Accreditation All attending ROTORTECH 2020 are required to be registered and display ROTORTECH 2020 Accreditation (Contractor Badge, Exhibitor Badge, Visitor Badge, etc.) at all times.

Stand Builders & Contractors In order to obtain a ROTORTECH Contractor Badge, Stand Builders and Contractors coming onsite must have completed both:

• RNA Contractor WHS Induction • ROTORTECH 2020 Accreditation Application, prior to coming onsite.

Stand Builders & Contractors During Event Access Contractors and Stand Builders that require access to site during Exhibition Opening Hours, must complete the During Event Access Request Form, this is available from ROTORTECH 2020 Stand Builder Portal.

During event access is restricted and requests are reviewed on a case by case basis.

The Royal ICC is centrally positioned between the Brisbane International and Domestic Airports and the Brisbane CBD. It’s a short 15-minute taxi ride from Brisbane Airports and 1.5 Km from the city’s

Driving/Parking Royal ICC is bordered by Bowen Bridge Road, O’Connell Terrace, St Paul’s Terrace and Gregory Terrace at Bowen Hills. The entrance to Royal ICC is via Gregory Terrace. Onsite parking is available at cost, for pricing please go to https://www.brisbaneshowgrounds.com.au/information/parking/

Entry and exit to the Brisbane Showgrounds car park is located off Gregory Terrace and O’Connell Terrace. Please refer to the map below for parking locations.

Public Transport Bowen Hills and Fortitude Valley train stations are within a ten-minute walk to Royal ICC. Buses also service the surrounding streets regularly. Custom Stand Designs & Shell Scheme Information

Custom Stand Designs Custom Stand Designs and associated forms must be submitted via the Stand Builder Portal for review and approval. Stand Designs must be received by the due date as listed in portal. It is your responsibility to ensure your stand design meets the ROTORTECH 2020 Exhibition and Safety Regulations, along with ensuring your stand is built to Australian Standards. Custom Stands must not exceed a maximum height of 2.4 meters without the prior written approval of the Organiser. Your stand build must be completed and ready for presentation within the allocated construction time, please refer to the Move in Move out Schedule for more details.

Shell Scheme Stand Specifications Shell Scheme stands are a turnkey (pre-built) stand that includes the following items:

• Side and back walling made up of 2500mm high matt anodised aluminum frame with white laminate infills

• Event branded fascia (one panel per 3m increment on all aisle frontages) with company name and stand number noted

• Carpet flooring

• One 10-amp power point per 9sqm and basic lighting Shell Scheme stands do not include:

• Furniture may be hired via our preferred supplier Moreton Hire. • Alternatively, you may prefer to source your own supplier.

Shell Scheme – Fascia Shell Scheme stands are built with a fascia sign displaying the Exhibiting Company’s Name on standard ROTORTECH 2020 imagery.

Company names are displayed with uppercase characters. we recommend no more than 30 characters including spaces.

Please note there is no option to change the logo or imagery on Shell Scheme fascia’s.

To advise on the preferred company name for your fascia, please access Shell Scheme Inclusions & Fascia by the due date as listed within the Exhibitor Online Portal.

You also have the option to remove your fascia altogether – you will find this option also within the form Shell Scheme Inclusions & Fascia. This form is located within the ROTORTECH 2020 Exhibitor Online Portal.

Any companies who miss this deadline will have their company name listed on their fascia as per their ROTORTECH 2020 Exhibition Order Form.

Accessibility

Accessible parking bays are available in the Royal ICC car park and is located near the lift access to the concourse and exhibition area on the lower level.

Accessibility toilets are situated on the Lower Foyer (behind the lift), and also along the concourse and the Upper Foyer. An ambulant toilet is available in all toilets situated within Royal ICC.

Additionally, the following facilities are available:

• Elevator and escalators to upper level

• Accessible car parks located in Lower Royal ICC near elevator

• Brail signage is installed throughout the venue as legislated

Aircraft Handling Exhibitors who have contracted to display a static aircraft at ROTORTECH 2020, please view the following important documents:

• External & Static Display Exhibition Regulations

• Helipad Arrival and Departure Instructions

All Aircraft must be registered for arrival, departure and declaration of PIC. To register please complete the Aircraft Registration form located within the Exhibitor Online Portal, no later than the listed due date. Please contact Tracey Busbridge for further details [email protected] This form will only be available to companies who have previously submitted an Outdoor Static Order Form to the Organiser. If you would like to discuss the opportunity to display a static aircraft at ROTORTECH 2020, please contact [email protected]

Australian Visa Guidelines It is your responsibility to ensure you have the correct Visa to enter Australia to attend ROTORTECH 2020.

