Getting Started Computer Settings

Screen Resolution

It is recommended that you set your screen resolution to the highest possible setting. *These instructions may vary, depending on what version of Windows your computer has. 1.1 Click on computer Start button 1.2 Click on Control Panel 1.3 Locate the Appearance and Personalization section 1.4 Click on Adjust Screen Resolution 1.5 Verify that the resolution is set to the highest setting

Full Screen Mode

2 The Taleo application is best viewed in full screen mode.

2.1 Click on the maximize button located in the top right corner of the browser window 2.2 From the browser window, select keystroke alt + enter Note: Use this keystroke to maximize or minimize the screen

Internet Explorer Zoom Option

3 The Taleo application is best viewed when the internet explorer zoom option is set at 100%. 3.1 On your Internet Explorer toolbar, select Page 3.2 Select Zoom 3.3 Make sure that 100% is checked

Trusted Sites

Add Taleo to your trusted sites. 4.1 Go to: https://midamerican.taleo.net 4.2 Go to Tools 4.3 Click on Internet Options 4.4 Click on Security tab 4.5 Click on Trusted Sites 4.6 Click on Sites button 4.7 The Taleo URL should populate in the Add this website to the zone: box. Communications Menu

The Communications menu is used to give Taleo users easy access to the most up to date Click-by-Click guide and/or helpful training aides. It is located on the right side bar of Center Stage. Locate the Communications menu. 7.1 Log in to Taleo: https://midamerican.taleo.net 7.2 Click on Recruiting 7.3 To get to Center Stage from anywhere in the Taleo application, click on Recruiting

7.4 If the right side bar is minimized, click on the double arrow button to maximize it

7.5 Click on the icon to display the Communications menu If the Communications menu does not display. 7.1 On your Internet Explorer toolbar, go to Tools 7.2 Click on Internet Options 7.3 Click on Security tab 7.4 Click Custom level 7.5 Scroll down to Display Mixed Content (located approximately half way down) 7.6 Select the radio button, Enable 7.7 Click OK Log out and sign back in to Taleo. Computer Settings and Troubleshooting FAQs I am getting an error that says my pop-up blocker will not allow me to access the site. Follow the instructions in steps 4-6 in the Computer Settings section of this guide. Is my password the same as my network password? No, not unless you set it the same. The system does not correlate with the network password. So when you change your network password, it does not change your Taleo password. I forgot my password, how do I get a new one? Follow step 3 of the Log Into Recruiting section of the user guide.

Login to Recruiting

1 Enter the Taleo URL into your Internet Explorer address bar: https://midamerican.taleo.net.

If a message displays informing you that you cannot access Taleo because your pop-up blocker is turned on, select (from your browser menu) Tools…Pop-up Blocker…Turn off Pop-up Blocker. *More detailed instructions on how to turn off the pop-up blocker are located in the Computer Settings section of this manual.

2 Click Enter (on your keyboard) or click the browser Go button.

Save the Sign In page URL to your Internet Explorer favorites. *More detailed instructions on how to save Taleo to your favorites are located in the Computer Settings section of this manual.

Enter your User Name and Password in the appropriate fields. User Name= Your T-Number The Password is case sensitive. If you have forgotten your password or are a first time user, follow the instructions below: 3.1 Click on Forgot your password? 3.2 Enter User Name and email address 3.3 Click OK 3.4 Receive an email from [email protected] with the subject, “Forgot your Password?” and follow instructions to reset password 3.5 If you have not received the email, check your junk mail 3.6 If you are still not receiving the email, then contact the system administrator at [email protected] Note: Your password must comply with the following protocol:

Work with My Setup

Select My Setup.

My Setup allows you access to the following items: Change your Taleo password – Proceed to steps 2-5 Delegate your Taleo tasks – Proceed to steps 6-9 Set preferences – Proceed to steps 10-12 Set Frequent Collaborators – Proceed to steps 13-14 Set Frequent Approvers – Proceed to steps 15-18

2 Change your Taleo password Under the General tab, click the Edit button and scroll down to the Account section.

3 In the Password field enter your replacement password.

Your password must comply with the following protocol: It must contain between 6 and 32 characters. Use only characters from the following set: ! # $ % & ( ) * + , -. / : ; < = >

? @ [ \ ] _ ‘ { | } ~ 0123456789 ABCDEFGHIJKLMNOPQRSTUVWXYZ abcdefghijklmnopqrstuvwxyz

It must contain at least 1 letter (ABCDEFGHIJKLMNOPQRSTUVWXYZ abcdefghijklmnopqrstuvwxyz)

4 In the Confirm Password field re-enter your replacement password.

Delegate your Taleo tasks Delegation allows you to temporarily assign your tasks, such as approvals, to another employee. This can be helpful when you plan to be out of the office for any length of time.

Click the Delegate button under Account.

In the Alternate User field:

7.1 Click the Selector button

7.2 Type the employee’s name in the Name field

7.3 Click on the Refresh button

7.4 Click the Select button next to the employee’s name

8 Use the Calendar icon to select the From and To dates.

9 Click the Done button.

Click Yes to confirm that you allow the delegee to access the delegator’s work items.

