STUDY ABROAD PROCESS 4 EASY STEPS The following guidelines are designed to explain the study abroad process step by step. Please read the information carefully, and keep this handbook for future reference. Note: The Office of International Education is abbreviated to OIE in this handbook. STEP 1 – Program Research/Study Abroad Library Upon your entry to our office you will be asked to fill out an information card. This will be used for advising purposes until you either initiate an application or tell us you are no longer interested. If this is your first visit to OIE, you will be asked to sign-up for any of the scheduled Study Abroad Advising Sessions. You will find the schedule posted on the entrance door of the study abroad library (PH 301). After attending the Advising Session, you will be asked to review information on the OIE web site (www.tamiu.edu/dip/oie) and to research your program options. Helpful information for you to take is the Information Session/Important Dates flyer, Study Abroad by Major flyers, IEFS/GLM-IF scholarship information, and the undergraduate or graduate scholarship info flyer. STEP 2 – Study Abroad Advising/TAMIU Study Abroad Application After you have reviewed some possible programs, or need additional assistance, you can make an appointment with the OIE Director. In consultation with the OIE Director you select a program that best suits your academic focus, geographic preference, and academic record. Once you have selected a final program, you complete a Study Abroad Application and copy down course information regarding the study abroad program of your choice. The application and course information has to be taken to your academic advisor who will advise you regarding your course selection. Your academic advisor and college dean will sign the Academic Advisement Form, after which you will return the entire package for final approval to OIE. STEP 3 – Study Abroad Program Applications/Scholarship Applications Once you have received approval from the OIE, you can start completing your application for your specific study abroad program. Ensure you fill out all application requirements (typically they require official transcripts, photos, essays, references, etc). Should you have selected an International Student Exchange Program (ISEP), you can complete the ISEP application in lieu of the TAMIU study abroad application. Then return all materials to the OIE, leaving sufficient time for it to be reviewed and mailed well ahead of deadlines. A copy of your specific study abroad program application will be kept on file at OIE. Apply for TAMIU’s International Education Fee Scholarship (IEFS) and the Guadalupe and Lilia Martinez International Fellows Scholarship (GLM-IFS). Also review other nationally competitive study abroad scholarships you qualify for. STEP 4 – After Acceptance If you do not have a passport, submit for one immediately at the post office. Apply no later than 3 months in advance. Once you have your passport, and after acceptance at the foreign school, you need to apply for the student visa with the embassy/consulate of the country you will be studying in. This often means a required trip to Houston for a visit with the Embassy or Consulate of your study abroad country. Sign up for the required study abroad health insurance and arrange your housing and travel. Attend the mandatory pre-departure orientation. Dates and locations for these orientations are listed on the Information Sessions Calendar.

HOW TO RESEARCH STUDY ABROAD What’s Important to You?

- Do you want academic credits to count towards your major/minor? If so, which courses to you still need to complete for your major/minor? Check with your academic advisor

- For how long do you wish to go abroad? Summer/Semester/Year? Will program dates for your study abroad program conflict with the semester dates at TAMIU?

- What can you financially afford? The cost for a residential semester at TAMIU is about $7,500. Is your FAFSA current, and have you discussed your study abroad budget with your financial aid advisor? Does the program abroad offer scholarships, and what other scholarships are available for study abroad? What are the eligibility requirements for these scholarships and deadline dates?

- What about language? Many business programs offer course work in English, however courses may be more limiting for other majors, such as the sciences. Consider English or Spanish native speaking countries (Australia, Canada, Ireland, UK, Spain, and Latin America with the exception of Brazil). Consider Affiliate Programs, which cater more towards American students and offer expanded course offerings in English in non-English speaking countries.

Which Programs Are Available?

- Exchange Programs: some exchange programs are for specific majors only (primarily business), where as others are open to any major. Open for all majors are Universidad de Guanajuato and Universidad Autonoma de San Luis Potosi in Mexico; University of New Brunswick in Canada; Universidad de Costa Rica, in Costa Rica; and City University in Hong Kong. Our affiliation with the International Student Exchange Programs has many more exchange programs open to students from all disciplines. Check the www.tamiu.edu/dip/oie website for detailed information, or go directly to www.isep.org.

- If you did not find a good match with an exchange program, also review our affiliate programs. Current affiliate programs are:

Academic Programs International (API) – www.academicintl.com American Institute of Foreign Study (AIFS) – www.aifs.com Cultural Experiences Abroad (CEA) – www.gowithcea.com International Studies Abroad (ISA) – www.studiesabroad.com Institute for Study Abroad Butler Univ. (IFSA) – www.ifsa-butler.org

- For any other program (non-affiliated), search the search engines at www.IIEpassport.org and www.studyabroad.com

- Have a look at the partner school binders/study abroad catalogs in the library or contact program providers directly for a catalog. Met with the OIE staff to have a look at your preferential programs. Attend the annual study abroad fair and ask questions.

