Introduction

Like all other business, Antique -2000 is also a sale purchase business and the good side of the businessmen is that they from very start started their business through internet. This Antique-2000 is a business based on purchase of antique items from different auctions and sale on their local shops or on internet.

The business is earning a nice profit but the web based settings for internet weren’t appropriate. Moreover, the financial settlements were bias and they have to be controlled systematically rather than manually to secure the financial grounds of the business. As though, the four owners have taken bank loan for their business which still has to be paid off. This project plan will clearly identify the project aims and their scrupulous steps of development.

Moreover, through this project plan the business personnel’s were given the requirements and their constraints face during the development the web based system. These requirements and the project plan will follow Soft System Methodologies for the achievement of the web based business objectives. This project plan will illustrate all feasibilities for every requirement especially considering the financial matters.

Later, the sections will talk about different leadership styles and how they can be applied while processing the project development. Installation of the project would not be the last thing but helping the business personals to act with the web system and to their business, guidelines, in other words, will be also specified.

Project SpecificationThe project specification for Antique-2000 is being developed in a manner that all

kind of project arrangements and projects measurements can be illustrated to the clients before starting any development. Specification covers the existing problems and business objectives for the confirmation from the client if the understanding with the project plan is precise and faultless. Later the specification about what system requirement, cost, time and quality will be given to the system. Interaction with system is all illustrated as follows:

Existing ProblemThe business analysis unlocks many problems which weren’t obvious. The

business needs and business sharing shows following few problems: Returning the bank loan should earn a nice profit. Difficult to open shops in different cities on rent. Enhance the business globally.

Owners have to stay update for every antique auction events in the country. Hiring employees for the services for customers on shops. Management of the stocks. Administrative rules should be given to all four owners equally. Finance should be handled in such a manner that all four gets the equal profit as

well as they can manage business liabilities easily. IT training will later be the part of maintenance team.

Business AimsAntique-2000 is a young business needs to flourish world wide. As with all other

business, aims and objectives are define to create a target for business to achieve. The achievement is impossible without any planning. These objectives encourage employees to work hard and touch the target in time. Business targets maximal upon the maximization of the profit realistically and in a particular time limit. Profit satisfaction is as important as the sales growth and sales growth relies on the customer trust. Business services i.e., supplying the quality products to audience with their choice of products and prices improve the customer reliabilities. Antique-2000 has more of the same objectives to flourish the business efficiently in a specific and measurable way.

Information System RequirementInformation technology is the name of managing official data and other official

requirements through computer and different software. Management Information Systems and Information Systems are the studies and management conduct to serve an industry technically through computers by storing data in a manner to give it a security of no loss and using it in further processes. Transmitting the information and retrieving it as necessary is all includes in MIS and IS.

Information systems are being in work globally. Antique-2000 will be now counted in an online business firm. Considering that business holds the liabilities for the bank which is yet to be pay off, gaining sound profit and enhancing the business. Information System will help Antique-2000 to be a web based business that allows their customers to shop online from their websites. With no more extra expenditures will be then made upon setting up the shops in different cities and paying off the rents. Hiring of sales representatives will also lessen up.

The website will be developed in a manner that each and every product, its detail, stock left and price will be displayed in images. Moreover, all products will be distributed in their particular groups. The project serves customer to shop online by selecting the specific product and adding it to the cart. This cart will bill at the end of the shopping and billing will be kept secure through credit cards.

For further act, Information system will maintain the accounts of buying and selling of the antiques on auctions properly and measurably on a database system on which all four members have an administrative control. Login and passwords for different users will be made for the administrative controls. This administrative staff will get an email for every auction held in different cities they subscribe in with.

Reports and details of stocks and accounts will have the option to get printed whenever required by any of the administrative staff. Moreover, all decision making documents will be refer by the Information System to get signature by all four stake holders of the business before publish on the main web site.

Cost ConstraintManufacturing a product or development of any project the resources and the hard

work requires the cost of a project. During the business analysis of Antique-2000, the business seems to be small but the augmentation and the plan follows completely develops a new web-based system, i.e., Antique-2000 running the business all round the world. Online Secure Transactions, Financial Account System, Administration part and the vital of all the online shopping modules for the profitable business. Moreover, the costs of resources like employees, hardware, software and other further promotions involved cannot be overlooked.

