Printing the FINAL Transcript for 9th‐11th
Check that Incompletes have been cleared
Check that the NC’s are up‐to‐date
1. Office/Grading/Setup/Utilities/MASS AUDIT
a. Create a new template or Edit an existing one

b. Click the RANGES button and set the ranges to
ACTIVE – 09 ‐ 11
c. Uncheck the “All Default Entities” indicator and click the button. Select ONLY your
Entity.
d. Click SAVE
e. SAVE.
f. Check the box to Print Students on Report‐ if you would like to review the information.
This is an option.
g. Click SAVE and RUN

2. GPA CALC—OFFICE/GRADING/SETUP/UTILITIES
a. Select the last term—It should be highlighted already.
b. Run
3. Mass Update Grading Student Entity Information: OF/Setup/Utilities Run the utility to set All ACTIVE 9th‐11th and your default entity only to be included in Rank.
All Active 9‐ 11 Students should be changed to YES‐Include in rank. You will then manually change
any who should not be included.
4. Rank with Update If you are re‐ranking the active 9th‐ 11th grade students you will need to run
the rank report and also rank with update before
printing the transcripts.
**It is Highly Recommended that you run this without the
update the first time, to verify the information, before you update the information
to the GPA Student Master to print on transcripts. (This is your only opportunity to view the

information before it gets posted.) Once you run the report with the With Update checked,
the only way to change the Rank is to correct errors and run it again.
a. Go to WS\OF\GR\RE\SL\SR
b. Delete old templates and ADD new ones:
Final Under classmen‐Without Update c. Click the RANGES button : Set Ranges screen as follows, and then SAVE
Grade Level 09‐11
Student Status: Active
Uncheck the “Include All Default Entities”
Click the “Entity” Button
Check YOUR Entity Only
Click SAVE
Click SAVE again.

**** MAKE SURE THE UPDATE RANK INFO TO STUDENT MASTER**** is not checked.
*Grading Period –“Run for Grading Period”—Select the Last Grading period of the year.
*GPA Method – select method you are running.
Under PRINTING OPTIONS set, how you want the list to print and what information you want.
* Sort Order – Alpha or Rank – may want to run once each way
*If you click “print GPA” you will need to click the button for GPA methods and select which one
you want to print. Generally the same you are using to rank with.
For the underclassmen, click the SORT BY button.
Set the SORT to GRAD YEAR
This will separate the rankings by the grade levels.
Click OK
Click SAVE AND PRINT when ready
Once you are happy with the results, you will run the final time with the UPDATE RANK INFO TO
STUDENT MASTER. This will post the rank into the student record for transcripts.

You will also need to select the appropriate record—Cumulative GPA…Midterm GPA.
If you have multiple GPA methods, will need to run for each method.
Date this is run is the date for the ranking and will be printed on the transcript. d.
5. PRINTING THE TRANSCRIPTS‐‐
OFFICE/GRADING/TRANSCRIPTS/REPORTS/TRANSCRIPTS a. Select your template
b. Edit to make sure all the settings are correct
c. Click the Ranges button. ‐‐‐ Set the grade level to 09‐11 and ACTIVE Status.
d. Click SAVE
e. Set the GPA Method and Rank Method to 1
f. Check the boxes for:
a. Class Rank
b. GPA
c. Grad Program Type
d. TAAS/TAKS‐‐‐ In the future we will include the EOC

e. SSN
f. Grade Level
g. Service ID’s
a. Scroll through this list to be sure that all possible MIDDLE SCHOOL courses that
award HS credit are listed. If not,
b. Click the ADD button
c. Type the Service ID in the look up box. Select the appropriate course by
checking the box. Click SAVE
h. Grading Period should be 16‐ Term 6
a. If there is any possibility that a grade has changed since you ran the GPA calc,
you can check the box to Run GPA each time the report is run.

i. If you input any
freeform comments,
check the box and type
in the information. This
will print on all the
transcripts.
j. CLICK THE SORT BY
BUTTON. Set the sort
order as you would like.
k. Click OK
l. SAVE and PRINT
