Policy Summary is one of a number of applications available via Risk Intelligence Central which is Willis Towers Watsons’ latest offering in client facing technology.

Our vision is to create a series of market-leading risk management applications, using the latest technology, providing our clients with a one-stop digital experience, so they can make more informed decisions based on fact, rather than perception. These applications will have a common user interface to provide a consistent user experience across all Risk Intelligence applications. The applications will be both mobile and tablet ready so that internal and external clients alike will have a fully mobile capability to utilise these new resources. The Policy Summary application provides a collaborative space where summaries of polices can be stored by Willis Towers Watson and can be viewed by the client and any additional third parties as required. Additionally, a dashboard is displayed with some key metrics related to the summaries that have been uploaded. If you have any additional questions or require assistance with something that is not fully explained in this document, help is available.

Logging In To access Risk Intelligence Policy Summary, you will first need to login to OnePlace. You will have received a Welcome email from your Willis Towers Watson service team, inviting you to OnePlace and Risk Intelligence Policy Summary. Follow the link within the email to go to OnePlace: http://willistowerswatson.com/oneplace. Clients logging on to the application for the first time should click on the ‘Enable Account’ button.

The following screen will ask you to type in your company email address and then click on the ‘Submit’ button.

Willis Towers Watson will then email you with a link to allow you to set your password:

Once you have opened the email then click on the ‘Complete your password request’ link.

This link will take you back to the OnePlace site and allow you to set your password.

Click on ‘Submit’ when you have finished.

Upon first login to OnePlace, you will be provided with the Terms and Conditions of use for the website. Please review and click on ‘Accept’ if you wish to continue. You will receive an email confirming you have set a password.

After logging in you will be taken to the OnePlace Home Page.

At the top right of the screen you will see four icons, the first of which resembles a Gear and this is where you would change your personal settings. There is also an icon where you can see any

application Alerts . Your Avatar is where you can view your user profile including your email details, company, password etc. Finally, there is the ‘My App List icon’, which appears as a small square containing nine dots. Click here to access applications. Upon first click, a list of most recently used applications will be displayed.

If you have previously opened Policy Summary, it will be shown as a recently used app; If you do not already see an icon for Risk Intelligence Policy Summary, open the App Catalogue and you will find it there.

If you have not yet opened the app, you will find it in the App Catalogue. The App Catalogue provides you access to a wide range of Willis Towers Watson applications displayed along with their icons. These are purpose-built applications specially designed for our various clients’ business demands. To subscribe to Risk Intelligence Policy Summary, click on its icon in the Apps list, and then click the Add to my App list button. Upon first login, you will be asked to accept the ‘Terms and Conditions’ of the Policy Summary app before continuing – check the box confirming agreement and then click ‘I Accept’

2. Terms of Use

When logging into the system for the first time, all non-WTW users will be presented with a Terms of Use that must be accepted before continuing into the system.

If a user has accepted the Terms of Use, they will not be presented with it upon future logins of the system unless the Terms of Use have been changed.

To accept the terms of use, simply read through the content, and after having done so, click the ‘Accept’ button at the bottom.

3. Header/Footer

When working in RI Policy Summary there will be a persistent header and footer at the top and bottom

of your screen, respectively.

The header contains the following:

A link back to ‘My App List icon’ to easily access any other OnePlace apps

A link back to ‘Notifications’

A link back to your profile ‘Avatar’

The Footer contains links to contractual information, such as Willis Towers Watson’s Privacy and

Cookies policy, Copyright notice, and a support link that will allow users to reach out for help with the

system when an issue arises.

4. Side Bar Navigation

On the left side of your screen you will notice a grey vertical bar with different tiles. These tiles allow

you to navigate to different sections of the system depending on what action you are looking to

perform.

The options are:

Policies: Navigates to the Dashboard/Landing Page Reports: Navigates to the Reports Section

This sidebar should be used for all navigation to and from different parts of RI Policy Summary.

The browser’s back button ( ) should NOT BE used.

5. Dashboard (Landing Page)

When you first log in to RI Policy Summary, you will be routed to the Dashboard. This page contains

two sections: The Dashboard Components, and the List View.

Dashboard Components

The Dashboard is split into snapshot Management Information at the top of the page, a ‘Recently

Published Policy Summaries’ listing and then a filter which allows you to view all Policy Summaries by

inception year, Country, Product Line or Status. Taken as a whole, the screen provides a high level

synopsis of the Client.

