Terms & Conditions

ACE English Malta - Price List 2015

Booking Enquiries Booking enquiries can be made either directly with ACE English Malta or through the School’s agents. A reply confirming availability or otherwise will be sent by the School within one working day.

Enrolment Procedure All bookings can be sent to our main office by email, fax or to the main address shown on our website. When completing the Enrolment Form, please make sure that the information being sent to us is clear. Once the School has all the above information, we will be able to check for availability. Once this is confirmed, ACE English Malta will e-mail a confirmation of availability with a corresponding quotation. This will be valid for a period of 24 hours, during which time it must be confirmed by the agent/student. In order to confirm a booking, students can choose to pay either the full amount or a deposit on application. The final amount of the balance is to be paid at least two weeks prior to arrival in Malta.

Changes to Enrolment (prior to arrival) ACE English Malta reserves the right to charge an administration fee of €50.00 each time the course and /or accommodation is changed or postponed after ACE English Malta has confirmed the initial enrolment. This also includes requests for changes whilst the student is at school.

Minors and Students with Special Needs Enrolments for students under 18 years of age will only be processed upon receipt of the School’s signed Parental Consent Form. Students suffering from any illness or disability are obliged to inform the School upon registration providing all relevant details. If the parents do not advise the school, they could be charged for any extra expenses or personal attention required.

Payment Types Accepted Payments can be effected by bank transfer (SWIFT) where all banking fees and charges are to be paid by the client. Credit card payments (VISA or MasterCard) will also be accepted where an additional bank charge will also be included and paid for by the client. Bank details are provided on the invoice issued by the School.

Deposit In the case of direct bookings, duly completed enrolment forms must be accompanied by a non- refundable deposit equivalent to €100.00 or 25% of the total package price (whichever is higher).

PaymentStudents must pay in full for tuition before they can start a course at the School. If an accommodation option is also booked, then please refer to the terms and conditions pertaining to the accommodation chosen at the time of booking. However, the full payment for any course and / or accommodation chosen needs to be received by the school at least 2 weeks prior to arrival in Malta. Similarly, the school must have the total payment before allocating student’s accommodation. Students should e-mail or fax a copy of the Bank payment. For those students who require visas we strongly advise that the school fees are paid in full at the time of booking so as to facilitate the Visa application process. The acceptance letter for a visa application can only be issued once complete payment has been received by the School. ACE English may refuse a student whose fees are not received by the school within the stipulated time. Payment may be made in Euros or the equivalent amount in any currency, which will be converted to Euros at the rate of exchange on the date received. The student is responsible for all foreign and Maltese bank charges. Please note that bank transfers may take 5 to 6 working days to reach our account. It is essential that the student’s full name and invoice number is clearly stated on the bank transfer documentation.

Booking Confirmation In the case of direct bookings, the completed enrolment form must be accompanied by proof that the deposit has been paid. All the necessary documents will be issued once the deposit has been cleared. Bookings made through a school agent are considered to be confirmed only when the school’s documents have been issued and sent to the agent. No booking may be considered to be confirmed if the school’s documents have not been issued.

Level of EnglishIf a student does not have the minimum level of English required to follow a specific course, as determined by ACE English Malta's Placement Test which is available online through the ACE English Malta website. ACE English Malta reserves the right to move the student to an appropriate course to suit their level.Students who would like to change level during their stay are to approach their class teacher, who will then discuss this with the Director of Studies. If the request is approved, the student will be asked to take a written progress test and a short spoken interview before being moved to the next level. The progress test is held on the last Thursday of every month. Courses at ACE English Malta are leveled in accordance with CEFR guidelines:Beginners = A1 / Elementary = A1+ / Pre-Intermediate = A2 / Intermediate = B1 Upper-Intermediate = B1 / Advanced = B2 / Proficiency = C2

TransfersFlight details including: arrival time, flight numbers, airline and departure airport must be advised 7 days prior to arrival in order for ACE English Malta to provide airport transfers. No refunds will be granted on transfers if flight details are not sent to ACE English Malta at least 7 days prior to arrival. Airport transfer fees include a maximum of 1 hour waiting time.

