How It WorksStaffCop is a client-server application and consists of two main parts - the administrative module and agents.

The administrative module is used to administer the entire StaffCop package. It is used to install agents over the network, remove them, change their properties, generate reports.

It is not recommended to use more than one administrative module in one local area network The reason for it is that the agent automatically deletes logs on remote computers after they are uploaded to the administrative module to save disk space. Thus, two administrative modules will receive different incorrect reports.

The administrative module also includes:

Report WizardThe Report Wizard is used to build reports about the use of computers by the company's employees. It can download logs from remote computers, save them to the administrator's computer and create reports for the specified time period for all employees or only for some of them.

SchedulerThe scheduler is used to automatically download logs from users' computers and build reports. It works automatically according to the settings of the StaffCop administrative module.

Agent It is a system service running on the user's computer. It is used to automatically collect all necessary data and to send it to the administrative module on request.

The agent is always active and monitors the computer activity. It should be noted that the user can neither remove nor disable the agent if the network is configured correctly. However, it is possible if the user has administrator rights or uses the administrator's account, which is actually incorrect and postentially dangerous.

Report Generation They can be generated either on request from the administrator or at certain intervals according to scheduled tasks. A report about users' network activity may include either complete information about their work or partial information. For example, you can specify some restrictions, build the report only for particular users, particular operations, a particular time period and so on. The report is presented in a convenient HTML form.

Getting StartedYou should correctly install the StaffCop package to be able to successfully work with it. As a rule, there are no problems with the administrative module. The StaffCop package automatically installs agents on the selected computers without any special problems in correctly configured networks.

To deploy the system in the company's network, select the "File / Add Computers" menu item and select the computers that should be monitored. Before you do it, note that StaffCop needs open TCP port 1091 to connect to agents - check the settings of your firewall! In case you have problems with the automatic installation of agents, you can install them manually.

After you install agents and the administrative module, the system is ready to work (and we should mention that the system is already working since agents are run right after they are installed).

The administrative module is used to create and view reports how the staff work. It is a standalone Windows application where you can install and remove agents, change their properties, view their status in real time and create reports for a certain period of time.

Reports about monitoring computers can be very flexibly customized. They can contain the entire information or only the information that you need, for all or only certain agents, for the entire period or only for some days.

Main WindowThe main window of the administrative module consists of two main parts - the agent list and the fields containing information about the current status of these agents.

The tree in the agent list (on the left) shows all agents connected to the system. The administrator can create the agent tree depending on the logical considerations, user groups and so on.

Each agent has an icon showing its status (enabled or disabled). A right click on the name of an agent opens its context menu you can use to perform the most frequent operations.

The right (main) part of the window shows the current information about the status of the selected agent. There can be seveal tabs opened at a time, i.e. several agents.

There are several tabs at the bottom of this part of the window where you can view different types of information: sites, processes, AIM/MSN, agent properties and others.

The standard items of the main window also include the main menu and the toolbar.

System Installation Types The StaffCop system consists of two parts: the administrator module and agents.

The aministrative module is installed on the network administrator's computer or on the computer of the company's owner. It takes a couple of minutes and causes no problems.

After you install the administrative module, you should install agents on the network computers you want to monitor. It is possible to use the batch automatic installation and the manual installation of agents in the current version of StaffCop.

The first type is the most preferrable one - batch automatic installation. It is the quickest and most obvious way to deploy the system. The time the complete installation will take in this case will be as little as possible and it almost does not depend on the number of computers on the network. Usually it takes several minutes.

In case it is impossible to use batch installation, you can easily install the agent manually. In this case, the time of installation is directly proportional to the number of computers in the network.






StaffCop Help

Batch InstallationBatch installation is the most obvious and quick way to deploy the system. Use the "File / Add Computers" menu item in the administrative module to start this process.

Then select the "Remotely install agents on computers" item.

You will see the window with the structure of your local area network. If there are computers where agents are already installed, you will see it.

You should use this window to select the computers where you want to install agents (select their checkboxes). You should also specify the directory where the installation files of the agent will be initially copied. If you need to protect agents with a password, you can also specify it here.