The graphs are interactive and will tell you additional information by using your mouse to hover over

the data points. Additionally, some of these graphs have reports associated with them and will have a

‘View Report’ hyperlink that will take you to the related report.

**Note** as with everything in the system, data that populates the graphs you are seeing is dependent

upon the level of access that you have. Access can be controlled at Country, Policy Type and Client

level, so if you do not see data that you would expect to see, contact your account manager.

The dashboard components are comprised of the following graphs

Premium by Policy Year

This graph shows the sum total of all Premiums (Including Commission) for all Policy Summaries for

the last three years grouped by Policy Inception date. The graph will always show the current year and

two years back. Hovering over each bar, the specific total Premium (Including Commission.) is

displayed.

Premium by Product Line / Premium by Country

On the right of the ‘Premium by Policy Year’ graph, you can toggle between two available graphs by

clicking the name of the component in the top right corner of the graph. The system will remember the

graph you last selected and open this as default.

The first available graph here is ‘Premium by Product Line’ which shows the total premium (including

commission) for the current inception year group by product line. The graph will always show the five

product lines with the highest premiums and then will group all other product lines into a sixth bar. As

with the other graphs, you can hover over each bar to see a numerical value for it. In the top right of

the graph there is a link to view the related report that corresponds to the graph.

The second graph in the pair is ‘Premium by Country’ which shows the total premium (including

commission) for the current inception year grouped by country. The graph will always show the top

seven countries and will group all other countries an ‘All Other’ bar. This graph has the same hover

feature and report link as its twin.

Recently Published Policy Summaries

Beneath the graphical data, a table listing is shown of the most recently published policy summaries

that have been made available to the client. The table is sorted by most recently published at the top

and shows five policy summaries at a time with the ability to page through the results.

List View

At the bottom of the dashboard is a table of all policy summaries for this client. The table shows 10

policy summaries at a time with the ability to page through additional results.

A number of filters can be applied to narrow down the results in the table including: Inception Year,

Country, and Product Line with the ability to clear all filters to start a new search.

Once you have found the policy summary you are looking for, you can click the policy number for that

summary which is a blue hyperlink. It will take you to the summary itself to view additional details.

6. Viewing a Policy Summary

To view the individual policy summaries, click on the policy number link on the dashboard landing

page in either the recently published section or the list view at the bottom of the screen.

The Policy Summaries can also be accessed from the same links in the reporting tabs:

Policy Summary Status

When accessing/viewing a Policy Summary, you will see the below information:

You will see the Product Line and Policy Period in big bold font. Next to the policy period you will

see a circle that will be either green or red. This circle indicates whether the policy is still in force or

whether it has expired.

If the circle is green the policy is active and the current date falls within the policy period. Also, if you

hover over this circle, a note will pop up advising that the policy is active.

If the circle is red, it means the policy is inactive. That means either the current date does not fall

within the policy period or the policy has been cancelled. If it has been cancelled, the cancellation date

will be populated at the bottom of the screen.

To the right of the Product and Policy info is an ‘Attachments’ pane

Named Insured

On Local policy summaries (summaries where policy type is not “Master”), the Named Insured field

will be a list of all Named Insureds associated with the policy summary separated by semi-colons. If

the list is too long, the system will truncate it and show an ellipsis instead (…). To show the full list in

detail, you can click the ‘View All’ hyperlink to jump down the page to the section with the full list of the

Named Insureds.

On Master policy summaries (summaries where policy type is “Master”) the Named Insured field will

simply list the subscription name and then will either say “and all subsidiaries” if all available Named

Insureds are associated to the policy summary or will say “and subsidiaries (exclusions apply)” if not

all available Named Insureds are on the summary. As with local policy summaries, you can click the

“View All” hyperlink to jump down to that section of the page for the full details.

Lead Carrier

The carrier that is marked as the ‘Primary’ on the policy summary will display in the Lead Carrier field

along with the percentage it holds for the policy. Next to this value you will see a number that indicates

the number of additional carriers associated to the policy summary. Hovering over that number will

show additional details for those carriers.

Finally, just like with the Named Insured field, if you click the ‘View All’ hyperlink, the system will jump

you down the page to the carriers section.

Show More Details

In order to consolidate information on the policy summary view a selection of fields are collapsed from

view by default on the screen. In order to see these additional fields, simply click the ‘Show More

Details’ arrow below the Account Manager field. To re-hide the section, simply click it again.

As with the ‘show more details’ section, in order to conserve space on the page, each product

section is collapsed by default.

To expand each section, simply click the “+” icon to the right of the product name.