Nevertheless, according to what Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason hired me, so, it will be honor for me to develop the project as my practice and observe the business strategies and implement them in the project professionally. For less cost, I will try to work on my own or ask my fellows to help me in small tasks. Moreover, I’ll use the technology like Java that is an open source tool to design the web based business as well as is feasible to work on with in any kind of operating system. Small Medium Enterprise solutions are provided in less and reasonable prices that can be embedded with the software for some modules.

Time DecisionAccording to Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason from

Antique-2000 that they require the complete web business to get ready is with in three weeks. However, three weeks are less but working full time will hopefully make us achieve the goal. We’ll follow the incremental model which allows to analysis and design some part of the business and implement it and then moves to second. Keeping the time constraint in mind, the module division will be done in a manner that much of the designing will be done in a day and time is given to errorless coding. Quality Assurance will be done with my friends Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason after implementation which saves my time. In this mean time, the work on the next module will get to be started and often embedded with the system for Quality Assurance.

Using outsource applications like Small Medium Enterprise Solutions will not only affect the cost of the project but also saves time. The time decision is done in a manner that the project will be finished in eighteen days rather in 21 days, which gives a time for full deployment and final testing. User end testing will simultaneously do after the deployment on a time period of three weeks and though maintenance will be given as required.

Quality AssuranceQuality Assurance will be given to each module by four different people namely,

Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason. These people are however IT oriented but are beginners in this field. Though, they can carry out a detailed black box testing. However, white box testing will be accomplish while development of the project. At the end of the project that is before deployment Integration testing will be done by me myself. After Deployment, a complete System testing will be done. User Acceptance testing is done by the users at runtime along with regression and stress testing and actions against them will be taken as required.

Information Technology Involvement in BusinessInformation System is set to be in business that its role is to handle all

administrative acts, and decide if the decision taking place for the business is being done with the permission of all four stake holders or not. Moreover, the financial decision and accounts will also being the part of this Information System. Keeping the record of stocks and finding the auction events and acknowledging the members will also involve in this Information System. Last but not the least, shopping online is the main web business part. As Antique-2000 has few shops so branch connectivity and its information transmission will also counted in the list. Many other few business strategies will also later or sooner become the part of this system. Though, as all business is shifted to web so it may handle from anywhere in the world. This will lessen the employee hiring.

Technical TrainingComputer usage is known to every one now days. People of Antique-2000 are

computer literate. All what left is to train the using of the system which is not complicated but carries few technical clicks in steps. Though, IT training will be given to the four business stakeholders equally as well as the sales person on the shops. Maintenance training can be given to the technical hired person in team with me is at ease. For clients, for technical training, online help will be available on the website.

Project PlanningProject planning is the most essential step in any successful project. This is factual

in authentic time, where many projects are undertaken without any accurate or gracious planning and they either lead to the failures of the projects or some times if getting successful they lead to hard time at the user acceptance testing level or directs to a rigid maintenance. Different questions should be considerable before starting a project that what may be the problem situation and what is to be done, till when user wants it, how to complete it, what resources may require and things more or less like that. Planning can be visually displayed by Gantt chart, Organizational chart etc.

Problem SituationProblem Situation is nothing that complex as it seems to be by the company

owners. It can be said that four of the IT students passed their graduation and started their own business from bank loan. All what business is all about that they buy antique goods from auctions and sell them with their name Antique – 2000 with their own price. But neither they are yet business professionals and nor they are IT professionals and wants their business to enhance frequently. They decide to start the web based business which at least doesn’t give them more difficulties to face for their company’s marketing. And thought these four, Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason to start a website which not only help them in marketing but also will help them to make more clients online and earn more. Root DefinitionPictorial representation of the problem situation can be elaborated in a way that

all four Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason are giving their full time to business. One is always keeping the record of money and fights to spend less to earn profit. Second goes to auction and bids for more and more beautiful goods the beautiful price. The finance person gets the chance to speak up that this is not a fair deal that saving cannot be done.

