Upgrade Information
Migration from WIN2008 to WIN2012 Procedure:
A) Upgrade OS option (while upgrading from 32 bit to 64 bit)
1. Backup all the databases
2. Uninstall the Shoreware software
3. Backup and delete/rename Shoreline Data folder
4. Upgrade the OS
5. Copy the Shoreline data folder from the backup to one of the partition drive
6. Install the Shoreware software and during install point the database folder location to copied shoreline data folder
B) Format OS option:
1. Backup all the databases and Shoreline data
2. Save any other information you need from the system as the drive will be wiped out.
3. Uninstall the shoreware software
4. Format the OS to 2012 (select advanced option and format the drive which wipes out everything)
5. Copy the Shoreline data folder from the backup to one of the partition drive
6. Install the Shoreware software (same build as backed up on step 1) and during install point the database folder location to copied shoreline data folder
Very Important Upgrade Tips

1. With ST14.0 a Compatibility Checker has been added that can be run as a standalone tool and it is also included as part of the installation. By running this as a standalone tool this will allow customers to identify, and resolve, problems in advance of the planned maintenance window. The details of the tool can be found in the Planning and Installation Guide.
2. With ST13 and higher Windows 2003 server is no longer supported for ShoreTel Enterprise customers. Those
on Windows 2003 server must migrate to a supported Windows 2008 platform before upgrading to ST14. This does not pertain to SBE customers on ShoreTel provided hardware. More detail is contained within this document.
3. With ST13 and greater a new Third Party TSP package needs to be installed on clients that require TAPI for third party applications (i.e. ShoreTel PSO applications). This installation is included with the Communicator software and further detail can be found later in this document.
4. Starting with ST13, customers may not find all of their contacts in Communicator since this has a new configurable limit. This value can be increased in director under Class of Service (Path: Administration ->Class of Service -> Telephony Features Permissions -> Select a group by name). There is a possible performance side effect, with slower search results, that needs to be considered. Sites with higher server specifications will be see less of a performance impact if this value is increased. With ST12.3 and prior there were no limits on the number of contacts since all contacts were stored on the client side. With ST13 and later this is now stored on the server.
5. With ST12.3 build 17.60.9208.0 and higher there is a new version of uboot which improves robustness and
includes recommended fixes. The new version of Boot ROM (uboot) has changed to 1.1.3.27 for both ½ width and V switches. V switches will download and install the new uboot automatically during the upgrade whereas the ½ width switches require a manual update. Please refer to the Planning and Installation Guide for detailed instructions for manually upgrading the uboot. Abbreviated instructions for those familiar with the procedure are as follows:
a. Telnet or SSH to the half-width switch (non V-switch). b. Go to Shell by typing “gotoshell”. c. Enter the command uboot_update on the CLI. Do not turn off the unit until the operation is
complete. d. Exit the shell by typing “exit”. e. Select option “4” from the STCLI to reboot the switch. f. Verify uboot version in Quick Look under the Voice Switch Maintenance page.
6. ShoreTel Communicator Server Side Call History: Prior to ST 12 the call history was stored on the client computer. With ST 12 the call history is now stored on the Server and as a result none of the previous call history will transfer to the server history database after the upgrade. Further details are in the ST 12 Release Notes.
7. Roll backs may fail and the ShoreTel configuration database will become corrupt. It is highly recommended to backup and copy your Shoreline Data folder prior to attempting to upgrade. It is also recommended to back up your Call Detail Records (CDR) database as well. This is separate from the ShoreTel configuration database. If you have an archive database, please make a backup of that database as well prior to proceeding with the upgrade.
8. At the very beginning of the upgrade an error message could be displayed if invalid characters are detected in
the Client User Name. Supported characters are, “ a-z A-Z 0-9 . - _ “. Please allow enough time in your maintenance window to make these changes to the user names. This check for invalid characters is before the upgrade starts and it is necessary to reboot in order to correct any unsupported user names. A log file containing the usernames with the invalid characters will be referenced in the error message.