The section opens as below and shows the Limits, Product Coverage Details etc.:

Attachments

Within a Policy Summary, any attachments that have been added can viewed from the right hand side

of the screen in the attachments pane:

Attachments can be downloaded using the download button or removed by clicking the small trash can

if you have been provided the correct privileges.

Attachments can be a maximum of 10mb and most standard file types are allowed.

7. Reports

In order to review data in the system in a more aggregate way, there are number of reports made

available to users.

To navigate to the reports section, click on the ‘Reports’ icon in the left navigation pane.

Upon clicking the button, you’ll be brought to a new screen.

Under the word ‘Reports’ you’ll see two options one for Report Type and the other for Grouped By.

The combination of these two options determines the report that will be displayed below.

You can also navigate to this page via clicking the ‘view report’ link on any of the graphs on the

dashboard page; if you accessed via this route, the options are set as per that graph:

**NOTE** as with all other features in RI Policy Summary, the data displayed in reports is based on

the logged in user’s security. This means that what one user sees may differ from another.

Premium by Country Report

The first and default report covered in this guide is Premium by Country. The purpose of the report is

to display premium information for each policy summary group by country. By default, the report is

collapsed and only displays aggregate information.

You can see at the top the Total Premium and Charges for all policy summaries being displayed in

the report as well as the Total Premium and Charges for each country.

Additionally, the report counts the total number of policy summaries included.

To see detailed information in the report, you can either click the ‘Expand All’ link in the top right, or

click the down arrow next to the specific country you want to expand. Once expanded you can click the

‘Collapse All’ link that replaces the ‘Expand All’ link to do so, or click on the arrow (now facing up) to

collapse the corresponding section.

Once expanded you can see the individual policy summaries that make up the report as well as a

number of fields and their values for each summary.

You’ll see that for each summary, premium information is listed twice. Once in the reporting currency

values and once in the local currency values.

You can use the scroll bar to scroll back and forth through the fields.

Additionally, you can click the hyperlink made by any policy summary’s policy number to go to the view

state of that policy summary.

Premium by Product Line

To display the report ‘Premium by Product Line’ select ‘Premium’ for the Report Type and ‘Product

Line’ for the Grouped By and then click ‘Run Report’.

The Premium by Product Line is almost identical to the Premium by Country report, the only

difference is that the report is grouped by product line rather than country.

Additionally, once expanded all of the columns remain the same between the two reports except that

product line has been swapped with country.

Premium by Expiration Date

The third report discussed is ‘Premium by Expiration Date’. To navigate to this report, make sure that

Report Type is set to ‘Premium’ and Grouped By is set to ‘Expiration Date’. Then simply click ‘Run

Report’.

The report is very similar to the two previously discussed reports with the only difference being that the

method of grouping is the month-year combination of the expiration date. Additionally, this report

includes both the product line and country as columns.

Sums Insured by Country

The fourth report discussed is ‘Sums Insured by Country’. To navigate to this report, make sure that

Report Type is set to ‘Sums Insured’ and Grouped By is set to ‘Country’. Then simply click ‘Run

Report’.

This report is quite a bit different than the three previously mentioned reports. To start, this report has

an internal hard filter to only display policy summaries that have the product line “Property Risks”.

Additionally, rather than summarizing the Total Premium & Charges, this report summarizes the total

Sums Insured. However it still displays a policy count.

When expanded this report shows different columns than the other three and even more noteworthy,

rather than displaying one row per policy summary, the report displays one row per product. So if a

policy summary has two products, the policy summary will be displayed twice, one per product, as

shown below.

Filters

In order to further refine the data that is displayed in the available reports, the system has set of

available filters.

“From” and “To”. For every report except Premium by Expiration Date this filter triggers based on

the policy summary’s inception date. So if I have a “From” of 01-Jan-2017 and a “To” of 01-Jan-2018,

then any policy summaries with inception dates that fall within that window will be displayed on the

report. For the report Premium by Expiration Date, the “From” and “To” trigger off of the policy

summaries’ expiration date.

**NOTE** in order to apply any filters, be sure to click the “Run Report” button after making

changes to them.

Exporting Reports

In order to allow a greater deal of manipulation to the available data, the system has a feature to

export that data to Excel.

To do so simply click the ‘Download Report’ button in the top right corner of your report screen.

The system will generate a file with data based on whatever report type, grouped by, and filters you

currently are displaying on the screen.

The file is generated as a .csv which can be opened with a wide variety of programs including Excel.

Simply open the downloaded file with your program of choice and you’re good to go.