After you click the "Install" button, the agents will be installed. It may take several minutes depending on the size of the local area network. Information about the installation process is displayed at the bottom of the window.

Note: you have to have administrator rights on the remote computers to be able to install agents successfully. Also, check that ports 1091 on the administrator's and users' computers are available for StaffCop.

Manual InstallationIn case it is impossible to use batch installation, you can easily install the agent manually. To do it, start the file agent.msi on the computer you want to monitor. The agent will be installed immediately after you confirm it. If the agent is already installed, you will be offered to remove or leave it.

RemovalRemoval means either simply removing the agent from the list in the administrative module or completely uninstalling the agent on the user's computer together with all information related to it (note that logs already downloaded from the agent to the administrator's computer are not deleted).

To remove an agent, select the "File / Remove Computers" menu item. The agent will be removed from the list right after the confirmation. If the "Remotely uninstall agents from LAN computers" checkbox is selected (by default), the agent will also be uninstalled from the user's computer. In case you have problems with uninstalling the agent automatically, you can do it manually. To do it, run agent.msi on the user's computer. To remove the agent from the list in the administrative module in this case, you should use the "File / Remove Computers" menu item. You should select the checkbox of the correponding computer there, clear the "Remotely uninstall agents from LAN computers" checkbox and click the Remove button.

Installation FAQBelow you can see answers to the most frequently asked questions about the deployment of the system.

Q: What are the most likely reasons why agents are not installed during remote batch installation?A: These include the following:

1. The Server service is disabled on the remote computer.

Enable it (Control Panel / Administrative Tools / Services).

2. The ADMIN$ service resource is absent

To enable it, type the following command in the command line: net share admin$. If the following key exists on the computer:

HKEY_LOCAL_MACHINE\System\CurrentControlSet\Services\lanmanserver\parameters

Under Windows 2000/2003 Server :AutoShareServer of the REG_DWORD type Under Windows 2000/XP Workstation :AutoShareWks of the REG_DWORD type

then set it to "1".

3. The Remote Registry service is disabled

4. The firewall is not configured

Open port 1091 for the TCP protocol. StaffCop uses this port to exchange information between agents and the administrative module.

5. Simple file sharing is enabled.

Disable this option:

• Open My Computer; • Select Folder Properties on the Toolsа menu; • Click the View tab; • Clear the Simple file sharing checkbox; • Click OK.

Q: I know the administrator password on the remote computer. Can I install the agent automatically in this case?A: No, it is forbidden in Windows. You can try manual installation.

Q: Firewall blocks StaffCop.A: Make sure that TCP/IP port 1091 is open for staffcop.exe, reportwizard.exe and agent.exe . It is used to exchange data between agents and the administrative module. The port must be open both on the computer with the agent and on the computer with the administrative module.

ScreenshotsWhat it is:

A screenshot is an image of the computer screen at a certain moment, i.e. an image of the entire desktop with currently open windows and the taskbar. If two or more monitors are supported, all screens are visible on a screenshot.

What it is for:

In most cases, screenshots can be used to judge about the work of a certain user throughout a day. For example, how often the window of the ICQ client or an Internet Explorer window with adult content appears there instead of the program the user is supposed to work with. Also, a screenshot is the most obvious evidence of an employee's indecency since it take quite a lot to make a fake screenshot.

How it is implemented in StaffCop:

Screenshots are the most visual and simplest type of reports. This type of monitoring means making screenshots at the specified intervals.

You can use the administrative module to view screenshots from remote computers in real time. To do it, open the agent and select the "Screenshot" tab. To refresh it, press F5 or select the "Refresh" item in the context menu.

Reports show screenshots chronologically with thumbnails for convenient navigation.

Note: being image files, screenshots represent the log type that occupies the largest amoung of space. That is why it is not recommended to set a small interval (less than 5 minutes).

Internet Messengers monitoringWhat it is:

IM stands for Instant Messenger. It is a type of software for exchanging instant messages. The most popular programs are ICQ, MSN Messenger, Yahoo! Messenger, AOL Instant Messenger, mIRC. This type of software is getting more and more popular because people can use it to communicate in real time as if by phone. According to specialists, e-mail will soon be replaced with IM systems.

