Promotion Booth Display A limited number of companies may have the chance to display their promotional material at the Congress. Terms & Conditions

By signing the application form, the organization is in agreement with below terms and conditions:

Invoicing and Terms of Payment

After receipt of the invoice 50% of full payment shall be submitted as deposit. The final balance will be

settled 1 month before the congress. The organizer reserves the right to dispose freely and without further

notice to company in question, shall the full amount of the invoice not have been booked into the organizer’s

account by the due date. Any objections or complaints in connection with the invoice shall be brought

forward within 8 days of receipt thereof.

Selection of sponsorship elements

Selection of certain sponsorship elements (social events or materials) will take place on a first-come, first

served basis. The company who has sent in the sponsorship application first will have first right to select

sponsorship items available.

Cancellation of Sponsorship

The organizer reserves the right to cancel the sponsorship agreed upon, if: 1. the sponsor fails to comply

with the relevant payment obligations in a timely manner; or 2. bankruptcy proceedings, out-of-court

settlement proceedings or winding up proceedings against the sponsor are being carried out or imminent. It

is sufficient for cancellation should any one of the situations described above occurred. No refunds under

any circumstance will be given for booked advertisement space or possible other sponsorships.

Event Cancellation, Force Majeure, Cogent Reasons

If the event cannot be held as a result of force majeure, strikes, political events, fire, flood, typhoon,

inclement weather or other cogent reasons, the sponsor shall not be entitled to raise any claims for damages

of whatever kind against the organizer. Shall the event be cancelled for other reasons, or an exhibition booth

or space previously agreed upon not be made available by the organizer, the sponsor agrees to waive any

claims towards the organizer built on arguments of loss of profits. Any and all claims the exhibitor may raise

are limited to the reimbursement by the organizer of payments made by the exhibitor.

Withdrawal

In case of cancellation (withdrawal) of the application, the exhibitor shall pay the following cancellation fees

to the organizer: withdrawal up to 1 month prior to the opening of the congress, 50% of the exhibition fees

agreed upon; withdrawal less than 1 month prior to the opening of the congress, 100% of the booth rental

fees agreed upon – including, in both cases, any and all duties charges and additional expenses. The

cancellation fees is to be paid as lump-sum compensation, regardless of any fault (penalty regardless of

fault); the organizer’s claim to cancellation fees remains valid even if the booth/space shall be rented or sold

to a third party. The assertion of further claims for damage compensation remains unaffected by the

payment of cancellation fees.

Conditions for Acceptance of Advertisements

1. These conditions shall apply to all advertisements accepted for publication. Any other proposed

conditions shall be void unless specified and accepted by the Organizer.

2. All advertisements are accepted subject to the Organizer’s approval of copy (including display, text

and illustrations) and the space available.

3. If the Advertiser or the Advertising agency fails to submit the artwork on or before the deadline for

submission of advertising material, it will appear as "With compliments of (company’s name)".

4. In consideration of the acceptance of the advertisements, the advertiser and advertising agency

must in respect of the contents of the advertisement indemnify and save the publisher from and

against any losses or expenses arising out of publication of such advertisements, including, without

limitation, those resulting from claims or suits or libel, violation of rights of publicity or privacy,

plagiarism, and copyright infringement.

5. The Organizer reserves the right to reject or cancel an advertisement at any item and for any reason,

in which case no claim on the part of any Advertiser for damages or breach of contract shall arise.

6. Advertisements which in the judgment of the Organizer create the illusion that they are editorial

matters are not acceptable. The Organizer reserves the right to print "advertisement" on top of all or

any advertisements.

7. All orders are accepted subject to the condition that the Organizer will have no liability for failure to

execute accepted advertising orders because of acts of Gods, Government restrictions, fires, strikes,

accidents, or other occurrences beyond the Organizer’s control.

8. Where the printers are involved in extra production work owing to acts or defaults of the advertiser or

his Agent, charges will be made to the Advertiser or his Agent. These charges will be at the rates

agreed prior to publication.

9. The Organizer reserves the right to destroy all artwork or material six months after the appearance

of the advertisements. Such artwork or material may not be returned to the Advertiser or his Agent.

10. The Organizer is not responsible for errors or changes made after the deadline for submission of

advertising material.

11. The Organizer will not be bounded by any conditions, printed or otherwise, appearing on order

blanks or copy instructions when such conditions conflict with the regulations set forth.

Payment Schedule

50% deposit is required within 1 month after the confirmation of sponsorship item. Payment will be

accepted in either US dollar or HK dollar. The exchange rate between US dollar and HK dollar is

US$1.00 to HK$7.80.