Refunds and Cancellation FeesThe school will give no refunds once the student has started his/her course. In certain cases the school may consider offering credit for future courses. Cancellation of booking has to be received in writing and is subject to cancellation fees as follows:• 15+ days before the start of the course : €100.00

non-refundable deposit• Less than 14 days prior to arrival : 1 week’s tuition

and accommodation fees + registration fees + visa administrative fee (when applicable)

• no refunds are given once the course has startedStudents who are absent for lessons get no refund. Changes in course and / or accommodation after receipt of confirmation are subject to a €50.00 administration charge.In the case of a refund, bank charges will apply.

PostponementThe student may postpone their course start date by giving the school a minimum of 14 days’ notice. All fees will be transferred to a later starting date.

Tuition Fee RefundsNo refund will be given if the student decides to terminate the course earlier than booked. The student is not entitled to a refund for lessons missed due to absence or public holidays. Tuition fees may be transferred to another course but may not be transferred to any other service such as accommodation, airport transfers or exam registration fees. If students have to cancel their course due to visa refusal, please send us a copy of the visa refusal letter, and we will refund the fees less the €100.00 non-refundable deposit. In most cases, it is better to arrange accommodation once the student has obtained the visa. However, in some cases students may prefer the school to arrange accommodation before they apply for their visa. As an example, if the

registration is urgent, we will also ask the student to pay for 4 weeks’ accommodation fees, or full accommodation fees in case they are staying for fewer than 4 weeks. If they need to cancel the accommodation due to visa refusal, or postpone it, they will be charged in line with our normal cancellation terms as referred to above.In all cases, refunds will be made to the person who paid fees and using the same method of transaction.Under no circumstances will it be permissible to transfer any unutilized lessons to other students.

Cancelling or Postponing a Course and Accommodation If students cancel their course after the course has started we will not be able to refund the course fees but we may be able to defer the number of course weeks that have been cancelled to a later date. If students cancel and leave during the week, they would lose the remainder of their course for that particular week and any deferment would start from the following week.If students wish to cancel their accommodation after they would have arrived, they will be charged according to the cancellation policy of the specific accommodation they booked. We strongly recommend that students take out insurance policy cover in case they are unable to start or finish their course for reasons outside their control (eg. due to illness, family reasons)Long courses (8-23 weeks) : students can shorten the course by a maximum of 2 weeks. Students must give a 2 week period notice. The resulting credit can only be used to upgrade tuition to a GROUP course of higher value. Credit is not transferable or refundable. Visa restrictions may apply. Course of 24+ weeks : students can shorten the course by a maximum of 4 weeks. Students must give a 2 week period notice. The resulting credit can only be used to upgrade tuition to a group course of higher value. Credit is not transferable or refundable. Visa restrictions may apply.Students may be able to upgrade to any GROUP course but solely at the school’s discretion and availability.

Reduction of LessonsIf only one student is participating at a particular level, then the student will be upgraded to a one-to-one tuition course with reduced hours. As soon as there is an additional student in class, normal lesson times will be resumed. The lessons may be reduced as follows:ACE GRP 20 / ACE Mini 20 / ACE Business 20 If only 1 student is in class, lessons will be reduced to 15 lessons / week.ACE GRP 30 / ACE Mini 30 / Cambridge, IELTS, TOEFL 30 / ACE Business 30 : If only 1 student is in class, lessons will be reduced to 20 lessons / week.ACE Business 40 : If only 1 student is in class, lessons will be reduced to 30 lessons / week.

Public Holidays Falling During the Week These are the only Public Holidays wherein the school will be closed in 2015 : 1st January, 3rd April, 1st May, 8th September, 25th December. School lessons will be made up as much as possible during the week but not necessarily to the full. Only One to One individual lessons will be made up in full. On all other Public Holidays that fall in the week, the school will be open for classes as usual.

Students' HolidaysCourses of between 8 and 23 weeks: 2 weeks Courses between 24 and 47 weeks: 4 weeks There is no holiday entitlement for courses of less than 8 weeks.All students must notify the School Office at least 2 weeks in advance before they take a holiday. Student can request a holiday form from the school office. No holidays should be taken without first informing the School Office. If students do not notify the School Office they will be marked absent and the School may

Queries, problems or issues cannot be resolved unless this procedure has been followed. No complaints and / or claims for compensation will be accepted by the school if queries, problems or issues are brought to the school’s attention after 24 hours of occurrence or after the enrolment end date.

