Select Traveller

Travel Arrangers

Select the traveller(s) to book for by entering their surname.

We recommend search on surname incase the travellers first name has been shortened (e.g. Mike for Michael)

Domestic Search

Build the itinerary in the sequence of

travel by using the Add Air, Add Car,

Add Hotel buttons.

Flights are added a sector at a time.

Select Search All to search for and

display a selection of flights, cars, and

hotel options.

Build the journey

Select the journey type i.e. Domestic or

International, or a use a trip template

Select Flight

Select the flight

The Best Fare highlighted sections

shows you the very cheapest fare

available during the time period

searched for. This fare can be selected

by clicking on the fare link.

All flights with availability during the

searched period will display. By

default, the lowest cost fare on each

flight will be shown in the drop-down

field.

Click the drop-down arrow to display all

fare types and prices available on the

flight. Click a different fare to select it,

for example if flexibility is required.

Select the desired flight by placing a dot

in the left hand circle

Select Rental Car

Select the rental car

Dot the circle next to the desired

car

For additional options relating to

the rental car, select Change,

then Options

The applicable rental car

discounts and/or membership

numbers can be amended.

The vehicle pickup/drop off

locations can be amended from

Airport to a non Airport location.

The vehicle size and type can be

amended

If any details are amended, click

Select Accommodation

Select the desired accommodation

property and room rate

Please note that your company’s

preferred hotels will be denoted by

yellow stars. No yellow star indicates

a non-preferred hotel.

Click Room Rates to expand the list of

rates offered on the selected dates.

Select the preferred room type and its

associated rate.

Once a selection has been made for each itinerary

segment, click Continue to proceed.

Note that the best fare has not been selected on

the flights and a non-preferred hotel has been

selected to demonstrate breaching a policy.

If you have not selected the best

fare returned in the search, you

will be prompted to enter a

reason why the best fare was not

selected.

Confirm the cost centre information (where applicable)

Confirm ItineraryA summary of your selected itinerary will display. Changes can be

made to this itinerary by clicking Modify Itinerary.

If policy is broken for the rental car, or accommodation, a reason will

need to be selected from the drop down box.

The total fare price will be displayed including taxes and service fees.

Please note this total does not include any accommodation or rental car

costs

Confirm the form of payment for the flight sectors from the drop down box.

If using Travelcard, the CVV code is not required.

If a hotel is booked, a Hotel Guarantee Credit Card must be selected

Enter any special request into the Special Request Remarks fields. Note

these will be sent to your Consultant and handled offline

Select Book to complete the booking

and send for ticketing

Enter a Reason for Travel from the drop down list (if applicable). For a

free format field, select Other and enter in the reason

Tick to accept the Terms and Conditions

Booking Confirmation

Once your booking is confirmed, a Booking Number is

returned

You can view the Itinerary / Client Statement by

clicking on the relevant blue buttons.

Once the booking is ticketed, A ticketed copy of the

itinerary / Client Statement will be sent via email.

The same itinerary can be booked for another traveller

by clicking Clone Booking. Please note that you are

only able to clone a booking if the next traveller has

the same travel policy assigned as the original traveller

AND the same fares, cars and hotel rooms/rates are

available.

Using a Ticket Credit

If a traveller you are booking for has any

held ticket credits available, the credit will

be displayed on the final screen of the

booking process

Click Held Ticket/Credit to make the

booking using the credit.

Please note that the booking will then be

redirected to your Tandem Travel consultant

to process

If more than one credit is displayed, your

travel consultant will select the most

appropriate one to use

Viewing Traveller Trips

Select Existing Bookings and then select the

applicable search option (My Bookings, Bookings I

Arranged, Bookings to Authorise)

Complete one or more of the fields to narrow your

search.

Bookings can be searched by status of Current,

Future, Travelled or Cancelled using the drop down

field. Leave blank to display all bookings.

Click Submit to search.

Search results can be sorted by clicking on the

column headers.

A copy of the itinerary or Client Statement can be

reviewed through the I or S icons

Changing an Authoriser

If a booking is Awaiting Approval, the Authoriser can be amended if

required. Click on the ID (booking number) of the booking for which

you wish to amend the authoriser.

The applicable booking will be displayed

Select the new authoriser/s and click Update.

The booking authorisation email will then be sent to the new

Authoriser(s) for approval. Note that the authorisation time limit is not

extended / restarted by amending the Authoriser.

Creating a New Profile

Click Save once complete

The * symbol indicates mandatory fields

Enter names as per the travellers passport or

drivers licence

The email address should be the travellers

own workplace email address