The Delegate button is now an Update Delegation…

button and there is a note above the button that indicates who has been delegated and the time frame of the delegation.

10 Set preferences Click on the Preferences tab, click the Edit button and scroll down to update Preferences.

Under Preferences, scroll down in order to modify: 11.1 General - User Preferences 11.2 Search Preferences 11.3 Candidates - How candidates are viewed 11.4 Requisition Preferences

12 Click Save and Close to save updates to the Preferences tab.

Set Frequent Collaborators When frequent collaborators are added in My Setup, the collaborators that you add will appear by default on every single requisition that you create. It is suggested that you only add the frequent collaborators in My Setup that should appear by default for almost every requisition that you create. Click on the Frequent Collaborators tab and click on the Add or Modify

button.

14.1 Type the employee’s name in the Name field and then click on the Refresh button

14.3 Repeat steps 1-2 above until all frequent collaborators are listed in the Selected Collaborators box

The frequent collaborators should now appear in the Collaborators section of the Frequent Collaborators tab. The Add button is now a Modify button.

Set Frequent Approvers Frequent approvers can be added in My Setup for requisition or offer approval. The approvers that you add in the Requisition Approval section will appear by default on every single requisition that you create. It is suggested that you only add the frequent requisition approvers in My Setup that should appear by default for almost every requisition that you create.

Click on the Frequent Approvers tab and click on the Add or Modify button in the Requisition Approval section.

This section adds Frequent Approvers when requesting requisition approvals.

Requisition Management Create a Requisition

1

Before you get started you will need: 1. The job code and job code extent for the position that you are creating a requisition. The instructions below will assist you in obtaining the job code and extent for either a represented or nonrepresented position. Represented positions: Appendix II-Represented Job Codes (located at the end of this user guide) lists all represented job codes. Nonrepresented positions: The job code and job code extent are listed on the position description. Appendix III–Nonrepresented Job Codes (located at the end of this user guide) provides a sample of a position description and where the job code and extent are located on the position description.

Example of Job Code and Job Code Extent from a nonrepresented job description:

Note: The Taleo job code and extent field also provides a selector option that allows you to search for the job code by title. Contact [email protected] for the following reasons:

You are still unable to locate the job code and extent The position description for a nonrepresented position needs changed The position description for a nonrepresented position has not been reviewed in two years If you do not have a current version of a nonrepresented position description

2. Incumbent Information: If there is an incumbent for the position, you will need the following information about the employee being replaced before creating the requisition.

Incumbent new job title and work location Incumbent name Incumbent t-number Incumbent former job title and work location Incumbent former salary grade (nonrepresented position) Incumbent former hourly rate (represented position) Incumbent termination or transfer date Accounting codes that hiring costs should be billed to: RC, BC, Activity Code, Location

Code and Facility Code (if facility code is applicable) 3. The department name for the position being filled. You can find the department by:

Looking at an employee in the same department in Outlook Looking at an employee in the same department in the employee directory Run the employee by supervisor report from HR Self Service in order to view the

department names of all employees reporting to you (only hiring managers can access this report)

If you still do not know the name of the department for the position you wish to fill then contact [email protected].

3 Go to Center Stage by clicking on the Recruiting tab.

4 Click the Create Requisition… button in the Requisition channel area.

Enter the Job Code and Extent Detailed Instructions: 5.1 Click on the selector button Example:

5.2 Use the quick filters box to search for the job code and extent Note: When searching for a job code, combine the job code and job code extent without any spaces. Job titles may be abbreviated; the best way to find the position is by knowing the job code and extent.

Saving a requisition as a draft:

If you are unable to finish the requisition and need to save it as a draft, then change

the Show fields required to: drop down to Save.

Now only fields required in order to save the requisition will have a red asterisk in front of the field label.

Requisition Creation FAQs After saving my requisition, it disappeared. Where did it go? You must be listed as an owner (recruiter, hiring manager or hiring manager assistant) or collaborator on the requisition in order to continue viewing the requisition after it is saved. Contact [email protected] to be added as an owner or collaborator of the requisition. I can’t find the button that the user guide says to select, what do I do? Your computer settings may cause buttons to appear “missing”. Follow steps 1-3 in the Computer Settings section of this guide. The requisition was rejected, what do I do now? Route a Requisition for Approval