Insurance All international students who study with ACE English Malta are strongly encouraged to have adequate health and travel insurance. Should a student be ill and require medical assistance the school will do its utmost to help and will put the student in contact with a qualified medical general practitioner (GP or Doctor). The doctor will charge the student directly. Prices for a consultation visit are in the region of €15.00 - €25.00 per visit. All individuals are recommended to take out medical insurance before travelling to Malta. Please notify us should the student have an existing medical condition, allergy etc. It is strongly suggested that EU citizens get a European Health Insurance Card.

Force MajeureIn the event that ACE English Malta is unable to fulfill any of its obligations as a result of an event / events beyond ACE English Malta’s reasonable control, ACE English Malta will not accept responsibility or liability. Such events will include (however will not be limited to) : terrorist attacks, war or the threat of war, riots, industrial action, failure of suppliers or sub-contractors, labour disputes, natural or man-made disasters, unusually adverse weather conditions or any other event / events that may classify Malta as an “at risk destination ” by the Ministry of Foreign Affairs.

LiabilityACE English Malta and its management, staff and representatives will not be held liable for loss, damage or injury to persons or property.Students are advised to purchase insurance, including medical insurance, to cover all eventualities before leaving their own country. Students may be held liable for any loss, damage or injury to persons or property however caused, except where liability is expressly imposed by law.

Safety and Security Although a number of security measures are in place to ensure that the school and accommodation are safe, all personal possessions are the individual’s responsibility. Students are advised to take care of their belongings and never leave them unattended. Students’ possessions are not covered by the school’s insurance policy and the directors, management or staff cannot be held responsible for the theft, loss, or damage to students’ valuables even while being held for safe-keeping.

Damages The full cost must be paid by students causing any damage to the school or place of accommodation, or during any service provided by the school or its sub-contractors. In the case of damages caused in shared accommodation, all students in the respective accommodation will be held equally responsible if no single student accepts responsibility. Breakages and damages will be charged as they arise.

Policies and Rules All students are bound to abide by the policies and rules of ACE English Malta and by the laws governing the country. When a reservation is made by an agent or third party, the person making the booking is responsible for informing the student about the school’s terms, conditions, policies and rules. The school’s policies and rules are provided in the Student Handbook and in some other literature provided. Ignorance of the policies and rules will not be accepted as an excuse for non-compliance and may lead to expulsion of the student from the school.

Expulsion The school expects all its students to be well-motivated, polite and considerate towards staff, host families, other students and the public in general. The school may, without being held liable in any manner whatsoever, exclude students from any service applied for, if, in the opinion of the directors, management or staff they appear likely to endanger their own health, safety or comfort, or that of other students, or damage the property or reputation of the school, sub-contractors or third parties. If a student regularly disregards school and / or accommodation policies and rules, the directors, management or staff reserve the right to expel the student. There will be no refund, and in the event of repatriation, the school shall have the right to reclaim any costs incurred.

Data Protection By submitting their information, students agree to the storage and use of the information by ACE English Malta. All information collected by the school will not be passed on to any other organisation or third party and will be stored and processed in accordance with the Data Protection Act of the country. This information can be used as deemed necessary for the successful provision of the services enrolled for any purpose associated thereto.

Photography and FilmingIt is automatically assumed that pictures taken during lessons or activities can be used in ACE English Malta brochures or other printed or online promotional materials, unless the student objects at the time the photograph is taken. Any images given to the school or its staff may be used in ACE English Malta promotional materials or on any social media networks without charge to the school and without obligation to credit the owner of the image. Should students wish to refrain from being photographed or filmed, kindly let us know and we will ensure that no student is used for promotional purposes against their will.

AgentsAll the above terms and conditions are applicable to direct students and agents unless variations are expressly agreed between the agent and ACE English Malta in writing.

Minors and Students with Special Needs Enrolments for students under 18 years of age will only be processed upon receipt of the School’s signed Parental Consent Form. Students suffering from any illness or disability are obliged to inform the School upon registration providing all relevant details. If the parents do not advise the school, they could be charged for any extra expenses or personal attention required.

Payment Types Accepted Payments can be effected by bank transfer (SWIFT) where all banking fees and charges are to be paid by the client. Credit card payments (VISA or MasterCard) will also be accepted where an additional bank charge will also be included and paid for by the client. Bank details are provided on the invoice issued by the School.

Deposit In the case of direct bookings, duly completed enrolment forms must be accompanied by a non- refundable deposit equivalent to €100.00 or 25% of the total package price (whichever is higher).

