Incident Reporting Procedure

ExpectationsIn case of any incident, the driver should

Stop the vehicle.

Inform the transporter immediately. Transporter will inform Transworld immediately.

Disconnect / detach / cut the power cable of the GPS device if the vehicle has to be moved from the location. Keep the GPS device inside the tool box. Inform Transporter or Transworld directly.

Once the battery has discharged completely (after 5-6 hours), transporter will ensure that the device is sealed in an envelope and shipped it to Transworld office.

Concerns

1. Multiple cases where the GPS device has not been disconnected before moving the vehicle post incident

2. The incident data gets erased if driver does that

3. Cases where driver has not informed anyone considering the incident too small to share

Action suggested

1. Create communication pack for all drivers on incident reporting

2. Communication pack to be created in local language and confirm back to Castrol on engagement done

3. Communication to drivers that all incidents, however small are to be reported

4. Failing to communicate any incidents will lead to disciplinary actions

Violation Alert Closure

Expectations

1. Monitoring trip violations daily

2. Taking Actions on transworld alerts

3. Speaking to the drivers on the reason for the violations

4. Closing the violation with your comment on trip violation report

Concerns

1. Trip violations are not getting closed for most transporters

2. Correct feedbacks are not getting captured in the report

3. Transporters do not come to know about the trip violations and issues like JRM Non adherence, Night driving etc gets missed out

Action suggested

1. Please inform the safety supervisor to close all the trip violations on time

2. Reasons for violation should be correct and post discussion with the driver only
