1ROTARY AWARDS MANUAL 2020-21

Awards and trophies have been used to mark outstanding victories since ancient times.

The English word ‘trophy’ itself was derived from the French word ‘trophee’ which means ‘a spoil or prize of war’ .And the French word is from Latin ‘trophaeum’ meaning ‘monument of victory’. A trophy is a tangible, durable reminder of a specific achievement and serves as recognition or evidence of merit.

In the case of Rotary, you can say that a ‘friendly war’ for Excellence is on among clubs; vying with each other to excel in the field of service to society. When it comes to service, there is no need to be recognized as the best service is that which is done without expectation of any reward.

But, to further the cause of Rotary, it was found ethical and desirable by Rotary International to recognize clubs and individuals by giving them Trophies and Certificates for Excellence in the various Avenues of Service.

Rotary India has identified eight Verticals of Service. Projects can be undertaken under each of the verticals; and it is the choice of the club to decide which areas to spotlight.

The gauge for assessment shall be on the basis of projects executed under the Rotary India verticals , District Project - H2 O -, Focus Project - Save Kidney Save Life- , and various other projects given in the Awards Manual.

The Presidents and Secretaries of all Clubs to know where they stand in comparison to the other Clubs of the District when it comes to performance. If it is found that they have fallen short of what was intended from them, they should take it sportingly and consider it as a challenge to prod them on to the levels expected of them. Awards cannot be given to all. As mentioned before, an Award serves as recognition or evidence of merit. Those who are not getting an award this year should not take it as a negative reflection on them or the activities they have painstakingly attempted. It just means that there were other Clubs who have performed a little better than them. And there could be more scope on their part to bring out the best in them in future.

However, along with performance comes the aspect of discipline. One important point in the process of evaluation is the Reports sent from the Clubs. Reports are meant to be sent within a stipulated time frame. If they are not sent on time or sent together at the end of the year or sent not in the format stipulated, it will not help the clubs in getting the recognition very much due to them. Hence it is imperative that the clubs perform well and report promptly; and we assure a very fair and transparent assessment.

The Rotary International President Holger Knaack said while releasing Rotary Theme for the current year ‘Rotary opens opportunities’, “We believe that our acts of service, big and small, create opportunities for people who need our help. Rotary creates leadership opportunities and gives members the chance to travel the world to put their service ideas into action and make lifelong connections. Everything we do opens another opportunity for someone, somewhere. “

Rotary has opened Opportunities and Clubs have to grab it. Wish you an eventful, meaningful and harmonious Rotary Year.

MONTHLY REPORTS SUBMITTED WITHOUT THE SIGNATURE & DATE OF ASSISTANT GOVERNOR WILL NOT BE ACCEPTED IN ANY CASE

a. • The Activities of the club to be reported online, in the prescribed format (Section 10 Page 44) to the Awards Committe Chair and District Governor, duly attested by Assistant Governor, before the last day of the succeeding month. Special points of 25 will be awarded to those who report on or before 20th of succeeding month. • The Club IT Officer should regularly upload projects executed in “Rotary Club Central” of RI website. • This is in addition to sending reports by clubs to DG and to Awards Committee Chairman.

5. GUIDELINES FOR REPORTING


• A softcopy of the uploaded data till date at Rotary Club Central has to be submitted along with Monthly Report for Aug. 2020, Nov 2021, Feb.2021 and June 2021.b. Activities from AGTS on 01-02-2020 till 30-06-2020 and Annual planner of Activities of the club, to be included along with the report of July.c. The report to the Awards Committee Chairman should be supported by Photographs, Programme Notices, Newspaper Cuttings, Invitation Cards, Club Bulletins etc. Soft copies of the same on CD, Video footage etc. are also acceptable, as supporting evidence.d. Only projects undertaken and completed by the clubs from 1st July 2020 to 30th June 2021 will be considered for the awards. Projects should be reported only once, after completion, with sufficient proof giving complete details of duration of project, financial outlay, number of Rotarians, total Rotarian hours etc. involved and number of beneficiaries of the project.e. Wherever financial obligation details are reported, like Semi Annual Dues, Magazine dues, District Funds etc. copies of the receipts must be sent.f. In case of projects implimented jointly by one or more clubs, pro rata points will be allowed on the basis of financial contribution of clubsg. Dates should be mentioned for all activities with details of participation of Public leaders and Rotary leaders.h. Points will be credited for continuing projects as value addition and for the work and service rendered during the current year.i. Each event should be specifically mentioned as per the numbers given in the reporting format (Page 44). Duplication should be avoided.j. Repeated reporting of any event under different avenues must be avoided by club. Award committee will account it at appropriate areas.k. Clubs are discouraged for organizing events/programmes on dates clashing with District events, as already published in District Directory.
