The LGA Roads and Works Conference Committee invites you to showcase your services to key stakeholders from local government across the State. As a corporate sponsor of the 2018 LGA Roads & Works Conference you will have the opportunity to meet and build relationships with potential customers face-to-face. We are offering a revised sponsorship structure with a clear hierarchy of packages and benefits. Sponsors will be accepted at the discretion of the Organising Committee.
The 2018 LGA Roads and Works Conference will be held at the Barossa Arts and Convention Centre on Wednesday 29, Thursday 30 and Friday 31 August. Always held in regional locations, this year’s event will be hosted by the Barossa Council.
This highly successful and well attended event is the premier ‘all things roads’ conference held in SA and provides important informal networking opportunities for local government delegates, including morning teas, lunch and two networking dinners.
Starting with a pre-conference reception on the Wednesday night, the conference sessions start Thursday morning and go through to the formal dinner. The conference will conclude after lunch on Friday.
An exhibition area will be set up for sponsors displays which is located a short walk from the conference venue and all meals will be served within the expo area which means prime networking opportunities with delegates.
The program includes speakers and presentations on innovative roads and works subject matter from asset management, environmental issues, new technologies, and national initiatives in regards to roads funding and pricing reform and case studies.
Delegates from all 68 metropolitan and country councils across South Australia make attendance a priority.
This event will provide opportunities to network with key contacts from across the state who will be concentrated in one location, these are the people who make decisions about how and where more than $1 billion will be spent in South Australia in the coming year. Given the importance of the event, the conference attracts mayors/chairpersons, council members, chief executive officers and senior council engineers and works managers. Up to 250 delegates are expected to attend.

1. Complete the Registration of Interest Sponsor Application Form and return to the LGA COB Friday 15 June.2. LGA will confirm receipt of your ROI within 10 working days.3. The Roads & Works Committee will review all compliant ROIs 4. Successful companies who submitted a EOI will be emailed the last week of June. The email will contain: a. a sponsorship contract requiring signature must be returned to the LGA within 5 working days or receipt. b. An invoice - payment must be received by 3 August5. If either of 1 or 4 is not completed your sponsorship contract may be canceled.General Conditions:• In relation to sponsorship, completing the Registration of Interest (ROI) form does not automatically guarantee that your application will be successful.• All sponsorships are limited and will be offered at the discretion of the Roads and Works Conference Committee. • Platinum Sponsors are only entitled to product exclusivity at the discretion of the Conference Committee.• Major, Display and Supporter Sponsors may not necessarily have exclusivity of product • The Roads and Works Conference Committee reserve the right to refuse a ROI if there are a number of similar products/services being displayed.6. 1. Definitions‘The Event’ is the LGA Roads & Works Conference to be held in the Barossa on Wednesday 29, Thursday 30 & Friday 31 August 2018.‘Application’ means an application to be a sponsor or exhibitor.‘Sponsor’ means any person, firm, body corporate, unincorporated association or authority allocated space by the organiser of the event and includes all employees, agents and representatives of such person, firm, body corporate, unincorporated association or authority.‘Organiser’ means the Local Government of SA (LGA), its employees, agents and contractors.‘Venue’ means the Barossa Convention Centre
2. Application for Participation and AcceptanceIf successful the sponsor will enter into a Sponsorship Agreement.The Organiser has the right to reject or accept any Application.
3. Sponsor ObligationsThe Sponsor will provide all necessary information and material required for the Organiser to carry out its obligations to the Sponsor, by the dates stipulated by the Organiser.The Sponsor will make good and compensate Venue for damage caused by any act or omission of the Sponsor or other persons arising from or in connection with the use of the exhibition venue by the Sponsor.The Sponsor must have the display space ready with all exhibits completed and available for display by the time specified by the Organiser before the opening of the Exhibition.Sponsors are responsible for any damage or loss of own goods & equipment left in the function area prior to or after the function & must secure all goods & equipment during the EventAll Sponsor deliveries to the Venue must be prior advised to the Venue and must be marked with the name and date of the Event and Sponsor.
4. Exhibition Space: Standard Fittings, Design and SignsThe Organiser agrees to provide the Exhibition booth and fittings, as detailed in this application, whereby applicable to the sponsorship level selected.The Organiser will ensure that booth positions will be allocated according to sponsorship value and on a first served basis should value be equivalent.
5.AssignmentThe Sponsor may not assign its rights under the Sponsorship Agreement without the Organiser’s prior written consent.
6. Terms of PaymentThe Sponsorship Agreement will be terminated if the Sponsor does not pay the required fee prior to the event. In the event of termination by the Organisers, the Sponsor will not be entitled to any form of compensation.
7. WithdrawalsThe Sponsor will not withdraw, cancel, alter or reduce in any way their Sponsorship Application.In the event the Sponsor withdraws after receipt of signed Sponsorship Agreement, the following terms shall apply:Withdrawal, cancellation or reduction of agreement 60 days before event 50% of sponsorship value will be charged.Withdrawal, cancellation or reduction of agreement 30 days before event 75% of sponsorship value will be charged.Withdrawal, cancellation or reduction of agreement <30 days before event 100% of sponsorship will be charged.
8. Insurance and IndemnityThe Sponsor shall take out and maintain a policy of public liability insurance for an amount of not less than $5,000,000 during the Event.The Sponsor will indemnify the Organisers against any cost, claim, liability and expense to which the organisers are in any way subject arising from or in connection with any act or omission of the Sponsor.
9. ComplianceThe Sponsor will comply with all applicable laws and regulations and all reasonable directions from the Organiser and the owner of the exhibition venue.
10. Payment Conditions: If your organisation is selected as a Sponsor, we will confirm this in writing. You will then be invoiced with Full Payment Required by 3 August.
