Tapping the flexibility offered by the SAP HCM Processes & Forms framework to manage the HR processes, Kaar used it to automate the manually run, paper driven HR processes of the client, a dairy major. It competently integrated the solution into the existing SAP system. This deployment is a major saver in terms of cost and turn-around time. The paperless solution is a small step towards an eco-friendly environment.
Summary
The customer is a dairy major in the Kingdom of Saudi Arabia. The client and its subsidiaries are involved in the production and distribution of consumer food & beverage products, servicing the whole of Saudi Arabia and UAE. This major player is operating with more than 40000 units and about 10000 employees.
Customer background
The significant HR processes that included employee recruitment, appointment, promotion/transfer and termination of contract were all handled manually using printed forms. As the employees work on contracts which need to be scrutinized & renewed every year, the manual approval processes was a mammoth task owing to the whopping employee base.
The data intensive process had its difficulties in maintaining consistency while updating data leading to undue delays and confusion. Manual filling up of forms for every process was burdensome and duplication of work was a perennial issue to be tackled. As the approval levels were not clearly defined, smooth and swift processing of the paper-driven process was a farfetched dream. With papers mounting on every desk, security and tracking of documents was a queasy affair.

Kaar studied the client’s existing business processes, rules and procedures in detail. It worked towards gauging the scope and nature of the problems spewing out of the HR processes and got a grasp of the scenario. Donning the consultant’s cap, Kaar suggested the application of SAP HCM Processes and Forms, the latest addition to the SAP solution then. Though it was relatively a new framework, Kaar’s proactive and vibrant approach helped in studying and developing its expertise on it. With the client’s approval, the customisation was commenced in February 2009 and completed by June 2009. It was a distinctive performance by Kaar, making them a pioneer in implementing SAP HCM Processes & Forms.
Alternatively, the automation could have been carried out with custom developed applications using Web Dynpro ABAP /Java or BSP. This traditional approach would have involved extensive requirement study, vast level of coding, tedious testing and cumbersome post go-live support and maintenance. But, the usage of SAP HCM Processes and Forms for the automation helped in a seamless integration as it capitalized on the workforce’s familiarity of the SAP environment.
