With support from the Australian Government, the State, Society and Governance in Melanesia program at ANU (SSGM) and IWDA are undertaking research in Solomon Islands and Papua New Guinea to understand whether and in what ways economic inclusion and empowerment initiatives affect women’s experience of violence. needs to be incorporated in the design and implementation of economic empowerment initiatives, and in organisational policies, to minimise possible harm and maximise positive gender equality outcomes and assist actors to meet their minimum ethical responsibility to do no harm. Under the project IWDA is producing a number of practical guidance products, informed by the research findings in the Solomon Islands and PNG.

At the completion of the research project, three workshops will be organized in Solomon Islands (1 workshop) and Papua New Guinea (2 workshops) from February to March 2018. The workshops are: i) to introduce research findings and lessons learned; ii) to introduce guidance notes to development partners including local CSOs, donors, researchers and local governments who are implementing or involving in women economic empowerment programs at different levels.

ACTIVITY DETAIL

The DNH Logistics Coordination consultant will be recruited to work with IWDA’s Research Policy Advocacy (RPA) team, reporting to the RPA Advisor. This position will complete the following tasks for the organization and coordination of two workshops held in Papua New Guinea from February to March 2018:

Manage all logistics for the Workshop including communication with vendors for workshop venue, catering services, flight tickets and accommodation for participants;

Prepare paperwork for contracts with vendors (to be authorised by IWDA) and provide documentation to enable completion of acquittals following the workshops, in line with agreed deadlines.

Assist with materials production for the workshop including invitation letters, agenda and venue information etc.

Communicate with local partners to ensure logistical support for their arrival into Port Moresby and Bougainville and to workshop venues;

Provide coordination and administration support for the workshop planning including contribution to the agenda and materials preparation;

Take notes during the workshop and provide inputs for the draft workshop reports.

TIMEFRAME

It is anticipated that these deliverables will be provided through a maximum engagement of 15 days.

TASK DAYS TIMING

Workshop logistics

1. Communicate with vendors to select workshop venue, catering services, flight tickets and accommodation for participants

2. Send invitation letters (with agenda) to participants, follow up on RSVPs, and produce the final list of participants with information of names, titles and contact details (email, telephone and postal address), subject to privacy considerations

3. Liaise with participants who need to stay overnight in Port Moresby and Bougainville in order to attend the workshop: - Book flight tickets and arrange transportation, book accommodation - Ensure that participants receive correct information on travel arrangements - Ensure that participants arrive and depart safely

4. Communicate with all vendors to adjust booking after confirming the final number of participants

5. Develop a list of required materials and stationery for two workshops and inform IWDA staff for preparation

6. Welcome participants and make sure that they will be provided with necessary logistics information during the workshop; Be a contact person for any queries and refer participants to appropriate person for help 4

7. Take notes during the workshop (together with IWDA staff) and provide inputs for the draft workshop reports

8. Support IWDA staff to sign contract with vendors, collect receipts and necessary paper work to complete acquittal

REQUIREMENTS

The individual should possess the following skills and experience: ESSENTIAL

Practical experience in events management in Papua New Guinea

Exceptional attention to detail and proven ability to meet deadlines

Experience working in a fast paced environment with time pressure

Excellent written communication skills and reporting writing experience

Demonstrated experience managing budgets and producing acquittals.

Intermediate to advanced computer skills (MS Office)