FAQs Regarding Approving a Requisition When will the electronic approval for a requisition be sent and what will it look like? Once the requisition is completed and ready for approval, the approval request email will be sent to you through the Taleo system. Please note the email will be from E-share ([email protected]) not from the employee's mailbox. Do I have to sign in to the system to approve a requisition? No, the approval request email will come to you in your corporate email account. What do I do if I did not receive or accidentally deleted the approval request email? An approval request email can be resent. Contact the hiring manager or [email protected] to have the approval request resent. What happens if I go to approve the requisition via the E-share email I received and it is says the approval time has expired? E-share approvals are only good for 30 days. The system does not allow approvals to be resent. You will need to send an email to [email protected] and a staffing representative can restart the approval process. Note, after the approval process is restarted all approvers who had previously approved the requisition will be required to approve again. What do I do if I notice that the approval path on the requisition that I am reviewing is incorrect (i.e., missing level of management, incorrect order, etc.)? After a requisition has been sent for approval, the hiring manager or staffing has access to terminate the approval path and resubmit. Please contact the hiring manager or [email protected] to have the approval path terminated and resubmitted for approval. If the requisition has reached the status, open approved, then the requisition may need to be cancelled and resubmitted for approval with the correct approval path. What if I am going to be out of the office and unable to access email? Can someone else approve or does it have to wait until I am back? If you know that you are going to be out of the office without access to your email, it is best to inform those managers/supervisors that may need your approval who will be approving in your absence. If you are unexpectedly out of the office and unable to access email, you will need to contact your local staffing representative for assistance in approving the requisition on your behalf. Can I approve a requisition via my Blackberry or other PDA? Yes and no. It depends on how your Blackberry or other PDA is configured. For example, you may be able to approve or reject a requisition but not be able to open the Requisition Details link because it is a pop up. If you have questions regarding how your Blackberry or other PDA is configured, please contact the Technology Resource Center. What happens next if I reject a personnel requisition? The hiring manager receives an email notifying him/her that the requisition was not approved with comments on why it was rejected. The hiring manager will have an opportunity to edit the requisition and resubmit it for approval.

Candidate Management Access and View Candidates

Select View Requisitions.

You are now in the requisition list. There are two ways you can access and view candidates. 1.1 Candidates link from requisition list – Proceed to step 2 1.2 Candidate link from requisition file – Proceed to step 3

Locate the requisition that you want to view candidates for. 2.1 Locate the last column labeled Candidates The number under this column indicates the number of candidates who

To change the list of candidates to show only those in New (or any other step), use

the Selection Workflow menu to the left of the candidate list: 5.1 Select any step Note that the menu options change to the statuses in that step 5.2 Candidates in that step will appear in the list 5.3 Select a status within the step 5.4 Candidates in that step and status will appear in the list

The steps/statuses that have candidates in them will have the count of candidates in parentheses next to the step/status.

Revert a Candidate

If you change a status in error or something has occurred that requires you to undo a status change, you can Revert a candidate’s status. Locate the candidate that needs to be reverted.

1 Check the box to the left of the candidate’s name (or click the candidate’s name link).

2 Select Revert… from the More Actions drop down menu.

3 The Comments box is mandatory; enter your reason for needing to revert the candidate.

4 Click the Save and Close button.

The candidate has been reverted to the previous step/status they were at before the last action was taken.

You can move candidates through the candidate selection workflow in two ways: 1. Individually move candidates from within the candidate file. Typically

used if the candidate’s job submission has not already been reviewed. Proceed to steps 4-6.

2. Bulk move candidates through the candidate selection workflow by selecting the candidates from the Candidates for job: list. Typically used if the candidate’s job submission has already been reviewed. Proceed to step 7.

4 Individually move candidates from within the candidate file. Click on the name (hyperlink) of the candidate to be reviewed.

5 Review the Job Submission tab in order to review the resume, screening, profile and prescreening information.

6 Review the Attachments tab in order to review the candidate’s attached files (resume, cover letter, etc.) Proceed to Step 8.

Bulk move candidates through the candidate selection workflow

Select the Check box next to all candidates that you wish to move through the candidate selection workflow. Only candidates within the same step can be moved in bulk. Proceed to step 8.

The Change Step/Status… feature located in the More Actions drop down allows you to place the candidate within any status of their current step. If the candidate is in the most advanced status of their current step then this feature also allows you to move the candidate to a new step and new status.

8 From the More Actions drop down, select Change Step/Status…

9 Change the New Status to the desired status within the current step. If the candidate has already reached the most advanced status indicated by an asterisk *, then you can also change the candidates New Step and New Status .

To continue moving the candidate(s) through the steps and statuses, select

Save and Continue . If there are no further actions to be taken on the candidates’ step and

status, select Save and Close .

Click Cancel to not save the changes listed in the New Step and New Status drop down boxes.

After selecting the Save and Continue button, the system automatically places the candidate(s) in the next step and/or status of the candidate

selection workflow. If you meant to hit Save and Close but instead

selected Save and Continue then verify that the candidate is already in the correct Current Step and Current Status in the top left

corner and then select Cancel .

Your candidate has been moved to another step in the hiring process.

Reject a Candidate

1 Select View Requisitions.

2 Click on the candidates’ number link (far right column ) for the requisition candidate list you wish to review.

Once in a candidate file, if at any time you wish to return to the candidate list then

Logistics Section Identification: This section is used to identify the requisition.

*Number of openings to fill with this requisition. Accept the default of “1” or type in an alternative number.

*Title that will be displayed to the candidate when the requisition is posted. This field is not editable by hiring managers.

*Internal title not visible in career sections. This field is where a hiring manager should indicate if he/she would like to post at a multi-level.
