HOW TO PREPARE FOR YOUR VIRTUAL VISITSmartphones and tablets work best for virtual visits because they are set up to
work nicely for video calls. If you do not have a smartphone or tablet, the instructions below will guide you through using a laptop or desktop computer.
To better serve our patients, we are
taking advantage of multiple platforms to offer uninterrupted virtual visits.
Now that your virtual visit is scheduled, let’s make sure you have the mobile
apps and correct settings ready before your scheduled appointment.
STEP ONE: Prepare your device to make sure it is ready for your virtual visit with your provider.
1. If you will be doing your virtual visit from a laptop or desktop computer, and it does not have a built-in camera and microphone, please make sure you have both a camera and a microphone attached and plugged into your computer.
2. OPTIONAL: You can download the free Cisco WebEx Meeting app to your computer. Otherwise you can access WebEx Meetings from within your internet browser at the time of your scheduled virtual visit.
3. You’re all set! On the day of your scheduled virtual visit, follow the instructions on the next page to join the call with your doctor.

Laptops or Desktop Computers Smartphones or Tablets
1. On your smartphone or tablet, go to the App Store and download the free Cisco WebEx Meetings app.
2. Once downloaded, open the Cisco WebEx Meeting app to make sure it works. The first time you open the app, you will likely need to Accept the Terms of Service.
3. Next, go to in-app Settings (upper left) A Turn Off “Mute Phone Audio” and B Turn On “Self Video”
4. You’re all set! On the day of your scheduled virtual visit, follow the instructions on the next page to join the call with your doctor. A

Joining a virtual visit with your doctor is as easy as clicking a link in your email:
As a back-up, we will use your mobile phone number to either start a FaceTime video virtual visit (Apple OS only ) or instead call your mobile phone for a telephone visit.
Now that you have prepared your device for the virtual visit with your doctor all you need to do is join. Instructions vary slightly per device.

3. Click on the “Join Now” button within the body of the email; this will open the
Cisco WebEx Meetings app on your device.

6. Let’s test your video connection. On your smartphone or tablet, tap the microphone and video
camera icons so they turn gray, then press “Join.”
Microphone MUTED and Camera “OFF” Microphone and Camera “ON” (ready for virtual visit)
7. Now, let’s make sure your microphone and camera are “ON.” A red button means your microphone is muted and/or your camera is off. If they are red, then click each so that they are unmuted and on.
8. CONGRATULATIONS. You’re all set for your virtual visit.
