Executive  Summary  

Objective  The   report   focuses   on   the   Engineering   Career   Resource   Center(ECRC)   website  (http://career.engin.umich.edu/)   of   the   School   of   Engineering   at   the  University   of  Michigan.   The   website   acts   like   a   single   portal   of   information   for   both  students/alumni  of  the  school  of  engineering  and  employers  that  work  directly  with  the  ECRC.  This  report  presents  the  findings  and  recommendations  for  improving  the  website,  based  on  our  analysis  of  demographic  and  usage  data,  collected  by  means  of  a  survey,  of  the  ECRC  website.  

Methodology  Major  demographics   that  were   targeted  by  means  of   this   survey  were   the  student  population   (undergraduate,   graduate,   and   alumni)   that   currently   engage  with   the  ECRC   website   and   the   employers   that   directly   work   with   the   ECRC.   Participants  were  recruited  using  an  ECRC  email  blast.  To  help   facilitate   the  creation  of  survey  questions,   the   team   first   produced   some   research   questions   that   were   aimed   to  provide  a  base  understanding  of   the  types  of   information  we  would   like  to  extract  from  the  survey.  Six  external  participants  were  used  to  pilot   the  survey.  Qualtric’s  visualization   tools   played   an   important   role   in   helping   the   team   to   analyze   the  collected  data.  

Findings  and  Recommendations  After  careful  review  of  the  information  gathered  from  the  survey,  the  team  has  come  up  with  the  following  findings  and  recommendations.    Finding  1:  Many  resources  (salary  guide,  handbook,  etc)  on  the  ECRC  website  that  the   ECRC   believes   are   most   valuable   are   accessed   infrequently   by   students   and  employers.  Recommendation   1:   The   ECRC   should   make   these   important   resources   more  visible  and  easier  to  access  quickly.      Finding   2:   Many   students   find   LinkedIn   and   other   job   search   engines   useful   in  addition  to  the  ECRC  website  and  ENGenius.Jobs.  Recommendation   2:   The   ECRC   should   add   resources   on   how   to   create   a   strong  LinkedIn  profile  to  their  website.    Finding   3:   Students   and   employers   primarily   use   the   ECRC   website   to   access  ENGenius.Jobs.  Recommendation   3:    Streamlining   the   design   and   improving   the   visibility   of   the  ECRC’s  resources  on  its  webpage  may  lead  to  an  increase  in  the  usage  of  the  ECRC  website.  Finding  4:  The  ECRC’s  advertising  of  the  Corporate  Partner  Program  is  not  effective  with  employers.  Recommendation   4:   Providing   more   written   information   about   the   corporate  partner  program  may  help  employers  understand  more  about  this  program.

Introduction    The  Engineering  Career  Resource  Center  (ECRC)  provides  career  planning  resources  and  services  to  students  and  alumni  at  University  of  Michigan  School  of  Engineering.  It  also  serves  as  a  link  that  connects  employers  with  engineering  undergraduate  and  graduate   students   as   well   as   alumni.   The   ECRC   website  (http://career.engin.umich.edu/)   serves   as   a   single   source   of   information   for   the  various  activities  and  services  that  the  Center  provides.  The  primary  audience  of  the  website  is  University  of  Michigan  students  and  alumni,  with  a  secondary  audience  of  companies  seeking  to  recruit  these  students.    Our  previous  evaluations  have  provided  an   interaction  map,  qualitative  data   from  interviews,  and  personas  and  scenarios.  From  these  evaluations,  we  found  that  the  ECRC  website   can   be   a   good   starting   point   that   connects   students   and   alumni   to  employers.   However,   some   changes   are   needed   to   distinguish   the   ECRC   website  from  ENGenius.Jobs  (the  engineering  job  search  engine)  and  to  emphasize  the  most  desirable   resources   for   its   target   users.   Based   on   these   previous   findings,   we  conducted  a  survey  to  learn  more  about  the  demographic  and  usage  information  of  ECRC’s   primary   and   secondary   users.   As   with   previous   evaluations,   we   chose   to  focus  on  the  following  two  sections  of  the  website:    

1)   Students/Alumni   -­‐   For   students   and   alumni   the   ECRC  website   provides  resources   that   are   aimed   at   helping   them   in   their   career   development,  including   career   fair   information,   on-­‐campus   interview   preparation,  information  session  details,  workshop  notifications,  résumé  and  cover  letter  samples,   the  “Career  Manual   for  Students”  handbook,  salary  guide,  a   link  to  ENGenius.Jobs,  and  information  about  the  “suited  for  success”  program.    