9. Please note the installer upgrade will take more time than expected from previous releases due to a backup of
the configuration database and CDR database as part of the installation process. It is still recommended to make a backup of your system prior to upgrading should the process fail and force a rollback situation.
Upgrade Paths The following direct server and client (ShoreTel Communicator) upgrade paths are supported for this release:
ShoreTel 12/12.1/12.2/12.3 all CR/GA builds ShoreTel 14.2
ShoreTel 13 all CR builds ShoreTel 14.2
ShoreTel 13.1/13.2/13.3 all GA builds ShoreTel 14.2
ShoreTel 14 all CR builds ShoreTel 14.2
ShoreTel 14.1 all GA builds ShoreTel 14.2
Direct ShoreTel 14.2 upgrades from versions prior to those listed above are not supported. Prior versions must first upgrade to a supported direct upgrade path.
V-1 Client Compatibility (Communicator for Windows) To utilize all the client features, please upgrade all ShoreTel clients to the same release as the server.
ShoreTel Communicator Clients on ShoreTel 13.x and 14.1 are supported with a ShoreTel 14.2 server except as
noted below. If you use the V-1 client new Communicator features, that are made available in the versions greater
than the client version being used, may not be available for your end-users.
Personal and Professional Clients are the only clients to be supported in a V-1 implementation. All other client
types (Workgroup Agent, Workgroup Supervisor, and Operator) will not be supported in V-1 client implementation
Outlook Client Integration - If an outlook version support is dropped from version 14.2 servers, then versions 13.x
and 14.1 clients are not supported.
Platform support - If a particular platform support for client is dropped from the version 14.2 release then 13.x
and 14.1 clients are not supported.
Contact Center – ST13.x and 14.1 features will work for Contact Center clients as long as they do not upgrade the
Contact Center software.
Video -The Video session between clients running version 13.x/14.1 and 14.2 is not supported
IM - May cause a problem if the IM Server configuration is changed or modified. To utilize all the client features,
please upgrade all ShoreTel clients to the same release.
Citrix/WTS – V-1 implementations are no longer supported.
Softphone clients - No longer supported in a V-1 configuration

IPBX Upgrade Instructions ShoreTel recommends you make a backup of the Shoreline Data directory and all subdirectories contained in the
Shoreline Data directory and MySQL database prior to performing the upgrade.
1. Download the ShoreTel Software to a location that can be accessed from the Headquarters and Distributed Voicemail Servers (DVS). Extract software from zip file (if zipped).
2. Make a back-up of your existing database before upgrading your system. 3. Upgrade the Headquarters server first. 4. Run the setup.exe program to extract and launch the program. Answer the questions in the dialog
boxes presented as appropriate for your site. 5. Reboot the server when prompted. 6. Upgrade any DVSs by using the Remote Server Software and running setup.exe 7. Answer the questions in the dialog boxes presented as appropriate for your site. 8. Reboot the server when prompted. 9. Logon to Director and upgrade the ShoreGear switches by restarting them. They will automatically
upgrade. Please be aware the V-switches may take up to 45 minutes to upgrade and regain connectivity.
10. As switches regain connectivity, restart ALL the IP Phones being managed by each switch (with the except for the IP400 series phones). The phones will automatically upgrade their firmware. Please note that all IP Phones must be upgraded to obtain the new firmware.
11. To get the latest firmware for the IP400 Series phones use the Diagnostic and Monitoring (D&M) Tool to upgrade them.
12. ShoreTel Communicator client upgrade is required unless supporting the V-1 feature where the client upgrade is recommended.
Third Party TSP With ST13 and greater a new optional Third Party TSP package needs to be installed on clients that require TAPI for third party applications (i.e. ShoreTel Professional Service applications) . This software can be found in the ThirdPartySupport folder included with the Communicator software.
Caution: when upgrading to the next build provided make sure to upgrade Communicator for Windows first and then upgrade the 3rd Party TSP package.
There are three methods to install 3rd Party TSP package on Client OS’s for 3rd Party Applications.
Method 1: Run Setup
1. Perform fresh install or upgrade of Communicator for Windows. Configure Communicator. 2. Install 3rd Party TSP package.

3. Follow the default settings and finish the installation. Then reboot the client machine. 4. Now it is ready to use the 3rd party applications.
Method 2: GPO push of entire TSP package larger sites. Refer to Planning and Installation Guide for GPO push details. Method 3: Use the Professional Services App upgrade link w which will point to the HQ server for the correct location of the TSP package to install Installation of Third party TSP package on a Terminal Server/Remote Desktop Session Host (Citrix and WTS/RDS):
1. Perform a fresh install or upgrade of Communicator for Windows. 2. Install the 3rd Party TSP package. 3. Go to Start/Programs/Control Panel/ Phone and Modem. 4. Select My Location > Click on Advanced. 5. Select “ShoreTel Remote TAPI Service Provider” and click on Remove and then click on OK. 6. Open command Prompt and navigate \Program Files\ShoreTel\ShoreTel 3rd Party and run TSPinstall -i
StServer HQ servername (IP address) * Go to Start/Programs/Control Panel/Phone and Modem/My Location/ Advanced Tab.
7. You should see ShoreTel Remote TAPI Service Provider. 8. Now it is ready to use 3rd party applications.