What it is for:

It is no secret that chats take a lot of time. According to many researchers, IM is the main office time killer. Of course, it is a working tool for some employees. For example, most technical support issues are dealt with the help of ICQ and MSN in our company. That is why it is no good to completely block IM in the corporate firewall and it can irritate some key employees.

Monitoring ICQ in a random way or searching user chats for suspicious keywords seems more reasonable. IM logs can be used to prove employees' illegal actions (it is already used as evidence in court in the USA).


StaffCop can collect statistics about IM systems. The current version supports ICQ and MSN.

The collected statistics include overall time spent in the instant messenger, message type (system and direction), the number of sent messages and the full chat text.

The administrative module allows you to view the latest several dozens of sent and received messages in real time. To do it, open the agent and select the "Internet Messengers" tab. You will see the latest messages sorted chronologically. Press F5 to refresh the information on the screen. You can use the context menu to save a message to a file or copy it to the Windows clipboard.

Reports contain summary information about users the user chatted with and the number of sent and received messages. It is also possible to view the full chat text.

KeyloggerWhat it is:

Keylogger is the name of a class of software used to log all keystrokes. It is often used for spying purposes if you enable the stealth mode for the application, but still a keylogger can be used for a lot of legal purposes. For example, restoring typed text after failures and errors, in case of incorrectly created passwords and so on.

What it is for:

You can see the following things in this type of report:

All keys employees press. You can use it to evaluate how busy employees are with their jobs How frequently windows are switched (partially correlates with с Workday) Frequently pressed key combinations in order to optimize the work of the department on the whole Restore typed text after a failure or after you accidentally close the application window


StaffCop allows you to view both workday keystroke reports and real-time statistics for the last few hours in a convenient way.

To view real-time statistics, you should open the necessary agent and select the "Keyboard" tab. It shows all keys pressed in the corresponding window in the chronological order. To refresh information on the tab, press F5 or select the corresponding item in the context menu.

To view a report for a certain period, you should build it in the "Report Wizard". You can find keyboard reports on the "Keyboard" tab.

WebsitesWhat it is:

We guess there is no need to explain you what a website is. Monitoring sites in StaffCop implies creating a report with the list of sites visited by the user during his workday and also viewing the list of open websites in real time (the administrator can close sites).

What it is for:

The list of sites an employee visits throughout a day indirectly indicates how busy the employee is and how interested he is in the job. For example, job search sites or adult sites.

Moreover, visiting entertaining sites carries such hidden dangers as infecting the local area network with viruses, which may lead to data loss or traffic upsurge (sending spam by viruses or breaking passwords to other servers).


StaffCop allows you to collect statistics about sites users visit.

The administrative module allows you to view sites currently opened by the user. You can see the page title, its URL when it was open and how long it has been open for. You can use the context menu to close the site on the user's computer. To view the list of open sites, open the agent and select the "Websites" tab. To refresh it, press F5 or select the "Refresh" item in the context menu.

Reports provide more detailed information about sites the user visited. In parciular, you can see the list of domains (for example, www.youtube.com or www.facebook.com) where pages were opened. A click on a domain opens the list of pages visited on this domain.

Also, reports show the total time spent on pages and domains and also its distribution in percent.

Note: StaffCop can detect pages open in Internet Explorer, Mozilla, FireFox, Opera, which means in the overwhelming majority of existing browsers. The advantage of this method is that it does not depend on whether there is a proxy server installed on the system, on the port used to transfer data (some rare servers use some other port than standard port 80 to respond to requests), on the connection type (the page title will be correctly detected even for pages encrypted with HTTPS).

ApplicationsWhat it is:

In StaffCop, monitoring applications means viewing the list of currently running programs and also building a report about how programs have been used during office hours (including disctribution in time).

What it is for:

The time an employee spends in a particular application clearly shows the distribution of his time throughout the workday. Isn't it unusual to see icq.exe being active 70% of a software developer's time or freecell.exe being active 70% of a sales manager's time.