If applying for a Visa, please allow plenty of time for the application to be processed.

Café Onsite Café facilities will be available onsite at ROTORTECH 2020. Note: Café facilities will not be operational during move in and move out

Car Parking Royal ICC offers a secure and convenient parking facility. Daily charges apply per vehicle – please visit here for the latest parking rates https://www.brisbaneshowgrounds.com.au/information/parking/

The car parks located under the Royal ICC and Rydges Hotel are an automated ticketless system, payment on exit only.

All guests, exhibitors, suppliers and contractors are required to pay for parking.

Catering Royal ICC are the sole the sole suppliers of all catering services at ROTORTECH 2020. For prices and services available please refer to the On-Stand Catering order form, available in both the Exhibitor and Stand Builder Online Portal’s.

Children Children under the age of 15 are not permitted on site during move in and move out periods or at any other time where high risk activities are occurring. Examples of high-risk activity include forklift movements, stand building, rigging or any other construction activity.

During Exhibition opening hours no children under the age of 16 are permitted at the event.

Cleaning Royal ICC are the sole supplier of cleaning services at ROTORTECH 2020.

It is your responsibility to remove all rubbish from your stand. Any rubbish left behind will be charged back to the Stand Builder at m2 rate. Custom stand builders must remove all materials from site themselves or alternatively order a skip from the Royal ICC to dispose of stand materials.

Conditions of Entry All attendees of ROTORTECH 2020 are subject to Conditions of Entry, these conditions are listed on the ROTORTECH 2020 website. https://www.rotortech.com.au/visit/conditions-of-entry.asp

Conference Session Registration To register for one of the Conference Sessions held at ROTORTECH 2020, please go to the ROTORTECH 2020 website and follow these steps:

• Please click on the ROTORTECH 2020 Trade Visitor Registration link. • Follow the prompts, entering all required information in the ‘Your Information” and “Your

Industry” tabs.

• Proceed to the ‘Conference Selection’ tab – from here you can select which free of charge conferences you would like to register your interest. Follow all prompts and complete required information, through to the ‘Confirmation’ tab, this will update your registration to reflect your interest in selected conferences. NOTE: Conference entry on the day is on a first come, first served basis.

Already registered as a Trade Visitor or Exhibitor?

• Please click on the ROTORTECH 2020 Trade Visitor Registration link from your E-Receipt.

• Follow through the prompts, confirming ‘Your Information” and ‘Your Industry’ tabs.

• Proceed to the ‘Conference Selection’ tab – from here you can select which free of charge conferences you would like to register your interest. Follow all prompts and complete required information, through to the ‘Confirmation’ tab, this will update your registration to reflect your interest in selected conferences. NOTE: Conference entry on the day is on a first come, first served basis.

Damage & Loss Any damage made to the venue through the construction or dismantling will be charged back to the

Exhibitor.

This includes any damage to carpet and failure to remove rubbish.

Do not, fix, screw or drill into the venue walls and floors.

Do not attach anything to the venue walls and floors.

Dangerous Goods All dangerous goods, chemicals and hazardous substances as classified under the United Nations Globally Harmonised System and Workplace Health and Safety Regulation 2011 are prohibited at Brisbane Showgrounds without the express written approval of RNA Safety Team and Management.

All other chemicals must be accompanied by safety data sheets and stored and used in accordance with safety data sheets. Notice of intent to use or display dangerous goods must be submitted to RNA Safety Team 14 days from start of hire period.

Fuel must not be stored indoors at any time.

Download ROTORTECH Logo PROMOTE YOUR PRESENCE AT ROTORTECH 2020 TO YOUR NETWORK Let your network know you’ll be exhibiting at ROTORTECH 2020 with our downloadable event logo which can be used for marketing material, email signatures, websites, and social media.

1. Right click your desired event logo below and choose “Save Image As…” or “Save picture as” depending on your browser.

2. If required, you can add your own message. Using an editing program of your choice, simply as your desired text to the space in the graphic.

Drone Use at the Event No general drone use in the is permitted at ROTORTECH 2020, this includes exhibition halls, external areas including the Main Area. Drone operators (this includes visitors, exhibitors, media) need prior written approval from the Organiser to operate drones at the event.

Electrical Moreton Hire are the official supplier of electrical services at ROTORTECH 2020. Power orders must be placed with Moreton Hire prior to coming onsite. Late orders will be charged accordingly.

TEST & TAG

All electrical items must be Australian Standard Compliant, along with being tested and tagged by a qualified Electrician before they can be used onsite.

A tag should be visible somewhere on the equipment, such as the lead. The tag should show a test date and a date of expiry.

The test should: • Have been carried out within the last three months.

