Budget Maintenance allows you to set up locations and reference numbers and attach this information to the products you wish to track for budget purposes. Create budgets for each location and/or reference number and set threshold alerts to appear during order entry.

Using locations in your budget setup is optional – it allows you to track items by both location and general ledger code.



Create your reference numbers (general ledger codes). Once these numbers are setup in the system – you can assign them to the products you wish to track using the Budget program.


Assign reference numbers to the products you want to track. Assign the location codes also if applicable.


In the Budget Dollars / Alerts section – you can setup your thresholds, the default email address for budget alert notifications, and set your budget dollars.


Alert Thresholds are used during order entry to notify the user if they are close to or exceeding their budget dollars. Set the budget amounts by month – these can be adjusted at any time.


This is the Budget Alert Page that displays during order entry. If an item has been ordered that exceeds the thresholds set in Budget Maintenance - the user will be warned about the overage and a management email notification can be sent.


Journal Entry is another important part of the budget package – this feature allows you to add entries against your budget from other sources. Add purchases or credits from other vendors and they will be tracked with your other budget related purchases / credits.