One is shown to be roaming around here and there from this city to that just to find more and more clients along with checking out the outlets opened if the sales representatives are performing their duties efficiently or are lazy out from the work. He attends the calls to get the events of auctions as news as well as if customers have any complaints about the services.

The fourth do keeps the status of stock. What is saved in store, what kind of goods are to be placed in which outlet and how much in stock they are required to be stored? Information System DefinedStudying the Problem situation and its root definition in detail, Antique-2000

requires implementing an information system composed of different components proposed as follows:

Content Project ManagementIt’s all about the website management, done by any of the four owners of the

company and later any other staff member who is authenticated to do so can manage it. The content project management of portal website clearly allows the authenticated members to maintain the contents displayed on the website. This is due to, as the products to sale display changes or added depending upon the stock, promotions announcements and other news can also be updated on the web pages. All content written on the website is allowed to be printable in color or in monochrome mode depending on the choice of member any time. Spell and grammatical check will be available, so that content driven on website will have no error and seems professional.

The reason of developing this module is to give the members of the company an ease to change content dynamically from front end instead of opening and altering code every time seeing that this can be insecure for the website.

E-commerce Web Store Management This is the module of an Information System which allows the administrative staff

to add, edit, and delete the products on sale. Moreover, putting each product’s full information for client will also be its part. This is all done by the administrative staff dynamically through front end forms since editing the code every time is not a good programming practice.

This management store is actually designed for the clients viewing the website all around the world. They can view the products of Antique-2000 and would decide what they like to shop. A virtual cart will be there on page to serve them; they can select the product by studying its price and other information and ADD them in the cart. At the end of the process; i.e., before billing client can check the whole cart as a list along with its prices and the total price of the cart that will be billed. This is for the client to make the final decision if wants to subtract any item from it. Clients will also give the opportunity

to convert the prices in any other currency they require as default currency shown will be U.S dollars.

This e-commerce web store will charge the client through credit card numbers and keeps the clients information saves for further promotions.

Online Payment SystemA secure online payment system will keep the client trust and reliability on

Antique-2000. Besides client trust, the business economy terminology also don’t allows to sale products to every user. User will be asked to enter credit card. Credit Card will be in no time checks from the bank and a mail is sent to the client’s email id to receive their products from the respective outlet near by their home location.

For security reasons, mail will be sent on email id registered in bank along with the credit card or in case of no email id given the mail will be sent on the postal address used for registering while issuing the credit card.

Client’s information will be resumes if in case of no payment and acknowledgment is being done by the mail as well and client is allowed to resume back the information within next 7 days else the information will be no more saved.

Dynamic Mail CommunicatorThe mail communication is being very common to our routine now. All offices

uses only mails to communicate officially, though the web based business of Antique-2000, it will be allowed the clients to stay in contact through mails. These mails are programmed in a manner such that the samples are programmed but sending the shopping confirmation or error in using card will be sent dynamically. Similarly, promotions will be advertised to only clients of this Antique-2000 by a mail sent animatedly.

Finance ManagementThere are number of open source accounting software. Due to less time constraint

we’ll choose one of the free open sources accounting software from internet and later we’ll try to develop our own and embed them in web based business of Antique-2000. It’s not that accounting software cannot be develop but it is about the perfection and taking risk in less time about the finance of the business is the biggest issue.We naming, Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason along with me decided to choose Free Accounting Software provided by Support Chain Technology as it is an intuitive, easy to use, robust, multi-user, inventory business management system and accounting software solution stated by System Online (Systems Online, 1995 - 2006). This software gives the options of multiple entries and synchronizes itself later. Moreover, keep a record of sales and purchase orders and can display reports anytime. The best part of this software is that it uses average cost accounting methods and the customer support is available anytime which helps in quick learning.

Business Management SystemThe last system that has to be developed is the system used by administration.

This is the login module where an administrative member makes, edit and delete the new

logins and rules of the website. This system is completely designed for the administrative staff of Antique-2000.

Project PlanTo accomplish the task successful, complete planning should be done. However

as no one is perfect, though project few changes are allowed. Despite the fact that, project development should be completed within three weeks, the planning of how the team would be, what the plan should be, how to control, what the risk may occur, and how much quality product is to be developed.

