POLICY INFORMATIONADMINISTRATIVE CHARGE & SALES TAX
A 23% administrative fee will be added to your final bill.The total administrative charge is retained by the hotel to cover labor and administrative costs. This charge is not directly distributed as a tip or gratuity to employee(s). The retained charge is used toward paying our staff a higher flat hourly wage not typical of a tipped server. Any additional gratuity is at the sole discretion of our guests and is not required or expected. All food, beverage, administrative charges and sundry items are subject to 8% State and Local taxes unless documented proof of exemption is provided. Should your organization be tax exempt, we will need a copy of your tax exempt form for our records.
GUARANTEESA guaranteed attendance figure is required for all meal functions (5) business days prior to the function date and is not subject to reduction. If the catering office is not advised by this time, the estimated figure will automatically become the guarantee. We will be prepared to serve 5% over the guaranteed number.
MEETING SPACEThe hotel reserves the right to change room locations specified in your event order should you attendance change or as deemed necessary by the hotel.
OUTSIDE FOOD & BEVERAGE SERVICEThe Renaissance Del Monte Lodge Hotel & Spa is responsible for the quality and freshness of the food served to our guests. Due to current NY State health regulations, all food served at the hotel must be prepared by our culinary staff. Food may not be taken off the premises after it has been prepared and served.
SECURITYThe hotel will not assume responsibility for the damage or loss of any merchandise or articles left in the hotel prior to, during, or following your meeting or banquet. Special arrangements for security can be made with your Event Manager.
BILLINGAn acceptable form of payment must be agreed upon during the initial booking arrangements. Acceptable forms include advanced deposit (prepayment), direct billing (subject to approval) or completed credit card authorization form.
AUDIO VISUAL SERVICESWe are pleased to offer in-house audio visual services. Equipment is available on a rental basis. Please consult your Event Manager for details.
SMOKINGThe Renaissance Del Monte Lodge Hotel & Spa is a smoke free environment. This includes all guest rooms, meeting rooms, public areas, pool, bars and restaurant.

The hotel will not accept packages any earlier than three days prior to the event. Packages should be removed from the hotel no more than three days after your event. Special arrangements must be made in advance with your Event Manager or if you are shipping 10 packages or more and/or your single package is over our weight limit of 100 pounds. Please consult your Event Manager with any questions to ensure prompt processing of your material.
