Raona Moves 25 GB of Microsoft® SharePoint® Data for Orangina Schweppes in Two Days, Saving Approximately Three Months of Work with DocAve®

Headquartered in Barcelona, Spain and Paris, France, Orangina Schweppes markets, bottles, and distributes a number of soft drinks through a unique portfolio of leading products that includes iconic brands such as Orangina, Schweppes, Oasis, Trina, La Casera and Pulco, and niche brands such as Champomy, Gini, Vida, and Pampryl. Although Western Europe remains the heart of the business, the company’s products are sold in more than 60 countries, reaching as far as Eastern Europe, Africa, the Middle East, and Asia-Pacific.

The Challenge

At the beginning of 2011, Orangina Schweppes acquired the fruit drink brand Sunny

Delight in Europe and North Africa. While Orangina Schweppes did not utilise

Microsoft SharePoint, Sunny Delight employees had been using the platform for

collaboration and document storage. Within Sunny Delight’s SharePoint farm were

hundreds of thousands of important documents, including formula cards for the

company’s products and marketing materials. In order to make the transition as

seamless as possible for all employees and ensure maximum business productivity, it

was essential that Orangina Schweppes add Sunny Delight’s SharePoint farm to its

existing environment.

However, moving the SharePoint farm into Orangina Schweppes’s environment would

pose one major challenge: When moving the data from Sunny Delight’s domain to

Orangina Schweppes’s domain, all of Sunny Delight’s existing user permissions would

be lost. With hundreds of thousands of documents and SharePoint users from Sunny

Delight, assigning permissions by hand in the new environment was simply too tedious

and time consuming to be considered a viable option. Writing

a long, complicated script to automate the process would be

just as challenging. “Migrating a huge number of documents

inside a customised SharePoint environment from one

Microsoft Windows domain to another did not seem like an

easy thing to do,” said Felip Bescós, EUC Group Responsible at

Orangina Schweppes.

With a vital need to move its newly acquired SharePoint

content from one domain to another, Orangina Schweppes

immediately sought the help of a consultant. Based on past

experience, former Sunny Delight administrators suggested

bringing in Raona for the job. Raona is a multinational IT

company specializing in Microsoft technologies with a strong

focus on SharePoint. “Raona clearly had a deep knowledge of

our SharePoint environment, was highly recommended by

past customers, and exemplified professionalism,” Bescós

said. “I was confident this combination would lead to a

successful implementation.”

The AvePoint Solution

In order to obtain the technology necessary to solve Orangina

Schweppes’s challenge, Raona sought the help of its partner

AvePoint, the leader in enterprise-class governance and

infrastructure management solutions for SharePoint. Raona

implemented DocAve Content Manager, which is part of the

DocAve Software Platform. DocAve integrates more than 30

independently deployable modules which function within a

unified, browser-based interface and fully distributed

periodically reorganise SharePoint's information architecture

to meet evolving business needs. Users can seamlessly copy,

move, and reorganise SharePoint content across multiple

SharePoint farms. DocAve enables full-fidelity data retention –

including all permissions, metadata, security settings, and

version histories.

In order to solve Orangina Schweppes’s problem, Raona

SharePoint Architect Martin Schmidt mounted a temporary

SharePoint farm connected to the former Sunny Delight

domain inside the Orangina Schweppes network. The original

Sunny Delight content database was then restored onto the

temporary farm so it would still be on Sunny Delight’s former

network. Schmidt then set up the new SharePoint farm on the

Orangina Schweppes domain. “Once the SharePoint farms

were set up, I used DocAve Content Manager to develop a

plan to move all of Sunny Delight’s content into the new

Orangina Schwepps SharePoint environment on a scheduled

basis,” said Schmidt. “The job took only 14 hours to move the

25 GB of content onto the new farm, maintaining all

permissions on content down to the item level.”

Once the job was complete, Raona was able to move all

content with permissions and all data history in tact in only

two days. “Working with DocAve Content Manager was very

easy,” Schmidt said. “Without DocAve, we would have needed

to basically create our own custom solution to move the

whole farm. Between analyzing, developing, testing, and

stabilizing, this project would have taken at least three

months. By offering such an easy way to move content

between SharePoint farms, AvePoint is truly a life saver.”

The Bottom Line

The combination of Raona’s service with AvePoint’s technology helped solve Orangina Schweppes’s SharePoint challenge in a matter of days, helping the transition resulting from the acquisition happen much smoother. “With Raona’s knowledge and AvePoint’s solution, we avoided having to spend the time reassigning item-level permissions to all published documents,” Bescós said. “Carrying out this task was easy with Raona and AvePoint.”

With the new SharePoint farm in place and former Sunny Delight employees accessing all content just as before the acquisition, Orangina Schweppes is now making plans to utilise the farm as a baseline to potentially implement SharePoint throughout other business units in the organisation.
