1. ALERTS
Definition: Notification feature that alerts user about changes to the item or list/library
Alert can be set on Library, List, Item, Document or Page
Set up by the user, customizable on frequency, type of changes, etc.
Accessible from the ribbon

2. CHECK-IN/CHECK-OUT
Definition: Feature that prevents multiple people working on the same file and overwriting each other’s changes
When a file is checked out, only person who checked it out can make changes and check the file back in
Accessible from Ribbon or drop-down available from the file name

3. METADATA
Definition: Metadata is data that describes additional information about a file or a document
Data in Columns = Metadata

4. CONTENT TYPE
Definition: Unique set of metadata (columns) that apply to types of content within an organization
For example Content type “Cars” might have the following
metadata (columns): year, mileage, color, brand, model
In contrast, content type “Books” might have the following metadata (columns): author, title, # of pages

5. OOTB
OOTB = Out of the Box
Definition: Features or functionality available to the end users of SharePoint that work without any customization or costly programming

6. SPD
SPD = Microsoft SharePoint Designer
Definition: Free program/HTML editor from Microsoft that allows to further customize SharePoint sites and web parts beyond out of the box features
Available from SharePoint ribbon

7. WEB PART
Definition: Web Part is a modular and reusable component that can be placed into SharePoint Page to display certain content
Renamed to Apps in SharePoint 2013/Office 365
Think of “Apps” for SharePoint

8. VIEW
Definition: Views allow user to control how information from a certain web-part is displayed
Views allow to group, filter, sort information
View rely heavily on metadata available

9. PERMISSIONS
Definition: Controls who and to what extent has access to sites, libraries and information on SharePoint
Controlled via groups
Permissions can be set at the following levels:– Site– Page– Web Part– Folder– Document/Item

10. VERSION
Definition: Instance of SharePoint entity (document or record) that represents a variant to another instance
Disabled by default. Can be enabled at the web part level
Allows to go back in history (i.e. view older version of the documents or records)
