Overview This document describes the changes to Medtech32 since the last publicly released
build, namely Version 20.11 Build 4449.
It is possible to install this upgrade (Version 20.12 Build 4621) on any version from
Version 20.6 Build 3697 onwards. If you are upgrading from a version earlier than 20.11
Build 4449, please download and review the release information relating to those
releases you have bypassed, so that you are aware of the enhancements and fixes
which were included in those releases.
General Enhancements
Change in Provider will Update Provider Name in Recalls
ModuleRecall/ScreeningPatient Recalls:
When the provider is updated in the ‘Patient Register’ a prompt will be displayed to
confirm if any recalls associated with the original provider should be updated to the
new provider. This will be applicable to only those recalls that are still active.
Note: By default option ‘No’ will be selected in the message prompt.
Addition of ‘Nurse Practitioner’ Provider Type in Staff & Service Setup
Nurse Practitioners have been allocated their own Contract Class by ACC.
This means that provision of services coming under the Contract Class can be
claimed by the Nurse Practitioners
Enhancements have been carried out in Medtech32 to enable Nurse
Practitioners to Invoice and generate Claims for those services falling under
the Nurse Practitioner’s Contract Class
To enable your Nurse Practitioner to generate claims go to:
SetupStaffView StaffProvider/ACC Forms Tab
© Copyright Medtech Limited Page 6 of 48
Tick the Nurse Practitioner check box
This makes Nurse Practitioner Contract service codes available when billing
ACC claims can be then be generated for the invoiced services
Service Code Setup
Nurse Practitioner service codes are installed by default in the Medtech32 database
but may need to be specified by the practice based on their usage.
To set up, view or update go to:
SetupAccountingServicesView Service
A new Nurse Practitioner selection will be available in the Provider Type and Provider
Type2 drop downs.
Services which have been identified in this way will be available in the billing screen
when the service provider is a Nurse Practitioner.

Patient Register – Deceased Status Related Changes
ModulePatient Register
In previous versions, if a patient’s registered status was marked as ’Deceased’ the
patient’s age was still updated on the patient palette.
This has now been resolved so that when a patient’s registered status is marked as
‘Deceased’ the Date Deceased must be provided on the More tab within the Patient
Register. The patient’s age will then show on the Palette as age at Date Deceased.
In addition when the patient’s registered status is changed to ‘Deceased’ the system
will display a message asking if all associated tasks for the deceased patient should
be removed.
If the ‘Yes’ button is selected, the tasks for the patient will be marked as inactive in
the ‘Patient Tasks’ module.
If the ‘No’ button is selected the patient tasks will remain active.
Note: It will still be possible to filter and view the inactive tasks should this be necessary.
Provider and Patient Inbox Column to Display Result Imported Date
ModuleInboxProvider Inbox
Medtech was advised that the Date shown in the Provider and Patient Inbox screen
was confusing as it was not clear whether this was the date the result was created or
the date it was imported into Medtech32.
To clarify this, the Inbox now displays two dates as shown below.
The Result Date column will indicate the date the laboratory processed
the Result
The Imported Date will indicate the date the result was imported into the
Medtech32 via Message Transfer
© Copyright Medtech Limited Page 8 of 48
Similarly the Date field displayed when opening an Inbox message has been
renamed to Result Date as shown below
MIMS End User License Agreement Changes
HelpAbout MIMS
The content of the ‘About MIMS’ screen has changed, mainly to reflect company
name changes and to present a new MIMS End User Licence Agreement. The new
EULA is the standard one for all software products that integrate MIMS across New
Zealand and Australia. MIMS subscribers are expected to read the agreement.

