Assessment Co-ordinators and Data Managers Key Stage 2 and 3.

Summary

These guidance notes support the process of downloading your students’ 2012 Key Stage results from the Key to Success website. These are available from the beginning of July. The results downloaded will be the current and amended results including Raw Scores, Teacher Assessments and Test Levels. If you have already manually entered some of the results, these will be overwritten with the downloaded results.

Note: If you select to download the CTF type file (which is recommended), then this is imported via SIMS. net NOT Assessment Manager.

If you select to download the CSV type file, then that file is suitable for use with applications which use a spreadsheet such as Excel.

Note: Historical Key Stage 1, Key Stage 2 and Key Stage 3 results for all your current On Roll pupils or pupils in an Admission Group are available for download from the Key to Success website. You are required to have the UPN of any pupil for whom you are requesting historical results. These results can be searched for by following these notes and selecting the option for Searchable data see page 3, or there are separate notes available on the OCC Intranet site.

Checklist

You will require a USER Name and PASSWORD to access the Key to Success Web site, (these are the same as your s2s User Name and Password, if you are not sure of this please ask your Office Manager).

You will also require User access/permissions to import CTF files into SIMS .net (e.g. School Administrator - again if you are not sure of this please ask the Office Manager or SIMS System Manager in school).

Tasks

Accessing the Key to Success web site, generating, and downloading CTF files containing Key Stage 2012 results.

Extracting the Zip CTF.

Importing the downloaded CTF file of results into SIMS .net.

Reviewing the results in Assessment Manager.

Using the Key to Success website

The Key to Success website provides confidential pupil information including historical Key Stage data, and new Key Stage data. To access the web site you need a User Name and Password (this is the same as your s2s User ID and Password).

If you wish to download the KS2 results as a CTF file to import into SIMS .net please open the internet from your SIMS Central desktop. However, the results can be saved to any location.

1. Log on to the Key to Success website https://www.keytosuccess.education.gov.uk continue to the School Login Page.

2. At the School Login Page use your USER Name and Password (this is the same as your s2s User ID and Password).

3. Once logged in, you will be presented with the following screen. Please check that the School Name and DfE number are correct. If there are any queries please confirm your User ID and Password with Data Analysis Team 01865 810531.

4. The files for download will be displayed in the Downloads section (see below). Further options can be selected from the Downloads panel to the right of the screen.

5. Click on the CTF file link i.e. 931xxxx_CTF_931xxxx_001.zip (where xxxx is your school number). If you wish to save an excel version of the results use the CSV file.

6. Click on the Open button.

7. Save the file into a known folder. For schools using SIMS Central, navigate to your CTF Import folder using the route of XXXX on ‘sims.local\appdata’(F:) (where XXXX is your school no.) | SIMS | CTF Import. For all other schools please save this file into a location of your own choosing.

8. The file will either save automatically or a Download Complete box will be displayed. Tick the box for Close this dialogue box when download completes and then click on the Close button.

9. Log out of the website in the usual way.

This will display your school’s number.

If your school is NOT on the SIMS CENTRAL Server (only a few Secondary Schools) please navigate to the location of the saved file to extract the XML file and then follow the steps below.

10. Return to SIMS Central desktop (green and orange background) and double click on the My Computer icon at the top left hand side of the desktop. For Non Central schools – please navigate to the location where you saved the original file.

11. Navigate to the CTF Import folder using the route of XXXX on ‘sims.local\appdata’(F:) (where XXXX is your school no.) | SIMS | CTF Import.

12. The KS2 e-results will be displayed. Highlight the file and use the route of File | Extract All….

13. At the extraction wizard click on the Next button twice.

14. At the Extraction Complete window click on the Finish button.

15. A window displaying the CTF XML file will appear. Close this window down and log into SIMS .net to import this file.

Importing the CTF file (All Schools)

1. From your SIMS .net Homepage use the route of Routines | Data In | CTF | Import CTF.

2. From the Data to be Imported panel remove all ticks with the exception of the Assessment Data and the Student Basic Details box.

3. From the Import Selection click on the CTF File browse button

4. The browse should open in the CTF Import folder (for non SIMS Central schools navigate to where you saved the downloaded e-results CTF file).

5. Double click on the yellow folder containing the unzipped CTF file (see below). The folder will display your school number.

6. Double click on the XML file.

7. You will be returned to the Import Selection panel. Before importing change click on the Place new pupils in down arrow and select On Roll. (For secondary schools select pre-admissions)

8. Click on the Import CTF button and the file will import. Details of the import will be displayed in the Exception Log panel displaying details of the import.

The exception log will show details of the pupils results imported and may show details about results have not been imported because results already exist, or the pupil has not been imported because a pupil with the same UPN is already in the system. Do not worry about these messages.

9. Close the dialog box.

10. Go back to the Home page of SIMS .net.

Reviewing the Results in Assessment Manager

Marksheets

You should now be able to view the results for the pupils in Marksheets in Assessment. Any Marksheet containing the aspects for the appropriate Key Stage will then show the imported results.

OPT Y6 Tracking Marksheets

The downloaded KS2 results will be displayed in any of the Y6 Tracking marksheets. Please check to make sure that the results have downloaded successfully.

Individual Student Assessment link

To check individual results it is now easy to check an individual student from the student details screen.

Select Focus | Pupil/Student | Pupil/Student details and search for the individual Pupil you have just imported results for. Once the details of the pupil have been selected select the Assessment link on the right hand panel.

This will then display any results which are stored in the individual pupil’s record. This should include the results that you have just imported.

End of Key Stage Reports

Once the full set of Key Stage results have been imported you will be able to generate Individual and School summary reports from within the Wizard Manager.

Historical results

You may search for and download the Key Stage e-results for pupils joining your school or who have already joined your school by selecting the Historical Results option and follow the instructions given.

There are more detailed notes on downloading historical results on the Intranet should you require them.
