1. Enhancements

1.1 Tasks

1.1.1 Task Layout

The screen layout has been changed for tasks:

A refresh button has been added to the Tasks list to allow the user the ability to refresh their list

1.1.2 Task Functions

• Tasks will now automatically open in Edit Mode • When a Task is marked as Completed, Canceled, or Reassigned, the

tab for that Task will automatically close

1.2 Orders

1.2.1 Eyeglass Order Layout

The patient’s prescription has been moved to the top of the “Rx Information” slider for easier viewing of the Rx when selecting the appropriate OD and OS lenses for that order:

1.2.2 Lens selector

A new feature has been added to Eyeglass orders that will automatically select the appropriate lens based on the patient’s prescription. The rules that are used to select the lens are the HCPCS definitions for single vision, bifocal and trifocal lenses. Determined by the sphere and cylinder powers, the appropriate lens will be selected from the user’s Eyeglass Lenses list in Inventory based on the V-code associated to that lens in Inventory. Important Note For the lens selector to work the following is required:

• The order must have an Rx associated. Lens selector will not work for an order that was started without an Rx until an Rx is selected for that order.

• The user must have the products in the Eyeglass Lenses category in Inventory configured with each appropriate V-code for single vision, bifocal, and trifocal lenses.

If the user’s product catalog contains multiple Eyeglass Lenses that share the same V-code the lens cannot be auto-triggered. However, when using the lens look up button as normal, the list displayed will be filtered to show only the lenses with the matching V-code

Please note that the new lens selector only applies to single vision, bifocal, and trifocal lenses. Because all progressive lenses share the same V-codes, no rules are available to trigger a specific progressive lens product.

1.3 Patient Search New data fields have been made available in the Patient Search option in Marketing.

1.3.1 Patient Birth Month

A data field that allows the user to create a report using the month in which the patient’s birthday occurs has been added:

All fields found within an Eyeglass Rx are now available:

Fields specific to the Rx itself are found in subfolders for “OD Fields”, “OS Fields”, “Either Fields”, and “Both Fields”. Using data fields from the OD or OS folders will create reports specific to only one eye. Using data fields from the Either folder will create reports with

Fields specific to soft contact lens parameters are found in subfolders for “Soft OD Fields”, “Soft OS Fields”, “Soft Either Fields”, and “Soft Both Fields”. Using data fields from the Soft OD or Soft OS folders will create reports specific to only one eye. Using data fields from the Soft Either folder will create reports with criteria that is applicable to either eye. 1.3.4 Referred Out

When a patient is referred out of the office to another provider, the information related to that referral can be entered and stored in the “Referrals” component. There are now available data fields for this information in Patient Search in a new folder called “Referred Out”:

1.3.5 Last Comp fields

New data fields have been made available in the “Key Dates” folder in reference to “Last Comp”. Using these data fields references data specific to an encounter that have been designated as “Comprehensive” in Administration:

To indicate that a specific encounter type is “Comprehensive” go to Administration/Encounters/Encounter Templates. Open the appropriate template and check the check box for “Is Comprehensive”:

IMPORTANT NOTE: For the encounter templates we attemped to default the check mark for “Is Comprehensive” based on the Encounter Template name. However it is very important that you go to your Encounter Template listing prior to December 26, 2011 and verify that all “Comprehensive”

encounters have the flag set. On December 27th we will go back and historically update all encounters so that the new “Last Comp” data field will work for encoutners that were starting prior to the addition of this new flag for “Is Comprehensive”

1.3.6 Time Fields

New time field options have been added to the “Key Dates” folder. They are: • Last Exam Date/Time • Last Comp Exam Date/Time • Next Appointment Date/Time

These new time fields are only available for use in “Result Fields”. Search criteria cannot be configured using the time fields.

1.3.7 Performed Services Fields

Within the Patient File there is a component for “Service History” found under “Show More” that shows all services that have been coded for that patient. Data fields specific to this information have been added to a folder titled “Performed Services”

1.4 Prescriptions

1.4.1 Authorizing

A new button has been added for “Update & Authorize” to all prescriptions. This new button will allow the provider to update and authorize the Rx with a single click. Previously the provider would have to Update in the bottom right corner and then go back to the Rx Details to Authorize.

The new button works the same as the current Authorize button as far as accessibility. Only a provider logged in under his or her own username and password will see this button active:

1.4.2 Stop or Cancel Rx Reasons

The list of “Reasons” available when stopping or canceling a prescription has been made configurable to the user. To add or edit this list go to Administration/Data Configuration/Prescriptions/Stop, Cancel Reasons:

1.5 Accounting

1.5.1 Legacy number qualifier

A new option for PXC has been added to the “Qualifier” drop down when setting an individual provider number in a provider’s employee file or a group number in an insurance file:

1.5.2 Order Provider

In preparation for some formatting changes that will be implemented in the future, a new drop down for “Ordering Provider” has been added to the Additional Claim Information slider within an Insurance invoice. This drop down will not populate any fields on the HCFA and is not required information for claims at this time.

