Minutes of the January 2008 meeting of the Board of Directors
The meeting was called to order by Bob Morrissey at the Scottish Rite Masonic Center in
Tampa on January 17 at 7:00 p.m.

Minutes:
The December 2007 BoD minutes were accepted as presented.
Treasurer’s Report:
Al Kelly submitted the treasurer’s report for December 2007 (paper copy of report
on file). A motion to receive the report was made, seconded and passed.
President’s Report:
President Bob Morrissey noted that we have some “hills to climb in 2008”.
Putting on two separate performances of the Christmas show will be challenging and also
wants have a financially successful annual show. The attitude of the members is good
which will help us achieve our goals.
Membership VP Report:
Bruce Yeager reported that new membership numbers are good. We had 16 new
members in 2007.
Public Relations VP Report:
VP Steve Matheson presented several options of a cover design for a press kit.
One style was selected with modifications and Steve will proceed with that design.
Financial Development VP Report: VP Bill Phipps and Steve Matheson attended a lecture at the Pinellas County
Department of Cultural affairs about Internet Marketing. Bill would like to see some
alternate fund raising options so President Bob Morrissey asked Bill to present the board
with a detailed proposal.

Music & Performance VP Report: John Pennington reported that four new songs in addition to the new contest set
will be performed at our annual show in June. Details of the retreat scheduled for the end
of February are firm. John and the music committee have modified the song qualifying
taping process to be more of an aide for improving rather than a “Yes or No’ for
performing.
John also noted that that there is a plan to form a small ensemble of about 20
under the leadership of Byron Poore to perform at venues where the full chorus would
not be appropriate or required.
Old Business: None discussed.
New Business:
There was a motion to accept the “Revised Proposed Criteria, HOH Member
Nashville 2008 expense award”, dated January 17, 2008. There is a hard copy on file.
The motion was seconded. There was a motion to amend the number of tickets required
for 5 percent credit to be increased from one to six. It was seconded. There was also a
motion to amend the method of calculating the amount to be distributed to the individual
per a proposal submitted (hard copy of proposal on file). That was seconded. After some
discussion, the board members voted “Nay” to the revised method of calculation and
“Yea” to the amendment proposed for the required number of tickets to be sold. The
original motion then passed as amended.
Chapter members to be bonded for the handling of chapter money are: Al Kelly,
Russ Powell, Larry Clapp, Larry Gilhousen, and Bob Buhlmann.
The board recommended that we add chapter property to the insurance policy.
Barbershopper of the Month
Bill Billings was unanimously selected as the Barbershopper of the Month for
December.

Treasurer’s Report:
Al Kelly submitted the treasurer’s report for January 2008 (paper copy of report
on file). A motion to receive the report was made, seconded and passed.
President’s Report:
President Bob Morrissey reported that there some weakness in attendance.
Putting more excitement in our rehearsals could help with our retention and attendance.
Membership VP Report:
President Bob Morrissey reported in Bruce Yeager’s absence. There is concern
about getting new members “up to speed”.
Several Board members have volunteered to call members who have recently
missed a few rehearsals.
Public Relations VP Report:
VP Steve Matheson showed the board the folder that will be used for press kits.
He is in the process of gathering information for the kit.
Steve said that the flier format needs updating – that will be his next project.
Materials are being developed for our June annual show.
Financial Development VP Report: Bill Phipps, VP of Financial Development, is working on a proposal for alternate
funding of chapter activities. He is asking for ideas now for future funding opportunities.