 2)   Employers   -­‐   The   ECRC   hosts   a   number   of   services   that   help   employers  create  a  presence  here  at  the  University  of  Michigan  campus.  Amongst  them  are  career  fair  participation  guides,  on-­‐campus  interview  setup,  information  session   preparation,   contact   information,   the   “Guide   for   Recruiters”  handbook,   salary   guide,   a   link   to   ENGenius.Jobs,   Cooperative   Education  Program  introduction,  hiring  international  students  FAQ,  etc.  

 The  data  collected  via  the  survey  provided  us  with  valuable  information  from  users  regarding   their   usage   and   opinions   towards   the   ECRC   website.     Analysis   of   the  survey   data   has   led   to   further   findings   that   either   reiterate   previous   ones,   or  provide  indications  for  the  upcoming  evaluation  phases.

Methods    As  the  first  step  of  this  study,  we  defined  our  target  population  as  “current  users”  of  the  ECRC  website,  which  included  University  of  Michigan  engineering  students  (i.e.  undergraduate,   graduate/PhD)   and   alumni   who   are   looking   for   career   related  information   on   the   website,   as   well   as   employers   who   work   with   the   ECRC   for  student  recruitment.      Once  we  identified  a  target  population,  the  goal  of  the  survey  was  set  and  high-­‐level  research   questions   were   generated.   The   goal   of   this   survey   was   to   collect  quantitative  data  representative  of  the  ECRC  website’s  target  audience  via  sampling  and   to   determine   the   characteristics,   attitudes   and   behaviors   of   the   target  population.   In   general   five   research  questions  were  elicited  out  of   the  goal  of   this  survey:    

• What  are  the  demographics  of  the  users  of  the  ECRC  website?  • Why  do  students/alumni  and  employers  use  the  website?  • What  are  the  most  frequently  visited  resources  on  the  website  by  users?  •  How  satisfied  are  users  with  the  website?  • What   are   some   alternative   services   students/alumni   and   employers   use  

other  than  the  website?    

Based  on  these  research  questions,  we  designed  survey  questions  (Appendix  A)  as  a  group.  The  survey  contained  general  questions  for  the  whole  target  population,  and  specific  questions  for  students/alumni  and  employers  respectively.  Before  sending  out   the  survey   to  our   target  population,  we  piloted   the  survey  amongst  ourselves,  and  then  asked  6  additional  users  (who  were  not  part  of  our  target  population)  to  pilot   the   survey.   During   the   piloting   of   the   survey,   any   confusion   or  misinterpretation  was  noted  (see  Appendix  B),  and  several  refinements  towards  the  logic  and  flow  of  the  survey  were  made  based  on  piloting  results.      Once   these   refinements  were  made,   the   survey  was  published   via   the   survey   tool  Qualtrics.  A   link   to   the  survey,  along  with  a  short   recruiting  summary  was  sent   to  our  clients  at  the  ECRC,  who  then  recruited  employers  for  our  sample  by  forwarding  the   link   and   summary   to   their   employer   contacts.   The   link   was   sent   to  approximately   337   employers.     Students/alumni   were   recruited   via   email   blasts  sent  to  the  ECRC     listserv,  which  reaches  7,936  students.  The   link  was  sent  out  on  February  24th,  2014.  The  survey  was  kept  active  online  for  10  days  until  March  5th,  2014.    Finally,   Qualtrics   data   visualization   tools  were   used   to   analyze   the   survey   data.   A  total  of  58  people  took  the  survey,  of  whom  30  were  students/alumni  and  28  were  employers.  Amongst  the  total  responses  21  students  and  28  employers  fell  into  our  target   population.   Each   individual   member   of   our   group   then   analyzed   and

interpreted   the   Qualtrics   data.   We   then   reviewed   and   discussed   our   individual  analyses   to   synthesize   the   findings   and   recommendations.   For   complete   statistics  and  individual  notes  refer  to  Appendices  C  –  F.