• Have been carried out by an electrician or someone qualified under AS/NZS 3760.

Emergency Procedure & Evacuation Plan The Royal ICC has plans Emergency Response plans in place to cover a variety of emergencies that could occur at the facility.

The emergency alarm systems are two stage with an alert tone and evacuation tone. If an evacuation is required, Venue Staff and Fire Wardens will help direct building occupants to a safe assembly area. Please see assembly area map below.

Emergency Response Guidelines – Static Helicopter Display Site During the event the external Static Helicopter Display Site (Main Arena) will be under the day to day operational control of the ‘Tarmac Crew Chief’ (TCC).

In the event of an emergency in this area the TCC will activate the emergency plan and contact Venue Security.

Exhibitor Directory As part of your participation in ROTORTECH 2020, your company receives complimentary listing(s) within the Online Exhibitor Directory.

If you have more than one company or division represented on your stand, you may submit a new entry for each company you would like listed.

This information will be displayed within the Online Exhibitor Directory (available at www.rotortech.com.au from April 2020 and within the ROTORTECH 2020 App from early June 2020).

Exhibitor Portal As an exhibitor of ROTORTECH 2020 you will receive login details to the Exhibitor Online Portal. This portal contains links to all forms and information needed to exhibit at the event

International Stand builders are encouraged to engage an Australian insurance broker to ensure they have compliant coverage. It is the responsibility of the Stand Builder and Contractors to ensure any sub-contractors they engage hold compliant insurances.

Exhibitors Insurance

Aircraft Insurance – All exhibitors displaying aircraft must supply a Current Certificate of Capacity showing Public Liability Insurance cover for the following: Rotorcraft up to (and including) 2 tonne MTOW - Five million dollars (A$5,000,000) Rotorcraft more than 2 tonne MTOW - Ten million dollars (A$10,000,000)

Exhibitors - The minimum third party/public liability insurance protection which the Exhibitor is required to obtain or provide in respect of its participation in ROTORTECH 2020 is to be whichever is the higher of:

(a) the existing third party (public liability) insurance of the Exhibitor; or (b) an amount not less than ten million Australian dollars (A$10,000,000)

Exhibitors can upload an existing Certificate of Insurance or opt to purchase Public Liability Insurance through the Organisers umbrella policy at a cost of AUD$82.50 incl GST. This can be done through the form Certificate of Insurance found within the Exhibitor Online Portal.

Helicopter Arrival and Departure – Main Arena

All Helicopters arriving for display on the Main Arena must be scheduled for arrival and departure. Please complete the form Display Aircraft Registration located within the Exhibitor Online Portal.

Onsite Media Notice Although ROTORTECH 2020 trade days are closed to the general public, there may be general and specialist media on site.

The majority of media at ROTORTECH 2020 will be specialist industry journalists who have gained pre- event accreditation to ensure they are legitimate representatives of known media outlets. However, there may also be general media on site who have arrived at the event with no prior warning or accreditation. This is often beyond the control of the event organiser as particular companies; government ministers and organisations may independently invite media to announcements and briefings.

This does not, however, give media any greater rights of access to individual companies than they would have outside the event. Under the code of ethics of the Australian Media, Arts and Entertainment Alliance, journalist are required to “Identify yourself and your employer before obtaining any interview for publication or broadcast. Never exploit a person’s vulnerability or ignorance of media practice”.

Exhibitors have as much right to decline an interview or photography on their stand as they would have in a public street or on their own premises.

In managing the media, exhibitors are advised to treat their exhibition space as they would a site of their own business. This ideally means: • having your company’s media liaison personnel on site. • engaging with media who visit your exhibition space about their intentions or interest before agreeing to an interview or providing information; and • clearly indicating your refusal for interviews or filming/photography on your stand without permission. Noise Regulations Excessive or objectionable emissions of any type, including but not limited to noise, vapors, light and smoke, from stands and displays are not permitted.

Any PA, theatre, audio visual systems or displays must be used in such a way as to not unreasonably affect neighboring Exhibitors.

The Organiser reserves the right to turn down or off any equipment, systems and displays deemed, by the Organiser, to be in breach of this regulation.

Notice to Raw Space (Custom Stand) Exhibitors As Event Organisers, we are routinely approached by companies claiming to be building stands on behalf our Exhibitors when in fact, they are not.

To ensure we are working with the correct stand build company, we require Raw Space (Custom Stand) exhibiting companies to declare their stand builder by entering their contact details into FORM 1A Custom Builder Declaration located within their Exhibitor Online Portal by the specified due date. Once you have declared your stand builder, our Production team will provide them a login to the Stand Builder Portal to complete all build requirements for your stand onsite including uploading stand designs for approval, submitting Occupational Health & Safety documentation and completing the necessary Safety Induction.