PaymentStudents must pay in full for tuition before they can start a course at the School. If an accommodation option is also booked, then please refer to the terms and conditions pertaining to the accommodation chosen at the time of booking. However, the full payment for any course and / or accommodation chosen needs to be received by the school at least 2 weeks prior to arrival in Malta. Similarly, the school must have the total payment before allocating student’s accommodation. Students should e-mail or fax a copy of the Bank payment. For those students who require visas we strongly advise that the school fees are paid in full at the time of booking so as to facilitate the Visa application process. The acceptance letter for a visa application can only be issued once complete payment has been received by the School. ACE English may refuse a student whose fees are not received by the school within the stipulated time. Payment may be made in Euros or the equivalent amount in any currency, which will be converted to Euros at the rate of exchange on the date received. The student is responsible for all foreign and Maltese bank charges. Please note that bank transfers may take 5 to 6 working days to reach our account. It is essential that the student’s full name and invoice number is clearly stated on the bank transfer documentation.

Cancelling or Postponing a Course and Accommodation If students cancel their course after the course has started we will not be able to refund the course fees but we may be able to defer the number of course weeks that have been cancelled to a later date. If students cancel and leave during the week, they would lose the remainder of their course for that particular week and any deferment would start from the following week.If students wish to cancel their accommodation after they would have arrived, they will be charged according to the cancellation policy of the specific accommodation they booked. We strongly recommend that students take out insurance policy cover in case they are unable to start or finish their course for reasons outside their control (eg. due to illness, family reasons)Long courses (8-23 weeks) : students can shorten the course by a maximum of 2 weeks. Students must give a 2 week period notice. The resulting credit can only be used to upgrade tuition to a GROUP course of higher value. Credit is not transferable or refundable. Visa restrictions may apply. Course of 24+ weeks : students can shorten the course by a maximum of 4 weeks. Students must give a 2 week period notice. The resulting credit can only be used to upgrade tuition to a group course of higher value. Credit is not transferable or refundable. Visa restrictions may apply.Students may be able to upgrade to any GROUP course but solely at the school’s discretion and availability.

Reduction of LessonsIf only one student is participating at a particular level, then the student will be upgraded to a one-to-one tuition course with reduced hours. As soon as there is an additional student in class, normal lesson times will be resumed. The lessons may be reduced as follows:ACE GRP 20 / ACE Mini 20 / ACE Business 20 If only 1 student is in class, lessons will be reduced to 15 lessons / week.ACE GRP 30 / ACE Mini 30 / Cambridge, IELTS, TOEFL 30 / ACE Business 30 : If only 1 student is in class, lessons will be reduced to 20 lessons / week.ACE Business 40 : If only 1 student is in class, lessons will be reduced to 30 lessons / week.

Public Holidays Falling During the Week These are the only Public Holidays wherein the school will be closed in 2015 : 1st January, 3rd April, 1st May, 8th September, 25th December. School lessons will be made up as much as possible during the week but not necessarily to the full. Only One to One individual lessons will be made up in full. On all other Public Holidays that fall in the week, the school will be open for classes as usual.

Students' HolidaysCourses of between 8 and 23 weeks: 2 weeks Courses between 24 and 47 weeks: 4 weeks There is no holiday entitlement for courses of less than 8 weeks.All students must notify the School Office at least 2 weeks in advance before they take a holiday. Student can request a holiday form from the school office. No holidays should be taken without first informing the School Office. If students do not notify the School Office they will be marked absent and the School may

No refunds will be given in these cases.Students returning from their session break cannot expect to return to the same class, teacher or accommodation. Failure to do so may result in the withholding of course certificates. If a student repeatedly does not attend classes without giving 2 hours advance notice, disciplinary action may be taken. In the case of any student requiring a Visa to study in Malta and failing to attend classes regularly, the appropriate authorities will be informed by ACE English Malta of any such failure. Regular absenteeism could lead to the student being expelled and no refunds will be given. If a student regularly misbehaves or causes disturbance of any kind or fails to observe school policies, guidelines and/or regulations they will be subject to any disciplinary action that ACE English Malta may deem fit. In such cases the student will have no right or claim to any refund whatsoever. It is the policy of ACE English Malta that no student will be allowed into the classroom after 9.15am. This means that the student will not be permitted to join the 11.00 am class either. The reason for this policy is complaints of disruption by other students since latecomers, whether at 9.00 or 11.00 do not know what is going on in the class and teacher has to go over what has been done thereby wasting other students’ time. Lessons missed due to lateness are not replaced.Students who are not permitted to enter the 9.00am or 11.00am lesson due to lateness may then join the 1.00pm lesson if they are booked on an ACE Group 30 course.