- Discuss program courses/content with your academic advisor. How will it impact your degree program and date of graduation?

QUICK STUDY ABROAD PROGRAM OVERVIEW There are different types of programs that allow you to study abroad. At Texas A&M International University we divide the programs into A&M International Exchange Programs, Affiliate Programs, Non-Affiliate Programs, and Faculty-Led Programs. A&M INTERNATIONAL EXCHANGE PROGRAMS An exchange program is a program where A&M International has an exchange agreement in place with a foreign institution. Students apply through the University and will be registered for the duration of the study abroad period at A&M International (minimum of undergraduate 12 SCH, graduate 9 SCH). Students pay A&M International tuition and fees, and fee bills are generated and paid as they would be for a semester in Laredo. The exchange period often varies between one semester to one year, and most of these universities do not offer summer courses. Classes are often taught in the language of the host country, or in English. Students eligible for financial aid may use it to finance study abroad, and TAMIU study abroad scholarships are available. Credit is calculated into the A&M International Grade Point Average (GPA) of which 6 SCH can be recorded as pass/fail (for undergraduates only). CANADA University of New Brunswick UG - All disciplines CHINA Hong Kong Polytechnic University UG - Business City University of Hong Kong UG - All disciplines COSTA RICA Universidad de Costa Rica UG/G - All disciplines FRANCE Ecole Superieure de Commerce – Chambery UG – Business EuroMed Marseille UG/G - Business GERMANY Fachhochschule fur Technik & Wirtschaft - Berlin UG - Business Europa Universtat Viadrina UG/G - Business MEXICO Universidad de Guanajuato UG/G - All disciplines Universidad Regiomontana UG/G - Business Universidad Autonoma de San Luis Potosi UG/G - All disciplines NETHERLANDS Arnhem Business School UG/G - Business SPAIN Universidad de Cordoba UG - Business In addition to the above mentioned exchange programs, TAMIU students can participate in the International Student Exchange Program (ISEP - www.isep.org). This program is very similar to the above described exchange program, and offers access to well over 100 foreign institutions in about 36 foreign countries, and offers many interdisciplinary courses. Students apply by completing an ISEP application and will be registered for the duration of the study abroad period at A&M International (minimum of undergraduate 12 SCH, graduate 9 SCH). Students pay A&M International tuition and fees and room and board, and an application fee to ISEP. AFFILIATE PROGRAMS An affiliate program is a program where A&M International has signed an agreement with a study abroad organization or institution, which facilitates study abroad. Students apply both through TAMIU and the study abroad organization. Exchanges vary between summer, semester, and yearlong programs. Students attend classes with other U.S. students and language proficiency is generally not required. There are some instances where students may be allowed to attend regular university classes. Many affiliate programs have a Resident Director who lives on-site and who is responsible for the group. Students pay a program cost, set by the affiliate, which varies

Page 8: STUDY ABROAD HANDBOOK & APPLICATION · How to Research Study Abroad Study Abroad Checklist ... Canada, Ireland, UK, Spain, and Latin America with the exception of Brazil). Consider

5

with each individual program. Study abroad organizations often offer various scholarships for participation in their programs, and Texas A&M International students eligible for federal, state or institutional aid, may use it to finance an affiliate program. TAMIU Scholarships are available. Students receive transfer credit, which will be calculated into their cumulative GPA. ISEP also has the ISEP-Direct program (www.isep.org/direct), which offers study abroad programming on very similar terms as the above describes Affiliate Programs. Their direct programs are very cost-competitive with the affiliate programs, and are primarily found in Australia, the United Kingdom, and select private institutions. Following are links to TAMIU’s affiliate study abroad organizations within the U.S.: American Institute for Foreign Study (AIFS) - www.aifsabroad.com American Programs International (API) - www.academicintl.com Cultural Experiences Abroad (CEA) - www.gowithcea.com IFSA Butler University - www.ifsa-butler.org International Studies Abroad (ISA) - www.studiesabroad.com NON-AFFILIATE PROGRAMS If students cannot find their particular area of interest in any of the exchange or affiliate programs, students may explore the non-affiliate programs. However, should you decide to attend a study abroad program that is neither considered an exchange or an affiliate program, you will have to write a justification letter to the OIE director for approval. Non-approval will result in not receiving any Financial Aid benefits, disqualification for participation in the IEF/GLM-IF scholarships, and no services by OIE. FACULTY-LED PROGRAMS Faculty-led programs are short-term abroad programs offered by A&M International faculty or possibly other Texas public institutions. Students apply and register at A&M International or at the institution offering the program. Travel takes place with a University professor and other A&M International/Texas students. Programs are taught in English (with the exception of language programs). Students eligible for financial aid may use it to finance study abroad, and TAMIU study abroad scholarships are available.

