approval. Accounts on credit hold will not be shipped until satisfactory arrangements

have been made with the accounting department.

No cancellations will be recognized, except upon written notice to the home office prior to shipments and payment of appropriate cancellation charges.

Shipping dates are approximate. The company will not be liable for failure or delay in shipment or delivery because of fire, flood, accidents, labor disputes,

car shortages, government regulation, loss or damage of goods in transit, curtailment of our usual sources of supply, acts of God, or any circumstances

beyond our control.

Shipments are Freight On Board (FOB) from manufacturing plant or warehouse.

We reserve the right to ship via the least expensive route. If instructed to ship other than the least expensive route, customer shall be responsible for any

and all additional charges.

RETURNS: No returns will be accepted without first obtaining a Return Goods Authorization (RGA). Return goods must be shipped prepaid and accom-

panied by an RGA Number. To be eligible for credit or exchange, goods returned must be in the original package or in a first class, unused, re-saleable

condition. A 15% handling charge will apply to all returned goods to TopTec inventory.

SPECIAL ORDERS: Special orders will require a non-refundable security deposit of one-half (1/2) the selling price before production begins. Any item we

do not normally inventory is considered a special order. Tops, sidewalls and other vinyl components with custom graphics and/or logos must be paid in full

prior to being entered into our production schedule.

REPAIRS: A Return Goods Authorization (RGA) must be obtained prior to shipping back to the factory for repairs. All returned units must be clean and

dry or they will be returned to you freight collect. Repairs can be done in a timely fashion from Aug 1 to Jan 1. During peak production months repairs will

require longer lead times.

Important informationLimited Warranty: All new TopTec products are warranted to be

free from defects in material and workmanship which may cause failure under

normal usage and service when used for the purpose intended. If you feel upon

receipt of our products, a possible defect in material and/or workmanship ex-

ists, contact us immediately. If, after inspection, TopTec determines that there

is a defect in material and/or workmanship, TopTec will bear the cost of freight

both to and from factory for repair. It will be at the factory’s discretion to repair

or replace the product at no cost to you.

TopTec is not responsible for damages which occur in shipment, weather related

damage, damage caused by incorrect use of the product, damage resulting from

failure to use proper ground cloths or damage resulting from the use of washing

machines. Any questions regarding to the proper installation procedures should

be directed to the installation manual provided with the product or directly to a

TopTec Customer Solutions specialist.

Shipping Damages/Shortages: UPS Shipment: The customer is responsible for immediately

inspecting merchandise and noting any damage directly with

UPS. UPS will then pick up merchandise for inspection. Do

not destroy or throw out the shipping container or merchan-

dise. If UPS determines that the merchandise was damaged

in transit, they will contact the shipper to settle the claim.

It is important that you notify the shipper of any shipment

damage. Credit will be issued as soon as the claim is settled.

Motor Freight: TopTec is not responsible for prod-

ucts damaged or lost in transit. The customer is responsible

for noting any damages or shortages with the freight com-

pany upon delivery. Ownership of the shipment passes to the customer once it is

loaded on the truck. The customer must initiate a claim with the freight company

and NOTE THE DAMAGE or SHORTAGES ON THE FREIGHT BILL so the customer

can protect their right of claim. Concealed damage must be discovered within

ten (10) days and the claims must be made with the freight carrier. It is your

responsibility to count and open all products immediately.

Blackout Material: The benefits of blackout material have been

well emphasized. The interior of the tent is cooler and at large events, the air

conditioning costs are lower. Stains, dirt, abrasions and patches are not as no-

ticeable since there is no light passing through. However, blackout material can

cause any puncture, hole, tent repair, or event box stitching to show up as star-

lights in the tops. In most cases these are not holes, only an absence of blackout

film which allows the light to pass through. If these situations occur, we have a

self-adhesive Blackout Repair Kit available. Please contact a TopTec Customer

Solutions specialist for assistance.

Standard Colors: Standard factory colors are translucent white and

blackout white material. Optional striped colors include Red, Kelly Green, Yellow

and Royal Blue. These colors are readily available from our vinyl supplier and will

be made to order, only. An upcharge may apply to tents with colors. We will not

stock any tops other than white or blackout as specified in our pricing structure.