Findings  and  Recommendations    Finding  1:    Many  resources  on  the  ECRC  website  that  the  ECRC  staff    believe  are  most  valuable  are  accessed  infrequently  by  students  and  employers.    These  resources  include  the  Salary   Guide,   Recruiters   Handbook   and   Student   Handbook   as   well   as   details   on  workshops,  career  fairs,  and  information  sessions.    Evidence  1:    During  our  stakeholder  interviews,  the  ECRC  stated  that  the  Salary  Guide,  Recruiters  Handbook,   and   Student   Handbook   were   some   of   the  most   valuable   resources   on  their   website.    However,   out   of   the   students   that   responded   to   the   question  regarding   frequently   viewed   pages   on   the  website,   5   out   of   7   said   they   used   the  Student  Handbook  and  the  Salary  Guide  only  “Sometimes”  to  “Almost  Never”  (on  a  5-­‐point  Likert  scale).  Out  of  the  employers  that  responded  to  the  question  regarding  frequently   viewed   pages   on   the   ECRC   website,   17   out   of   18   said   they   use   the  Recruiters  Handbook  and  the  Salary  Guide  only  “Sometimes”  to  “Almost  Never.”    Additionally,  in  our  initial  user  interviews,  most  student  users  expressed  that  career  fairs,   information  sessions,  and  other  opportunities  to  meet  employers  face-­‐to-­‐face  were  important  in  their  job  searches.    However,  out  of  our  responses,  5  out  of  7  of  the  students  said  they  only  “Sometimes”  accessed  the  ECRC  website  for  information  on  career   fairs  and  on-­‐campus   interviews.    All  of   the  student   responses  show  that  they   use   the   ECRC  website   only   “Sometimes”   to   “Almost   Never”   for   details   about  information  sessions  and  workshops.    Similarly,  out  of   the  employer  responses,  16  out  of  18  said  they  used  the  ECRC  website  only  “Sometimes”  to  “Almost  Never”  for  details  about  hosting   information  sessions,  and  12  out  of  18  said  they  used  it  only  “Sometimes”  to  “Almost  Never”  for  details  about  participating  in  the  career  fair.    These   statistics   indicate   that   both   students   and   the   employers   are   not   primarily  using  the  ECRC  website  for  the  resources  that  the  ECRC  believe  are  most  valuable.        Recommendation  1:    The  ECRC  should  make  these  important  resources  more  visible  and  easier  to  access  quickly.    Students  and  employers  expressed  that  they  “sometimes”  use  most  of  these  resources,   which   tells   us   that   they   also   find   these   resources   useful.   The   ECRC  website  may  encourage  increased  usage  of  these  resources  by  creating  easier  paths  to  them.  One  possible  way  to  accomplish  this  could  be  to  cut  redundancy  on  the  site.  For  example,   the  website  currently  has   two  navigation  bars  both  of  which  contain  much   of   the   same   information.   Everything   listed   in   the   sidebar   navigation   for  students  can  also  be  found  in  the  drop  down  menu  for  students.    For  employers,  the  only  page  listed  on  the  side  bar  navigation  bar  that   is  not   listed  on  the  drop-­‐down  menu  is  “Ann  Arbor  Area  Information”  (See  Figure  1).    This  could  easily  be  included  in   the   drop-­‐down   menu.    Finally,   both   the   “Work   Abroad”   and   the   “Co-­‐

Op/Internship”   sections   are   also   listed   under   the   “Students   and   Alumni”   section  (See   Figure   2).    To   remove   this   redundancy,   the   two   calendar   sections   and   the  “Faculty  and  Staff”  section  that  are   listed   in  the  sidebar  navigation  can  replace  the  “Work   Abroad”   and   “Co-­‐Op/Internship”   drop-­‐down  menus.    By   creating   one   clear  path   for  all   information  regarding   these  resources,   the  ECRC  would  make   it  easier  for  students  and  employers  to  find  the  most  important  resources.

“FAQ”.    These   could   be   organized   by   user-­‐need   (student   versus   employer).    They  could   include   all   PDFs,   event   calendars,   and   other   important   survey   documents.    Most  new  users  will  likely  check  that  page  first  for  a  quick  answer  to  their  question  before  searching  through  multiple  pages  in  different  sections  of  the  website.        Finding  2:    Many  students  find  LinkedIn  and  other  job  search  engines  useful  in  addition  to  the  ECRC  website  and  ENGenius.Jobs.    Evidence  2:    Of   the   students   that   responded   to   the   question   regarding   additional   job   search  resources,  6  out  of  7  mentioned  using  LinkedIn  (See  Figure  3).    Additionally,  4  out  of  7   also   highlighted   personal   networking   and   other   job   search  websites.    Similarly,  employers  mentioned  LinkedIn  and  other  online  job  boards  as  additional  resources  that  they  use  to  hire  University  of  Michigan  students.