D.D. HACHAR HONOR STUDENTS ELIBILITY Honors scholars must meet the following requirements in order to maintain eligibility for the Honors Program. 1) All Honors Scholars must be enrolled for a minimum of 15 hours in their study abroad program. 2) All Honors Scholars studying abroad are required to submit a 10-page paper on their academic experience abroad. The paper is due within two weeks of their return from their study abroad program. This requirement will replace the two Honors Contract Courses that are ordinarily required. 3) All Honors Scholars must maintain a minimum GPA of 3.0 at the end of every academic year (in May).

PERIOD OF PARTICIPATION 1. Limited to two semesters (24 SCH max.). Exceptions require approval by the student’s

Department Chair and College dean. 2. Undergraduate exchange/affiliate students are required to take minimally 12 SCH per long

semester or 6 SCH per long summer session (3 SCH for short summer sessions), or 9 SCH per quarter.

3. Graduate students are required to take minimally 9 SCH per long semester or 6 SCH per long Summer session (3 SCH for short summer sessions), or 9 SCH per quarter.

TRANSCRIPT, GRADES, GPA Texas A&M International University reserves the right to determine the amount of credit (TAMIU credit or transfer) awarded by following a review of any transcripts or reports received. Revision of recommended levels can be allowed, for example, if the credit recommendations are too high for the duration of study or the nature of assessment, or by a foreign institution’s recommendations reflecting a distorted understanding of the American system. Exchange Programs (including ISEP programs) Students (undergraduate only) participating in a TAMIU Exchange Program may choose up to 6 SCH pass/fail. Course credits are considered in-residence, and grades will be calculated into the grade point average. OIE is responsible for obtaining an official transcript from the partner school. If for any reason a student has to drop a course, or is taking less than the required course load, s/he is responsible for informing OIE and the academic advisor immediately via email. Affiliate Programs (including ISEP Direct Programs) Grades below “C” will be calculated into the grade point average, but will NOT be used to satisfy degree requirements. Course credits cannot be used for pass/fail. Although a student participating in an Affiliate Program is continuously enrolled at Texas A&M International during approved off-campus study, these hours are transfer credits and do not count as hours-in-residence. The student is responsible for having an official transcript sent to the OIE at Texas A&M International University. If for any reason a student has to drop a course, or is taking less

Page 11: STUDY ABROAD HANDBOOK & APPLICATION · How to Research Study Abroad Study Abroad Checklist ... Canada, Ireland, UK, Spain, and Latin America with the exception of Brazil). Consider

8

than the required course load, s/he is responsible for informing OIE and the academic advisor immediately via email. Faculty-Led Programs (TAMIU) Course credits are considered in-residence, and grades will be calculated into the grade point average. Course credits cannot be used for pass/fail. If the faculty-led program is a non-TAMIU program, the same rule as for affiliate programs will be applied, namely course credits cannot be used for pass/fail; credits are counted as transfer credit, thus do not count as hours-in-residence, and the student is responsible for having an official transcript sent to the OIE at Texas A&M International University. RESIDENCE REQUIREMENT A minimum of thirty semester hours must have been in residence at Texas A&M International University. Twenty-four semester hours of the last thirty advanced hours required for a degree must be completed at Texas A&M International University. The College of Business Administration requires that a minimum 50% of both the business SCH and the major/concentration SCH must be completed at Texas A&M International University. APPLICATION FOR GRADUATION A student intending to have a baccalaureate degree conferred at Texas A&M International University must file an Application for Candidacy with the Office of the University Registrar and pay the graduation fee to the University Business Office. Students intending to graduate in-absentia should notify the Office of the University Registrar upon application for candidacy. In some instances (where transcripts for a final semester of study can not be received quickly enough) a student may petition to “walk the stage” even though the degree cannot be awarded until an official, original transcript showing work satisfactorily completed abroad is received, evaluated, and posted.