Events VP Report:
A professional make-up person is scheduled to attend the March 4 rehearsal to
demonstrate Pirate make-up. The cost will be $135 and the board approved.
Music & Performance VP Report: VP John Pennington said that the details of the weekend clinic have been
finalized and that the information will be sent to the chapter members.
Old Business: None discussed.
New Business:
Our ticket chairman, Russ Powell, led a discussion on using Click N Print as a
method of selling tickets to our shows. The board approved having Russ proceed with
Click N Print to work out the details and make an agreement with them.
John Pennington showed a sample of cummerbunds and bow ties since the vendor
we had been using has stopped making them for us. The cost will be $42 for the set. The
board accepted the style from the new vendor.
The Board approved sponsoring 10 students at $150 per student to attend the
Sunshine District’s Harmony Explosion.
A motion was made to establish the position of Assistant Secretary. It was
seconded and approved. President Bob Morrissey then appointed Larry Clapp to the
position.
There was a motion to establish Singing Mother’s Day greetings similar to the
Singing Valentines. It was tabled for further study.
The board approved paying for name badges for the Angels.
Barbershopper of the Month:
Dave Roberts was selected as January BOM for his support of the Live Oak
performance.

Treasurer’s Report:
The treasurer’s report for February 2008 was sent out prior to the meeting - paper
copy on file. A motion to receive the report was made, seconded and passed.
President’s Report:
President Bob Morrissey said that the Click N Print contract has been signed and
that a seating chart of the Masonic Hall is in progress. He brought forward a tabled item –
a Singing Mother’s Day program. A motion was made and passed to authorize Bob
Buhlmann to move forward with plans for a Singing Mother's Day program similar to the
Singing Valentines program, subject to further review by the board – via e-mail.
Membership VP Report:
VP Bruce Yeager has an outline for a flier to attract new members. Director Lee
Lawrence made some calls to several members that have not been attending rehearsals
lately and was successful in getting a few to return. President Bob Morrissey said that
our weekly attendance has been averaging 48 and feels that we have 58 members we can
count on for our shows and contest. Chorus Director Bill Billings says he needs feedback
from the members in order to get the general mood of the chorus. He wants rehearsals to
be enjoyable and productive.

Public Relations VP Report:
VP Steve Matheson has some radio budget money that could be used for spots to
recruiting new members, but Music Director Bill Billings suggested that we delay
spending money on radio ads since the chorus is in the midst of getting ready for the
annual show and the International contest.
Financial Development VP Report: Bill Phipps, VP of Financial Development, sent a report of the Performance and
Expenses of the Arts Council of Hillsborough County Grant #8412. Paper copy on file.
Events VP Report:

International Contest to review the choreo they designed for the contest set.
John also said that the makeup for the annual show will not be too extensive.
Old Business: Singing Mother’s Day program -- see President’s Report on page 1.
New Business:
The Heralds of Harmony have been asked to assemble a bid for hosting the mid-
Winter Convention in 2010, 2011, or 2012; and they a reply about our possible interest
by April 15. John Pennington made a motion to say that we will put in a bid if we are
given a 90 day extension to put a bid together. The motion was amended to ask for a
“reasonable extension”. The motion passed as amended. Bob Morrissey will
communicate our reply to the Barbershop Harmony Society board.
Participation in Singing For Life – Nothing to review at this time.
Barbershopper of the Month:
The board unanimously selected Lee and Patti Lawrence, Dick and Liz Sipple,
and Larry and Roxanne Clapp for their work at taking orders and scheduling the singing
Valentines.

The March 2008 BoD minutes were accepted with a correction that the Calderons

Treasurer’s Report:
The treasurer’s report for March 2008 was presented. A motion to receive the
report was made, seconded and passed.
President’s Report:
President Bob Morrissey asked the members of the Board to think about the
Chapter and where we ought to be trying to go over the next 30 months or so. The
thinking and plans should address issues such as increasing the membership, improving
our singing and performance, building awareness of the Heralds of Harmony, building
financial stability, etc. More precisely – what should be or could be the goals of the
Chapter? He urged that Board members take a long look at the direction of the Heralds,
exchange their views and ideas over the coming month, and plan to discuss them at the
next Board meeting.
Membership VP Report:
VP Bruce Yeager passed around a draft of a flyer that he and Steve Matheson
designed to attract and invite potential members.
There was a motion made to have a guest night on the Tuesday following the
Annual Show (June 10). The motion was seconded and passed.