Recommendation  2:    The   ECRC   should   add   resources   on   effective   use   of   these   tools,   such   as   tips   on  creating   a   LinkedIn   profile.    One   potentially   useful   resource   would   be   an  instructional  video  that  walks  students  step-­‐by-­‐step  through  the  process  of  setting  up   a   profile.   There   could   also   be   additional   video   tutorials   on   how   to   best   utilize  these   outside   job   search   sites   beyond   simply   setting   up   a   profile.    The   website  already  contains  resources  on  resumes  and  cover  letters.  By  adding  information  on  how  to  build  a  successful  LinkedIn  profile  and  use  outside  job  search  websites,  the  ECRC  provides  another  resource  that  students  may  find  useful.    This  new  resource  should  be  placed  somewhere  that  is  easy  to  find,  similar  to  the  other  important  and

frequently  accessed  resources.    

Finding  3:    Students  and  employers  primarily  use  the  ECRC  website  to  access  ENGenius.Jobs.    Evidence  3:    Our  survey  results  indicated  that  26  out  of  28  the  employers  that  responded  use  the  ECRC  website   as   a   landing  page   to   direct   them   to   the  ENGenius.Jobs   employment  portal   where   they   can   register   to   attend   a   career   fair   and   post-­‐employment   and  internship  opportunities  within  their  company.      Amongst  the  students  polled,  3  of  them  marked   that   they  exclusively  used  ENGenius.Jobs  and  not   the  ECRC  website,  with   3   of   them   just   using   the  ECRC  website.  Outside   of   ENGenius.Jobs,   employers  and  students  were  unfamiliar  with  ECRCs  offerings.

 Recommendation  3:  We  believe  that  streamlined  design  and  improved  visibility  of  the  ECRC’s  resources  for  employers  and  students  (see  Recommendation  #1)  on   its  webpage  will   lead  to  the  increased  usage  of  the  ECRC’s  websites  resources  by  both  groups.  Improving  the  visibility   of   the   ECRC’s   resources   may   result   in   increased   site   usage   since   both  groups   were   unaware   of   the   full   extent   of   the   ECRC’s   services.   Additionally,   the  ECRC’s  promulgation  of   Internet   links   such   as   Indeed,   LinkedIn,  Monster.com  and  other   job   related   websites   from   their   website   could   encourage   more   site   usage  amongst  the  students.    Finding  4:    The  ECRC’s  advertising  of  the  Corporate  Partner  Program  may  not  be  effective  with  employers.

 Evidence  4:    In  our  survey,  7  out  of  25  employers  did  not  know  whether   they  were  part  of   the  Corporate  Partners  Program.  Some  employers,  who  knew  they  were  members  of  the  program,  discovered  the  Corporate  Partners  Program  through  other  means  beyond  the  website  (either  through  staff  or  students).    16  out  of  18  employers  use  the  ECRC  website  only  to  access  ENGenius.Jobs,  so  they  do  not  see  the  other  pages  within  the  website  designed   for   their  use,  such  as  Corporate  Partners  Program  and  therefore  would  have  no  further  knowledge  of  the  program’s  details.    Recommendation  4:    We   suggest   that   the  ECRC  provide  more  written   information   about   the  Corporate  Partners  Program  on  the  homepage.    Currently,  the  ECRC’s  homepage  shows  only  a  banner  of  company  logos  and  a  caption  underneath  that  reads,  “Corporate  Partners  Program”   (Figure   5).   Our   recommendation   is   to   include   a   brief   description   of   the  Corporate   Partners   Program   on   this   page   so   employers   will   know   that   it   is   an  exclusive  program,  and  membership  is  obtained  not  by  virtue  of  being  an  employer  who  is  registered  in  ENGenius.Jobs.

Discussion    The   survey   provided   evidential   statistics   to   help   the   team   understand   the  characteristics,   behaviors   and   attitudes   of   the   ECRC   website’s   target   users.  Nevertheless,   throughout   this   process   there   were   some   limitations   and  shortcomings  that  should  be  considered.  

To   begin  with,   there  may   be   some   bias   in   our   sample   due   to   the   low   number   of  responses   from   certain   demographics.   The   majority   of   our   student/alumni  responses  11  out  of  28  were  from  graduate  students,  with  sophomores  4  out  of  10  and   seniors   4   out   of   10   being   the   second   largest   groups.   The   exceedingly   large  proportion  of  graduate  responses  could  introduce  a  bias  into  the  data.  For  example,  5   out   of   7   responses   to   the   question   about   which   ECRC   resources   are   most  frequently  used  were  from  graduate  students.  These  students  may  be  more  likely  to  have  had  a  job  in  the  past,  and  may  have  already  had  experience  with  job  interviews,  cover  letters,  etc.,  and  may  be  less  likely  to  use  these  resources  compared  to  college  freshmen.   In  addition,  employers  21  out  of  24  were   looking  to  hire  seniors,  which  was  a  remarkably  high  proportion.  However,  the  survey  only  had  4  senior  student  responses,  and  thus  there  were  not  enough  responses  from  seniors  for  us  to  further  generate  a  finding/recommendation  regarding  the  relationship  between  employers  and   seniors   on   the  website.   A   potential   reason   for   the   low   student   response   rate  might  be  that   the  survey  went  out  during  midterm.  Another  potential  cause  of   the  limited  responses  to  certain  questions  might  be  that  participants  skipped  them,  as  the  questions  were  not  mandatory.  