Project Management TeamProject Management team is compromised of my self. My few of my friends will

help me in developing however, Mr. John Alger, Sue Wong, Andy Petal and Kerry Mason will help us in analyzing business and QA.

PlanProject will start by analyzing the business Antique-2000 along with its

requirement gathering; these being done in not more than 48 hours. Leading to it will be the next step of preparing the project planning and specification document. This will be done so that the requirements are finalized and no new functionality will be add on while development from the client. This task should not take more than a day.

The next task after research work will be development of the project. All requirements described under the topic of Information System Defined. This task is the most vital and complicated so it will take almost 15 days. This development done will later be checked in the process of quality assurance period in which full quality product will be taken out. The Quality testing process will take 3 full days along with nights and later after uploading the system online testing and maintenance will keep going on.

ControlHowever the senior team members and other official hierarchy is not present here

in this project, though for this project authority to control the project is given to all four members of Antique-2000 who are require to check if the work on the project is timely being done or not.

RiskHowever, project development time period is very less though, for any loss of

data a backup will be prepared. Moreover, for any disaster or system failure, I and my team are require to be available for the immediate maintenance.

QualityFor developing the quality product, the personnel for Antique-2000 will be given

every small and big module to be tested soon after the development. All black box and white box testing will take place later or sooner on the project. At the end integration testing along with system testing will also is being done.

Time ScalesTime scales allows supervising completely upon the project development and is

applied for every module of the project plan; so that the task can be accomplish in a measurement schedule, rather being working eventually. When time scale of a project is defined the management knows well to achieve the goal in that interval and though they work hard and with soft nature to communicate and find the complete information from the business personnel and management.

The timescales decided while making project plans are set to be realistic and practical in a manner that any happening can take place and resources couldn’t work. It should be kept in mind that time scale should cover all modules in a manner that resources have some time for free where they cannot get tired and bored for work. Their bore mood or tiring mood can affect the project development.

Often in practical scheduling, time scales may change while working on the project as sometimes cause of missing resources thee schedule can get late. The manager setting the time schedule must keep in mind that module identification is important. And manager is the only person who knows best way to identify that how much a module will take time and how much resources are required for it.

However, many projects get late especially, in development phase; so sometimes time scaling goes a side of the work. Despite the fact, project manager should plan the project to meet the deadline before time and if had an idea, then personally should start working on the modules before time already planned. That is, that if one module is finished before time, the resources should not be asked to wait for the date to start next module. Resources should require starting working on the next module from the very same date.

Though, keeping these facts in mind, I decided to finish the project two days before the deadline. However, Quality testing is mentioned to be done in last 3 days but producing an errorless product in time QA of every module will simultaneously be done.

ResourcesResources in project management may define as the best and optimal way of

using the time, people, hardware, software, finance and working area while developing a project completely. Creative projects are given to different project mangers that are than discussed and make themselves different from others by giving the idea how they best use the resources and can efficiently develop the project. Resources are not only the using machinery but also the people who are there to develop the project along with the finance taken or used to complete the task from a – z of the project. It also includes the software and hardware require in the development of the project. Time matters a lot as every second is precious for a person who develops project so every minute is being paid.

It is being particular that before the project starts, project Manager should keep in mind all the resources and know if the financial expenditures allow resources to be in approach in time or it should be discuss with the clients if they re necessary to be used or those functionalities can be delayed or omitted for a time line deployment.

Keeping the facts in mind, I decided to use my home computer as server and my resources will keep using their own resources so that business of Antique-2000 won’t get disturb while development of the project. The ISP servers and resources like my team will be paid around 100$ a week for their day and night hardships. Moreover, company will pay the amount of software requires for the development before the project time starts. Extensively electronic, meals and other mechanical expenses will be also in charged by the company.

Leadership StylesLeadership is the superlative way to analyze and alter the thoughts and minds of

people with you and besides you. Some people have in born attitude and some learn to be a leader. People who have inborn mode of leadership gets autocratic and who learns gets democratic. Autocratic people may also get democratic sometimes after learning the leadership but it all depends on the person who is the ideal leader (the trainer) for the one.

