Event & Hotel Information


ATTENDANT FEES

Culinary attendants are provided at a flat rate of $100 per attendant. For open bar packages, one bartender for every 75 guests is included complimentary. Additional bartenders for an open bar, and for hosted or cash bars are provided at a flat rate of $100 per bartender. Each cash bar requires one cashier per bar at a rate of $25 per hour with a two hour minimum.

MISCELLANEOUS CHARGES

There may be additional charges to consider when planning your wedding which may include, but are not limited to, the following: children’s meals, vendor meals for your DJ, photographer or band. Additional fees may apply for hotel staff assistance in hanging décor.

OUTSIDE VENDORS

As a policy of the hotel, all vendors contracted by our clients must follow the hotel’s procedures at all times, including: appropriate times to set-up and strike your function, loading dock hours, fire codes and noise limitations. Contact names and information are to be given to your Renaissance Certified Event Professional for each vendor. The hotel will not be responsible for any items brought into the hotel by contracted vendors.

SERVICE CHARGE AND SALES TAX

A 25% taxable service charge and applicable state sales tax will be added to all food and beverage charges as well as any audiovisual equipment charges and function room set-up/rental fees. Taxes are subject to change.

DEPOSIT

A non-refundable deposit equal to 25% of the total estimated revenue is required with a signed contract to confirm your date.

The remaining payment schedule is as follows:

• 180 days prior to event: total of 50% of estimated revenue due

• 90 days prior to event: total of 75% of estimated revenue due

• 10 days prior to event: remaining balance is due

All payments must be made by credit card, cashier’s check or cash. The hotel will request a credit card to be held as a back-up form of payment should you choose to pay by cashier’s check or cash.

PARKING

As part of the wedding package, complimentary self-parking is available in our surface lot or attached parking garage. Valet parking is at the main hotel entrance for $15.00 per car. Parking charges may be added to the master account if desired.

MENU TASTING

Once a contract is signed, we will be delighted to set a time for a menu tasting for up to four (4) guests and we require that it is scheduled at least two (2) weeks in advance of the tasting. Your Renaissance Certified Event Professional will discuss a convenient time during the planning phase, scheduled Monday through Friday during non-peak meal hours. Your menu tasting offers a sampling of two (2) menu items per course. Cocktail reception items are not included.

REDUCED GUEST ROOM RATES

The Renaissance Charlotte SouthPark is pleased to offer reduced guest room rates for Friday, Saturday and Sunday based on availability for your guests attending your wedding. Guest room rates do not include breakfast or applicable state and local taxes.

GIFT BAGS OR BASKETS

If you choose to provide your out of town guests with a welcome bag or basket, we will be delighted to present these to your guests at check-in. If you choose to personalize your gift bag or basket for your guests, there will be a $2 fee per bag. If you prefer to have them placed in your guests’ rooms, there will be a $5 delivery fee. Please coordinate this service with your Renaissance Certified Event Professional.

DÉCOR & ENTERTAINMENT

Your wedding at the Renaissance Charlotte SouthPark will include white or black cotton twill, floor-length linens and coordinating napkins, black or white spandex chair covers for your reception and mirror tiles and votive candles to accompany your centerpiece. Up-lighting is available onsite at an additional fee. Any special décor, such as chiavari chairs, upgraded linens, centerpieces or entertainment may be provided by a vendor of your choice.

MARRIOTT BONVOY POINTS

Marriott Rewards Points may be earned for your event, up to a maximum of 60,000 total. Approximately two weeks after your event you will receive three (2) points per catering dollar spent (food, beverage and audio visual), exclusive of tax and service charge.
