Project Caravan Culture Strand 1.1 (awarded 2011)

Project CARAVAN carries out community interventions in 4 places of Crises & Renaissance located in 4 different European countries, where four groups of artists create 4 artistic community events and 4 theatre productions. In total, the Caravan Theatre will make approximately 40 stops in 11 European countries, and present over 40 performances completely gratis.

1.474.000 € from European Commission 50% of eligible costs

34 cultural managers, 40 theatre practitioners, more than 100 professionals within cultural sector, such as

artists, social practitioners and volunteers

Active participation of several organizations and citizens on each

territory where activities are realized;

Presentations around Europe for private and public organizations, and

during cultural events in order to disseminate results and foster future

sustainability.

• Kick Off Meeting: a big hug!

• Make it as soon as you can.

• In this meeting inter alia we open the budget and together (as well

as one by one) understand what we have to do for the next 4 years.

• One of the partners after getting back home, and speaking

with their colleagues and boss, found out that they are unable

to fulfill their obligations

• All kinds of reactions with only one aim: IT’S NOT MY FAULT!

• Advisable position: be open, do not argue, but do not

accept «shortcuts»!

• Contracts are contracts, public money is something serious to

manage, the schedule has to be respected from the begining.

• Don’t do this alone!

• Contact EACEA for advise and to be sure that what you are doing is

right or compliant with all the rules

• Speak with friendly advisors, like lawyer or EU experts.

• To change a partner is quite complex.

• Try to find a solution together but nontheless lead the discussion

• Take a flight and go there. Dialogue is the Key Word!

• Ask for the legal representative of the partner to be involved and well-

informed

• Be clear with the communication

• After Skype and meeting, let’s write everything! (mail and report)

• Understand when is the deadline for reaching an agreement

• Pass the deadline the project is endangered

• They want to postpone. You need to start to work.

• Two possibilities:

• You solve the problematics: WELL DONE!!

• You are not able to reach a mutual solution: SORRY BUT I HAVE

TO RUN!

• In the second case: • Do not hesitate!

• Inform other partners and try to find a substitute!

• Better in the same country with the same budget!

• Start the EACEA PROCEDURE!

• When you are sure start the EACEA procedure as described in

the «Guide for Beneficiary»

• In this case EACEA will shange its role

• From partner and advisor to judge of what you have done/want to

do!

• Be formal/legal in the communication

• Be ready to show and explain every paragraph and to answer all

questions.

• Do not worry because they are (quite) used to do this! ^__^