Public Relations VP Report:
VP Steve Matheson said that the annual show mailer has been printed. He is also
working on a fee schedule for chorus members to use when selling ads for the annual
show program. That will be ready for the next rehearsal.
Financial Development VP Report: Bill Phipps, VP of Financial Development, advanced a proposal for developing
financial support for the chapter by soliciting patron donations, and grants from corporate
and private foundations. Discussion of Bill’s proposal will be on the agenda for the next
board meeting.
Events VP Report:
President Bob Morrissey reported for Nick Schwob stating that more volunteers
are needed for hosting the Spring Preliminaries in Jacksonville, but an excellent team of
chapter members and Angels is already in place.
The annual show’s afterglow will be held in the Radisson Bay Harbor Hotel,
7700 Courtney Campbell Causeway in Tampa.
President Morrissey said that he is working on plans for a chorus breakfast in
Nashville.
Music & Performance VP Report: VP John Pennington told us that the music committee is concerned about the
declining attendance and is asking each section leader to take attendance of their
respective sections. He also reported that the music committee supports the idea of
producing a Christmas CD.
Old Business: President Bob Morrissey has notified the Barbershop Harmony Society that the
Heralds of Harmony board supports the idea of having a mid-winter convention in Tampa
in 2010, 2011, or 2012.
New Business:
President Morrissey appointed Bill Phipps as chair of the 2007 Financial Review
Committee.
Barbershopper of the Month:
Tom Stewart was selected Barbershopper of the Month for March.

VP Steve Matheson said that he is working on the Annual Show program,
incorporating ads that have been sold. The Membership Poster has been revised and is
essentially ready for printing.
Financial Development VP Report: Bill Phipps, VP of Financial Development, was absent. His report, a message
describing the “Hard Times For The Arts”, had been sent to the board prior to the board

Events VP Report:
President Bob Morrissey, passing on information in the absence of Nick Schwob,
reported that the annual show afterglow will be held in the Harborview Room in the
Radisson Bay Harbor Hotel, 7700 Courtney Campbell Causeway in Tampa.
The Heralds of Harmony will be transporting their risers to Nashville to the
International Contest.
President Morrissey said that he will firm up plans with the Wildhorse Saloon for
the chorus breakfast in Nashville.
Music & Performance VP Report: VP John Pennington was absent; Lynn Hineman reporting for him stated that
attendance has leveled off. He also remarked that the scores received in Jacksonville for
the HOH pirate package was satisfactory and the feedback from the judges was helpful.
Old Business: None.
New Business: None discussed.
Board Discussion:
The Board held an informal discussion regarding the challenges and opportunities
facing the Heralds over the next 30 months.
Barbershopper of the Month:
Pat Bauer was selected Barbershopper of the Month for April.

Treasurer’s Report:
The treasurer’s report for May 2008 was presented. A motion to receive the

President’s Report:
President Bob Morrissey is concerned about the next few years for the Heralds.
He has scheduled a meeting for 9:00 AM, on Saturday, July 26 for the board and other
invitees to determine a Long Range Plan for the Heralds of Harmony Chapter. The
meeting will be held at the Radisson Hotel in Tampa.
Membership VP Report:
VP Bruce Yeager has publicity and advertising material to be distributed
following the International Barbershop Contest in July.
Public Relations VP Report:
VP Steve Matheson is looking for ways to target our audiences. He would like to
know how to best determine possible locations for shows and show attendees. One
possibility mentioned was to survey our present customers. He would like to promote
more group sales, also.