There are following different ways of leadership (U.S. Army Handbook, 1973): Authoritarian or Autocratic Leadership Participative or Democratic Leadership Delegate or Free Region

Effects of LeadershipTo every organization, there are internal problems and especially where there are

boss is more than one. It’s not only that organization has fights among the employees but it is a more possible opening and a disaster of business when seniors or business runners fight. Similarly, as in the business of Antique-2000, all four owners of the company require having the decision powers and are called managers of the company.

But this is to distinguish if all four have the abilities to be managers. Well, while gathering the business information it was being analyzed that Mr. John Alger and Mr. Sue Wong are democratic leaders and Mr. Andy Patel and Mr. Kerry Mason wants everything to be done by orders. Though, leaders and their leadership can affect the business in negative or positive attitudes. Following are few problems

No ControlAll project development requires to be supervised by a leader. Similarly, for the

project of Antique-2000, it also requires to be controlled by any of the member in the business. This is because if the team is not being supervised, the development team would be doing whatever and whenever they want which may lead to a delay or dishonesty in completion of all modules. So, it would be good if Mr. Andy Patel gives a strict and hard time to the team.

Fast Access to WorkAttitude of the leaders should be friendly and associated. This is to understand the

development requirements and taking care of the developers who are putting their efforts day and night to develop the project. This care and concern will make the developers love their work and their hardships would not for money but for the personnel as well and this makes them enjoy their work. As working in enjoyable setting, results to more work done than in a boring environment. Mr. John Alger is one of the people who can manage this situation finely.

SocializationFor the expansion of business, light mode communication matters a lot, as people

may get attracted to the syrupy natured person and this can bring more clients to the business. Though, gatherings, giving treats to employees, communicating with clients etc. May lead to business development is a qualified growth. Mr. Sue Wong is diplomatic leader and can create a nice social business circle by himself.

Financial GlanceBeing soft hearted is not only the solution to deal with the employees as this may

be a loss of the business. That is, taking care of employees in a manner to spend on them more than what business accounts allow is also not an excellent leadership. Though, a person should be authoritarian in a manner of spending for extra curricular activities for socialization. Mr. Kerry Mason is a person of regulations and is stringent towards work and employees. Though, he can be the best leader to give a glance over financial matters.

Quality Project DevelopmentIt is a vital step to develop a web based business in this era but more vital to it is

to produce a quality product. Quality production can only be done if the business is fully analyzed. Analyst should be smart but as in case of Antique-2000, business people and web developers both are not much professionals, though, leaders should be calm in answering the questions of any type. Moreover, leaders of the company should not only answer the question once but to make the analyst feel comfortable that much that analyst can ask one question number of times so that one can make his mind clear about the business strategies. As good as the analyst is good in understating the business, as much as the quality product will be taken out.

Communication, Mentoring and CoachingCommunication, mentoring and coaching are fundamental key points of success

while developing a project. Communication is all about the discussions for a clear understanding done among two parties. However, mentoring is about suggesting the personnel to make alterations after analyzing the subject. Coaching is about introducing and making people to get literate about the particular subject.

CommunicationCommunication should be done in a clear manner so that analyzing would be easy

and comfortable to design. However, communication media between two parties can be in different ways but to choose the direct method is the good management practice and saves time. Communicating face to face in the verbal discussion will lead to better understanding and in case of raising queries the feedback will be immediate. Verbal communication leads to no ambiguities. However, discussing to all four business owners individually and exchanging the thoughts of their partners in a comfortable and friendly environment will be more legitimate than to communicate all four at a time. All communication should be ended, by the analyst telling all what his understanding goes with. Later, at the end of all four communications analyst will provide a written understanding document which will be checked by all four of members for the signatures of acceptance. In case of any query, analyst can communicate to any personnel any time.

Problems May RaiseMisunderstanding is a word, which may said to be the mixture of mistakes,

misconceptions, confusions, misinterpretations and quarrels. These all are lead due to nothing else than communication. Inappropriate communication may lead to quarrel. Quarrel is the biggest disaster for business and especially when working with friends, quarrel ends up with nothing in hand.

Misinterpretation may get in the communication, if leaders or the analyst communicates thinking himself a bit higher in rank or need to show off. Though, communication between two parties should use the true, simple and clear words. The communication from the managers should be straight to what is require and communication from the analyst should end up with what is in his mind.