FINANCIAL PLANNING/AID Cost is of primary concern to students. We want to make study abroad accessible and financially affordable to as many students as possible. Our study abroad programs vary widely in cost, depending on the type of program, inclusions in the program (on-site director, excursions/field trips, meal/housing stipends, etc.), length of stay, and program location. When considering cost it is important to remember:

• In many cases financial aid may be applied to finance study abroad • Scholarships for study abroad are available. • The costs of some programs are comparable to what you would pay if live on the TAMIU

campus • Make sure you compare all costs when selecting a program • While the total financial sum may seem as a huge amount to you, consider it to be an

investment in your future – one that will have many benefits in your future academic, professional, and personal life

In close coordination with the Office of Financial Aid a policy was established to make the financial aid review and award process for study abroad students efficient and flexible. In addition, study abroad scholarships are available to eligible TAMIU students to continue to promote and increase study abroad participation. Financial aid for study abroad works as follows: EXCHANGE PROGRAMS Financial Aid: As an exchange participant the student remains enrolled and registered at TAMIU. Therefore the student may qualify for all federal, state, and institutional aid available to him/her. Disbursement will be made directly to the student. Students must register for a full-time load (12 SCH minimum for undergraduate students and 9 SCH for graduate students), and must maintain full-time enrollment while abroad. Students must meet all Satisfactory Academic Progress Policy requirements in order to continue receiving financial aid. Paper work process: Student will complete and submit a FAFSA (free application for federal student aid), Financial Aid Folder, and in conjunction with the Office of International Education (OIE) a Financial Aid budget for Study Abroad to the Office of Financial Aid (OFA). The budget is used to adjust the financial need of the student, and must be signed by the OIE Director. Recommended deadline to provide the budget to the OFA:

If applying for Fall by May 15 If applying for Spring by October 15 The student will register for exchange/ISEP courses (EXCH 3V99 – 190 (fall semester), 290 (spring semester), 390 (summer I), 490 (summer II) through the OIE. OIE will provide the Office of the University Registrar (OUR) with an annual list of qualified programs. A registration form with a copy of the Academic Advisement Form will be submitted by OIE to OUR for registration. Recommended deadline for registration:

PASSPORTS AND VISAS PASSPORT If you do not already have a passport valid through the intended period of study abroad, begin an application at the earliest possible time. Forms to apply or renew, information on where to obtain an official copy of your birth certificate, and photograph specifications are available at the post office. The closest post office to obtain your passport application is the Saunders Post Office or the Delmar Post Office. Visit also the State Department website at travel.state.gov/passport for additional information. It has been our experience that some of our students have had to submit extra proof of citizenship to the State Department. Therefore it is extremely important that you apply for your passport in a timely fashion. VISAS Most countries require a visa (often student visas) for semester or full year study. You request a visa by submitting the required documentation (usually passport, acceptance letter from host school, financial statements, medical statements, insurance statements, etc.) to the Embassy or Consulate of the country you will be studying in. In many cases it is now a requirement for students to travel to the Embassy or Consulate of the study abroad country to present their papers directly to the visa department. For most of TAMIU students, that means a one or two day trip to Houston to obtain the visa. Remember that you must present your passport to the Consulate with the visa application! You may request a visa application at any time. Some applications are difficult to obtain, and you may want to request them early. Your affiliate program will send information for obtaining your student visa acceptance. Most of the countries commonly used for study abroad do not require a visa for stays up to three months, thus visas are not usually required for summer programs, but a majority of Latin American, African, Asian, and Oceanic countries require visas of all visitors. The State Department web site (travel.state.gov) has a list of consular offices and visa requirements. Quite a few countries have a consulate in Houston, and nearly any country may be contacted at their embassy in Washington. (Some countries may require you to deal with a specific consulate, either the one responsible for the region of your permanent residence or the one responsible for Texas). REGISTRATION WITH LOCAL AUTHORITIES Although no visa is required, a student in the United Kingdom, for example, must register with the police after six months. Check with your program regarding any similar requirements of your host country. STUDENTS NOT TRAVELING ON U.S. PASSPORTS The information about visas pertains specifically to students traveling on U.S. passports. Requirements vary for other students depending on the visa reciprocity agreements in force between their countries and countries visited. Please contact your embassy or other appropriate agency in the country of your citizenship for applicable requirements.