Another use of this type of statistics is self-control (including home and corporate users). For example, many people are shocked by the fact that they spend more than half the time they work with the computer on reading mail. In the same way, you can build reports about the use of applications during 2-3 months and make a conclusion about the effectiveness of certain tools and software products.


StaffCop allows you to collect statistics about the use of applications installed on the user's computer. It includes all started application and processes running in the system.

You can use the administrative module to view the list of processes running on the user's computer in real time. To do it, open the agent and select the "Processes" tab. You will see the list of processes, including window titles (in case of applications), the time when they were started and the time they have been running for. Press F5 to refresh the list or select the "Refresh" item in the context menu. You can close any process using the context menu.

Reports contain detailed information about what applications the user has started.

USB and Bluetooth devices What it is:

USB and Bluetooth are interfaces for connecting external devices. One of their indubitable advantages is that you do not need to install any special software to be able to work with this kind of devices. For example, a digital camera, a USB Flash Drive, an mp3 player are ready to work in Windows right after they are connected to the computer.

What it is for:

USB Flash Drive devices are very popular nowadays. These are small devices for transferring data. It is possible to carry up to 4 GB of data on a moden Flash Drive. And it is nothing but a real find for a spy.

Even if you have a corporate firewall, you cannot exclude information leaks via USB. StaffCop allows you to detect when external devices get connected and displays detailed statistics regarding the type, date and time of the connection, the model of the device and so on.

For example, connecting such a device at the end of the day is not a necessity for each employee and may often look suspicious.


StaffCop collects statistics about how connected USB and Bluetooth devices are used. It is possible to detect the moments when devices are connected and disconnected. It is also possible to detect the type and name of the device.

The most important information about the system operations on the employee's computer is displayed on the "Events" tab of the agent in the administrative module. Statistics for USB and Bluetooth devices belong to this type of information. To refresh information on the tab, press F5 or select the corresponding item in the context menu.

You can find reports with information about the use of USB/Bluetooth in the "Events" section. They contains the name of the device, its type, when it was connected or disconnected.

Files TrackingWhat it is:

While working with the computer, the user uses files all the time. These include both the programs he runs and the documents he edits and creates. It is possible to see in StaffCop what files the user uses most often.

What it is for:

First, you can find out that the employee accesses documents and files he does not need in his work. Second, copying commercial information to removable media (that is, stealing confidential information in fact). Third, wasting working hours on doing anything not related to one's duties.


Monitoring files is implemented in StaffCop in a very visual way. The administrative module shows all records about operations with files on the employee's computer. And the administrator can customize monitoring rules: masks, drives, directories, etc.

You can use the administrative module to view screenshots from remote computers in real time. To do it, open the agent and select the "Files" tab. Press F5 to refresh it or select the "Refresh" item in the context menu.

Operations with files are displayed in reports in a similar way.

Note: By default, the StaffCop agent does not monitor all files. It monitors all files except for the following types:

*.exe;*.com;*.dll;*.sys;*.drv;*.bat, *.log,*.raw,*.dat,*.pf,*.tmp

You can costomize this option. To configure it, open Agent Properties and specify your mask.





StaffCop Help

System Logon/LogoutWhat it is:

Logon and logout mean turning the computer on anf off, switching the current user and also the duration of idle time when the screensaver is active.

What it is for:

You can use this data to judge when a certain employee starts and ends his work and also how long the computer is idle (the screensaver is active).


StaffCop allows you to collect statistics about how long a particular employee uses the computer (i.e. about the duration of his work day in an indirect way). It includes:

the time when the computer is switched on and off the time of system login and logout the time when the computer is idle (the screensaver is active)

The administrative module shows this information on the "Computer" tab. Open the agent in the agent list on the left and select the corresponding tab. To refresh the information on the tab, press F5 or select the corresponding item in the context menu.

You can find reports with this information in the "Computer" section.

WorkdayWhat it is:

In terms of StaffCop, a workday is a chronological sequence of the user's actions that StaffCop can monitor. For example:

9:00 - Switching the computer on and logging into the system 9:15 - YouTube - Broadcast Yourself. [iexplore.exe] 9:25 - Chat [windowsmessenger.exe] 9:31 - Current prices.xls - Microsoft Excel [excel.exe]

and so on.