1.5.3 Claim Filing code

Also in preparation for these same formatting changes which will affect the data sent to Gateway but will have very little impact on how RevolutionEHR users view and edit claims in Revolution, a new drop down for “Claim Filing Code” has been added to the Insurance Company file in Administration.

This drop down will not populate any fields on the HCFA and is not required information for claims at this time.

1.5.4 Payments

A new option of “Debit” had been added to the Credit Card type drop down when receiving a credit card payment:

1.6 Inventory

1.6.1 Eyeglass Frames

In the “Product Option Information” slider for Eyeglass Frame products, the year 2011 and 2012 have been added to the “Year” drop down in the Product Attributes section.

1.7 Administration

1.7.1 Access and Audit Logs

The Access Log and Audit Log reports found in the Administration Module have been enhanced to include “paging” for the results. Because these reports can contain many results, the speed of return of the results will be increased with the addition of paging. Paging will show the first 25 results by default, and a right pointing arrow button can be clicked to see the next 25 results for that report. By loading only 25 at a time the report is generated faster. A “Page Size” drop down is available that will allow the user to increase the number of results displayed in one page to 50 or 100

1.7.2 CQM Report

The layout of the CQM report has been changed to better accommodate the requirements for reporting CQM during attestation:

Because no data prior to November 1, 2010 is valid for Meaningful Use reports, the start date for this report cannot be set for a date prior to November 1, 2010.

1.8.1 Appointment Details

The patient’s database id has been added to the Appointment Details slider next to the patient’s name:

The option of “Non-Canceled” has been added to the “Status” drop down for Encounter Reports allowing the user to create a list of encounters that are In Progress OR Completed.

1.9 Patient Portal

1.9.1 Username

The ability to edit the username issued to a patient for Patient Portal has been added. Go to the Demographics component for the appropriate patient and select the “Login Information” slider to edit. Also added was the ability/requirement to check availability for a new username before updating the patient’s demographics. When a username is added or edited a button for “Check Username” will be made active and a note stating “Requires Check” will be shown:

2. Fixes

2.1 Tasks

2.1.1 Associated patient

A problem existed where the patient associated to a Task would change if the user had multiple tasks open at the same time. This has been resolved.

2.1.2 Open Tasks

Previously if a Task or Tasks was left open when the user logged out, that task would still be open the next time that user logged in. This could cause problems with stale data, and has been changed so that logging out will automatically close the tab(s) for any open Tasks.

2.2 General UI

2.2.1 Tabbing

• A problem would occur that would prevent the tab key from working in the log in screen after logging out and back in. This issue has been resolved.

• Tab was not working in the import screen in Inventory. When the user would hit “Import Product” the cursor could not be tabbed through the different filter fields found at the top of the import grid on the right. This has been fixed.

2.2.2 Auto-refresh

In certain areas of the application like Scheduling and Tasks, RevolutionEHR automatically refreshes data on a scheduled basis (approximately every 2 minutes). However, if the user had the clock on their computer set more than 10 minutes ahead, this would cause problems with the data that was refreshed because the new data displayed was based on the time of day the last refresh occurred. This has been resolved and will no longer be a problem if the user chooses to set their computer clock ahead.

2.2.3 Closing tabs upon log out

Logging out should refresh information and this includes closing any file tabs. Open tabs in Inventory, Administration, and Orders were not always being closed upon log out. This has been fixed.

2.3 Encounter

2.3.1 Encounter Print Out

Medications that were canceled or expired prior to the encounter date were still being included in the encounter print out. This has been fixed and only active medications with a start date on or before the encounter date will be included in the print out. Medications with an expiration or cancelation date prior to the date of the encounter will not be included in the print out.

2.3.2 CDS and Patient Education

When a care plan item description was too long and the computer’s screen resolution was too low, a user could possible see just a horizontal screen bar in the grid for CDS or Patient Education within an encounter. This has been fixed.

2.4 Administration

2.4.1 Errors upon updating

A problem occurred during the last release that would cause an error message to display whenever information was edited for “Basic” and “Security”. This issue has been resolved.

2.4.2 Provider type not saving

When the employee file of a provider was left open and the user logged out the Provider Type of Optometrist would get removed. This problem has been fixed, and leaving the employee file open when logging out will not cause a problem.

2.5 Orders

2.5.1 Contact lens trial orders

No billable items should be triggered within a Contact Lens Trial order. However, if the Rx that was selected for the order was an authorized Rx and not a Trial Rx billable items were still being generated. This has been changed so that no Contact Lens Trial orders trigger billable items.

2.6 Patient Module

2.6.1 Demographics

Users would receive an error message when updating Demographics within the encounter if any information had already been updated in the Patient

2.7 Scheduling

2.7.1 Scheduling Reports

When running an Appointment report and selecting criteria from the Insurance Verification drop down, the user would receive an error message when running that report unless criteria was also selected from the Confirmation drop down. This issue has been resolved to allow the user to run an Appointment report for Insurance Verification criteria without needed confirmation criteria.
