Stages of Readiness

These are the stages we have described for the community over and over in many lectures across the country this year (2003). We have shown this to retailers, suppliers and solution partners. Over 200 in all. Our analysis of the adoption process is based on roughly three years of observational research, following the time it takes from when we first hear a customer name to when they actually install a solution.

Education, likewise also take place in a number of instances for the trading partner. Through Trade shows and other associations along with meetings and webinar sessions with solution providers. Many of these are strictly dressed up sales calls. Although they serve a purpose in the community, and that is to drive interest, the market is to vast and the subject to complex to ever gain a full understanding of the UCCnet initiative and its potential to the trading partners core operation in these venues.

PThe Trading Partner starts to process all of the information they have gathered and begin to make business decisions.

This is when the trading partner will typically sign their TPSA.

(After 18 months)

Stages of Readiness

Note that the stages that it take for a partner to act take place slowly, generally over an 18 month period. We see this same process take place again and again and within multiple industries. This is, in our estimation the current adoption rate as it pertains to UCCnet software solution entering the marketplace today.

Procurement Finally we are at the procurement stage, the trading partner begins to outline what he has discover over the past 18 months in many cases and starts the process of interviewing perspective solutions. This is the beginning of a whole new cycle and not just the end of one cycle. The partner is now confronted with the reality that there are many types of solutions and many providers. All of these providers have “branded” their individual offerings and may use terms that are quite different from one another yet describe the same or similar functionality. How will the partner choose the RIGHT solution?

Key issues with the current cycle

The free session is yet another sales call. Key facts may be missing from the proposed solution, or at the very least the trading partner is not able to recognize this. Further, one solution looks to be just like another, after all, these sales associates are good at what they do, as well they should be. By the time the sales call is over all of the trading partners in the session are nodding their heads and agreeing with the speaker. He has a solution. But does the trading partner recognize or understand the problem?

Instructor Notes:

We use a Parabola discussion to illustrate both the supply and demand curves for services sought and those rendered. We compare the number of solution providers today against the number of trading partners with UCCnet today. This whiteboard model helps the retailer/supplier/distributor to understand that the best return on investment is that of the earlier adopter methodology. Prices for solutions will go higher before they go lower over the period of time that it take the entire trading partner community to come on board with their solution to UCCnet. The value gained from the onset of as an “early” adopter will be greater than the value of the latter adopter, all things being equal under the graph. The higher returns can be found at the beginning of the cycle.

Students should note the information gathered by UCCnet at this point is also used for setting up identities in production as well as the TESTregistry environments. Solicitation The fact that this information is posted through the global registry may have the unwanted effect of solicitation, in other words the primary contact to be inundated with solicitations for UCCnet solutions. It is possible to take precautions to avoid the undesirable effect. This could include a primary team contact for UCCnet that is well planned for such contact or a distributed mailbox for email. Privacy UCCnet takes specific precautions to protect the privacy of UCCnet users and the security of data stored on UCCnet computers utilizing recognized industry standards and best practices. SYNCpoint Basics SYNCpoint is the Internet browser based interface into UCCnet foundational services. SYNCpoint can provide all of the required functionality and is intended as a supplement to the Machine-to-Machine access method. It provides the user with a quick and easy to follow visual representation of the UCCnet services. A user can also view and administer their organizational information and item details. SYNCpoint also enables users to effortlessly perform the following functions: • Set up initial users • View organizational structure • Complete initial training and certain test item maintenance to improve comprehension of the core functionality • Ongoing QA and verification of batch work. Changes for Error Corrections In extreme cases of user error, trading partner data may need to be physically removed or corrected inside the production environment of the UCCnet Global Registry. UCCnet has the ability to purge entire GLN’s and un-list partial or specific GTIN’s. When “Un-listing” specific GTIN’s, UCCnet will change them to unlisted and it is the trading partner’s responsibility to delete them utilizing system functionality. Custom work will be considered on a case-by-case basis and cost estimates will be provided prior to completion. The costs are subject to change without notification.

Point out when going into the eRoom for the first time the user will be prompted with a choice of venue, either a browser based application or one that allows fluid interaction using a plug in Browser based is the better choice for the typical eRoom user whereas the Plug in allows documents editing on your desktop which can then replace the existing documents ion eRoom. The Plug in is generally used when interacting with a given process where the user has responsibility for a set of documents as when involved in group development projects such as the UAC. eRoom is where you will go to find the most up-to-date documentation for upcoming releases. You can review meeting minutes and presentations from recent UAC meetings. Reinforce “single User ID per company”. A company’s main UCCnet contact person will be provided the User ID and password. The Help Desk can provide the name of the person who is currently the main contact.

Core Party Alignment

Core party recommendations came out of the Global Commerce Initiative in April of 2001 and were submitted to the EAN.UCC for development into precise standards. With the rapid advancement o the UCCnet protocols and the development of the GSMP this process has take some time and is still in process with respect to the development of global schemas for use within UCCnet Global Registry for the explicit registration of parties or locations using XSD or schema. The Implementation Guide for Core Party can be found at the EANUCC site in France. Google would be a good search tool for this document.