Installation: The tent installer accepts sole

responsibility for the safe installation, teardown, and

maintenance of any TopTec tent. Estimated holding

power does not imply that the figures are sufficient

to hold any tent securely in windy or adverse weather

conditions, TopTec in no way represents the esti-

mated holding power to be true in all cases. TopTec

is unable to know the site conditions or the weather

conditions at an event and is unable to recommend

the adequate amount of holding power needed to

hold the tent safely in position. TopTec is not respon-

sible for the methods used by the installer to erect

the tent or anchor the tent in position. It is the IN-

STALLER’S responsibility to deem the tent unsafe for occupancy if/when the

weather becomes unstable.

For further recommendations on determining necessary staking values, please

consult the “IFAI Procedural Handbook for the Safe Installation and Maintenance

of Tentage” and the IFAI’s “Pullout Capacity of Tent Stakes”. These resources are

available from the IFAI Tent Rental Division at www.tentexperts.org.

• FutureTrac Gable Ends feature flat vertical end panels to give the structured look. Gable fabric panels slide into the rafters and are joined at the center with a zipper and velcro rain flap. Classic Valance gable panels feature loop & grommet. Roof panels are the same mid sections as used on the Future Series of frame tents.

• Frame Pricing includes roof cables and frame parts for the vertical frame. Once the initial end sections are established, mid sections are added to expand the tent to any length. In high wind applications, sidewall cables and out guys should be added for additional strength. Additional roof tension cables should be added to every sixth bay.

Available Styles

The FutureLite and FutureTrac

series of frame tents are engineered for

tolerance and reliability. They feature

the technology of today’s structured

fabric system and the installer-friendly

design of a Western Style tube system.

All tops are electronically sealed to

a Keder bead that slides through the

Keder channel on each rafter and

crown assembly. This sealing process

allows the top to be integral to the

frame, resulting in a stronger and

quieter tent in nearly all conditions.

Ratchet straps connect the tent tops to

the frame’s base plates resulting in a

secure connection to the frame.

Keder guides are now available for all

Future Series frame tents. These keder

guides improve top installation and

prolong Keder life.

Future Tube is 50% stronger than other

twin tube designs without the added

weight. It is easily quick pinned for fast

set up or can be bolted for long term

durability.

Sliding Wall Tube gives added strength

to the perimeter rafters and gives you

the ability to add sliding walls to your

FutureTrac set-up.

FutureTrac tubing features Keder rails

which allow the tent top to slide into

the frame quickly, yet still give much

greater strength and stability.

The FutureLite 2” tube gives you a

stronger 2” frame system with slide-in

tops that reduces labor costs and

prolongs the life of the tent.

Corner tension system using web guys and stake bars

1” Ratchet StrapIn certain situations, a 2” ratchet strap (not pictured)

may be required,

Rope and Stake InstallRopes and stakes are installed at all

anchor locations. Not the preferred

method of anchoring a tent.

Normal InstallProvides an alternative to ropes and

stakes. This allows more tension to be

applied to the tent top for quick, easy

installation. Three-hole stake bars

are used on the corners and five-hole

stake bars are used on the lace lines.

Ratchets are used on the remaining

intermediate locations.

Full installPeace of mind for long term instal-

lations. Stake bars, web guys and

ratchets are placed at every side pole

location around the perimeter of the

tent to provide the greatest holding

power in good soil conditions.

Wind Load Certified TentsAppropriate ground anchor resistance

for a tent is a direct function of the

specific site condition and is not

certified with these anchoring recom-

mendations. The required ground

anchor resistance values that must be

safely achieved (for a certified tent) are

identified on an engineered drawing.

The actual development of these values

(with a minimum safety factor of 2

applied to them) is the responsibility of

the installer.

Non-Certified TentsNon-certified tents are not engineered

to meet specific wind loads. Wind

loads are approximate and are gener-

ally rule of thumb calculations based

on actual field experience. Wind load of

a non-certified tent will vary to a maxi-

mum of 30 mph to 50 mph depending

on the style or type of tent (frame or

push pole). The structural integrity of

the tent may exceed the soil’s holding

capacity even at wind loads of 30 mph

to 50 mph.

Frame tents will require approximately

250 to 600 lbs of holding power per

anchor location (dependent on the

style and size of tent). For safety of all

occupants, evacuation is recommend-

ed if weather becomes severe.

Severe storms have microbursts

of wind that may be recorded far in

excess of the storm’s highest winds.

The installer is responsible for properly

securing the tent. Soil conditions will

vary and the wind loads that the tent

can handle could be significantly below

its wind load capabilities.