Financial Development VP Report: Bill Phipps, VP of Financial Development, said that the Pagliara Foundation has
asked the Heralds of Harmony to expand their programs. Bill has asked Arne Helbig and
Harolynn Barrett for input showing the significance and needs of the Youth Music
programs.
Events VP Report:
Nick Schwob reviewed the expenses and incomes from the annual show. He is in
contact with the Tampa Bay Performing Arts Center to arrange for the use of one of their
halls for our shows in 2009.
Details for our performance at The Villages and the contest in Nashville have
been determined and communicated to the chorus members.
The Heralds of Harmony Board of Directors was very impressed with and
thankful for the volunteering of the Angels at the Spring Prelims and the HOH annual
show. THANK YOU, ANGELS!
Music & Performance VP Report: VP John Pennington stated that the music committee is working on programs for
the remainder of this year, conceiving ideas for the HOH Long Range planning session,
addressing the riser work load, looking for ways to extend the pirate theme with new
songs for 2009, and discussing the feasibility of a Christmas CD.
Old Business: None.
New Business:
The rehearsal scheduled for July 8 is cancelled.
The board voted to accept an opportunity for an afternoon performance in Spring
Hill on February 22, 2009.
A motion was made to revise the Nashville 2008 Expense Awards to make the
participation requirement 70%, waive the ticket sales requirement, increase the Nashville
prelim participation to 30%, and waive the participation requirement for Ron Sadofsky.
The motion was seconded and passed.
A motion was made to extend financial assistance to two members attending the
Nashville convention.
Barbersopper of the Month:
Nick Schwob was unanimously selected for the month of May.
Next Meeting: 6:00 p.m Tuesday, July 15, 2008 at the Scottish Rite Temple prior to the
regular chorus rehearsal.

Steve Matheson said that the Toast of Tampa has developed a social website for
their chorus want to include men’s choruses. They have asked for permission to use
photos of the Heralds of Harmony. A motion was made, seconded and passed that allow
the Toast of Tampa to use HOH photos with the restriction that allows revocation by the
HOH board of directors.
Barbershopper of the Month:
David Mills was nominated for Barbershopper of the Month of June. He was
selected unopposed.

Secretary’s Report:

The treasurer’s report for August 2008 was presented. A motion to receive the
report was made, seconded and passed.
President’s Report:
President Bob Morrissey is concerned about the financial situation of the chorus
and is urging everyone to sell tickets to the Heralds Christmas Show. He also informed
the board that the nominating committee will announce a slate of officers for 2009 at the
next three rehearsals.
Chapter Development VP Report:
VP Bruce Yeager said that the recruiting poster has not been effective. President
Bob Morrissey suggested that communications can be slow and that we should continue
with the PR effort that has been started.
Public Relations VP Report:
VP of Public Relations, Steve Matheson, said that a mailing has been sent out to
one hundred twenty local organizations in an effort to increase group sales to the
Christmas show. Ads of our Christmas show have been placed in the upcoming Toast of
Tampa Sweet Adelines show and in the program at our District Convention being held in
October.

Financial Development VP Report:
VP Bill Phipps said that he and Steve Matheson attended a seminar on fundraising
for non-profit organizations. Bill said that the Pinellas Youth in Harmony workshop that
we support was successful.
Events VP Report:
Upcoming events are proceeding as planned.
Music & Performance VP Report:
John Pennington reported that everyone is responding with turning in recordings
of the contest set. The music committee is recommending that the chapter replace the
annual show with three paid performances.
Old Business:
A motion was made to expand the pay for the assistant directors of $250 to
include Jeff Lathom – as a one time payment. The checks will be given to David Mills,
Byron Poore, and Jeff on October 7 – the last rehearsal prior to contest.
We have been having a problem getting the ticket money of our annual show from
Click N Print. Bob Morrissey has been in touch with their VP of Marketing and Bob has
been assured that the money has been mailed. The first two checks sent were mailed to
an incorrect address.
New Business:
None.
Barbershopper of the Month:
Ed McKenzie was selected Barbershopper of the Month for the month of August.

Minutes of the October 2008 meeting of the Board of Directors
The meeting was called to order by Bob Morrissey at the Scottish Rite Masonic
Center in Tampa on October 15, 2008 at 7:00 p.m.

