How is Student Class Data Used?

The purpose of the Student Class data collection is to feed SLDS for teacher access to student rosters and state test information. Student Class also collects Class Size as required by state law and the SLO test information for the TKES/LKES project.

Standard Data Elements for all Data Collections.

Element Description Edits

FISCAL YEAR Fiscal year of record. E010 - yyyy is complete year. ‘2016’ is the value for this current FISCAL YEAR.

PERIOD Reporting period of record. E021 - Always equal to ‘1’.

SYSTEM CODE School System Code. E040 - Must be an active system code in the Facilities Database in the range 601-799.

SCHOOL CODE Number that identifies a school within a system.

E050 - SCHOOL CODE is missing or not valid for this system. Refer to the Facilities Database.

RECORD TYPE Identifies Record Layout.

E821 - RECORD TYPE: must equal Pnn, where nn is from 01 to 99.

STUDENT ID Student’s Social Security Number (SSN) or a state-approved Social Security-like number. It must be the same number used to report the student for FTE.

E059 - STUDENT ID not valid. ID cannot be all one number or an invalid series. (Ex: 111111111, 123456789, etc.). E061 – STUDENT ID must be a 9-digit number. E008 - STUDENT ID cannot be the same as the COURSE TEACHER ID. E5004 - STUDENT ID reported with GTID in Student Class does not match STUDENT ID in GUIDE system.

GTID The student's Georgia Testing Identifier.

E048 - GTID missing or invalid. GTID submitted was not found in GUIDE. W047 - Student with same GTID is reported with courses in more than one district and/or school. E0481 - GTID has been deactivated in GUIDE. Contact the GUIDE administrator for assistance. E0482 – GTID has been retired in GUIDE. Replace retired GTID with the active GTID found in GUIDE. E6022 – GTID was reported in FTE. This student must have course records reported in Student Class.

STUDENT LAST NAME

Indicates the last name of the student. Numbers are not allowed in the Student Last Name.

E3106 - STUDENT LAST NAME must be at least two characters and cannot contain numbers or selected special characters. E334 - The active student’s name (LAST NAME, FIRST NAME, MIDDLE NAME) submitted does not match the student name in GUIDE. Make the necessary corrections where needed (SIS or GUIDE) before re-validating.

STUDENT FIRST NAME

Indicates the first name of the student. Numbers are not allowed in the Student First Name.

E3100 - STUDENT FIRST NAME cannot contain numbers, selected special characters, cannot be blank, and must be more than one character. E334 - above.




STUDENT MIDDLE NAME

Indicates the middle name of the student. Numbers are not allowed in the Students Middle Name.

E3102 - MIDDLE NAME must be either alpha characters (A-Z) or BLANK. E334 – above.

GRADE LEVEL Grade level in which the student is enrolled for the 2014‐2015 school year. Student GRADE LEVEL should be the same on all course records for this student. Exceptions may occur for students that are promoted during the year.

E070 - GRADE LEVEL missing or not valid for SCHOOL CODE. What / SC Description MARKING PERIOD is the length of the course for which the final grade is reported for a student. The first position in the code indicates the period type, and the number indicates the sequence within the year.

(Ex: X4 = 4th Six Week period,

S2 = 2nd Semester)

What / SC Description COURSE NUMBER is the state-defined number used to identify state-funded courses. The COURSE NUMBER assigned to the student must be a valid number as prescribed in the State Board Rules for course numbers. Board Rule 160-4-2-.03 applies to students who entered 9th grade for the first time prior to 2008. Board Rule 160-4-2-.20 provides a list of valid courses for students who entered 9th grade beginning 2008.

In special cases where instruction is provided online or through dual enrollment, report the TEACHER ID appropriate for the type of instruction.

The alternate SLO flag is used to identify special education students that have an alternate SLO or whose IEP indicates the GAA is appropriate for the student. For these student if the ALTERNATE SLO is flagged to a “Y” the SLO PRE-MEASURE and SLO POST-MEASURE will be exemption code 904.