What it is for:

You can clearly see for how long the employee is busy with his job. For example, if he switches from his work to, say, Solitaire every 5 minutes, it is hardly a sign of concentration on the task at hand.

Besides, you can see how quickly the staff get down to work judging from these reports. For example, if your workday starts at 9:00 and everyone is busy reading mail.ru for the first forty minutes, you may think about optimizing it some way.


StaffCop allows you to view what the employee does during the workday in the chronological order. It includes the list of visited sites, used applications, switching between programs, using removeable devices, printers and so on.

This type of reports uses information obtained from other types of reports. It is only the representation of information that changes. This way you can detect suspicious chains of actions.

Information about the workday is not available in the administrative module.






StaffCop Help

Generating ReportsThe Report Wizard is used to build reports. You can open the Report Wizard from the StaffCop menu ("Reports / Report Wizard") or as a standlaone application from the "Start" menu (it is also possible to start the Report Wizard according to schedule if you use the Scheduler).

The Report Wizard builds reports for all agents connected to the system in the list or for the selected agents only. You can build reports for any period you are interested in. Once you specify these settings, the Report Wizard will query the selected agents and download the available set of logs to the administrator's computer. The report generation process will be started right after that. The time necessary to generate a report depends on many factors. For example, a one-day report for a network consisting of 20 computers will be generated in not more than 1-2 minutes.

By default, the report includes all information collected by StaffCop. At the same time, you can create special reports for all or separate employees. Such reports may contain only part of information. See the "Report Customization" section for details.

The report is created in the HTML format and can be viewed in any modern browser. All created reports are stored in the folder specified in the StaffCop settings. By default, it is "My Documents\StaffCop\Reports".






StaffCop Help

Report SchedulerStaffCop comes together with the Scheduler. Its purpose is periodically download logs from remote computers to the server where StaffCop is installed and also generate reports and send them to the specified e-mail addresses.

To change the settings of the Scheduler, select the "Reports / Scheduler" menu item or start it as a standalone application from the "Start" menu.

The Scheduler runs as a standalone application and it is displayed in the Windows tray. The Scheduler can be started automatically at Windows startup. It is specified in the Scheduler preferences.

How the Scheduler WorksYou can specify an individual rule for each agent or a group of agents that will be executed at a certain moment. You can create a new task using the "Tasks / Add Task" menu item. You will see the dialog box where you can create a new task.

The following fields are important in the New Task dialog box:

Name - the name that will be displayed in the task list of the Scheduler; Type - task type (once at the specified time, periodically on the specified days or at the specified time) Period start and Period end - the period when the rule is active (for periodic processes)

Report CustomizationCustomization means changing the types of collected information included in the report. By default, StaffCop includes everything the agent can monitor on the remote computer in the report. However, it may lead to a considerable increase in the time needed for report generation in large networks consisting of hundreds of computers. Moreover, it is not always that the administrators of StaffCop need the full information. In some cases, just several types will do, for example, visited sites or the time the employee spends playing games during his workday.

You can customize the structure of reports either globally for all users or separately for each user. To specify the parameters, use the "Settings / Options... / Reports" menu item.

Use the new dialog box to specify the types of information that should be included in the report. These settings are globally applied to the Report Wizard. You can configure special parameters for each particular agent. You can do it in the ReportWizard while downloading logs and generating a new report.

Summary reports are reports for a group of agents and for all days in the selected time period. The image below shows you what it is like. (1) - summary reports for all agents, (2) - summary reports for a particular agent.

Adminsitrative ModuleThe administrative module is used to control the system: install agents, view statistics in real time, create reports (Report Wizard) and schedule log downloads (Scheduler).

This program is a Windows application with a comfortable user interface.

To connect to agents, you need to open TCP port 1091 in your firewall / antivirus.

Agent PropertiesAgent properties are specified in the adminsitrative module. You should select the necessary agent in the list to display the dialog box where you can change these properties. Select Agent Properties in the context menu. You can change its properties in the new dialog box.

Here are the main properties:

Stealth mode - specify whether the agent icon will be displayed in the tray.