Patient Medication Card Changes
ModuleClinical Patient Medication Card
The Patient Medication Card has been enhanced
Grid lines are now included to separate medications
A Signature column has been added for each medication
Long special instructions not printing correctly has also been resolved
Note: Please ensure that ‘Paper Size’ is set to A4 under the Printer Settings for the
Signature column to be printed correctly.
‘NO SMS’ Option Available in the Query Builder
ToolsQuery Builder
To enable reporting on the ‘No SMS’ flag in the ‘Patient Register’ screen, a new
selection option entitled ‘No SMS’ has been introduced in the Query Builder under the
‘Patient’ table.
SMS Mobile Number Updates
In previous versions of Medtech32, if a practice using the SMS system created an
Appointment Reminder SMS, and subsequently changed the Mobile Number, the
message would still have gone to the original number.
This has been corrected so that the message will now be sent to the number which is
current in the Patient Register, regardless of when the Appointment or other SMS
message type was actually created.
Integration with EFTPOS
Please note that currently Medtech32 only supports EFTPOS machines that are
connected through a USB cable. Connection through a phone cable is not currently
supported.
ModuleAccountsNew/View Invoice
© Copyright Medtech Limited Page 10 of 48
Medtech32 has been integrated with EFTPOS to enhance the Invoice payment
process.
When the payment method is selected as EFTPOS and all the necessary drivers for the
EFTPOS machine have been installed, then a new button titled ‘EFTPOS’ will be
enabled.
Clicking this button will display a pop up screen with details of the amount to be
charged to the EFTPOS card (Debit/Credit card) and instructions to carry out the
transaction.
© Copyright Medtech Limited Page 11 of 48
Customer Support Chat
To improve access to the Customer Support Team, a new Main Menu has been
inserted.
Clicking the Customer Support Chat submenu will open a link to the Medtech website
where it is possible to ask questions or request information. The chat room is manned
during normal support hours but you can leave a message as well.
Submission of Special Authority Forms by Nurse Practitioners
ModuleClinicalPatient Medications
SetupStaffMembers View Staff Provider Tab
Medtech32 has been enhanced to allow ‘Nurse Practitioners’ to submit Special
Authority forms while prescribing certain medications.
To enable your Nurse Practitioner to submit Special Authority forms the following
settings must be in place
Nurse Practitioner at the practice is configured as a Service Provider
Under the Staff Setup (SetupStaffMembersView StaffProvider tab), the
following fields must be completed for the Nurse Practitioner:
Affiliation field - the Affiliation code of ‘NZNC’
Speciality field - the new code ‘#NP’ for Nurse Practitioner
Registration No field - a valid Registration Number
© Copyright Medtech Limited Page 12 of 48
Nurse Practitioners can ONLY submit Special Authority forms if the form itself
specifies ‘from any relevant practitioner’
If a Nurse Practitioner tries to submit a form or completes part of a form which
they are not permitted to submit, then selection boxes will be greyed out and
a warning message ‘Current Selection is not Valid’ will be displayed.
New Merge Symbols for Screening Term Recalls
SetupIn/Out BoxOut Box DocumentDocument DesignerOpen Document
TemplateDocument TabInsert
New ‘Merge Symbols’ have been created for Patient Recalls associated with
Screening Terms. These will enable practices to include specific recall data in Front
Page documents and Outbox documents
The new merge symbols titled ‘Patient Recalls (RC)’ are accessed through
SetupIn/Out BoxOut Box Document Document Designer Open
Document TemplateDocument TabInsert
Use the Filter Drop down and set to Patient Recall (RC)
Existing and new Merge Symbols relating to recalls are listed in the format:

Once selected, the merge fields will display in the document template as shown below:
Aged Balance Summary Report
The following enhancements have been made to the Aged Balance Summary
Report. This is to enable practices which use Location Based Filtering to report on
account balances for each location.
Two report formats can now be created using the new field called Report Type.
Account level (current format)
Location Level (new format) which summarises all account balances at
Location level.
Mobile Phone can now optionally be included on the Account level report. A new
field called Phone Numbers has been introduced to allow the selection of which
phone numbers, maximum 2 numbers, appear on the report. The Phone Number
drop down can be selected when Report Type: Account Level is selected. The
following options are available:
Home + Mobile
Home + Work
Work + Mobile
The two new fields have been added to the Print Aged Balance Summary report as
shown below:

GMS Changes – Phase 2
As per recent Ministry of Health advice to PHOs the ‘Time of Service’, ‘Location Type’ and
HPI numbers - HPI CPN, HPI Organisation ID & HPI Facility ID (HPI numbers are optional) -
will be provided to the Ministry of Health along with the GMS claiming data.
These details will be included in the reports that the Ministry sends to PHOs for claim
monitoring purposes. The details will also be used by the Ministry as part of the GMS
claiming and payment administration.
The following modules in Medtech32 have been updated to capture these additional
details.
Appointments/ Queue
Consultation
Patient Contacts
Invoice
Please note, an issue was identified during our Beta phase that Healthlink message
validation is rejecting these new data elements, therefore until this is resolved this
information will be excluded from the GMS claims file. However, in order to allow
practices to familiarise the new information capture the screen changes are retained.
Appointment/Queue
The Appointment Time or the Queue time will be taken as the Time of Service
by default when the invoice and claim is created
The Location Type can be filled when booking an appointment or when
adding a patient to the Queue
The Location Type will be defaulted to At Practice (AP)
Hint: The Location column within the Appointment Window can be moved to a
position that suits by dragging and dropping the column with the mouse.
© Copyright Medtech Limited Page 15 of 48
Consultation
The Consult Start time and the Location Type fields are added automatically
in the More tab of the consultation screen
The Start Time will be the time the consultation screen is opened but the user
can edit it to enter the actual consult start time if it is significantly different to
when the consultation screen is opened
The Location Type is entered automatically as At Practice (AP) however it can
be changed to reflect the actual location where the service was delivered,
by choosing from the following options.
- At Practice (AP) - default
- At Residence(PR)
- Off-site Emergency (ME)
- Other (OT)
Note: The Location Types are defined by the Ministry of Health and cannot be
changed by practices.
© Copyright Medtech Limited Page 16 of 48
Patient Contact
If a patient contact is created then the Time of Contact and Location Type can be
recorded in the Patient Contact screen.
The Time of Contact will be used as the Time of Service
The Location Type will be shown automatically as At Practice (AP) but can
be changed
Invoice
In previous versions the Date Seen field in the Invoice screen was used as the Invoice
Date and When Seen Date.
The Invoice screen has been enhanced to display the Invoice Date and the Date
Seen separately.
This means that the Invoice will now clearly show if a patient was seen on a date prior
to the invoice being raised.
If a practice does NOT have the ‘Allow backdating of invoices’ option
checked in the Location settings (SetupLocationLocation Settings Postal
and Accounting Details tabAllow backdating of invoices checkbox), the
Invoice Date field will be disabled and will always default to the current date.
If a practice has the ‘Allow backdating of invoices’ option checked, the
Invoice Date will show automatically as the current date. However if Date Seen
is modified then the Invoice Date will be updated to the Date Seen date.
© Copyright Medtech Limited Page 17 of 48
If you wish to choose a different date for the invoice, such as today’s date,
instead of Date Seen then it must be changed manually.
The Invoice screen also has the Time of Service and the Location Type fields added
and will only appear when a GMS related service, e.g. Consultation, is selected for a
Casual patient.
Note: These fields are mandatory when the patient status is Casual and a GMS service
is being claimed for.
The Date Seen, Time of Service and Location Type fields will display as follows:
If the Invoice is created for a Consultation which happened on the same day
then the latest Consult details will be presented in the Encounter section
If there is no Consultation record created on the same day, then the data will
be populated from the Appointment or Queue screens
If neither of the above exists then the Time of Service and the Location Type
fields will be left empty. These values can be entered manually or another
previous patient record can be selected from the Recent Patient Encounters
screen using the new ellipsis button.
In the event that a patient is to be invoiced before consultation notes are completed
and closed by the provider, the system will use the appointment or queue date and
time as the Invoice date and Time.
© Copyright Medtech Limited Page 18 of 48
For practices who invoice patients before they are seen by the doctor, the
Appointment time or Queue time will always be used as the Invoice Time
The Recent Patient Encounters screen will display the most recent consultations,
Appointment/Queue and Patient contacts by clicking on the ellipsis button as shown
below.
The screen will display the last four entries in each of the categories. Select the
Encounter for which the Invoice is being created for.