No Longer Supported (ST14) The following is a list of ST14 unsupported software and features. This is not a complete list but is used to capture
the main components. For a complete list of what is supported refer to the Planning and Installation Guide.
Windows 2003 Server ShoreTel Enterprise Windows 2003 Server is not supported for ShoreTel Enterprise customers. Sites on Windows 2003 are required to migrate to a supported Windows OS version before upgrading.
Windows 2003 Server Embedded ShoreTel Enterprise Windows 2003 Server Embedded is not supported. ShoreTel offers a number of upgrade options.

Office 2003 and Office 2007 Office 2003 and Office 2007 is no longer supported on the clients. ShoreTel customers with ShoreTel Communicator installed on client machines running Office 2003 or Office 2007 must uninstall Outlook integration/Calendar integration before upgrading to a higher release of Office. Once MS Office has been upgraded, the client must be re-installed with the local System Administrator account and reboot the client machine. Outlook and calendar integration must be re-installed for ShoreTel Communicator to work properly. The integration steps are not necessary if the end user is not integrating their Communicator with Outlook/Calendar.
Installation of DVS server from remoteinstall Installation of the DVS server by going to http://server_name/shorewaredirector/remoteinstall will no longer work. To upgrade any Distributed Voicemail servers, please use the “remote” folder and select setup.exe on the DVD or from the download links.
V-1 Clients 1. Softphone support is removed for V-1 client 2. V-1 configurations are no longer supported on Citrix/WTS 3. V-1 is only supported for Personal and Professional license types. Workgroup Agent, Workgroup
Supervisor, and Operator License types are not supported for V-1 clients.
Converged Conferencing • Converged conferencing prior to 7.1 is not supported
• Call Handling Mode and Calendar Integration have been removed and are not supported. Customers desiring this feature will need to migrate to the SA-100/400

SoftPhone Headset The SoftPhone feature is compatible with most USB-based headsets that use standard Windows USB driver. ShoreTel does not support Bluetooth headsets that connect directly to the PC's Bluetooth port. The user experience with Bluetooth headsets has proven to be disappointing in office environments because of interferences from corporate WiFi networks. However, the ShoreTel SoftPhone is compatible with headsets such as the Plantronics Voyager Bluetooth system that connects the Bluetooth headset to the PC via a USB base.

Microsoft Patch KB92533 When Installing/Upgrading if you run into an error “The system administrator has set policies to prevent this
installation”, you will need to install KB925336 security update from Microsoft and a reboot of the Server is

Disable the IP Phone Failover Disable the IP Phone Failover feature in Director when upgrading from 12/12.x/13; otherwise a failover condition
will be induced upon the upgrade. The failback is not automatic. It is a manual process to move the users back to
their primary switch and not the spare switch.
Steps to temporarily disable IP Phone Failover across Sites
1) Log into Director 2) Go to Quick Look page 3) Ensure the checkbox is checked “Temporarily Disable IP Phone Failover Across Sites”
ShoreTel Communicator Client – Windows VISTA Please be aware upon installing the ShoreTel Communicator client on Windows Vista, there is a User Account
Control prompt timeout parameter of 2 minutes after which the operation is cancelled automatically without user
interaction. Please respond to the dialog to continue with the installation otherwise, the installation will fail. This
is only occurring on the manual client installs on Vista and will not be encountered by a silent install.
So if you have users complaining that the setup failed unexpectedly on Vista, ask them whether they saw the User
Account Control dialog. Microsoft is aware of this issue, but they don’t have a solution at this time.
ShoreTel customers with ShoreTel Communicator installed on client machines running Windows XP and upgrade to Windows Vista must execute the client install after having upgraded the OS to Vista with the local System Administrator account and reboot the client machine for CM to work properly.
If multiple clients are being upgraded as part of a “silent install,” then the system administrator must push the
executable with administrative privileges through Active Directory. (Please refer to the “Desktop Installation”
chapter in the Planning and Installation Guide for more information on Microsoft Active Directory or for more
information on performing silent client installs.).