Confusion may lead the project designing in the ambiguity corner. Though, leaders should make the analyst should feel comfortable to ask anything related or requires to the project development. In the same way, analyst should not be reluctant, infect confident enough to ask later or sooner to eliminate the confusion.

Misconceptions may arise when a single topic is discussed with many different people. As no one is perfect and every one has its own ideas and thought to get successful though, people usually elaborate the topic in sense what they think. However, leaders should tell analyst their thoughts but in the same time should listen to the concepts he has in mind and clear it calmly and politely. On other side, Analyst should be clear to the concepts he got in explaining for elimination and should not feel hesitant to query it any time.

Mistakes are being done by everyone. But they can be corrected. After verbal communication, a written document should be prepared by the analyst to its understandings and is signature for accepting whatever requirements gather documented on are accurate. Alterations should be clearly communicated in written form so that it would stay in record that the alteration is later made on the understandings documented.

MentoringMentoring is the technical name of sharing the knowledge or thoughts. In field of

web based development it is the best practice to plan the project with both clients and the

development team alike. This process is counted in essential steps of requirement gathering as after communication to the clients don’t full the discussion. It is project manager’s duty to give a look at the work done on requirements. Manager has to accept what client requires but it is the also the manager responsibility to acknowledge the client that what is feasible for the web based business. It is low cost as all what it requires is meetings and nice words to convince. Mentoring is suggesting the clients with the requirements which however didn’t given by them but are necessary for the project to have and can give them nice profit. This mentoring is not only towards clients but also towards the project development team to help or suggest them for the right path for working. This creates the social interactions and makes new friends. Giving professional suggestions gives a nice feedback along with a support reflecting to be in possession of self post. Mentoring the team and project provides the manager become more professional and sincere to the job.

Problems May RaiseMentoring is the essential part of project management. If it won’t be considered,

than many of the troubles the project has to face either while development or later after the development. Mentoring should be done on one-to-one meeting as it is easy to convince and make other understand as well. Business personnel always require the business to get computerized but its only project manager who has the responsibility to acknowledge them with other requirements. If mentoring won’t be done than publicizing the business over web i.e., Online Antique-2000 would not be known by any one in the world.

Mentoring for some modules is required to be done with clients as the modules are tough and takes more time than normal in development which may give a delay. Supporting the team members so they won’t take much tough time I have to mentor all four business members about the modules so that delay won’t be there in development of essential online business system.

Mentoring the team members is important as well. There are number of processes used for developing a project. Team to get successful mentoring for same strategies to use is essential to make. In else case, this can give a hard time to find an error or while using the development in maintenance mode.

CoachingCoaching is typically used for teaching or training the ones for a particular

subject. It is important in this project that my team who are new to professional environment should be given a training presentation before the project starts. This would be the second step after mentoring about the project to the team, coaching will help them how to work on the project. As coaching is the conveying the knowledge in a manner that other person learns and get trained. Coaching of the team is required to be done before project starts. However, coaching of customers will require to be done as soon as project is deployed.

Problems May RaiseThere are number of courses being taught in different institutes. This is the

fortunate deal that me and my team all are qualified from same school and from same

professor and though its easy to have the same working style but still it is necessary to decide and take a presentation to the team corresponding the final procedure to be followed. All team members before development will be coached by me as a trainer for three hours. In this coaching class, the team will be taught about the model and design of the software and what procedure to be followed while development. If this won’t be the part of the project beginning, the whole project latter is than at the edge as there could be any confusion may raise while deciding what functionality to develop and when. Moreover, it can badly effects while finding and resolving errors in code.

Team has to be coached about timely delivery and that can be done if each and every minute is enclosed by work that is due. Timely delivery makes the project run online accurately in time and success is in hand.

Team has to be instructed about the framework that is to be used for making decisions, understanding and implementing the goals and different strategies related to business context. This helps if any frequent change appears while development.

Later, Clients and their staff should be trained fully for using and maintain the Antique-2000’s web based business.

ConclusionStudying and analyzing all strategies of business, it is clear that implementing the

leadership styles in adequate manner will lead to a friendly and fast working environment. However, mentoring and coaching the clients and team will not only keep them up with the development together but also provide them a professional working environment.