PCV13 Data Mapping Issue Rectified
ModuleImmunisations
In previous versions there was an incorrect mapping between the PCV13 vaccines
and the 2014 Immunisation Schedule.
As a result of this, if a child were vaccinated under the old 2011 Schedule and then
moved to 2014 Immunisation Schedule (so that the child could be administered
Rotavirus vaccine), the 2011 Schedule PCV13 vaccine entered previously was not
displayed in the Immunisation screen.
This has now been corrected.
Out of Schedule Rotavirus Vaccine not Getting Displayed
ModuleImmunisations
In previous versions, if the Rotavirus vaccine (Rotavirus penta 3M) is entered via single
syringe (without selecting any schedules), this vaccine will not be displayed in the ‘All
Immunisation’ tab, although it was displayed in the Daily Record.
This has now been corrected.

Br Parameter Issue
UtilitiesNIRNIR Message Transfer
Certain messages sent by Medtech32’s NIR Message Transfer Utility to the Orion NIR
system at the Ministry of Health was causing ‘Br Parameter’ error. This was caused by
re-sending old update messages to NIR.
This issue has now been resolved.
Duplicate Messages in Inbox
ModuleImmunisations
It was noticed that Pneumococcal vaccines under 2011 schedule was sending
duplicate incomplete messages into the Provider Inbox, this issue has now been
resolved.
Please note that as part of this resolution practices will see these duplicate
incomplete messages appear in the Provider Inbox one final time and can be
ignored requiring no action. This will not have any impact on the existing Provider
Inbox workflow.

New ManageMyHealth™ Message Forwarding Feature
Introduction
The ability to forward ManageMyHealth™ messages from one provider to another
has been introduced.
ManageMyHealth™ messages can be forwarded either automatically upon receipt,
or manually from within the received message. These features are described in more
detail in the following sections.
Setup Automatic Forwarding on ManageMyHealth™ Messages
[Main Menu]SetupStaffMembers ManageMyHealth Tab
The ManageMyHealth™ tab in the View Staff Screen now has a Message Forwarding
section where a date range can be specified to forward messages and the provider
who should receive Inbox - ManageMyHealth™ messages during the specified date
range.
This enables setting future forwarding periods instead of being limited to turning the
feature on/off as required. An example of this use would be setting a forwarding
period for an upcoming vacation rather than turning forwarding on as a last minute
activity before leave is taken. Complete the following items to create a new
forwarding rule:
Click on the New Forwarding Rule icon
Specify when the forwarding rule should start
Specify when the forwarding rule should finish
Select the ‘Forward To’ provider
Click Ok to save the new rule
Checks that are applied when creating forwarding rules:
The start date must be the current date or some date in the future
The finish date must be on or after the start date. If the start date and end
date are the same forwarding will ONLY occur for the specified date
The user cannot forward ManageMyHealth™ messages to a provider who is
forwarding messages within the same period
Only new messages arriving in the Provider Inbox after the rule applies will be
automatically forwarded

Manually Forwarding a ManageMyHealth™ Message to another Provider
Providers can forward a received ManageMyHealth™ message to another provider.
Use the following instructions to complete this task in the ManageMyHealth™
message screen:
Select the message to be forwarded
Click on the Forward button
Select the Forward to provider
Include a reason description so that the recipient provider understands why
the message was forwarded
Click on the Ok button to complete the forwarding task
Messages with the status of Read, Received, Filed can be forwarded. The forwarded
message status will be displayed as Unread + Received in bold.
Notes:
1. The ManageMyHealth™ message cannot be forwarded if it has been partially
actioned or fully actioned or filed. The following message will be displayed
when a partially actioned or fully actioned message is forwarded.
“Messages that have been actioned or partially actioned cannot be
forwarded”
2. Reason is mandatory
3. An audit record will be recorded for every message forwarded.
Audit information for messages that have been forwarded
Forwarding audit information can be found by selecting the ManageMyHealth™
message to review and then using right-click Message Forward Audit.
This will show the forwarding reasons if the message has been forwarded from
another Provider, see the example below.