Why Core Party Alignment

Core party alignment will become necessary as item synchronization is completed and the community begins to move into more precise discussion on pricing. Although Pricing through the UCCnet initiative can be done today, it is not used for the most part. Precise organizations will b=need to be visible through UCCnet among the trading community to facilitate precise pricing models much in the way we do today because of government

regulation (dairy) and geographical pricing issues (shipping) not to mention the price and promotional aspects of many products respective to product launches and reintroduction into specific markets.

GLN Replaces DUNS Check with your EDI team. Chances are they received the letter from Wal-Mart in March of 2001 indicating that Wal-Mart was undergoing some restructuring with their purchase orders. The Purchase order changes included use of the GLN instead of the Duns numbers which previously appeared on the order. “Since Wal-Mart is expanding internationally, we must require you to discontinue using the DUNS number and adopt the 13 digit Global Location number. The Uniform Code Council and EAN international govern the GLN, which implements the international location number standards. Party in Data Alignment Data alignment is the process for establishing information prior to transactions such as orders, invoices, and despatch advice. Party information can be aligned between buyers and sellers, and referenced as required in orders and invoices. A party (or) location is any legal, functional or physical entity involved at any given point in any supply chain and upon which there is a need to retrieve pre-defined information. A party is uniquely identified by EAN/UCC Global Location Number (GLN). Data alignment is the fundamental component for Simpl-eb. The principles of Simpl-eb call for the use of simple, standard processes across the supply chain. In order to simplify transactions such as order, despatch advice, and invoice, continuous data alignment needs to take place for item, party, price, and terms information. Sequence of Messages Party alignment will proceed or occur simultaneously with the alignment of item information. Alignment of terms and pricing is typically dependent on party and item alignment. In other words, party and item alignment are required to put terms and pricing into context. In its simplest form, the seller sends party, item, and price information to the buyer for alignment purposes. This sequence can become bi-directional if the buyer; for example, needs to respond to authorize the item or needs to send store location GLN's to the

Trading Partner Companies

Trading Partners are required to set up their own sub-organizations.

Retailers – Required to set up sub organizations down to the store level.

Suppliers – Currently have no specific organization requirements.

Organization Maintenance

Use Organization Maintenance for the business purpose for adding or modifying Trading Partner Organizations. This is a Trading Partner responsibility. Demand Side Trading partners are required to set up the levels of their organization down to the store level. Supply Side Trading partners do not have such a requirement, however it should be noted that many supply side organizations own different brands, companies, production facilities and profit centers. Depending on the operational functionality of their business considering this difference many supply oriented organizations review how they go to market as they build the organizational hierarchy in the UCCnet service offering. Party information is basic to UCCnet. The Organization records contains all of the specifics relative to a party's data characteristics (basic information and hierarchical structure). One of the major initiatives of the UCCnet service offering is to standardize and register the contents of the party record. Parties have a single owner within UCCnet, the trading partner

What do they provide: Message Translation providers offer software/services to trading partners that perform file transformation of data from one format to another. Specifically, UCCnet uses standard XML messages that need to be transformed to/from a file format that your internal applications can easily understand (i.e. flat files, comma delimited, XL Spreadsheets etc…). How do they provide it: Message Translation providers either install software behind the company’s firewall or provide hosted solution services where translation occurs outside or your systems for a usage-based fee. Communications

What do they provide: Communication Alliance Partners are UCCnet Partners that transport XML messages securely over the Internet (HTTP) to UCCnet and/or to other trading partners. UCCnet Certified Communication Providers utilize the IETF AS2 draft standard and are certified for interoperability between other AS2 vendors. It is simply a transport of XML messages over HTTP (Hypertext Transfer Protocol) with the added benefit of Security, Authentication, Integrity, and Non-Repudiation. How do they provide it: There are two ways of providing this type of solution to communicate with UCCnet. The first is installed software inside your firewall that establishes secure communications directly between your company and UCCnet. The second is a hosted model, where a Certified Solution Partner allows your company to send and/or receive data any way you want, and that Solution Partner will communicate to UCCnet on behalf of that trading partner using the appropriate communication protocol. UCCnet Community Training

The Association of Global Standards Administrations (AGSA) delivers a comprehensive offering of educational opportunities to UCCnet subscribers. These are robust one, two, and multi-day classes which enable Trading Partner companies to not only become familiar with UCCnet, but to develop the necessary skills required to begin planning and executing their global item synchronization processes. This training is a necessary component to a full UCCnet implementation and a highly recommended prerequisite prior to any tactical Software implementation from an approved UCCnet Alliance Partner. UCCnet Community Training courses are scheduled to enable Trading partners to complete their entire UCCnet Community Training in one week. Trading Partners are strongly encouraged to take Community Training courses in consecutive sessions. This allows for an expedited UCCnet on boarding when using a Certified UCCnet Alliance Partner solution. Additional training specific to the certified UCCnet software solution being implemented is also required and should be discussed with your UCCnet Alliance Partner. AGSA training is the first step in getting educated and started with the on-boarding process – your Alliance Partner picks it up from there and gets you into production with UCCnet.
