This statement provides guidance on how Propertymark Qualifications processes personal and special category data in relation to an End-Point Assessment (EPA). Where does Propertymark Qualifications get your personal data?

• From you when you sign up to the EPA. • From third party sources, e.g. training provider, employer. When your personal data is obtained from third

parties, we aim to ensure the third party has lawful authority to provide us with your personal data.

Purposes for processing your dataYour personal and special category data will be used by Propertymark Qualifications to deliver and facilitate the EPA.

Legal basis for processing your dataIn order to process your personal and special category data, we must have reviewed how we intend to conduct the processing of your information and decide on the most appropriate legal basis. As we are also processing special category personal data an additional legal basis is required. See following explanation as to the legal bases relied upon in order to process your information:

Personal DataPerformance of a task carried out in the public interest. Propertymark Qualifications carries out activities in response to legislative and/or government requirements and in the interest of the public (including your interest and the interest of others).

Special Category DataProcessing is necessary for reasons of substantial public interest and to provide the relevant authorities information for equality of opportunity or treatment.

Sharing your DataYour data will be shared with internal Propertymark Qualifications employees, Propertymark employees and the Education and Skills Funding Agency or training providers.

Uses of your DataPropertymark Qualifications will use your information as follows:

• to identify you • process your application• verification • communicating with you throughout the EPA process

Propertymark Qualifications regularly shares your information with the Education and Skills Funding Agency. This data collection includes the special category data of ethnicity, gender and health information in relation to any reasonable adjustment requests.

Retention of your DataPropertymark Qualifications will keep your data for a period of seven years after you have completed your EPA. If you contacted Propertymark Qualifications or entered the EPA process but did not achieve your apprenticeship, your data will be kept for seven years from the date of contact with Propertymark Qualifications.

DECLARATION

To be read and signed by all parties involved in the Apprenticeship.

We confirm that:

• The information given in support of this application is, to the best of our knowledge, correct.• All relevant documentation (including those for reasonable adjustment) will be available for inspection upon

request by Propertymark Qualifications and/or our regulators.

We understand that:

• Apprentices under the age of 18 will require this registration to be signed by a parent or guardian.• Photographs, video and audio recordings may be used as evidence in the End-Point Assessment (EPA). In signing

this agreement, you consent to this media being stored to support the assessment process.• Propertymark Qualifications will only set an EPA date with a lead of time of 20–25 working days notification on

submission of this form. All supporting documentation for Gateway and any outstanding fees must be paid and cleared. Pre-EPA meetings with the apprentice will be included in these time schedules, employers and training providers will also be invited to pre-EPA meetings.

• If the EPA is cancelled within 10 working days of the assessment, fees are non-refundable. Should you need to cancel or reschedule for extenuating circumstances, please see our ‘Cancelation and Rescheduling policy’ found in the ‘Propertymark Qualifications EPA’ SharePoint Page.

• A ‘no show’ will be considered as a sitting of the exam, unless extenuating circumstances are requestedand granted.

• EPA is taken at a venue under controlled examination conditions. Employers and training providers are not permitted to be in the exam room.

• Assessment results will not be issued on the day of assessment.• Outcome results will be issued within a 20 working day window to the training provider or employer if no training

provider is being utilised.• If the apprentice fails the EPA or any component of it, a resit can be booked after 20 working days of receiving

results. The EPA report from the independent assessor should be used for guidance and additional training.• Appeals are to be submitted within 10 working days of Propertymark Qualifications issuing the result.• Outcomes from an appeal will be returned within ten working days. If this is not possible due to complexity,

Propertymark Qualifications will advise training providers of the reasons why and timescale.• As part of the EPA registration with Propertymark Qualifications, the named apprentice is entitled to a student

membership package with the relevant Propertymark association: NAEA Propertymark or NAVA Propertymark.

If the EPA is taken at a location other than one selected by Propertymark Qualifications, it will be the responsibility of the training provider/employer to ensure the room is suitable. EPA can take place at the training venue or workplace of the apprentice; however, the examination room must meet the following conditions:

• Well lit (natural or artificial lighting) • Suitably heated/cooled• Appropriately sized• Free from distractions and excessive noise• Have access to a power supply• Have access to WC facilities• Free from stimulus material on the walls and in the room generally• Be compliant with health and safety• Be enclosed (an open agency office would not be acceptable) • A clock must be available

If the Independent Assessor identifies that the room is not suitable—where time allows—the venue will be given the opportunity to adjust the room accordingly. If the room is still not acceptable, the EPA may be cancelled pending further bookings and relocation.

The Independent Assessor’s decision is final. Additional charges may be applicable prior to booking being accepted. This charge may be up to the full cost of EPA.

BOOKING FORM

Propertymark Qualifications will endeavour to meet your requirements where possible. Confirmation of the EPA date will be sent via confirmation letter to the training provider, or employer where no training provider has been used.