Medtech32 ManageMyHealth™ Repeat Prescription
Management
Introduction
The ability to manage repeat prescription medications in a consolidated screen has
been introduced. Previously it was necessary to review and action each requested
medication individually.
Configure Repeat Prescription Request (Combine Medications)
If a practices wishes to enable the combined medication screen feature, the process
is as follows:
Confirm within the practice that all prescribers are happy to use the
combined screen as this will be a practice wide change
Email to [email protected] requesting that the combined
medication screen feature be enabled and ensure that the practice
name is included in the email.
The request will be acknowledged within one working day and actioned within two
working days. An email response will be sent to the practice once the feature has
been enabled.
View Repeat Prescriptions using the combined medication screen
ModuleInboxProvider Inbox / Provider Inbox
On the ManageMyHealth tab, a repeat prescription will now be shown in a single
combined repeat prescription record. When clicking on the repeat prescription item
a new screen will be presented showing all medications. From the Repeat Prescription
message screen the following actions are available:
1. Click on the ‘Approval All’ button to Approve all medications in the script
2. Click on the ‘Reject All’ button to Reject all medications in the script
- A Reject Reason must be provided, which will be emailed to the patient
3. Alternatively individual medications can be Approved or Rejected by clicking
on the associated radio buttons in front of each medication
4. Optionally a ‘Note to Patient’ can be added for individual medications

Notes:
1. Once a medication request has been altered and saved, it cannot be altered
again
2. Approval/Rejection information is sent to the patient when the updates are
saved
ManageMyHealth™ will send an email to the patient indicating the progress
of their Repeat Prescription Request as updates are received. This email will
provide an indication of the number of medications that have been
approved, rejected, or still to be actioned.

New ManageMyHealth™ Screening Feature
Introduction
SetupRecall / ScreeningScreening Terms
Medtech is pleased to announce the inclusion of a ManageMyHealth™ screening
module which allows the dissemination of Screening information between
Medtech32 and ManageMyHealth™. This will allow uploading of screenings to
ManageMyHealth™ which can be viewed by patients and External Healthcare
Providers via SEHR. Patients and External Healthcare Providers can also record
screenings that will in turn be sent to Medtech32 to be reviewed within the provider /
patient inbox.
The screenings received from Patients and External Healthcare Providers will have
#PAT and #EHP in the provider field. The #EHP and #PAT will be automatically setup
as providers in the staff setup as part of this upgrade.
To use this feature the practice will be required to complete the following steps:
Map screening terms defined in Medtech32 to those used in
ManageMyHealth™
Choose which screening terms to upload to ManageMyHealth™ and which
terms to download from ManageMyHealth™
Mapping of Screening Terms
For ManageMyHealth™ to be able to identify and exchange screening terms with
Medtech32 a common screening identifier is required between Medtech32 and
ManageMyHealth™ using SNOMED-CT, an international clinical term coding system.
SNOMED-CT codes for common screening terms have been included in Medtech32.
Refer to the table at the end of this section for a list of these terms.
Follow the process below to associate a SNOMED-CT code with common mapping
terms:
1. SetupRecall / ScreeningScreening Terms
2. Select the appropriate screening term
3. Select the View Screening Term measurement tab
4. In the measurement tab, click the ‘View’ button
5. From within the View Measurement Value screen select the relevant SNOMED-
CT term available under the ManageMyHealth™ Health Indicator Mapping
section.
6. Click on Ok to save the mapping update
A visual representation is shown below:

The following screening terms which are common to SNOMED-CT and
ManageMyHealth™ have been made available in the SNOMED-CT mapping table:
Laboratory Results:
Total Cholesterol HDL LDL
Triglycerides HbA1c Glucose
General Screening:
Body Mass Index Body Weight Body Height
Waist circumference Smoking Status PHQ9 Depression Score
Blood Pressure (Systolic and Diastolic)
Peak flow rate (respiratory)
Alcohol consumption
Assessments:
Diabetic annual review Assessment for risk of
coronary heart disease
Assessment for risk of
cardiovascular disease
Notes:
When mapping the SNOMED-CT code for Height please ensure that the unit of
measure is set to either centimetres or metres depending on which
measurement is used

Patients are only able to provide General Screenings which are sent to their
Provider for review and optionally saved to the Medtech32 patient record
Each Measurement must have the Units field filled when they configure
SNOMED
Enable the Exchange of Screening Terms with ManageMyHealth™

