Portfolio Planning - Solution Capabilities
The overall budget is defined on C-Level. Depending on the strategic importance the budget is distributed among the different investment buckets
The project requestor creates a new portfolio item which represents the project proposal. He maintains the basic data of the item like description, dates or risk
The project requestor maintains the financial aspects of the project (external costs) & and provides a high level capacity planning for the portfolio item, the internal labor costs are then derived
Before handing in the proposal the project requestor maintains all relevant data for the portfolio item. He e.g. fills out questionnaires and refines the original proposal.

Portfolio Planning - Solution Capabilities
Compare proposals, remove duplicates
Before the approval meeting takes place the approved budget for each investment area is assigned. The portfolio manager or an assistant creates a review which is the basis for the decision meeting. The review clusters all projects for approval.
The portfolio review board prioritizes and approves the project proposals and defines the budget for each project. The project manager receives this information via a field on the item and needs to update the approved budget for the project accordingly.
Once the project has been approved and funded an operational project in SAP Project System can be assigned to the portfolio item. The project in PS is used to collect the plan cost, actual cost and commitment. Either the project is created directly from the portfolio item via a template project or the PS project is created in the SAP Project System manually and linked to the item manually.

Portfolio Monitoring – Solution Capabilities
The portfolio monitoring is an ongoing process. On a regular basis all projects are reviewed to ensure they are on time, scope and budget and risks are mitigated Changes on the projects may be necessary due to
a budget overrun (item monitoring) budget cut (portfolio adjustment), change of scope or portfolio strategy
Typically reasons for adjustments are either central changes (i.e. budget cut) or project specific changes (e.g. change in scope)
This RDS does not include the following functions: Project Management (project management part of SAP Portfolio and Project Management 5.0)