XP to Vista OS upgrade When upgrading the OS from XP to Vista Business/Vista Enterprise (32-bit version), must upgrade the OS before installing/upgrading the ShoreTel Communicator client.
MySQL Port Change The MySQL port has changed for the configuration database (4308) and the CDR database (4309).
V-Switch Min Bandwidth Minimum required available bandwidth to install a V-switch is 64kbps. Using this minimum bandwidth, the firmware upgrade can take more than 30 minutes.

Exchange Sync/Outlook
1-57763124 - Conference updated in OWA does not get updated by Outlook. It could still get updated by Exchange Sync if it is enabled.
1-66134782 - Outlook: setting multiple recurring exceptions in outlook does not work properly. Example: User1 creates a daily recurring UCB conference in Outlook. If User1 goes to calendar view and changes tomorrow's and the day after tomorrow's time to different times, there is a chance that the first change would get reverted back. End user would actually see that first change gets reverted.

Audio Conference 1-73969806 - Send Digits on a SA-100 call doesn't work correctly when using the Dialer Pad with Windows
Communicator. When this happens you need to use the phone. Issue is experienced if the call is via SIP trunk.
ShoreTel Communicator for Mobile If Upgrading from Below ShoreTel 12. Must uninstall then install the new version due to an application name
change in ST12. If it is upgraded it will have both applications.

Feature Limitations
SA100/400 Call Me feature not working over SIP Tie Trunk By default, the SA100/400 belongs to a User Group called Audio Conference. Any
restrictions on calling need to be configured in this User Group or the SA100/400 needs to be assigned to a different User Group.
IM/Presence: When a user is switched from OCS 2007/Legacy Conference Bridge to a SA100/400 for IM/Presence, that user will no longer be able to IM and view the presence of users that are not on the same SA100/400 appliance
DMZ considerations o SA100/400’s are NOT supported in a mixed deployment where some SA100/400’s
are deployed in the DMZ and some are deployed in the trusted zone. In other words, either all SA100/400s’s are deployed in the DMZ or all SA100/400’s are deployed in the trusted zone.

o The DMZ router MUST support appropriate FTP ALG (i.e. PASV and EPSV) in order for backup/restore to work against a FTP server outside of the DMZ.
o Ports that must be opened are specified in Installation and Administration Guide for SA100/400 under the DMZ deployment section. In addition to all the ports listed in the document, TCP port 4309 must also be opened.
o When configuring a SA100/400 in a DMZ, a valid FQDN MUST be supplied in order for both users inside and outside of ShoreTel to access a web conference.
o SA100/400 requires an email server from the DMZ in order to send an email invite successfully.
Federation: Federation of instant conferences between systems is not a supported feature in the ST14 release; we support the federation only of MeetMe conferences.
Outlook Calendar Integration: Outlook Calendar Integration for SA100/400 is not supported in a configuration in which one user is a delegate for another user and the user tries to create a SA100/400 conference on behalf of another user. The same is true of calendar sharing.
For a recurring Outlook appointment containing a SA100/400 conference, it is not possible to modify the properties of a single occurrence of the conference and have the modification apply to just that one occurrence; the modification ends up applying to all occurrences of the conference.

Distributed Database Distributed Workgroups are not available with the Distributed Database feature enabled.

VMware ShoreTel Application Note 10259 and AN10259 and AN10391 must be read. The VMware
deployment requires careful planning using those references. One important consideration is a dedicated NIC especially for sites with voice quality issues.
ENG-072000 – If the ShoreTel server virtual machine (VM) is executed in VMware High Availability (HA) mode, we recommend that VM Monitoring be disabled. There is a known VMware defect in which VMs that have high CPU or memory utilization sometimes delay sending heartbeats to the VMware vCenter server, which causes vCenter to restart the VMs. The problem can be eliminated by disabling VM Monitoring for the ShoreTel VM, or by reducing the monitoring sensitivity to “Low”. The VM Monitoring properties are set using the “Edit Settings…” menu item for the cluster.
Disaster Recovery is not supported on servers running on VMware. We will leverage VMware failover options such as HA.
HA failover option only supported for HQ server. Not for DVMs. In addition, no failback is needed since the VM gets moved to a new host in case of HA failover for HQ.
Fault Tolerance option is not available for HQ severs since it requires only 1 vCPU.
Windows 2008