GENERAL INFORMATION REGISTRATION FOR SEMESTER OF RETURN You are strongly advised to sign up for Web Registration Access (LASSO - Laredo Automated Student Services On Line). You can do this by filling out the Petition for Web Registration Access at the Registrar Office. Once approved, you will be given a pin number from the Registrar Office. With this pin number, you will be able to register yourself for courses via the web (www.lasso.tamiu.edu). If you have not made arrangements to register on-line, you may contact the Study Abroad Advisor via email to start the process for registration. SECURING TRANSCRIPT FROM STUDY ABROAD INSTITUTION For credit to be awarded after your period of study abroad, the Office of the Registrar must receive an official transcript of grades. Often this transcript is sent automatically. However, in many cases the student must officially request that the transcript be sent. Before leaving your program please be sure that you have arranged to have a transcript returned to the OIE. We will then forward it on to the appropriate departments for credit review, and to the Registrar for posting on your transcript. MEDICAL INSURANCE All students participating in a TAMIU approved study abroad program are required to purchase health insurance for the duration of their study abroad program. The required health insurance coverage can be purchased through OIE, and covers following: Basic Medical Expense ($5,000 with $50 deductible), Major Medical Expense ($45,000), Catastrophic Major Medical Expense ($250.000), Accidental Death & Dismemberment ($10,000), Repatriation Benefit ($15,000), and Medical Evacuation ($50,000). The cost of this insurance coverage is $ 0.90 (Calendar year 06) per day per participant. Students participating in an Affiliate Program often receive health/medical insurance as part of their program fee. In these cases the students are exempt from signing up for TAMIU’s health insurance program. If a student has already purchased Texas A&M International University’s insurance as a foreign student, this can be used as a substitute for the study abroad health insurance. In addition, students may purchase the International Student Identity Card ($22 - valid for one year) at OIE. This card comes with various travel discount benefits, and additional health and travel insurance.

You will be afforded due process (in accordance with the Student Handbook), which includes an opportunity to respond to charges against you. The Reference Form and Letter of Recommendation have to be written by a person who can attest to your academic abilities, personal maturity and aptitude for the challenges of studying abroad (i.e. professor or employer). Provide pertinent information to your reference far enough in advance for the person to write a thoughtful and informative reference in the midst of a busy schedule. Academic Advisement Form

Texas A&M International University students are required to meet with an academic advisor to discuss courses to be completed on their chosen program. The Academic Advisement Form serves as a TENTATIVE approval for your plan of study. If information on specific courses is unavailable, general topics and levels of study should be listed. Students should include more courses than they plan to take, as some courses may be unavailable by the start of a program. The Academic Advisement Form must be signed by the academic advisor and/or department chair, and the College Dean.

TAMIU ACADEMIC ADVISEMENT FORM

Name of Student _________________________________________________________________________________________________________ Name Study Abroad Program _______________________________________________________________________________________________ EXCHANGE / AFFILIATE / FACULTY-LED PROGRAM (circle one) Length of Program:_______________________________________ To the student: students participating in a TAMIU approved study abroad program are required to meet with an academic advisor to discuss courses to be completed on their chosen program. This form serves as a TENTATIVE approval for your plan of study. If information on specific courses is unavailable, general topics and levels of study should be listed. If possible, students should include more courses than they plan to take, as some courses may be unavailable by the start of the program. This document does NOT constitute a pre-approval of courses and/or acceptance of credits. Course work completed abroad must be evaluated by the academic units granting equivalent credit at Texas A&M International University upon the student’s return to campus. It is the student’s responsibility to follow-through with the program at the study abroad site. If the student is not able to take the courses initially selected, the student should select courses that are similar to those first selected and advise the academic advisor at Texas A&M International University of the substitutions. Approval of study abroad course work must be determined when you return. Students are required to submit syllabi, papers and notes to be evaluated by faculty in the departments that grant credit similar to that of the course taken abroad. To the academic advisor: the student named above is applying to participate in a Texas A&M International University approved study abroad program. The student should provide you with a description of the courses s/he plans to take on the program, as well as information about the program. Please note that in some courses, students may have access to course descriptions and even course syllabi for their chosen program. However, in many university systems, course descriptions and catalogs are unavailable. In such cases, this advisement form may contain only very general statements such a “upper-level course work in (name of subject) not to duplicate any course previously taken at TAMIU.” Please try to indicate for the student, to the best of your ability, how credit should be awarded for these courses. Your determination is not binding, but is meant to guide the student in his/her course of study. Please not that credit equivalencies are ultimately determined in the department where similar courses are offered at TAMIU. Your determination on this form is meant to serve as a guide for the student. This form is NOT meant as a pre-approval. Approval of course equivalencies and degree credit is determined upon a review of materials once the student has completed the study abroad program.

IF NO SPECIFIC COURSE LISTING IS AVAILABLE At this time no listing of class offerings is available. I have discussed the type and content of courses with the above named student, which s/he will take while participating in the study abroad program.