Another  possible  source  of  bias  in  our  results  is  that  our  client  sent  the  survey  link  to   peer   advisors   at   the   ECRC.   This   could   also   introduce   a   bias   as   they   were  employees   at   the   ECRC   and  might   have   a   different   relationship   with   the   website  than  average  target  users.  Their  attitudes  toward  the  website  might  also  be  biased  by   some   subject   factors.   For   example,   they   may   be   less   likely   to   say   anything  negative  about  the  website  because  they  worked  there.    We  also  noticed  the  fact  that  no  employers  were  providing  part-­‐time  jobs  whereas  student   responses   5   out   of   17  were   using   the  website   to   look   for   part-­‐time   jobs.  Information  asymmetry  could  thus  be  caused  between  students  and  employers  and  the  role  of  the  website  as  a  connection  between  the  two  parts  could  be  weakened.  Nevertheless,  this  was  not  an  issue  for  the  website  to  address  so  we  didn’t  make  it  a  major  finding  of  this  research.    These   limitations   and   shortcomings   from   the   survey   research   likely   impacted  our  findings.  Nevertheless,  the  statistics  were  evidential  and  revealing,  and  the  findings  that   we   listed   were   referenced   enough   that   the   team   feels   confident   in   our  recommendations.

Conclusion    In   this   report,   we   have   presented   our   key   findings   learned   from   analyzing   the  survey   of   University   of   Michigan   engineering   students/alumni   and   employers.  Although   the  ECRC  staff   told  us   that   their  website  had  valuable   resources   such  as  the   Salary   Guide,   Student   and   Recruiter   Handbooks,   and   information   about   the  Corporate   Partner   Program,   relatively   few   users   are   taking   advantage   of   these.  ECRC   can   fix   this   by   making   this   information   more   visible   and   cutting   out  redundancy  (such  as  the  extra  navigation  bar).  Furthermore,  we  learned  that  many  students  use  LinkedIn  and  other  popular  job  search  websites,  and  students  may  use  ECRC  more  if  it  provides  resources  on  efficiently  using  these  websites.

Appendix  B  -­‐  Piloting  Results    This   appendix   serves   as   a   repository   of   the   notes   that   were   collected   from   the  piloting   of   the   survey,  which  were   then  used   to   give   the   final   touches   to   the   final  survey.    Finding  1:  One   of   the   pilot   testers,   had   no   problems   with   the   flow   of   questions   in   the  student/alumni  section  when  Yes  was  chosen  in  Q3.  However,  she  was  “startled”  to  notice  that  she  was  exited  out  of  the  survey  after  choosing  No.    Solution  1:  We   added   another   set   of   4   questions   in   case   the   user   selected   No   in   Q3.   These  questions   were   aimed   at   gauging   why   or   why   not   the   user   had   used   the   ECRC  website.    Finding  2:  One  of  the  pilot  testers,  exclaimed  as  to  whether  there  was    a  reason  for  the  gender  question  to  be  at  the  end.    Solution  2:  Although,   the  position  of   the  question  wasn’t  changed,   it  was   justified  by  what  we  had  learned  during  the  in-­‐class  survey  exercise.      Finding  3:  Reading   the   introduction  paragraph  of   the  website,   seemed  a  bit  overwhelming   to  one  of  the  testers.    Solution  3:  It  was  decided  to  put  a  screen  shot  of  the  homepage  of  the  ECRC  website  instead  of  the   introduction  paragraph.   It  was  thought  to  be  a  more  visceral  way  of  providing  information  about  what  website  the  survey  was  about.    Finding  4:  The  question  “What  college  year  are  you?”  might  not  apply  to  alumni  as  they  would  not  identify  themselves  as  students.    Solution  4:  The  question  was   changed   to   “How  would   you  describe   yourself?”   and   the   choice  “Senior/5th  Year”  was  added  to  the  list.    Finding  5:  Introduction   paragraph   does   not   have   any   reference   to   the   website   being   talked  about  in  the  survey.