Port - specify the port number via which the administrative module will exchange information with the agent. Port 1091 is used by default and it is not recommended to change it.

Additional spy ports - specify the ports (besides the default ones) that should be additionally searched for useful information. It is used in case a proxy server is used in the company.

Startup message - if specified, the user will see it each time the agent is started (the user logs on). It is used to inform the staff about the ongoing monitoring. This message is NOT SHOWN when Stealth mode is used.

Remote screenshot properties properties:



Screenshots saving - if selected, the agent periodically makes screenshots of the user's computer screen.

Saving Interval - specify how often the screenshots should be made (in minutes or seconds).

Disk quota - specify the maximum space on the disk screenshots can occupy. If this quota is exceeded, the agent will either delete the oldest screenshots or temporarily stop making screenshots (until the adminsitrative module downloads the existing ones).

Workday history properties:

History saving - if this option is enabled, the user's computer will be completely monitored and all data will be chronologically saved for reports to be later built.

Idle interval - the interval for refreshing data for agent reports. It is recommended to leave the default 5 minutes.

Active from ... to ... - the time when the computer is monitored. If the user's computer is constantly switched on and the workday is limited, you can reduce the amount of information by specifying the interval from 9:00 to 19:00, for example.

Disk quota - specify the maximum space on the disk the saved information can occupy. If this quota is exceeded, the agent will either delete the oldest information or temporarily stop saving data (until the administrative module downloads the existing data).

File monitoring properties:




File patterns - the list of comma-separated file masks to monitor. It is not recommended to set the mask to *.* because a lot of unnecessary information will be saved in reports.

Applications - the list of exe-files of the programs. Only files touched by these applications will be monitored

Exclude specified documents - inverse the selection. That is, if you set the mask to *.exe , the agent will monitor all files except for *.exe .

AgentThe agent is a service running on the user's computer. It is used to collect all kinds of information and send it to the administrator on request.

The agent is installed on the user's computer either manually or automatically from the administrative module.

While running, the agent can be either visible or invisible on the screen. It is specified in the в agent properties. When it is running in the regular mode, its icon is visible in the tray, but the agent is completely invisible to the user in the stealth mode.

The agent collects logs about what the user does in protected locations unaccessible to a regular user. While sending information requested by the administrative module, they are automatically deleted from the employee's computer in order to save space.

You need to open TCP port 1091 for the data to be sent over the network.

Report WizardThe Report Wizard is used to create reports about the office hours of the company's employees. You can open it as a standalone application from the Windows Start menu or from the administrative module using the "Reports / Report Wizard" menu.

In the first step, the Report Wizard offers you to select the agents the report should be built for and the time period this report will cover.

Report generation settings are customized in the second step. By default (the "Use common settings" option), you are offered to use the settings common for all agents (specified in the settings). You can use the "Change settings" option to change the structure of the report for each agent.

Summary reports are overall reports for the whole specified time period. They show what goes on in the company as a whole.

Logs from the employees' computers are downloaded in the third step. It may take quite a while depending on the structure of the network and the number of computers.

The report is generated in the forth step. As soon as the generation process is complete, click "Finish" to view the report in Internet Explorer.

Why instant messengers are not monitored

The most probable problems are known and they are easily solved.

IM traffic goes via a proxy server or via alternative ports

Instant messengers have their own ports via which they exchange messages. If there is an anternative port specified in the settings of the program or it is connected via a proxy server, the StaffCop agent will not be able to detect messages until it knows the alternative port number.

In this case, message interception problem is solved like this:

1. Find out what port number is used in the IM. It is always specified in its settings. 2. Find out whether a proxy server is used or not. If it is, you should specify the proxy server port in the

agent properties. 3. Open the agent properties in the administrative module and specify the address of this alternative port in

the "Monitored ports" field.

Besides, it has been noticed that some ICQ programs use ports completely different from those specified in their settings! To determine the real port number, you should execute the command netstat -b in the command line. It will display the port that is actually being used at the moment. You should specify it in the agent properties.

Here is a sample output for the netstat command:

Here you can see that the program actually uses port 5198 besides port 5190 specified in the settings. It should be additionally added in the agent properties.