Secretary’s Report:
The minutes of the September 2008 Board of Directors meeting were accepted.
Treasurer’s Report:
The treasurer’s report for September 2008 was presented. A motion to receive the
report was made, seconded and passed.
President’s Report:
President Bob Morrissey is concerned about the Heralds’ finances and suggested
several ways to improve our financial condition. We need to try to sellout the Christmas
shows, rethink how we run the chapter in order to get all members involved, and save
money where possible such as simplifying the installation of officers program.
President Bob attended the House of Delegates meeting at the Fall Convention
and reported that there were no major changes brought about for 2009.
Chapter Development VP Report:
VP Bruce Yeager was absent. No report.
Public Relations VP Report:
VP of Public Relations, Steve Matheson, said that the mailers promoting the
Christmas show have been sent. A motion was made and seconded that we sell ads for
the Christmas show program. The motion passed. Steve will put materials together for
use by the chapter members

Financial Development VP Report:
VP Bill Phipps said that he has everything in place for last year’s final report to
send to the Arts Council of Hillsborough County. He said that called the State of Florida
Department of Cultural Affairs to see if we could qualify for a grant to help pay Anaheim
expenses.
Events VP Report:
No report.
Music & Performance VP Report:
John Pennington was absent. No report.
Old Business:
President Bob Morrissey has been in contact with ClickNPrint for final payment
of money due us from our annual show in June. That payment has been received.
New Business:
President Bob Morrissey appointed Mark Tuttle to head up a task force to help
members pay for the Anaheim Contest and Convention.
Bill Phipps will inquire further about the possibility of implementing a Scriip
program to help chapter revenue.
Consideration is being given to have the Installation of Officers’ ceremony on
Tuesday, December 16 following rehearsal and guest night activities in order to reduce
costs.
Barbershopper of the Month:
Lance Russell was selected Barbershopper of the Month for the month of
September.
Next Meeting: 7:00 p.m Wednesday, November 19, 2008 at the Scottish Rite Temple.

Minutes of the November 2008 meeting of the Board of Directors
The meeting was called to order by Bob Morrissey at the Scottish Rite Masonic
Center in Tampa on November 25, 2008 at 6:00 p.m.

Secretary’s Report:
The minutes of the October 2008 Board of Directors meeting were accepted. The
minutes of the annual chapter meeting with the election of officers held on October 7,
2008 were also accepted.
Treasurer’s Report:
The treasurer’s report for October 2008 was presented. A motion to receive the
report was made, seconded and passed.
President’s Report:
President Bob Morrissey urged the members of the board to sell tickets for the
Christmas show. He also said the installation of HOH Officers has been moved from
December 16, 2008 to January 6, 2009. Details will be sent to the chapter members when
finalized.
Chapter Development VP Report:
VP Bruce Yeager made a motion that the qualification for membership into the
Chapter be by singing Shenandoah correctly rather than any repertoire song. That motion
was tabled by President Bob Morrissey until the next meeting.

Public Relations VP Report:
VP of Public Relations, Steve Matheson, said promos of the Heralds’ Christmas
show will start running on radio station WDUV early in December. Steve attended a
‘Social Marketing’ seminar and said that there are many websites such as Craig’s List,
My Space, et al. where the chapter can promote the chorus at no cost.
Steve moved that the Heralds of Harmony support Metropolitain Ministries by
asking our ticket buyers to bring cereal to ther annual Christmas show. The motion was
amended to make it subject to approval from the Tampa Bay Performing Arts Center.
Motion was accepted as amended.
Financial Development VP Report:
VP Bill Phipps reported that the chapter has received $11,063 from the Arts
Council of Hillsborough County and that we have received $500 from Honeywell, thanks
to Brian Wunderlin.
Events VP Report:
No report.
Music & Performance VP Report:
John Pennington said that the music committee will be making changes to our
chapter meeting format to make it more interesting in hopes to attract and retain
members. He said that so far, about 20 chapter members have shown interest in singing
in a small chorus if one is created. John iterated the music team policy that chorus
members must submit all songs that will be sung in a performance to their section leader
in order to qualify to be on stage.
The music committee is recommending craft tapes to help with our singing.
Details are still being worked on.

No one was selected at this meeting for the month of October.