Configuring Upload Screening Terms Rules
ManageMyHealthSetupManageMyHealth/ManageMyHealth Screenings Upload
tab
Once screening terms have been mapped to their ManageMyHealth™ counterparts
the practice will be able to select which Screenings will be uploaded to
ManageMyHealth™.
The screen shown below allows the practice to define
Which screening terms (with measurements) to upload
The screening event date when screenings should be uploaded from (e.g.
upload all Cholesterol events starting from the 1st January 2010, inclusive)
When the system is first configured the ‘Apply to All’ checkbox will be available.
Once this is ticked and the ‘OK’ button is pressed, the system will apply the screening
configuration for the specific Screening Term to all existing registered patients in
ManageMyHealth™ patient portal. This checkbox will be greyed out and made un-
selectable after this.
The ‘Applied From’ column in each Screening Term will display the date on which the
‘Apply to All’ checkbox was selected and the screening configuration was applied to all
ManageMyHealth™ registered patients.
Once a SNOMED-CT Mapping configuration for a screening term has been uploaded,
any future changes to the mapping will be applicable ONLY to newly registered patients
in ManageMyHealth™ patient portal.
Configuring Download Screening Terms Rules
ManageMyHealthSetupManageMyHealth/ManageMyHealth Screening
Download tab
Once screening terms have been mapped to their ManageMyHealth™ counterparts
the practice will be able to select which Screenings will be downloaded from
ManageMyHealth™.
The screen shown below defines
Which screening terms (with measurements) can be downloaded

The Applied From column will display the date from which the Screening term
will be downloaded from ManageMyHealth™
Note: For the purpose of downloading, a ManageMyHealth™ screening
measurement can only be associated with a single Medtech32 screening term. For
example if the practice has two Height Screenings terms (HT & HE) only one Screening
term can receive downloads from ManageMyHealth™.
Configuring Screening Term Exchange Rules for Individual Patients
ManageMyHealthPatient Registration
The exchange of screening terms can also be set at the patient level to provide the
ability to override the general practice configuration where required.
Notes:
1. The process of specifying upload and download screening terms for individual
patients follows the same process defined in the above two sections
2. Once patient screening terms exchange rules have been setup, these rules
can only be changed by suspending the patient’s registration temporarily
3. Access the exchange settings for individual patients via the
ManageMyHealth™ Patient Registration Screen shown below:

Restricting the Upload on Individual Screening Events
If an individual screening event is marked confidential it will not be uploaded to
ManageMyHealth™. Refer to the New Screening Entry screen below:
Note: If a screening entry is marked confidential then those will not be exported via
GP2GP and will be displayed in Red. Invalid screening entries which were previously
displayed in red will be displayed in Maroon bold italics to be differentiated from the
confidential ones.

Automatic Filing of Screenings Received from ManageMyHealth™
If a screening message is received from ManageMyHealth™ and the screening term
has been configured for automatic filing then the screening records will be
automatically created in Medtech32. The message will also be highlighted with the
type ‘Screening (Auto)’ to highlight this information.
If a ManageMyHealth™ screening message is opened that was automatically filed,
the following information will be displayed:

Manually File Screenings Received from ManageMyHealth™
If the screening message is received from ManageMyHealth™ and the screening
term has been configured for manual filing then the provider is required to assess the
message in the ManageMyHealth™ Message inbox and save the appropriate
screening events manually. Below is the inbox view of a message that needs to be
manually filed.
Below is the screen for screening messages that need to be manually filed, the
provider will need to assess all content in this screening message and manually file
the appropriate screen events.
Note: Any screening entries entered by patients into ManageMyHealth™ and
downloaded into Medtech32 will NOT be displayed in the GP2GP Export window.

Resolved Issues The following general issues have been resolved within this release:-
If a doctor entered several screening entries of the same type (e.g. BP
readings) over a period of time into the consultation notes on the same day,
the information was being overwritten in the screening tab. This has been
rectified.
If a payment was being entered into the system at the same time as the
banking was being closed off, the payment was being omitted from the
banking. This has been rectified.
External Name merge symbol was not working when printing labels.
Service Analysis report heading was misaligned.
‘This Accident Only’ function was not working within A/C Holder Account
module.
For ManageMyHealth™ repeat medications the File button had to be pressed
twice to process.
The limitation of sending a large number of SMS’s at the same time via Query
Builder has been resolved.