Custom Stand Builders generally do not require access to the Exhibitor Online Portal; however, you may choose to share your login details with your Stand Builder contact.

Onsite Signage & Exhibitor Lists All onsite Exhibitor lists including within the ROTORTECH 2020 App and on the ‘You Are Here’ map, source Exhibiting Company Names from submissions made through Exhibitor Directory Entry, via the Exhibitor Online Portal.

To ensure your Company Name is listed accurately, please ensure you complete Exhibitor Directory Entry Form, by the stated due date.

Any companies who miss this deadline will have their company name listed as per their ROTORTECH 2020 Exhibition Order Form.

Prayer Rooms

The Royal ICC offers an on-site prayer room which is conveniently location on the Level 1 Concourse.

Presentation of Exhibits The Exhibitor is required to maintain and staff its exhibits and stands throughout the complete period of ROTORTECH 2020.

Regulations All Exhibitors, Stand Builders and Contractors coming onsite are required to familiarise themselves and agree to the ROTORTECH 2020 Regulations. The Regulations are in four parts as follows:

The Regulations can be found in both the Exhibitor and Stand Builder Online Portal’s along with the ROTORTECH 2020 website.

Rigging Rigging services can be ordered directly through Royal ICC. If you wish to discuss your requirements, please contact: Royal ICC Exhibitor Services +61 (0)7 3253 3900 [email protected]

Alternatively, you may wish to engage your own rigging contractor. Please note only licensed competent riggers will be approved to carry out installations.

If you engage your own rigging supplier, the Organiser must be notified of the rigging company and company contact details. Rigging plans and details including weights, must be submitted with the stand design via the Stand Builder Portal.

Safety – Move In and Move Out All personnel onsite must comply with ROTORTECH 2020 Safety Regulations along with State and Federal regulations. ROTORTECH 2020 Safety Regulations are available in both the Exhibitor and Stand Builder Online Portals, along with ROTORTECH 2020 website www.rotortech.com.au

Before commencing work onsite, Stand Builders and Contractors must submit SWMS and/or JSA’s for related to the work they will be undertaking. Please see the Stand Builder Portal for submission details and due date.

All personal onsite during bump in and out must:

• Successfully completed the RNA Contractor WHS Induction, prior to coming onsite.

• Must wear high visibility clothing (i.e. vest) during bump in and out and at all times in the

Loading Dock.

• Must wear sturdy enclosed shoes (not ballet flats), preferably steel cap work boots.

Service Desks The ROTORTECH 2020 Organiser team will be available onsite at the Exhibition Services Desk. Exhibition Services Desk will be located next to ROTORTECH Registration, Level 1 top of the escalators.

Moreton Hire and DB Schenker will also have their service desk operating from this location.

Smoking The Brisbane Showgrounds and Royal ICC are non-smoking venues. Smoking is strictly prohibited in all enclosed public spaces as outlined in Tobacco and Other Smoking Products Act 1998.

In accordance with the Queensland Government policy, smoking is permitted only in the Designated Outdoor Smoking Areas.

There is no smoking in the Loading Dock area. On the northside of the building there are seats and ashtrays located under the fire escape. See map below.

Stand Number Confirmation The ROTORTECH 2020 Exhibition floor plan is a dynamic document that can change at any time in the pre-event planning period.

We endeavour to minimise the need to move Exhibitors from their agreed stand location but in the event of this, will contact your company’s exhibition POC to discuss. Exhibitors are advised of their tentative stand number (label of your stand location) at the time of contract but please note: movement on the exhibition floor can alter stand numbers.

Exhibitors will be advised of their final and confirmed stand number mid September via email and can view their confirmed stand number within the Exhibitor Portal.

Stand Limits No part of the stand or displays may extend or project beyond the allotted dimensions of the contracted space. The Organiser will insist any protruding item be moved back into the allotted stand footprint during the event.

All stands must not exceed 2.4m in height, without prior written approval from Organiser. For further details please refer to ROTORTECH 2020 Exhibition Regulations.

Storage There is no storage onsite, please contact ROTORTECH 2020 Freight and Logistics supplier DB Schenker to arrange storage. Contact details are listed on the ROTORTECH 2020 website and in the Exhibitor and Stand Builder Portals.

Weapons & Firearms Unless otherwise approved by Worksafe Queensland and the Queensland Police in writing, with a copy issued to the Organiser and RNA, the carriage or display of weapons at the Brisbane Showgrounds and Royal ICC by the Event Organiser, their employees, contractors, sub-contractors, agents and exhibitors is strictly prohibited.