What / SC Description The CREDIT RECOVERY flag is used to indicate whether or not the student is taking the course as credit recovery. Valid values for this indicator are ‘Y’ or ‘N’. The CREDIT RECOVERY program provides students with the opportunity to retake a course in which the student previously was not academically successful in earning credit towards graduation. The Georgia Credit Recovery Program is one of the options available to schools.

The 9-digit number designating an official course as specified in SBOE Rule 160-4-2-.20. Duplicate SLO course records will be determined by looking at the major and minor subject areas of the state course number. Major and minor areas are the two digits before the decimal and the 2nd, 3rd, and 4th after the decimal (xx._xxx_ _ _). The 1st, 5th, 6th, and 7th digits after the decimal are ignored when determining a unique SLO course number.

E905 - Must be in compliance with SBOE Rule 160-4-2-.03 or 160-4-2-.20. PK.00100, PK.00200, PK.00300, and PK.00400 are also allowed as valid courses for SLO data collections. This graphic example would be interpreted as: There are 7 levels in the rubric. For students that tested at Level 1 on the pre-test, I EXPECT them to get at least a 3 on the post-test. If a student that tested at Level 1 on the pre-test got a 4 or higher on the post-test, I would say that student showed HIGH growth in the class.

In the SR System Course Application…

This table is read across this way: “There are 7 levels in the rubric. If a student scores a 1 (in the A column) on the pre-test, I EXPECT students to get at least a 3 (column B) on the post test. If a student scores a 4 or higher (Column C) on the post test, I would consider his growth HIGH.

There are a couple of rules regarding target expectations.

• You have to Expect that a student will score on the post-test at least on the same level as the pre-test, or higher. You can’t expect the student to get lower/worse on the post-test than he got on the pre-test.

• If numerically possible, a High target has to be higher than the Expected target.


Notice that Rubric Levels = 7 so Levels 1-7 Exp and High are filled out.

This is OK because ESOL (55.x) and PK.001, PK.002 are exceptions. Only Level 1 is filled out.

The Bright from the Start (BftS) PK Program management has defined that all students will be evaluated on a 5 level rubric using the Work Sampling Online application. Bright from the Start PK Program management has defined that all students will start on a pre assessment level of 1. They have set the Expected target for all students as rubric level 3. They have allowed the school district to select the High target which can be a 4 or a 5. Because the PK Program defined that all students will be designated as starting on

level 1, levels 2 – 5 must be blank – there are no student starting at levels 2 – 5 for whom you need to set expected and high targets.

For Special Ed PK (PK.003 and PK.004), the courses are not prescribed by the BftS management so those courses can be evaluated as a rubric or a percentage. Because BftS has not said that Special Ed PK have to start on level 1, you need to fill out levels 2 – 5 for PK.00300 and PK.00400 if you are going to use a 5 level rubric. If you are going to use the same evaluation as you are using for the general ed PK courses and have all students start on level 1, then only level 1 means anything but all five Expected and High levels have to be filled out.

These Expected and High level targets have to be filled out just as they are with any other rubric evaluated course (like PE, or art, or …). This example is an example – not required expectations. There is no requirement that PK.00300 and PK.00400 be reported as a rubric or a 5 level rubric.

In your software, the rubric tables maybe set up in a different direction. For example, in the table below, the district is setting up the course as a 3 level rubric. Once the Total Rubric Levels is set to 3, 3 boxes appear for Expected Growth and 3 boxes appear for High Growth.

This is the Expected Growth for a student that scored a 2 on the pre test.

This is where you set the Expected Growth for a student that scored a 1 on the pre test.

In your software, if the rubric tables can be set up as default, select the SLO Measure Type, enter or select the course, then select the Total Rubric Levels.

By checking the default box circled in red, the values set up in the district default box shown in the blue table at left are pulled into this PE course configuration (blue boxes).

ESOL (55.x) and PK.001, PK.002 are exceptions.

PK.003, PK.004 are NOT exceptions.