Queries, problems or issues cannot be resolved unless this procedure has been followed. No complaints and / or claims for compensation will be accepted by the school if queries, problems or issues are brought to the school’s attention after 24 hours of occurrence or after the enrolment end date.

Insurance All international students who study with ACE English Malta are strongly encouraged to have adequate health and travel insurance. Should a student be ill and require medical assistance the school will do its utmost to help and will put the student in contact with a qualified medical general practitioner (GP or Doctor). The doctor will charge the student directly. Prices for a consultation visit are in the region of €15.00 - €25.00 per visit. All individuals are recommended to take out medical insurance before travelling to Malta. Please notify us should the student have an existing medical condition, allergy etc. It is strongly suggested that EU citizens get a European Health Insurance Card.

Force MajeureIn the event that ACE English Malta is unable to fulfill any of its obligations as a result of an event / events beyond ACE English Malta’s reasonable control, ACE English Malta will not accept responsibility or liability. Such events will include (however will not be limited to) : terrorist attacks, war or the threat of war, riots, industrial action, failure of suppliers or sub-contractors, labour disputes, natural or man-made disasters, unusually adverse weather conditions or any other event / events that may classify Malta as an “at risk destination ” by the Ministry of Foreign Affairs.

LiabilityACE English Malta and its management, staff and representatives will not be held liable for loss, damage or injury to persons or property.Students are advised to purchase insurance, including medical insurance, to cover all eventualities before leaving their own country. Students may be held liable for any loss, damage or injury to persons or property however caused, except where liability is expressly imposed by law.

Safety and Security Although a number of security measures are in place to ensure that the school and accommodation are safe, all personal possessions are the individual’s responsibility. Students are advised to take care of their belongings and never leave them unattended. Students’ possessions are not covered by the school’s insurance policy and the directors, management or staff cannot be held responsible for the theft, loss, or damage to students’ valuables even while being held for safe-keeping.

Damages The full cost must be paid by students causing any damage to the school or place of accommodation, or during any service provided by the school or its sub-contractors. In the case of damages caused in shared accommodation, all students in the respective accommodation will be held equally responsible if no single student accepts responsibility. Breakages and damages will be charged as they arise.

Policies and Rules All students are bound to abide by the policies and rules of ACE English Malta and by the laws governing the country. When a reservation is made by an agent or third party, the person making the booking is responsible for informing the student about the school’s terms, conditions, policies and rules. The school’s policies and rules are provided in the Student Handbook and in some other literature provided. Ignorance of the policies and rules will not be accepted as an excuse for non-compliance and may lead to expulsion of the student from the school.

Expulsion The school expects all its students to be well-motivated, polite and considerate towards staff, host families, other students and the public in general. The school may, without being held liable in any manner whatsoever, exclude students from any service applied for, if, in the opinion of the directors, management or staff they appear likely to endanger their own health, safety or comfort, or that of other students, or damage the property or reputation of the school, sub-contractors or third parties. If a student regularly disregards school and / or accommodation policies and rules, the directors, management or staff reserve the right to expel the student. There will be no refund, and in the event of repatriation, the school shall have the right to reclaim any costs incurred.

Data Protection By submitting their information, students agree to the storage and use of the information by ACE English Malta. All information collected by the school will not be passed on to any other organisation or third party and will be stored and processed in accordance with the Data Protection Act of the country. This information can be used as deemed necessary for the successful provision of the services enrolled for any purpose associated thereto.

Photography and FilmingIt is automatically assumed that pictures taken during lessons or activities can be used in ACE English Malta brochures or other printed or online promotional materials, unless the student objects at the time the photograph is taken. Any images given to the school or its staff may be used in ACE English Malta promotional materials or on any social media networks without charge to the school and without obligation to credit the owner of the image. Should students wish to refrain from being photographed or filmed, kindly let us know and we will ensure that no student is used for promotional purposes against their will.

AgentsAll the above terms and conditions are applicable to direct students and agents unless variations are expressly agreed between the agent and ACE English Malta in writing.
